Nimms Ltd Nimms, which is based in South Belfast was established in January 2010 but has been in existence since November 1998. The business was established specifically to provide a fast, accurate media monitoring service for government, commercial, corporate, public relations and charitable organizations. The fundamental business premise grew from the identification of a specific need for a speedy turnaround in the provision of Printed Press clippings with TV and Radio coverage to enable adequate response to media reporting; both in the tracking of media activity and the planning of future activity. Nimms is the only locally owned and managed media monitoring company in Northern Ireland and captures and measures more media sources in Northern Ireland than any other provider. During the past eleven years Nimms has gained an unparalleled reputation as a provider of media monitoring services in Northern Ireland and through strategic alliances with other selected Media Monitoring Companies currently offers an all Ireland, UK and European service. Nimms has been transformed over the past 12 months with a new owner, a new managing director and most importantly a new ethos. The business is now completely focused on customer service, providing the highest quality product available. Nimms has built its business on a personal, client-based approach and the development of improved services at all levels. The success of the business can be attributed to its ability to understand and react positively to clients needs, the quality of its staff and the introduction of cutting edge digital technology. Nimms employs 14 people and their continuing development and training, the extensive knowledge base of all personnel and a structured management approach and well defined internal communications linked to the operating systems and processes provides clients with a specific, timely, measurable and affordable service second to none. Nimms continues to develop its personnel and systems to ensure that its clients receive the most up to date methods of delivery of services. In addition to the 75k investment made in new digital equipment in 2009 a further 25k has been spent in 2010 on the first stage of its web upgrade. A further 20k is earmarked for further enhancements to Nimms website and web monitoring service for the first half of 2011. Nimms current and ongoing investment in technology, coupled with its staff training program and support of local suppliers, demonstrates its continued commitment to it clients, its employees and the local economy in Northern Ireland. 3
Nimms Ltd Print Media (Monitoring and Recording of Print Media) Nimms article/clippings service for printed media includes all local and national news publications, magazines, trade publications and in-house publications:- Nimms Northern Ireland print media listing pages 14-17 Nimms Republic of Ireland print media listing pages 18-25 Articles/clippings are provided digitally in full colour A4 size. Articles/clippings are uploaded to individual named client portals. Articles/clippings are not resized or altered unless absolutely necessary or by client request. The uploaded article/clipping has details of the original area in sq. cm and the advertising value equivalent at the top. Daily newspapers are collected at 5.15am each morning Mon-Sat and are scanned continuously in full colour from 5.30am. Sunday newspapers are collected at 7.15am and are scanned continuously from 7.30am. Scanning, verification and delivery of articles/clippings to client portals are completed by 8.00am each morning Mon-Sat. All daily newspaper supplements and inserts are scanned and articles/clippings are delivered along with the main content. Daily newspaper articles/clippings can be accessed on your individual named client portal from 5.45am each morning Mon-Sat and from 7.45am on a Sun. An email alert is sent at 8:30am for all National publications detailing Headline, Publication, Page number and a brief summary of the article. This alert will contain links straight to the articles. Weekly/Regional newspapers are collected (or couriered in) between 5.15am and 8.30am each morning Mon-Sat, 7.15am on a Sun and are scanned continuously in full colour from 8.30am. 90% of weekly/regional publications are scanned and articles/clippings are delivered to client before 1.00pm on the day of publication. Weekly/regional articles/clippings can be accessed on your portal from 8.45am each morning Mon-Sat. An email alert is sent at 1:30pm for all Regional and Trade publications detailing Headline, Publication, Page number and a brief summary of the article. This alert will contain links straight to the articles. All articles/clippings are selected and checked by our digital key word/phrase software and our team of 4 verifiers. We manually check every article/clipping for quality, accuracy, and cross check against each client brief for relevancy. All selected keywords are underlined on the article/clipping for ease of identification. All alerts are displayed as a wrap round which means that the alert will show the keyword or phrase with a set number of words before and after. This allows for quick identification of the article/clipping content. A sample of a wrap round is shown at the top of page 5. 4

AVE summary online Nimms within their standard service include a press book facility and each uploaded article/clipping will detail the Newspaper Title, the Date, the Page Number, and Dimension of the original article and Circulation. Thumbnails showing where the article appeared on the page and a sort facility by date, publication or headline are also offered as standard. 5
Nimms Ltd Broadcast Media (Monitoring and Recording of Broadcast Media) Nimms Ltd digitally records the TV and radio stations detailed in our broadcast listing schedule, which includes those specified in the tender. Nimms Ltd Broadcast listing is listed pages 26-31 Each logged programme has a back up recording. Nimms Ltd keep the back up recordings for a month however primary recordings are kept in a continuing archive (currently 3 years old) Nimms Ltd listen to/watch all the main relevant programmes live though some, such as those TV and radio bulletins after 17.00, are done the following morning from 5.00am. As we are logging the programmes we identify items of interest to our clients and send through an email alert as we come across them. This is in effect a breaking news alert service. All Nimms Ltd email alerts go into one central document which is then used to create a summary, if required. If the broadcast is of a controversial or urgent nature we telephone our clients so they can listen live. If the our client requires a TV or a radio piece we have the software and hardware to create an audio or video file. This clip can be emailed or uploaded to the Nimms portal or burnt to disc and either couriered or posted. Alternatively we can type up a transcript of the broadcast and email that through. A request for an audio file or a video file would normally be delivered within 15minutes (not including courier time, if applicable) but will be done within an hour. Transcripts are dependent on length but generally should be delivered within an hour unless particularly long 6
Nimms Ltd Internet/Web Monitoring Nimms Ltd Internet/Web monitoring service includes the recording and logging of all the main online news sources and social networking sites. This can be refined to meet client needs. For example just news sources in Northern Ireland, or just one particular blog. Nimms Ltd receives feeds from all the main online news sources and social networking sites in xml form 24 hours a day 7 days a week. These files are then fed into the Nimms database and searched using Nimms search software and match to client keywords. Matched articles can then be passed to Nimms highly experienced verification team to be checked for relevancy. Alerts relating to articles are uploaded to individual named client portals. These alerts contain, article headline, source, a brief intro to the article and a link to the article. Alerts are also e mailed daily to client nominated recipients. Nimms Ltd searches online news sources and social networking sites from 08:45 to 08:15 the following morning. Nimms Ltd Outline of media analysis and evaluation services available. Nimms Ltd monitor printed press, broadcast media and online news sources on behalf of its clients 365 days per year. Nimms Ltd can provide analysis and evaluation of a client s coverage, as monitored by us or as supplied to us by the client. The best demonstration of our understanding of the aims and outcomes of media monitoring is to provide an example of an evaluation report that we have recently produced for a high profile organisation in Northern Ireland. The example organisation deals daily with promotional activities, brand building, risk and crisis management and is at all times fully accountable. All references to the organisation, its key messages and campaigns, and any specific news stories which may identify the organisation have been removed, to respect their confidentiality. This report provides both a qualitative and quantitative analysis of all of the client s coverage in 2010. This allowed the client to assess the effectiveness of their campaigns and key messages, the tone of their branding and visibility, the favourability of their reputation and make strategic decisions for their future communications activities. We provide this client with media monitoring as well as analysis and evaluation, covering both proactive and reactive issues. This evaluation report demonstrates that we fully appreciate and understand the need and reasons for media monitoring. The information that we gather from all the media sources form the basis of analysis for our clients. Our in-house processes, client liaison and years of expertise ensure that we provide both a bespoke service, tailored exactly to the clients requirements, and guidance and counsel on how best to deliver the analysis and evaluation most useful to the client. Nimms Client Portal Nimms email alerts contain links directly to articles; however clients can also access articles via the Nimms Client Portal. Our client portal boasts many features: Printed Press Tab On logging in today s articles are displayed by default. Article information contains Publication, Issue Date, Headline, Page Number, and the first few sentences of the article. Articles can be viewed individually by clicking on the headline. Articles can also be combined to form a Press Book. For example, on receiving an alert, a client decides that they require four of the articles for a meeting; they can select the four articles and click, Create Press Book. These articles would then be combined into a single PDF containing a cover page, a table of contents and bookmarks. Articles can be viewed by date range. Users can select a range of articles to be displayed using the issued from and to boxes. Alternatively user can select, Today, Yesterday, Last 28 days or All Articles. A keyword search function, to make searching for a particular article easier. AV/Broadcast Tab Requested broadcast clipping can be downloaded from this tab Media Evaluation Tab Media Evaluation report can be generated for printed press articles using this tab. These reports contain: o AVE Values o Circulation o Volume o Weekly / Monthly Trends o Full Article List This report can be displayed in PDF or Excel format. Web Harvesting Tab Today s online articles will be displayed by default. Article information contains Headline, Online Source and the first few sentences of the article. Nimms Ltd The Team and their duties:- Molly Baine (Client Liaison Manager) 22 years experience in the PR sector with 20 years directly involved in monitoring printed press media. 9 years at Nimms liaising and dealing directly with client issues, queries and sales. Molly, on a daily basis checks all newspapers to see if there are articles or stories that maybe of interest to clients but not necessarily on their main key word list. Molly communicates all relevant issues and breaking news stories to clients whether it be for print, broadcast or web. John Andrews (IT Systems Manager) 10 years experience in the IT Industry 4 years at Nimms 3 rd level qualification in Multi-Media John makes sure all the computer systems work and deliver the service to the client s portals and is on call 24 hours a day Jason Seward (Customer Services Supervisor) 4 years at Nimms Degree in Fine and Applied Arts Jason, along with Molly would answer any query a client may have on any issue and get it sorted out promptly. It maybe an issue with the client s portal or a general question. Darren Baine (Verification Team Supervisor) 6 years at Nimms Darren makes sure that all the newspapers are, collected from the shop, cross checked against the master publication list and scanned into our computer system everyday.
