FMPA RFP 2015-205: Intranet Design Services Questions & Answers (December 7, 2015) 1. Question: Can companies from outside the USA can apply for this? Yes. 2. Question: Do we need to come there for meetings? Answer We anticipate that the project can be completed remotely, and in person meetings would not necessarily be required. 3. Question: Can we perform the tasks (related to RFP) outside the USA? There is no restriction on where the tasks can be completed. However, we do ask that bidders specify where the work will be completed, and the review team may take that information into consideration when evaluating the proposals and making a selection. 4. Question: Can we submit our proposals via email We ask that you submit information directly to our office as noted in Section 10.1 of the RFP. FMPA is asking that bidders provide one printed copy and one electronic copy of the proposal to our offices. 5. Question: Is there a mandatory list in order to submit this bid?. 6. Question: Does the Build and Design phase have to be performed on the FMPA site?, this is not required for the project. 1
7. Question: Do you have an overview or breakdown of the current Sharepoint sections or sub sites? The current CMS includes articles and documents in both Adobe PDF and Microsoft Office document formats. Some of the existing categories may remain. However, the new organizational structure has not yet been determined. 8. Question: Would any current data need to be moved to the new site? If so, how many files, what are the file sizes, types and hierarchy relationship? If all content was transferred, the total size would be less than 30 GB. File types would include Adobe PDF, Microsoft Office document formats and JPG files. 9. Question: Will local firms be given preference? Local firms will not necessarily be given a preference. However, the review team may consider location as part of the evaluation process. 10. Question: Does FMPA have a target budget for this project? We do not plan to release a budget at this time in order to identify best options and price. 11. Question: Can FMPA provide a rough estimate on how much of their current data/content will need to be migrated? 100mb, 1TB, etc. If all content was transferred, the size would be less than 30 GB. 12. Question: Does FMPA currently have any high level designs / mockups of what they would like their new intranet site to look like? Or, will the consultant provide these? FMPA has no high-level designs or mockup. We are asking the consultant to provide these. 2
13. Question: Does FMPA have any links to websites that they like that they would like to model their intranet site after?, not at this time. 14. Question: Can FMPA provide some screenshot(s) of their current intranet site? We are seeking to move away from our current design, so screenshots of the current site would likely not be helpful in responding to the RFP. As a point of reference, our current intranet site serves mainly as a repository for documents, forms, instructional videos, photos and links to external resources. The intranet resources are available to all staff and include information related to Human Resources, Public Relations, IT, Facilities, etc. We are looking to update the site to provide a more streamlined and simple design that is easy for staff to use and access resources. 15. Question: Does FMPA have a list of specific devices that they would like to target (i.e. Windows Surface Tablets, Windows 10 Phones etc.)? 16. Question: Which browsers will the end-user base be utilizing the most? (i.e. Internet Explorer 10, Chrome etc.) Internet Explorer 9 and higher, 2) Firefox, and 3) Chrome 17. Question: Is the FMPA SharePoint Farm already setup and configured? Is SharePoint already installed? Or, will the consultant need to do this? FMPA has already set-up, configured and installed SharePoint. 18. Question: Does the FMPA SharePoint intranet site need to be externally accessible (meaning, without a VPN connection)? If so, will the consultant need to setup this up? 3
19. Question: Does the FMPA SharePoint site need to be configured for anonymous access? 20. Question: Would FMPA like to integrate external data into their SharePoint site/intranet as a part of this project? (i.e. line of business data, SalesForce, MS SQL data etc.) 21. Question: After the homepage and department templates have been designed, developed and deployed, typically, the next step is process automation. Will FMPA need or be open to implementing any SharePoint workflows as a part of this project? FMPA s current intranet does not require workflows. If the new design requires workflows, then yes. 22. Question: Does FMPA need the consultant to setup and configure an Extranet site (i.e. for external vendors etc.) to get information and collaborate on? 23. Question: Will FMPA like to leverage the reporting capabilities of SharePoint (i.e. SSRS, PowerView, PowerPivot etc.)? 24. Question: Is 75 users the total number of users for the intranet site? Yes 4
25. Question: 4.2.2 states that the service provider will need to create custom controls. Do you have a particular feature in mind that would require that type of control? Please give details of features. We do not currently foresee custom controls as being required for this project. However, if the bidder proposes a design with a custom user interface element that requires coding, then this would need to be provided. 26. Question: 4.2.3 States that device channels will be required for different devices. How many devices will we be targeted? There are other methods than device channels for focusing the look on a particular device. Are you open to other methods besides device channels? We are not currently targeting specific devices. We are open to responsive design, however, it is not necessarily required for this project. In addition, we would like support for the major browsers including 1) Internet Explorer 9 and higher, 2) Firefox, and 3) Chrome. Some items on the intranet site may require layouts that allow for printing. 27. Question: How many different types of page layouts will be required? Examples of page layouts would be a two column layout verses a three column layout. Currently we do not know the exact number of layouts that will be required, and we are open to recommendations as part of the project design. Therefore, it may be helpful to provide pricing estimates that would allow us to use reasonable assumptions to adjust and estimate the pricing as needed. Question: It was mentioned that the IT department may handle the page content but do you have any specific needs for special SharePoint Web Parts? We do not currently foresee the need for special SharePoint Web parts. However, if the bidder proposes a design which includes them, then this would need to be provided. 5
29. Question: With regard to scope, is data migration in the option section, in the expected section or not at all? We would recommend that data migration be priced as a separate option. We anticipate that we may ask the vendor to perform a portion of the data migration (i.e., maybe the more recent data) and then we complete the data migration for some of the older data. 30. Question: Are there known external interfaces? There is a reference to database or web service integration, but no indication of how many would be in scope for us to be able to estimate.. 31. Question: What is the most important problem that your new intranet is going to solve? Here are the project goals: FMPA plans to update its employee intranet to update the site s seven-year-old technology to provide improved user experience, enhanced site features, as well as a refreshed design and content. Goals 1. To increase user satisfaction with InSite. 2. To integrate InSite with FMPA s SharePoint deployment. 3. To enhance content, features and design. 32. Question: What portions of the existing Insite (Joomla-hosted) functionality will be retained? Or is the site going to be completely decommissioned after the new SharePoint intranet is deployed? We anticipate that the existing site will be decommissioned after the new intranet is deployed. 33. Question: What vision does FMPA have for how this project will proceed, e.g., how many days for project developing, testing, deployment? Our current tentative schedule plans for a launch of the new site in early June 2016. 6
34. Question: How (if at all) does FMPA expect the design of the intranet to reflect/echo the design of the public-facing internet website? FMPA has a Graphic Standards Manual that will provide guidance for the general look of the site. However, the design for the site has not been determined and we are open to suggestions for creative design that serves the audience and goals of the project. 35. Question: What possible databases are expected to be integrated into the new intranet? We do not currently foresee any databases being integrated into the new intranet site. However, if the bidder proposes a design that would require integration with a database, then this would need to be provided. 36. Question: What possible web services are expected to be integrated into the new intranet? We do not currently foresee any web services being integrated into the new intranet. However, if the bidder proposes a design that would require integration with web services, then this would need to be provided. 37. Question: What formal SharePoint DEV, TST and PRD environments exist in which to perform development, or does FMPA expect only a WSP file to be provided? Production, DEV/TST, Sandbox. FMPA would prefer a deployable package. 38. Question: Will this website redesign be a complete overhaul with a new structure and features or a new look for your current site? We anticipate that the redesign will be a complete overhaul of the existing site. However, we are open to recommendations as part of the project design. 39. Question: Do you have professional photography or will the designer need to purchase stock photography? We have a preference for using professional photography rather than stock photos. We do have archives of existing photos that can be used or we are able to take photos in house if necessary. 7
40. Question: In reference Section 4.1.4 regarding motion designs for any animations. What types of motion design? We do not currently foresee any motion designs being incorporated into the new intranet. However, if the bidder proposes a design that includes motion designs/animation, then this would need to be provided. 8
