3 Cloudifile Compatibility Q: Can I encrypt data with the help of Cloudifile in other cloud services? A: In the current version, it is possible to work only with Dropbox. 4 Cloudifile Installation Q: Do I need to pay for this Cloudifile version? A: This Cloudifile version is free of charge forever. Q: Must my Dropbox account credentials be the same as Cloudifile account credentials? A: You can use different login and password for your Dropbox and Cloudifile accounts. Q: Can I use one Cloudifile account with two or more Dropbox accounts simultaneously? A: You are able to use one Cloudifile account with the unlimited number of Dropbox accounts but cloudified data will not be the same in them. Q: Can I use one Dropbox account with two or more Cloudifile accounts simultaneously? A: You are able to use one Dropbox account with only one Cloudifile account. Q: If I install Cloudifile, won t my already existing data in the Dropbox folder be damaged? A: Cloudifile interacts with your data only if you decide to do it. Existing data in the Dropbox folder will not be damaged. Q: Can I use Cloudifile if my Dropbox folder is not in the default location? A: Cloudifile will auto-detect the Dropbox folder location even if it is not default. It is strongly recommended not to change the Dropbox folder location after the Cloudifile is installed. 4
5 Cloudifile Account Registration Q: Can I start working with Cloudifile without validating my ? A: You can work with Cloudifile without validation for 10 days. After the end of this period, your account becomes inactive and you are able only to decloudify already cloudified data. Q: I have registered a Cloudifile account, but I have not received a validation . What do I do? A: Please check the spam folder of your account. Some providers have a rather strict policy regarding incoming s. If there is no Cloudifile validation in the spam folder, then go to the Cloudifile settings and click Send Again. Q: I tried to move my Dropbox folder to a new location and now Cloudifile requires registering the account again. What to do? A: You need to re-install Cloudifile. Alternatively, you can close Cloudifile, move the Dropbox from the new location to the old one, and start Cloudifile again. Q: Can I change the to which Cloudifile is registered? 6 Working with Cloudifile Q: I installed the desktop version of Cloudifile. How can I start working with it? A: To start working with Cloudifile, you need to have an installed and running Dropbox application on your PC or Mac and a registered Dropbox account. You also need to register a Cloudifile account and confirm your Cloudifile registration through the confirmation . After that, log in to Cloudifile and start encrypting the needed data. Q: Do I need to create a separate folder for storing my cloudified data? [Windows] A: Cloudifile automatically puts encrypted copy of cloudified data to your Dropbox folder. In addition, Cloudifile mounts the virtual Cloudifile disk on your PC, where encrypted virtual copies of files are stored. [Mac OS X] A: Cloudifile mounts the virtual Cloudifile volume on your Mac to display virtual decrypted files. Additionally, Cloudifile automatically puts encrypted copy of cloudified data to your Dropbox folder. Q: I turned on my machine but the Starting Cloudifile/Cloudifile Login window does not appear, although in the Cloudifile settings, the Start Cloudifile at computer start checkbox is selected. What to do? [Windows] A: Please try to launch Cloudifile manually and wait until the Starting Cloudifile window appears. If it does not appear, launch Cloudifile manually one more time. If it still does not help, in the Task Manager, restart the Cloudifile service CloudifileSvc. [Mac OS X] A: Please try to launch Cloudifile manually and wait until the Cloudifile Login window appears. If it does not appear, launch Cloudifile manually one more time. [Windows] Q: Why is it not allowed protecting Windows folder and Program Files folder? A: Before Cloudifile starts, cloudified files are unavailable on the computer. That is why for the correct work of your operating system, we strongly recommend you not to cloudify Windows folder and Program Files folder. 6
7 [Windows] Q: I have cloudified a file but it has disappeared from its original location. Where can I find it? A: Please try updating information in the Windows Explorer by pressing F5. [Windows] Q: I have decloudified a folder/file but the Cloudifile icon still remains on it. What to do? A: Please try updating information in the Windows Explorer by pressing F5. Q: There are several User Accounts on my computer. Does each user have to create a separate Cloudifile account? A: If these users use the same Dropbox, then they can use one Cloudifile account. Otherwise, each user has to register a separate Cloudifile account. [Windows] Please note, in the Cloudifile version, the user can be changed only after the computer reboot but not after user switching. [Mac OS X] Upon the first launch of Cloudifile, each user is offered to define Cloudifile settings. Q: There are several User Accounts on my computer. If I cloudify data, would it be possible for other users to work with it? A: It will be possible to work from other users accounts with cloudified data only if you give them credentials to your Cloudifile and Dropbox accounts. But we do not recommend showing Cloudifile account credentials to any third-party. These users can work with cloudified data if you decide to share this data via Cloudifile with them. Q: Can I use one Cloudifile account on multiple computers simultaneously? A: It is possible to use one Cloudifile account on multiple Macs and PCs simultaneously if you use the same Dropbox account on them. All you need to do is to install Cloudifile on the computer and after that configure it with the existing Dropbox account with which you already use Cloudifile. Then you can start working with virtual decrypted data. 7
8 Q: Is it possible to get access to cloudified data if there is no installed Cloudifile? A: You are able to work with cloudified data only with the Cloudifile installed. Q: Is it possible to get access to cloudified data from the Dropbox web interface? A: You can get access to the cloudified data via the Dropbox web interface, but all data is encrypted there. Q: How does Cloudifile interact with my Dropbox account and folder? A: Cloudifile does not collect or store on its servers your Dropbox credentials or data from your Dropbox folder or any other kind of your personal data. Cloudifile automatically puts encrypted data from your machine to your Dropbox folder. It works the following way: you choose what data to encrypt on your PC or Mac, Cloudifile encrypts it, and automatically moves encrypted to the Dropbox folder. Now your personal data in the cloud is protected. Q: I accidentally uninstalled Cloudifile but some cloudified files were left. How can decrypt these files? A: It is possible to decrypt cloudified files only with the help of Cloudifile. In such situation, you need to install Cloudifile again, log in to it with the same credentials and after that decrypt the needed data. Q: How can I update Cloudifile to a newer version? A: If a newer version of Cloudifile appears, you receive a notification about existing updates. Click the notification to download the newer version and then install it. [Windows] We recommend you to restart the PC after Cloudifile update. 8
9 Cloudifile Functionality Q: What does cloudify mean? A: Cloudify means to encrypt selected data and synchronize it with the Dropbox folder. Decrypted files appear on the virtual Cloudifile volume or disk. [Windows] The virtual decrypted files appear in the original location of cloudified files. Q: What does decloudify mean? [Windows] A: Decloudify means to remove Cloudifile protection from the file: decrypt the file to its original location or the defined location, make it non-virtual and delete the file from the Dropbox folder. [Mac OS X] A: Decloudify means to remove Cloudifile protection from the file: decrypt the file to the defined location and delete the file from the Dropbox folder. [Windows] Q: What does Cloudify with Parameters mean? A: Cloudify with parameters means to encrypt only documents (txt, doc, docx, pdf, csv, rtf, etc.) in the selected folder. All new documents added to the folder meeting corresponding cloudification parameters are automatically cloudified. New files, which do not meet cloudification parameters, are not cloudified. In the future Cloudifile versions, there will be more options of cloudification parameters. [Windows] Q: I want to have the ability to exclude certain file extensions while cloudifying a folder with parameters. Will it be possible? A: In the future Cloudifile releases, we are planning to make the Cloudify with Parameters feature even more customizable. [Windows] Q: If I decloudify cloudified data, can I lose it? A: No, you will not lose decloudified data. If you decloudify cloudified data, it is decrypted, then it is restored in its original location, and its encrypted copy is deleted from the Dropbox folder. 9
10 Q: What happens if I try to decloudify data from another computer? [Windows] A: If you try to decloudify data located on the other computer, you are asked to define data location on the current machine to which this data must be put after its decloudification. After such decloudification, the data is not restored in its original location. [Mac OS X] A: You can decloudify data from another computer in a common manner, by moving the data from the virtual Cloudifile volume to the selected location. Q: Can I cloudify data by moving it to the virtual Cloudifile disk? A: Yes, it is possible to cloudify data by moving it to the virtual Cloudifile disk or volume. [Windows] After you moved data to the virtual disk, Cloudifile tries to restore the location in which you put data on your computer. Q: How can I cloudify my data in Dropbox? [Windows] A: Unfortunately it is impossible to cloudify data directly from your Dropbox folder. You can move this data to your PC and then cloudify it. And Cloudifile will create encrypted copy of this data in your Dropbox folder. [Mac OS X] A: You can cloudify the data in your Dropbox in a common manner, by moving the data from its Dropbox location to the virtual Cloudifile volume. Q: Does Cloudifile store any kind of my personal data? A: Cloudifile does not store or collect any sort of your personal data, including account credentials, on its internal servers. All the data needed for Cloudifile work is stored in the encrypted state in your Dropbox. That is why nobody can get access to it. 10
11 [Windows] Q: The volume of virtual cloudified data is bigger than the volume of the disk on which it is located. How can it be possible? A: Cloudified files are virtual files, which are physically stored in the Dropbox folder and virtually displayed in their original locations. Consequently, their volume can be larger than the disk volume. [Windows] Q: Why do I see the cloudified folder after my exit from Cloudifile? A: Cloudifile protects only files, and all folders remain in their original locations. After you exit Cloudifile, cloudified files disappear from their original locations. [Windows] Q: If I move cloudified file to the non-cloudified location, will it remain cloudified? A: In case of moving cloudified file to the non-cloudified location, the file remains cloudified. In case of copying cloudified file to the non-cloudified location, the file becomes decloudified. [Windows] Q: I cloudified some data on my USB drive. Why can t I see it when I use this drive on other computers? A: When you cloudify data from USB drives on your PC, the data is moved to the Dropbox folder. It is not displayed when you use USB drives on other PCs. [Windows] Q: If I change/rename/save as a cloudified file, will it remain cloudified? A: Such file remains cloudified and Cloudifile encrypts all changes with the cloudified data inflight. [Mac OS X] Q: If I change/rename a cloudified file, does it remain cloudified? A: Such a file remains cloudified until you move it from the virtual Cloudifile volume. Cloudifile encrypts all changes with the cloudified data in-flight. 11
12 [Mac OS X] Q: If I move/export a cloudified file, does it remain cloudified? A: If you move a cloudified file to a location other than the virtual Cloudifile volume, it becomes decloudified. If you export a cloudified file to a location other than the virtual Cloudifile volume, the file remains cloudified on the virtual volume and its decloudified copy is created in the selected location. [Windows] Q: I have no free space on the disk, would I see my cloudified data? A: Cloudified files are virtual files, consequently, you will see them even if there is not enough free space on your disk. [Windows] Q: The cloudified file is displayed in the read-only location. How is it possible? A: This cloudified file is a virtual file that is why it can be displayed in the read-only location. But there will be no possibility to move it only in this location. [Windows] Q: I cannot access the Cloudified files from the application; though these files are present in their original locations (I see them via Windows Explorer). What to do? A: Cloudified files are accessible only under the account of the user who has cloudified them. If the application is started with the Administrator privileges (Run as Administrator), it will not be able to access cloudified data. If you need to access the cloudified data from the application started with the Administrator privileges, the only solution is to decloudify data before working with it. Please note that most of the common applications (Word, Excel, graphic editors, etc.) do not require Administrator privileges and you are able to work with cloudified data in them. [Windows] Q: I can t start the cloudified.exe file. What to do? A: Cloudified files are accessible only under the account of the user who has cloudified them. If the.exe file requires the Administrator privileges (most installers require them), it cannot be started without being decloudified. 12
13 [Windows] Q: I am trying to merge cloudified and not-cloudified folders and get the Invalid MS-DOS function error. What should I do? A: Unfortunately, merging cloudified and not-cloudified folders is not available in the current version of Cloudifile. You can copy contents of the not-cloudified folder to a cloudified location without copying the folder itself. 13
14 Recovering Cloudifile Password Q: I forgot the password to my Cloudifile account. What to do? [Windows] A: To reset the Cloudifile password, you have to run Cloudifile and in the Starting Cloudifile window, click Forgot Password. In the Restore Password window, enter the Recovery Key and a new Cloudifile password. [Mac OS X] A: To reset the Cloudifile password, you have to run Cloudifile and in the Cloudifile Login window, click Reset Password. In the Reset Cloudifile Password window, enter the Recovery Key and a new Cloudifile password. Q: What is a Recovery Key? A: The Recovery Key is a special key that helps you change the Cloudifile account password in case of forgetting it and decrypt your cloudified data. The Recovery Key is confidential information and it is recommended not to show it to third-parties. Q: How can I generate a Recovery Key? A: The Recovery Key can be automatically generated during Cloudifile installation or after Cloudifile installation in the Cloudifile Settings (Preferences on Mac) window, upon your request. The Recovery Key is stored only in the location you define. It is not stored on Cloudifile servers. Q: I forgot my password and lost a Recovery Key to the Cloudifile account. How can I log in? A: Unfortunately, there is no way to restore your password in case of losing the Recovery Key. Cloudifile does not store your credentials or any kind of other information. Please treat the Recovery Key carefully. 14
15 [Windows] Cloudifile Sharing Q: How can I share cloudified data with other users? A: To share cloudified data with other users, right-click it, point to Cloudifile, and then click Share. All operations regarding sharing cloudified data are performed in the Shared Data window. To open it, right-click the Cloudifile icon in the notification area menu, and then click Shared Data. Q: A user has shared a folder with encrypted files with me. How can I decrypt it? A: If there is the ReadMe.txt file near the shared encrypted folder and the ReadMe.txt file contains the following text: The files are encrypted by Cloudifile. If you don t have Cloudifile installed, please download it from <Cloudifile site> and install it in order to access the encrypted files., then it means that to view and work with the shared encrypted files you need to install Cloudifile and then register a Cloudifile account. After that shared data appears automatically on the virtual Cloudifile disk. Q: Where can I see the list of data shared via Cloudifile? A: You can view the list of the shared data and users with whom you share it in the Shared Data window. To open it, right-click the Cloudifile icon in the notification area, and then click Shared Data. Q: Must users with whom I share cloudified data install Cloudifile on their computers? A: Users must install Cloudifile on their computers and after that register a Cloudifile account to start working with cloudified data that was shared with them. Q: I have shared cloudified data with a user. Will she or he be able to work with this data at once? A: At first, the user has to accept the Dropbox invitation from you to share this data. And after this, in the Shared Data window, you need to confirm sharing data with this user. 15
16 Q: Is it possible to unshare previously shared cloudified data? A: To stop sharing the shared cloudified folder, open the Shared Data window by right-clicking the Cloudifile icon in the notification area. In the My Shares tab, click the target folder, unfold the information about it, select the needed user, and click Stop Sharing. Q: Is it possible to stop sharing a cloudified folder only with one recipient and continue sharing the folder with other recipients? A: Yes, it is possible to stop sharing a cloudified folder only with one recipient and continue sharing the folder with other recipients. To do this, you have to initiate the Stop Sharing procedure via Cloudifile and then with the help of Dropbox functionality kick out the needed recipient from the list. Q: If I stop sharing only via Cloudifile, what will happen? A: If the user stops sharing the cloudified folder via Cloudifile only, the folder is re-encrypted. That is why the user with whom the folder was unshared is able to see the unshared folder but its contents are encrypted. Q: If I stop sharing cloudified data only via Dropbox, what will happen? A: If you stop sharing the cloudified folder via Dropbox only, you can choose to keep local nonsynchronized copies of files on the computer of the user with whom the folder will be unshared. After that, the files stay in Dropbox folder in encrypted state, and files are displayed in decrypted state on the mounted Cloudifile disk on the computer of the user with whom the folder was unshared. The files are not synchronized with other copies anymore. Q: What will happen if the user leaves the shared cloudified folder via Dropbox and then joins it again? A: The user will be able to join the shared cloudified folder again and work with its content in a common way. Please note, the user will be able to work with such folder only if the folder has not been re-encrypted. 16
17 Q: What will happen if the recipient shares the cloudified folder with other recipient via Dropbox? A: The last recipient will be able to work with the shared cloudified folder only after the owner of the folder confirms this sharing in the Cloudifile Sharing window. Q: Does Cloudifile encrypt all shared data with the same key? A: Cloudifile encrypts each shared file with the individual key, thus your shared data is highly protected. Q: I have shared cloudified data with a user. Will she or he be able to decrypt the rest of my data which I do not share? A: As Cloudifile encrypts each shared file with the individual key, the user will get access only to those folders which you started sharing with her or him and only after your confirmation to sharing. Q: I want to leave the folder cloudified and shared with me. How can I do it? A: In the current version of Cloudifile, it is possible to leave a shared cloudified folder only by means of Dropbox. If you are the owner of the shared folder, please do not leave it, as recipients of the folder will not be able to share it with other users (they need owner confirmation). Q: If I stop sharing data with the user, will she or he be able to work with unshared data? A: If you unshare data with the user and leave a local copy of data on the recipient s PC (by Dropbox means), then the user will be able to work with non-synchronized files on the virtual Cloudifile disk. But if you do not leave a local copy on the recipient s PC, then the cloudified data will be deleted from the recipient s PC. 17
18 Q: I have changed the shared data owner via Dropbox. Who will have to confirm data sharing in Cloudifile: the old owner or the new one? A: The current version of Cloudifile does not support owner changing. Even if the Dropbox folder owner has changed, the old owner will have to confirm data sharing in Cloudifile. To change the folder owner in Cloudifile, please unshare data and then share it again with the help of the new owner. 18
