2 Introduction The Driveline software service was designed to aid schools in the student release process. This guide will walk you through initial setup and operation of the driveline system. System and Network Requirements Driveline requires one of the following browsers: Chrome, Firefox, Safari, or Internet Explorer 10. Internet Explorer 9 and lower are not supported. Initial Setup After signing up with Charter Apps for the Driveline service, you will receive an with your logins to the Driveline server. To setup and maintain your school s Driveline server you will use the administrator login. This login has the ability to perform all tasks including configuration of the Driveline server and setting the passwords. Creation of the Student Spreadsheet Before you get started using the software, we need to know the names of the students, their teachers and the family ID you assigned each student. To do this you will need to create a spreadsheet of the following format: Four Columns Family ID Teacher Name Student First Name Student Last Name A student database is necessary for the Driveline Software Suite to track each student in the Driveline process. In efforts to ease the creation and maintenance of the student database, a simple spreadsheet is used to quickly upload the information to the Driveline server. The student database is simply a list of students, their teachers and the family number; all saved in a csv (comma separated file) format. The student s database is created using any database software (i.e. Google Spreadsheet, iwork Numbers, or Microsoft Excel). The file must be comprised of four columns: Family ID, Teacher s name, Student s First Name, and Student s Last Name. Once created, the file should resemble the following: 10 Mr. Campbell Lawrence Cotter 12 Mrs. Reed Jessica Leeland 13 Mrs. Morgan Andrea Brown 15 Mrs. Reed Jerry Steward 13 Mr. Campbell Robert Brown The file must meet the following requirements otherwise an error will occur when you attempt to upload it to the server: No title row. The first student must be in the first row The first column consists of the Family ID which must be a number between 1 and 9999
3 The second column consists of a teacher s name with a maximum length of 20 characters The third column consists of a student s first name The forth column consists of a student s last name The student s first and last name combined can not exceed 25 characters Commas are not permitted in any of the columns The file must be exported (or saved) as a csv (comma separated file) file. It is this csv file that is uploaded to the Driveline website. There is one row for each student Family ID s can be repeated for each member of the family (see Andrea and Robert Brown in the example) There should be only one spelling of each teacher. Mrs Smith and Ms Smith will be considered different teachers. There may not be any blank rows in the middle of data There may not be any blank fields in the data Once this file is created in the spreadsheet program, the file should be saved (or exported) as a csv (comma separated file). Uploading the Student Spreadsheet Upon completion of the file, the Driveline administrator may log into the Driveline application and upload the student spreadsheet: 1. In your browser, navigate to: 2. Login using your administration credentials from the Welcome 3. Navigate to the Student List view using the navigation bar on the top of the screen 4. Select Choose File next to the Upload button, choose the students file you created above and then click the Upload button. Your student spreadsheet will be processed and if an error is encountered an error will be displayed and file importing will stop. If you receive an error you can always select the Delete All students button at the top of the page, fix the error in your file and then upload the file over again. **If you have updated the spreadsheet successfully and you would like to make a change to the students database you can make those changes right in the web application. But keep in mind that doing so may make your spreadsheet obsolete unless you make the changes in that as well.
4 Running the Driveline Now that you have uploaded your students you are ready to run the driveline. To test it out you can navigate to the Dispatch page, enter a few Family ID s and then start the driveline. After starting the driveline you can navigate to the Classroom page and verify you see the names you entered. Below is the typical process of a student pickup using the Driveline software with a school dismissal time of 3:30. Typical Driveline Scenario 1. 3:15 PM Cars begin lining up. 2. 3:20 PM One or more staff members go out to the parking lot and enter the Family ID s using Driveline Dispatch for the vehicles already in the lot. 3. 3:27 PM All of the family ID s in the lot have been entered and the outside staff wait until 3:30 to begin the dismissal process. 4. 3:30 PM Dismissal Time! A staff member outside (dispatcher) will start the driveline by Pressing Start in Driveline Dispatch All of the students who have been queued up are now on their way out of the school The outside staff continues to enter more Family ID s for additional vehicles. As they do, the names show up in the classrooms immediately (as the queuing phase is over). 5. 3:50 PM All of the vehicles are now gone and the outside staff is ready to come in. One member of the outside staff presses Stop in Driveline Dispatch. The teachers inside see that the driveline has ended and send any remaining students to the front desk to wait for their parents.
5 Installation and Configuration: While the school may choose to use the web version of Driveline Dispatch on a mobile device, a much better experience can be achieved on an Apple IOS device using the native IOS app. The Driveline Dispatch app can be downloaded and installed from the App store right from your IOS device. Driveline Dispatch IOS The IOS device must be configured for network access prior to continuing. Verify network connection is working by accessing an Internet site (google.com) using the Safari application. To install Driveline Dispatch IOS onto your Apple device perform the following steps: 1. Installation of Driveline Dispatch is accomplished via the Apple App Store. From the App Store application, search for Driveline Dispatch and then select install. 2. After the application has been installed, configure the Dispatch software by going to Settings - > Driveline: i. Settings: ii. Once in Driveline Configuration, enter the Server, Login and Password that you received in your welcome letter.
6 3. Exit the settings window by clicking at the top of the screen. Then select the Home button just below the screen on the bottom of the ipod Touch or iphone: 4. From the home screen, find the Driveline application on the iphone or ipod Touch and click it to launch Driveline Dispatch. After launching Driveline Dispatch will attempt to connect to the server. If there is no Internet connection or the server address is incorrect, the IOS device will not connect to the server. Once connected to the server, the IOS device will attempt to log in. If the login fails, an error will be displayed on the IOS device indicating an invalid password. Passwords ARE case sensitive. If your getting an Invalid Password error, the connection to the server is
7 working fine and all that s necessary to complete the connection is to match the passwords on the IOS device to the password provided by Charter Apps.
8 Once the Application has launched and connected you will see the Driveline Dispatch application. From this window you can enter a Family ID and hit send to release that family s students. You can start and stop the driveline using the start/stop button. To change the color you are entering numbers for, touch the top of the screen (where the status of the driveline is displayed), it will bring up a color menu for you to pick a new color.
9 Staff Instructions Below are one- pager instructions the system administrator can pass out to staff. These one- pagers were designed in correlation with the simplicity of the software. The one- page instruction sheets can be printed and given to each teacher or staff member who will operate Driveline Desktop or Driveline Dispatch. These instructions are intended to explain how to navigate the software but not how to configure it.
10 Driveline Dispatch IOS Instructions First Line indicates if driveline has been started or not Second line indicates the last number entered Red numbers indicate names are NOT showing up until driveline is started. Green numbers indicate names are showing up on in the classroom now Press Send to send the number The background color of the itouch will be the color the names are showing up on the classroom screens. When you first launch Driveline Dispatch the driveline will be Queuing. Any numbers you enter before starting the driveline will be queued. In queuing mode the server is writing down all the numbers you enter but no names are showing up in the classrooms. When it s time to start dismissing students, press the start button. After you start the driveline all Driveline Dispatch devices will indicate the driveline has started and all the numbers you have already entered into all the dispatch devices will be displayed on the classroom screens immediately. From that point on, all the numbers entered will be displayed in the classroom as they are entered. To change the color of the itouch, just touch the top of the application (where the driveline status is shown). A color menu will appear allowing you to pick a new color.
11 Driveline Classroom Instructions Navigate to and log in. Primary Teachers Name Optional Secondary Teacher may be selected Banner area Green = Connected Yellow = Poor Connection Red = Not Connected Connection Status Connected The computer is connected to the Driveline Server Attempting to Connect The computer is trying to connect to the Driveline Server Driveline Queuing Started Stopped The driveline is waiting for students to be dismissed. The driveline has started and students are being dismissed The driveline has ended Tip: As long as the banner is green, everything is working. If your banner flashes yellow now and then your network connection is poor and should be resolved. If your banner goes red, you have lost connection to the Internet and you will not receive any more names until the desktop can re-connect to the Internet.

13 Administrator Tips and Tricks Optimal method to configure IOS devices Most schools have found that keeping the ipod Touch on during driveline works the best. To avoid having the screen auto lock configure the ipod Touch as follows: Under Settings- > General - > Auto- Lock: Set to Never Under Settings - > Brightness: Set to Maximum Brightness and disable Auto- Brightness On the home screen, drag the Driveline icon down to the dock so it s always readily accessible. On the home screen, drag the Settings icon down to the dock so it s easy to quickly change the color Weather Protection for Driveline Dispatch: If you are not sure what the weather is going to be like during driveline, click the weather app on the ipod Touch and you ll find out! If it s going to rain, snow or just be cold out, here are a couple of tips to help the staff through the weather. It can be tough in the rain to keep your ipod Touches or iphones dry. Charter Apps has tested out a weather tight cover for these devices and found them to work great. Below is a link to the covers. With these covers, you can operate Driveline Dispatch while the ipod Touch is inside the case. sports- drydoc- digi- x- case In addition to protecting the IOS device, hands can get cold! Not to worry, many companies make gloves with a conductive fabric that allows you to use Driveline Dispatch while wearing the gloves. Charter Apps has tested out a pair of gloves by Northface and they work wonderfully. There are less expensive gloves out there so look around for what your school can afford before you purchase any. north- face- etip- gloves
