ONBOARDING INSTRUCTIONS 1. You will receive an email from CROSSMARK with a subject line of Joining CROSSMARK. Before starting this process, you will need to turn off the pop-up blocker. In addition, you will need to have Adobe Reader downloaded and your computer must meet certain system requirements. This information is explained in this cover email. 2. Scroll to the bottom of this email and click on blue link Please click this link to access the onboarding system. 3. This will open a new window. Please create a temporary password for you paperwork, re-enter your password, and choose a security question and answer it. 4. Then click Start Employee Wizard 1
5. You will be required to print out some documents at the end of the on-boarding process. This screen is asking if you are connected to a printer. Click Next at the bottom of the screen. 6. Offer Details: This section will display your job title, pay rate, and benefits description. Click Next at the bottom of this page 7. Click Yes to accept the offer terms. Then click Next 2
8. You must enter your name EXACTLY as it appears on your social security card. Then click Next 9. Physical Address Screen: If your physical street address is different than what is on the screen please update it. Then click Next. 10. Mailing Address Screen: If your mailing address is different, please update. Then click Next. 11. Emergency Contact Screen: Please enter your emergency contact information. Then click Next. 12. Gender and Race/Ethnicity Screen: Please select Yes where indicated if you choose to self-identify your gender and race on this page. Then click Next. 13. W-4 Instructions Screen: Read the instruction page and click Next. 14. Fill in the information for your W4, mark that you agree with the information, and then click Next. 15. Direct Deposit Screens: Fill in your Direct Deposit information if you would like your paycheck deposited directly to your bank account. Otherwise select No at the top of page. 3
16. Enter your routing number. The system will automatically pull up your banks name. Then enter your account number. Under Type, choose either C for checking or S for savings. If you would like your whole check deposited please select N for net amount. Then click Next. 17. Background Check Release: It is required that you check the box stating you have read and agree to a background check. If this box is not checked, the onboarding process will stop and you will not be able to continue. Fill in all addresses for the past seven years. Click Yes or No to the question regarding conviction of a felony or misdemeanor within the past 7 years, depending on your situation. Then click Next. 18. Drug Screen Authorization: You must select the button that states you agree to the drug screen authorization. If this button is not selected, the onboarding process will stop and you will not be able to continue. Then click Next. 4
19. Agreements and Acknowledgements Screen: The system will use a series of pop up windows for you to read the required documentation and agree. Every time you check the box to acknowledge and agree, the system will automatically open a new window with the next policy. Close each new window once you have read the policy and it will be marked as complete. Once all of the boxes are checked, click Next. 20. Form I-9 Verification: You will have the option of taking your I9 form to a notary to be notarized and fax it back to CROSSMARK, or take it to a CROSSMARK representative, if one is available in your area. Choose one of the options. Then click Next. 21. Form I-9 Verification Instructions: Check the box stating you will fax your I9 form back within 2 business days. Then click Next. 5
22. The next screen will ask if you need assistance to answer the I-9 questions based on the instructions you will receive. Select No and then click Next unless you require help to complete the I9 form questions. 23. Please complete your citizenship status and list which form(s) of identification you will be using on your I9 form to prove eligibility to work in the US. Then click Finish. 24. The next few screens will review all of the information you have entered so far. Review each page carefully. If the information is correct, click Next on each page. On the last review page click the Submit button at the bottom of the page. 25. Sign Forms: Click Sign Forms 26. Check the agreement box for the electronic signature step and then re-enter your password. Click submit 6
27. Electronic Signatures: The process will ask you to sign the forms listed on the left hand side. Click the Click to Sign button to stamp your name and date on the form. You must do this for all forms listed before you can continue. The checkmark will appear once you complete each document. 28. The next screen will proved the I9 form which must be printed, notarized and faxed back in with your ID copies. Click Print. Once all forms are printed, click Submit All Documents. 29. You are now complete with the on-line portion of your paperwork. You will receive an email if you are required to complete any additional pre-employment screenings. 7
