3 Project Description The Primeros Libros de las Américas: Impresos Americanos del Siglo XVI project is building a digital collection of the first books (primeros libros) printed in Mexico and Peru before These monographs represent the first printing in the New World and provide primary sources for scholarly studies focused on cultural history, linguistics, religious studies, history of the book, etc. Of the 220 editions believed to have been produced in Mexico and 20 in Peru, approximately 155 are represented in institutions around the world. Ideally the project seeks to scan at least one example of each edition while also digitizing as many copies as possible. These duplicates facilitate scholarly inquiry since marginalia, typographical variants, ownership marks, and other copy-specific attributes are often critical for interpretation and other purposes. At present it is believed that at least 369 surviving primeros libros are in existence. However, in the course of the project, previously unknown holdings have been revealed in the collections of project participants. Consequently, we expect this number to increase and view this discovery aspect as yet another benefit of working collaboratively. The project website ( holds digital copies of these works in a variety of formats (e.g., JPG, JPG2000, PDF) as well as offering book viewers, navigational aids and metadata describing the materials. Partner contributions will also be transcribed via optical character recognition (OCR) software and may be uploaded to the project website. Additionally, ancillary materials such as the history of the primeros libros and their publishers are within the scope of the website and envisioned to expand as the project grows. The collection of books and associated material are made freely available to the world. It is anticipated that this collection will be the definitive resource for these 16 th Century novohispano materials. Project Participants and number of primeros libros in the project 1. 5 Project Support The complete collection is hosted and/or archived in several places in the world, including Mexico, the United States, and Spain. Any member may choose to host and/or archive a copy of the collection. The Univeristy of Texas Libraries provides web-based access to one copy of the complete collection at primeroslibros.org and preserves the collection in its digital preservation network infrastructure. Each institution agrees to: Project Agreement 1. Scan their primeros libros according to the standards specified in the accompanying production standards document; this document is also available at primeroslibros.org 2. Produce the images as specified in the production standards document or receive help from another participant to produce the images 3. Provide the required metadata for the images as specified in the production standards document or receive help from another participant to produce the required metadata 4. Share all of the above with all partners in the collaboration 5. Primeros libros contributed to the project will be transcribed via optical character recognition (OCR )software and the transcriptions may be uploaded to the project site as well Each institution contributing their primeros libros: 1. Is entitled to a complete set of all partners Archival files 2. Is entitled to a complete set of all partners Derivative files 3. Is entitled to a complete set of all partners Text files produced by OCR 4. Has copies of their books included in all complete collections (including primeroslibros.org) with branding to indicate their institution 5. Has a copy of their Archival files preserved in the Texas Digital Library Preservation Network as well as mirror sites in the United States, Mexico and Spain.

General Los Primeros libros de las Américas: Impresos americanos del Siglo XVI en las bibliotecas del mundo Production Practices: Digitization Each partner institution is free to capture its images using any kind of imaging device, whether it is an overhead scanner, a digital camera, or a flatbed scanner, as long as the images captured completely meet the specifications below. Digital images provided by the partner institutions will serve as the originals from which the derivative files (e.g., JPGs, JPFs, PDFs) to be used for the Primeros Libros website will be created. Partners are not responsible for creating derivative images. 2. Image Files The partner institution will produce images of the original item to project specifications and save them in the TIFF file format. The partner will create two (2) original files of each image scanned: an Archival Master and a Cropped Archival Master. 2.1 File 1 Archival Master TIFF or JPEG 2000 The TIFF images must meet these specifications: o 400 pixels per inch resolution o 24 bit color o lossless compression o single page capture (i.e., one page of the book per image) o presence of the Kodak Color Separation Guide (Q-13) 1 with ruler and, if not legible, a high contrast, 2 inch/5 cm Vinyl Photo Documentation Ruler 2 o imaging should be done on a non-reflective black or dark background Figure 1 Kodak Color Separation Guide (Q-13) 1 Available at For the specific item, see: 2 Available at Arrowhead Forensics. 7 Figure 2 2 inch/5cm Vinyl Photo Documentation Ruler The Color Guide should be placed on the lower side of each scanned page, no less than 0.25" from the binding's edge. And, if used, the 2 inch/5 cm Documentation Ruler can be placed either: 1) adjacent and to the side of the Color Guide or 2) abutting the top edge of the Color Guide and adjacent to the book itself (see below). Figure 3 - This image shows the placement of the Kodak Color Guide and (optional) Documentation Ruler with Vocabulario en lengua mexicana y castellana (1571). The Archival Master TIFF is the image file considered the Master for preservation purposes. Quality Control / Quality Assurance should be performed at this stage to ensure the accurate reproduction of the physical object and should be as unprocessed as possible. 2.2 File 2 Cropped Archival Master TIFF or JPEG2000 This file is a duplicate of the Archival Master TIFF and retains the original scan's specifications (e.g., resolution, bit depth, etc.) but is cropped to 0.25" from the edge of the binding on all sides, thereby removing the Color Guide and Documentation Ruler. Prior to cropping, the Color Guide
8 and Documentation Ruler may be used, if necessary, to slightly adjust the image to better represent the physical object. For example, modification may be made to the image s color (contrast, saturation and hues). This is also the stage at which images, again, if necessary may be de-skewed prior to cropping. 3. Handling When scanning books which do not have a 'flat' l80 opening, one will encounter the phenomena of 'floating' sheets; this creates curvatures and irregularities of the text in the digital image. In order to eliminate or minimize this situation, the scanning technician should use one or two gloved fingers to slightly press the floating sheet during the scanning process to hold it down. The finger, or fingers, should be put at the bottom of the page, and slightly away from the corner towards the center. White gloves, cotton or nylon, are to be used in order to retain visual consistency for the project. The use of fingers will not always be necessary or even possible (e.g., in cases where there are no margins in the book). Fingers should be used only when the sheet is not lying 'peacefully' during scanning; there is no need to press down the sheet when it's a little bit curved - it will not always make the text illegible, and it gives the feel and look of a 'real' book. Decisions in these matters are subjective and may be influenced by the scanning conditions. Partners are asked to use their best judgment. 4. Capturing the Entire Book It is crucial to image the entire book as one whole object, both for the sake of possible future facsimile production, and for the appropriate full representation of the original to the end user. Each and every page plus book covers, binding boards, end-papers, blank pages, and Ex-Libris should all be scanned as an integral part of the item. Front and back boards can be scanned as any other page of the book; spines may be imaged with a camera, or even with an over-head scanner positioned appropriately (spine facing the camera with book held between two "bricks") on the scan surface. The same technical standards mentioned above should be applied to these parts of the book (i.e., 400 ppi, 24 bit color, lossless, etc.). In addition, each and every page plus the books structural elements (book covers, spine, etc.) must be documented both in the structural metadata list and the item's work sheet. 5. Assigning File Names All partners should use the same naming schema for this project. This schema is composed of five (5) elements that indicate the following: 1) the project, 2) the institution holding the book, 3) the book itself, 4) specific page of the book (for project purposes, the books covers, binding, blank pages, etc. are also included in the page numbering) and 5) the file type suffix.
9 Example file name: pl_tamu_017_00005.tif First element of the naming scheme pl is for primeros libros. Second element, tamu is a four (4) digit code for the holding library created by the institution itself for the project. In this case, Texas A&M University. Third element, 017 is the book s three (3) digit ID number assigned by the partner library to identify the particular title for the purposes of the Primeros Libros project and distinct from any acquisition or collection numbers already assigned to the title. Note: The number should always include 3 characters, so insert leading zeroes as needed. Fourth element, is a five (5) digit number, using leading zeros as needed, reflecting the page order / sequence, including blank pages, of the book. Note: The number should always include 5 characters, so insert leading zeroes as needed. Fifth element, tif is the extension suffix identifying the type of file. All segments of a file name, except the file extension, are separated by underscores (not dashes). Only lower-case characters should be used since some operating systems, such as UNIX, are case-sensitive. No punctuation characters should be used because many characters such as \ /: *? " < > are reserved by the UNIX operating system's shell for commands and, thus, can not be present in file names. No spaces are allowed in the file name, as some Web browsers will 'throw away' anything after a space. 6. Quality Control/ Quality Assurance Quality Control / Quality Assurance of the Archival Master TIFFs and Cropped Archival Master TIFFs will be performed by the partner institutions. This step involves meticulous inspection of the digital image, starting with 200% magnification and going down to 100%. The digital image should accurately represent the physical object. The goal is that the archival master will not contain any corrupted data such as moiré patterns, stuck pixels, blurred images, etc.
