1 TITLE: ISSUER: LINE LEARNING REFERENCE GUIDE Bill W. Sanderson, Executive Director Curriculum and Instruction Stephen Koffman, LCSW, Director Office of Extended Learning and Support PURPOSE: The purpose of this Reference Guide is to provide information and guidance for the SFUSD Online Learning Courses, Spring 2014 offered to students. I. Background a. State and District guidelines for high school graduation require students to complete 230 course credits, meet the a g requirements and pass the California High School Exit Exam (CAHSEE) English Language Arts and Mathematics. b. The Office of Extended Learning and Support (ExLS) is funded by the Public Education Enrichment Fund (PEEF) to provide all students residing in San Francisco alternative and supplemental credit/earning options to ensure graduation and prepare for college and career. c. Edgenuity, Cyber High and Odysseyware are all funded by PEEF. Schools should not charge students for participation in these online program. d. Edgenuity and Cyber High are the online learning vendors adopted by SFUSD. Select a-g approved courses as well as additional courses required for graduation are available for online instruction and consist of the entire course. ATTACHMENT A-1 e. Cyberhigh courses are NOT approved by the National Collegiate Athletic Association (NCAA). Select Edgenuity courses are NCAA approved, however schools are required to go through the NCAA approval process for their own courses/curriculum to assure that they meet the NCAA standards. ATTACHMENT A-2 f. Online course offerings have been established as an option for credit recovery/earning for current SFUSD students. This program is offered to all students who need to retake a course,need additional credits to graduate on time, or have not had the opportunity to take a graduation requirement. g. English Language Learner students in the 10 th, 11 th, and 12 th grade who have not had the opportunity to take a graduation requirement may enroll. h. Only D and F grades may be repeated. i. Online course offerings provide access to curriculum unavailable at all sites and are an Online Learning Reference Guide 1
2 option for enrichment for all secondary school students. Eligibility for enrollment is dependent on prior approval of their school site counselor, course availability and parent permission. j. For assistance, please contact: Linda Sawamoto, Online Learning Coordinator Tel: Fax: II. Instructional Program- Online Learning Options and Criteria a. Credit Recovery is available for students who need to recover required course credit(s) in order to graduate on time. i. Credit recovery/earning online courses will be offered at all SFUSD High Schools. ATTACHMENT B 1. May be offered through the school day, extended day, evening, summer program, ExCEL Afterschool Program and/or independent study with contract. ATTACHMENT I-4 ii. Credit recovery/earning online courses are for the following students who: 1. Need to make up credits to meet the a-g requirements.(grade of F in original course) 2. Want to retake the course for a better grade. (grade of D in original course) 3. Are English Language Learners in need of remediation or who have not had the opportunity to complete a graduation requirement. iii. The criteria/priority for credit recovery/earning enrollment are as follows: 1. 12th grade students (class of 2014) who received a D or F in any required course to graduate th grade students (class of 2015) who received a D or F in any required course to graduate th, 11 th, or 12 th grade ELL students who have not have the opportunity to take a graduation requirement th grade students (class of 2016) who received a D or F in any required course to graduate b. Test Preparation is available for students who would like to prepare online for the CAHSEE, SAT, and/or ACT. i. May be offered through the school day, evening, summer program, ExCEL Afterschool Program and/or independent study as available. ATTACHMENT I-4 c. Enrichment is available for students based on space available and who have prior approval from their counselor and parent. Online Learning Reference Guide 2
3 III. Schedules and Credits a. Schedule ATTACHMENT C i. Registration for online courses will be on-going from January 6, 2014 to April 23, ii. Online courses will be in session from January 6, 2014 to May 14, b. Concurrent students can only take 2 courses (10 units) at a time. c. Online grades/credits are issued at the end of each semester. i. Variable credits may only be issued through alternative programs (Downtown, Independence, Ida B. Wells, Log Cabin, Woodside) at the end of each semester. ii. Online courses may be transferred between SFUSD schools for students to complete their course within the semester. Lists of students eligible for credit recovery/earning will be sent to school counselors and posted to the SFUSD intranet. (TBD) b. The Spring 2014 Online Course Registration form serves as the parent notification and will be available at the local school sites through school counselors. ATTACHMENT D c. The Spring 2014 Online Course Registration form will be advertised through SFUSD website and site School Loop. d. Flyers will be provided in multiple languages for advertisement at the local school site and posted at In addition, the local school site principal or designee will be responsible for advertising the Spring 2014 online course option. ATTACHMENT E V. Enrollment and Grades a. The enrollment process for the Spring 2014 Credit Recovery/Earning Online Course registration is an integral part of ensuring students receive the support that is needed. It is the responsibility of the SFUSD home school counselor to: ATTACHMENT F-1 i. Identify students in need of credit recovery/earning (List will be provided by the Extended Learning and Support office). ii. Counsel students in need of credit recovery/earning that includes meeting in person with identified students. iii. Select classes and fill out the Spring 2014 Credit Recovery/Earning Online Course Registration form. iv. Enter into SYNERGY the online course placeholder code of LN000 ( L-zero-zero-zero ). ATTACHMENT F-2 v. Inform students that a parent signature is required. Online Learning Reference Guide 3
4 vi. Inform student to bring signed registration and Emergency Card to the student s selected online school site. ATTACHMENT G vii. Make a copy of the registration for site record keeping. viii. A week before the end of the semester, ensure final grades list is received from the Academic Liaison. ix. It is the responsibility of the Home School Counselor to ensure final grades and credits are entered into the student course history in Synergy correctly. ATTACHMENTS F-1, F-3, F-4 x. It is the responsibility of the charter school counselor to contact the SFUSD Online Coordinator. Other responsibilities include: 1. Counseling students in need of credit recovery/earning that includes meeting in person with identified students. 2. Informing students that a parent signature is required. 3. Making a copy of the registration for site record keeping. 4. Faxing a copy to the Extended Learning and Support Office ( ). 5. Receiving an confirmation from the SFUSD Online Coordinator for the location of the student s online school site. 6. Informing the student to bring the signed registration and Emergency Card to the student s confirmed online school site. ATTACHMENT G ii. At the end of each semester the counselor will: 1. Receive a final course completion report from the SFUSD Online Coordinator. 2. Ensure final grades and credits are entered for the student transcript. VI. Staffing Procedures a. For those schools that have ExCEL Afterschool Program grants, the ExCEL Academic Liaison can serve as the Online Academic Liaison. If the ExCEL Academic Liaison is a certificated teacher, s/he can serve as the Teacher of Record. The ExCEL Site Coordinator may also serve as the Online Academic Liaison. b. For those schools without the ExCEl Afterschool Program, the Office of Extended Learning and Support will work with the school to assess its classroom needs and funding to help support online learning at their site. An Academic Liaison (designated by the site administrator) serves as the site monitor for online learning and provides direct technical support and academic assistance to the students enrolled in the on-line program. The Academic Liaison tracks and monitors the student progression for course completion to ensure the credit and grade is awarded at the completion of the on-line course. In addition to the Teacher of Record responsibilities, the Academic Liaison responsibilities include: ATTACHMENT H i. Instruction aligned with the California Common Core Standards. ii. Collaborating with the District Online Coordinator 1. Faxing a copy of the Online Course Registration form to the Extended Learning and Support Office (fax) , by 2:00 pm the day after student has been enrolled in an online course. 2. Maintaining an updated list of students who are active in online courses. 3. Notifying with the District Online Coordinator of inactivated courses for individual students. iii. Ensuring appropriate paperwork is completed by each student (registration, emergency form, agreement) iv. Monitoring of online learning courses of students a. Assigning New Course(s) b. Editing Student Options c. Editing Start and Target Dates d. Disabling Course(s) e. Editing student records f. Editing Student Course Options (Under School Courses) g. Deactivating inactive students from course. h. Adding, Setting, & Editing Teacher Information. v. Communicating with team members. a. Confirming and updating final grades. b. Ensuring student final grade/credits are communicated to the counselor for Synergy input. vi. Maintaining supplies (headphones) d. The Teacher of Record (TOR)* must be a certificated teacher employed by SFUSD. The course will appear on the pupil s class schedule. For those schools with an ExCEL Afterschool Program, if the Academic Liaison is a certificated teacher, s/he may serve as the TOR. e. The TOR is responsible for: ATTACHMENT H i. Changing his/her own password. ii. Assisting and monitoring the pupil s progress. iii. Reviewing any final exam or project that would need to be graded. iv. Correcting assignments that would need to be graded. v. Adding retakes/resetting assignments. vi. Confirming and changing grades. vii. Collaborating with school personnel and administrators to support the on-line program. *Please contact the Online Coordinator for inquiries about the TOR. Online Learning Reference Guide 5
6 VII. Professional Development a. There were two mandatory professional developments for Academic Liaisons and teachers on policies, procedures, Edgenuity, and Synergy requirements in October b. Ongoing training will be available as needed by sites. Please contact the Online Learning Coordinator. VIII. Supplies a. The Office of Extended Learning and Support will provide each school with an initial supply of 24 headphones for use with the online program. The Academic Liaison will be the manager of the headphones. IX. Emergency Cards and Emergency Plan a. Academic Liaisons will be responsible for ensuring every student has an emergency card on file. ATTACHMENT G b. Academic Liaisons will be familiar with and be able to implement the school emergency procedures. X. Student Attendance and Expectation ATTACHMENTS I-1 through I-5 a. Each site will have a Student Online Learning Agreement/Expectation consisting of: i. Attendance/Time requirement ii. Course expectations iii. Behavior expectations XI. Attendance Accounting and Documentation a. It is the responsibility of the Academic Liaison to maintain records in regards to: i. Enrollment ii.
