2 of 6 8/21/2012 3:40 PM Times... Again!!! October is National Disability Employment Awareness Month. A celebration was held by ReadyOne for our employees to acknowledge their hard work and dedication. Our sports themed event was filled with a lot of fun and entertainment which was very much enjoyed by our employees as they kept the dance floor busy. The mariachi band was a highlight for everyone. More symbolically and close to everybody's heart was the recital of the Star Spangled Banner and we had the honor of having the Color Guard from the Viet Nam Veterans Association present the colors. We are all looking forward to another successful event next year! We would like to thank all of you for making our two free shred events such a huge success!!! We filled FIVE trucks of containers, and in total shredded over 15,000 lbs of paper! We are so grateful to all who came and you will be the first to know of future shred events! 3 of 6 8/21/2012 3:40 PM YWCA Walk A Mile In Her Shoes! This is such a great cause and we are very appreciative that our employees participated in this important event! All of our employees have gone through a background check and undergone a drug test. This screening process ensures the security we seek in our workforce to enforce, promote, and embody trust and protection, i.e. our valued reputation. Trust in our process ReadyOne security and operations policies and procedures are written and followed by all employees. How do you know security procedures are actually being followed? They are vigorously enforced by our supervisors and audits are performed internally and externally by the SDA (Secure Document Alliance). These security procedures must be followed to maintain our AAA N.A.I.D. and ISO 9001:2008 Certifications and protect and keep your confidential information safe. Why HIPAA Is Your Friend
4 of 6 8/21/2012 3:40 PM In the interest of protecting your patients and your practice HIPAA laws have changed slightly but those changes have a big impact. Our duty is to highlight those changes, tell you what they mean to you, inform the persons who will be affected and what should be done to prevent a disaster that can ruin reputations and compromise the safety of patients/clients. Also, we inform you of the serious consequences. If you do not know, who will tell you? If you do not understand who will explain it to you? Your ReadyOne Secure Document Services Team will! There's a new class of Covered Entities In addition to the traditional practices and providers, there is a new class of Covered Entity. The new class of Covered Entities are web-based businesses that offer health care services. The inclusion of web-based services is particularly important because new HIPAA laws require these internet businesses to protect confidential patient/client information in the new age of technology. More specifically, this new class must protect "Personal Health Records." Some examples of Personal Health Records are: Payment for healthcare services (in the past, present, & future) Records that hold information about a person's condition (i.e. contacts/eye glasses prescription) "Within the Privacy Rule, HIPAA states that Covered Entities must take steps to prevent unauthorized access to Personal Health Information on all media." Enforcement! Enforcement! Enforcement! Under the Obama Administration, enforcement of HIPAA is strict and active! This is a big step and departure from the past as there was an extreme lack of enforcement from the Health and Human Services front which many called negligence. Who is responsible for HIPAA enforcement now? You're States' Attorney General. HHS is not completely stripped of all enforcement authority, however, State Attorney Generals are taking an aggressive approach in this matter. Skyrocketing Fines Fines have increased 6,000%. A HIPAA complaint fine that was once $25,000 is now $1,500,000. This is a sign of aggressive enforcement and accountability.
5 of 6 8/21/2012 3:40 PM Healthcare Data Breach Notification A data breach notification is a nationwide requirement by the specific organization to inform you that your private/confidential information has been comprised, "notification must be given regardless of the sensitivity of the information or the potential risk. Notification must be provided in all cases of breaches where individuals' names are linked to any healthcare information." Business Associates (HIPAA term for document destruction companies like us) are also required to notify the Covered Entity of a data breach. These two scenarios can bring negative publicity depending on the severity and circumstance of the data breach. Furthermore, Business Associates are also legally responsible to abide by the new HIPAA provisions as well. Our commitment to the new HIPAA regulations, as well as to your practice, is demonstrated by our certifications under the National Association for Information Destruction and ISO 9001:2008. Strict enforcement, increased fines, required notification of data breach, while all of this sounds frightening if you are armed with knowledge and know what to do and who to turn to, there is no need to fear the new HIPPA. ReadyOne is here to help, ReadyOne is here for you. ReadyOne is a non-profit organization whose mission "is to provide employment opportunities to individuals with significant disabilities in an environment that inspires and nurtures self determination and success." Sincerely, Your ReadyOne Document Services Team All of us at ReadyOne & Your Secure Document Services Team wish all of you Happy Holidays and a safe and Happy New Year!
