2 INTRODUCTION The following OITE User Guide is a step-by-step resource to understand and feel comfortable with the OITE software. Each section is designed to illustrate in greater detail the installation process and the functionality of the software. 3 SECTION ONE - Loading the Examination Software (Image 1a) (Image 1b) [1.1] Check Settings Before you load the OITE-DVD software, check the settings on your computer. Go to the [Start] menu, and then select [Control Panel] (Image 1a). Double click on [Control Panel]. The [Control Panel] window will open up with several setting options. Double click on [Display] (Image 1b). [1.2] Screen Resolution The [Display] window will open, select the [Settings tab] in [Display] and check the screen resolution that is recommended for best viewing of the OITE. The recommended settings are 1024 x 768. If the computer already has this setting selected, there is nothing to change. If your computer is not set to this setting, you can drag the Screen Resolution bar to the desired setting and then click the [OK] button. When your screen resolution has been set, put the disc in your computer to begin installing the software. Updated 2010/10; OITE User Manual Step-by-Step for PC Page 2 of 36

4 [1.3] Loading Software With the OITE DVD-ROM in the DVD-ROM drive, the software Installation Wizard should automatically begin the installation process. If for some reason the Wizard does not run, go to the start button (by the arrow) and follow the steps in #4 to manually install the software. Image 4a Image 4b [1.4] Manually Installing Software To manually install the software, select Start. Then single click the [Run] button (Image 4a). Then type in the dialog box the following: D:\OITE.exe to start the install program. Note that the diagonal line is a backslash \ which is a command key that is typically found above your enter key on the keyboard. Also note that the DVD/CD drive for this computer is the D drive. 5 [1.5] Flash Software During the installation, the software will check the version of Flash software installed on the computer. Flash is software that is used to view videos or animations. In your OITE software, the Tutorial requires Flash to run. Your OITE program uses Flash version 6.0; you most likely will not have to update the Flash software. If your computer does not have Flash or an older version is installed, there is a link to download a free copy of the Flash software. Clicking on this link begin the download and installation process. Follow the on-screen directions for installing the program. This may take a few minutes. [1.6] Quick Time & Adobe Reader Apple QuickTime and Adobe Reader are applications necessary to run the program. QuickTime is necessary for video display and Adobe Reader is necessary to print a copy of the examination questions. The OITE Software will check for the installation of these applications. If updates or new installations are necessary, the OITE software provides a link for downloading and installation of these free programs. 6 (Image 7a) (Image 7b) [1.7] Installation Once it is confirmed that your computer meets all software and display requirements (Image 7a), click on the link to begin the OITE Installation Wizard (Image 7b). Shutdown all software programs running prior to beginning the 2010 OITE install. NOTE: Once the resident begins the program in examination mode, any attempt to open or to access an open program will cause the program to shut down. The program has self-proctoring features built-ins. (Image 8a) (Image 8b) [1.8] Permission & Drive The Installation Wizard will guide you through the permission to add the software to your computer s hard disc drive (Image 8a) and accompanying folders will be saved (Image 8b). 7 (Image 9a) (Image 9b) [1.9] Installation Completed Follow the instruction on the screen to complete software installation (Image 9a). Once the process has been completed the screen will read, 2010 OITE has been successfully installed. Press the [Finish] button. At this point you can close the program and return at a later date. There is an examination timer built into the software (another proctoring feature). The timer does not start until the resident enters the examination. If you are using public computers (eg, computer lab), you can have your IT person use one disc to load the software on the all computers up to this point. Then the IT person would return the disc to you (proctor). On the day of the examination give each resident their own disc. There is no security breach if you load only the software prior to examination date, Saturday, November 13 th 2010 (Image 9b). [1.10] Desktop Shortcut Installation will create a shortcut on desktop 2010 OITE. If your IT department loaded the examination software prior to examination date, the disc must be placed in the CD/DVD-ROM drive prior to launching the program. The resident will complete the registration page and they will have the option to view the Tutorial again before starting the examination (and timer). 8 SECTION TWO - Removing the Examination Software Section 2 is about removing the OITE software from your computer which is important if more than one resident is using the same computer. The examination can only be taken one time in test-taking mode for the resident and practitioner to complete the examination for scoring. Therefore if there will be multiple users completing the examination on the same computer; the software must be deleted from the hard disc drive and re-installed (see Chapter 1 for installation instructions). If the software is not removed before a second individual inserts a disc to begin the examination, the review mode is the only accessible file. This is because the OITE software will only execute the examination once. (Image 1a) (Image 1b) [2.1] Identify Pre-existing Software & Control Panel If a (Year) OITE shortcut icon is seen on the desktop display, the software has been installed on that computer (Image 1a). If multiple users will complete the OITE on the same computer then the software must be removed after each test completion. [2.2] The Control Panel Window In the [Control Panel] Window find the icon [Add or Remove Software] to remove the OITE software. Double click the [Add or Remove Software] icon. 9 (Image 3a) (Image 3b) [2.3] Remove OITE Software Find the AAOS OITE software and press the [Remove] button and the computer s operating system will remove the program from your computer s hard disc drive (Image 3a). A dialog box will be displayed indicating the software is being removed (Image 3b). [2.4] Re-install OITE Software After software deletion, the AAOS OITE software icon is no longer seen on the desktop. 10 SECTION THREE Tutorial & Registration Section 3 is about registration and viewing the tutorial. The tutorial, a brief demonstration of the software features, is optional but is strongly advised for anyone new to the software. (Image 1a) (Image 1b) [3.1] Find Software & Open Program If the software had been pre-installed on each resident s computer prior to the examination date, when the resident looks on the desktop they should find the (Year) OITE icon (Image 1a) and double click. The software will open up (Image 1b). (Image 2a) (Image 2b) [3.2] Resident Letter & Evaluation Committee Contributors A letter from the Evaluation Committee Chair to the orthopaedic resident is the first screen that appears (Image 2a), click the [I Have Read] button. The following screen includes the names and affiliation of the Evaluation Committee members who are accredited with writing the current Orthopaedic In-Training Examination. 11 (Image 3a) (Image 3b) [3.3] Registration Page Resident will single click on the [Orthopaedic Resident] button (Image 3a). The registration page will open (Image 3b). Residents enter their information using the program and identification number information found on the label provided by the Academy. It is important that this page is completed correctly. When the resident has completed the registration form, press the [Submit] button on the bottom right-hand side. [3.4] Begin Tutorial The resident will single click on the [Windows tutorial] button if they are using a PC computer. Updated 2010/10; OITE User Manual Step-by-Step for PC Page 10 of 36

12 (Image 5a) (Image 5b) [3.5] Adjust Screen Viewing & Start Test An example image is provided for the resident to adjust the contrast and brightness of the image to their preference completes the tutorial program. Once the resident is satisfied with the image they can begin the examination. Once they press the [Start Test] the timer will begin. Residents have 7 hours to complete the (Year) OITE. Quit Program If for some reason the orthopaedic resident on the day of the examination is not ready to begin taking the examination they can quit the program. On both PC and Mac when the resident Quits the Program ; the program will shut down. The timer has not started; however, the resident will have to complete the registration again before they begin the examination. 13 Tutorial The following insert includes images from the Tutorial. The Tutorial is presented as a short video. The orthopaedic resident should view this brief video before beginning the examination to see examples of the examination software features. The Tutorial can be paused at anytime during the video presentation by using the [Pause] button to the right. The resident can move [Forward] or [Backward] in the Tutorial presentation using the buttons located on the side. The text window displays further explanation of the examination features and has a scroll bar to the right. 14 SECTION FOUR - Security Features of the OITE Software Section 4 is about the security feature, also referred to as the built-in proctor feature that is part of the Resident Track. The examination software security feature causes the OITE test software to close down if any other program is opened during the examination. It is possible to restart the software using a pass code. This pass code is referred to as the Proctor Code. Hence if a resident attempts to access online resources, the software shuts down. If the resident attempts to access resources saved anywhere on their computer or a network, the software shuts down. If the resident tries to access or send an , the software shuts down. Any movement outside the main window will cause the software to shut down and require the Proctor Code to restart in examination mode. In review, these actions will cause the software to shut down: Checking Searching the web Sending Opening other documents Pop-up (Including Windows Updates) Playing music Opening other applications In addition to the security feature, the Resident OITE Track allows only 7 hours to complete the OITE. At the top of the screen a timer is visible displaying the time remaining that the resident has to complete the examination. The timer pauses if there is a program shutdown by accident or for an approved break. There is no penalty for shutting down the examination unless the software is shut down past the calendar date the examination was started. Approved lunch breaks, or patient care issues that unexpectedly arise do not penalize the resident. The software tracks the number of times that the software shuts down. This data is reported to the AAOS upon the completion of the examination. There are appropriate times when the software should be closed, such as a lunch break, or an emergency where the resident is called to attend to a patient, or where a resident must be away for more than a few moments to take a phone call regarding a patient consult. It is important to note that the period of time the software is shut down cannot exceed the end of the calendar day. The examination terminates similar to timing out and shutting down the examination mode. If this happens call the AAOS, , on the day of the examination, and appropriate arrangements will be made for your resident to complete their examination. [4.1] Orthopaedic Resident Mode Only The examination security features are only included in the [Orthopaedic Resident] track (Image 1a), they are not part of the [Orthopaedic Surgeon in Practice] track. 15 [4.2] Start Test Once the resident clicks [Start Test], a timer will begin. Seven hours are allotted to complete the examination. The phone number for technical support on the day of the examination is ; the number for Technical Support after November 13, 2010 is for the 2010 OITE. [4.3] Security Breaches PC & Mac Any action to leave the active examination page will shut down the program requiring the Proctor Code. If you click on any of the sites designated by the red arrow the program will shut down. If you try to open any other software application from the tool bar, the OITE software will shut down. If you click on the AAOS Icon in the upper left-hand corner or the in the upper right-hand corner, the software will shut down. All applications should be closed. 16 [4.4] Restarting the OITE Software If the examination shuts down, then go to the desktop and find the AAOS OITE shortcut and double click. A window requesting the Proctor Code will open; the proctor enters the code and presses [Accept] to re-activate the program. (PC Tool Bar) [4.5] Examination Tool Bars PC & Mac During the examination, the resident can go to the top tool bar to access several of the examination features (File, Views, Tools, OITE Help) without shutting down the software. 17 (Image 4.6a - PC) (Image 4.6b - PC) [4.6] Quit Examination If it is necessary to close the program (time is paused during this procedure), go to the [File] button located on the top toolbar and then select [Quit Program] (Image 4.6a). You will be asked if you are sure you want to quit; select the appropriate response (Image 4.6b). [4.7] The Timer The OITE has a built-in timer which will allow the resident 7 hours to complete their examination. If they are not finished in the allotted time; they will not be able to go back and finish. The timer will count down starting from 7:00 hours. 18 [4.8] Timed Expired A message will appear, Time has expired, after 7 hours. You will be brought to the confirmation screen. When time has expired the resident cannot go back and complete any skipped or unanswered questions. The only time the skipped questions can be completed is when there is still time allotted to the examinee. [4.8] Final Steps to Export the Data Once the 7 hours are exhausted, the software will automatically stop. You will see a message [1] that time has expired. Go to the [Views] menu and select [Confirmation Screen]. The only available option is to export the response file [2]. The response file will be saved on the desktop [3]. 19 SECTION FIVE Software Features & Manipulating Images Section 5 focuses on the examination software features and manipulating the images. The OITE program has several features built into the software to accommodate the testing process while enhancing the educational benefits that follow the examination. [5.1] File Menu Test Taking Mode The [File] menu on the top left hand corner of the window includes a quit program command. Select [Quit Program] and the program will shut down. If the resident has not completed the examination, the timer will pause. [5.2] Tools Menu The [Tools] menu is the same for both the PC and the Mac computer. The Notes feature is located on the upper right tool bar, [Tools]. The Notes feature is a notepad that will open as a window overlaying the question window. Every question has its own notepad. A note saved using the notepad feature is linked with that question for future display. In review mode, a note can be read or printed. 20 (Image 5.3 Top of Screen) (Image 5.3 Bottom of Screen) [5.3] Views Menu & Mark a Question Option Whether Mac or PC, both computer platforms have the [View] menu which allows you to search for a particular question. In addition,k the [View] allows you to search a category of questions listed as follows, all the questions, skipped questions, questions that were marked, or questions that have a note (Image 5.3 top). The PC & Mac both provide the option to mark a question to return at a later time. This option to mark a question is found at the bottom of the question screen (Image 5.3 bottom). The option to skip a question is also available. In test mode, if the quit program command is made, upon opening the program to continue test taking, the software will return to the first skipped question; therefore, it is recommended that before activating quit program for an approved break, be sure to search for and complete any skipped questions prior to shutting down. 21 [5.4] Help Menu At any time during the examination OITE Help Guide is available in both PC and Macintosh formats. The Help Menu includes a tutorial that displays within the examination window. You can run the tutorial while in test taking mode without shutting down the examination. If the resident views the Tutorial during test taking mode; please note that the timer is running. [5.5] Review Mode - Print Version of the Examination Questions When the resident has completed the examination and the answer file has been retrieved from the desktop ( name.xml ), it is possible to review a printed version from tech_support/support_oite.cfm upon approval of the Evaluation Committee Chair. 22 [5.6] Review Mode Features Preferred Responses In review mode, the exam will open and the resident will be able to view all 275 questions. The Preferred Response will be noted in orange and the resident s choice will be highlighted in blue. Bibliography A recommended readings list is available for all questions. You can create a new notepad or make additional notes to an existing notepad for each question item. Search by Content Domain You will be able to select the subset of questions to review by specific content domain. Likewise you will be able to search for questions that were marked during the examination or that have notes attached. Updated 2010/10; OITE User Manual Step-by-Step for PC Page 21 of 36

23 Manipulating the Images [5.7] Opening Multiple Images Open the first image; it will open over the question window. Click in the question screen and the image will relocate behind the question screen. Continue to repeat that process until you have opened all the images. Then minimize the question screen. 24 [5.8] Size Images Once you have opened all the images for the question you can view each image individually or size each window to view all images on screen together. You can resize the image by grabbing the image from the corner and dragging it diagonally; drag inward to make the image smaller, drag outward to make the image larger. You can move the images around in the question space to make your interpretation or analysis. When you finish viewing the images and made your answer choice, you must close all the images before going to the next question. 25 SECTION SIX - Export Data & Personal Folders Section Six is about submitting the resident answer files to the AAOS and saving a copy on the resident s home computer. If the resident is using a residency program or hospital computer on the day of the examination it is necessary for the resident to keep a copy of the file. The proctor will save all residents answer files to a memory stick. The answer file size is less than 10 kilobytes. You may open the file and view the contents; this will not change the file or damage it in any way. You may also print out that file or keep an electronic copy of each resident s answer file as a backup. You will collect the files as each resident completes their examination. When you have collected files from each resident you will send an to ResPrograms@aaos.org and attach all the files to the . Lastly, the resident can save a copy of their answer file, and the 2010 OITE program files to a personal memory stick to review the examination on another computer if they had used the residency program or hospital computer on examination date. Every Proctor will need to have a USB memory stick on the day of the examination. To the right is a picture of a memory stick; you may use any kind. A 2GB will be sufficient for all your resident response files. This means that your memory stick has 2 billion bytes of memory. Each response file is less than 10 KB (10,000 bytes) in size. You will be able to save all your residents files to a single memory stick. A 2 GB memory stick could hold more than 1,000 response files! When all your residents have completed the examination, you will send an to ResPrograms@aaos.org and attach all your response files. You may use the to communicate any issues to the Academy. 26 [6.1] Confirm your answers After the last question and prior to confirming answers, there is a brief evaluation for the residents to complete. Residents have 7 hours to complete the OITE. If the resident completes all the examination questions before the 7 hours they will proceed to confirm their answers. Go to the file Menu and select [Confirm] all questions must be completed unless the total time, 7 hours, has elapsed, before you can select [Confirm Answers]. [6.2] Export Answer File Once you have selected the [Confirm Answers] button, the software will prompt you to export your file. Updated 2010/10; OITE User Manual Step-by-Step for PC Page 25 of 36

27 [6.3] Answer File Saved to Desktop You will receive a message stating that your responses are saved to the desktop in the format of resident_name.xml after you have clicked the [Export] button on the previous screen. [6.4] Response File The response file will be saved to the desktop of the computer. The file will be in a resident_name.xml format. This is the file that you will save to the memory stick. You will send an to ResPrograms@aaos.org and attach that file to your . You may attach several response files to the same . Updated 2010/10; OITE User Manual Step-by-Step for PC Page 26 of 36

28 [6.5] Answer File Contents You may double click the answer file and view the contents of the file. The example to the right is from the practice disc. The answer file from the actual OITE will have resident information, answers to 275 questions and Resident Survey responses. You will not be able to change the contents of the answer file. If you notice that there is an error in the resident name or program number, you can provide a comment in your regarding any changes that need to be made to your residents answer file and that change can be made at the Academy. [6.6] Insert Memory Stick into Computer Insert the USB memory stick into the computer. Typically a window for your memory stick will open; however, if it does not then click on [My Computer]. 29 [6.7] Collecting Resident Answer Files Drag the resident answer file resident_name.xml to the memory stick drive. Repeat this process for each resident. Be sure to safely remove your memory stick from the computer. Go to each resident computer and drag the answer file to your memory stick. Once you have collected all of the files you may open each file to verify the resident registration information. The residents may also save a copy of their answer file to their personal memory stick. [6.8] Resident Exam folder The resident should save a copy of the OITE program folder to a memory stick if they are not using their personal computer. Saving a copy of the program file enables the resident to view their answer choice in comparison to the preferred response in review mode. The four steps to save your program file are as follows: [1] Click on the Start menu, [2] double click on your C drive, OS (C:), [3] Open the Program Files folder, [4] Copy and paste the (Year) OITE folder to the memory stick. The resident will then copy and paste the (Year) OITE folder in their program files of their personal computer. Updated 2010/10; OITE User Manual Step-by-Step for PC Page 28 of 36

30 [6.9] Resident Copy of Program Files It is only necessary to copy the (Year) OITE folder if the resident is not using their own laptop computer. If the resident is using a residency program or hospital computer when they put the OITE CD/DVD disc in their computer they will need the [(Year) OITE] folder to be able to view their personal answer choices and the notes they made on the day of the examination when they go into the review mode. Your Answer Files [6.10] Your Answer Files to the Academy You will send an to ResPrograms@aaos.org. Attach all your resident answer files to the same . Depending on the size of your residency program and personal preference, you may wish to the answer files using more than one . If you choose to send more than one , you can add a text comment indicating that you are sending 1 of N (number of s). You may provide a comment to the Academy in your regarding any issues. 31 SECTION SEVEN - Review Mode Section 7 focuses on the Review Mode Feature of the Orthopaedic In-Training Examination (OITE) software. The review mode is a new feature for the OITE that is made possible with DVD-ROM technology. This mode was designed to enhance the continual learning aspect of the OITE. In Review Mode: The resident will be able to view the preferred response in comparison to their own answer choice. If the responses are different the resident will see the preferred response highlighted in the color orange. resident s answer choice highlighted in the color blue. Every question has a list of Recommend Readings link that opens a document with specific orthopaedic references for the question. This document is printable. The Notepad feature is available in Review Mode. All notes that were made and saved to a question in examination mode is available to the resident in review mode; likewise, the notes can be expanded upon or new ones can be created. The mark function helps the resident locate any questions that were marked during the examination. A PDF version of the examination questions is available and printable. A search function is available to find questions organized into the following categories: Answered Questions Basic Science Hip & Knee Marked Questions Orthopaedic Disease Pediatrics Skipped Questions Foot & Ankle Shoulder & Elbow Questions with Notes Hand Spine Sports Medicine Trauma Medically Related Issues Rehabilitation The Review Mode is activated by a code that is entered one time only. Once the examination opens in Review Mode the code is saved and the software remains in this mode and the software proctoring features are disabled. When the residents are finished with their examination and confirm their responses, the software is locked. A PDF version of the examination questions will be available to the resident during the time between completing the examination and receiving the Review Mode upon approval of the Evaluation Chair. The copy can be located at The Review Mode code will be sent to program directors and coordinators as soon as the Academy has received all the examination answer files and completed the necessary scoring and analysis. 32 [7.1] Exporting Examination Answers After the resident has completed all the examination questions, the answer file is exported to the desktop. The OITE software is now locked. An Access Code will be sent to programs to unlock the software in Review Mode when all the necessary scoring and analysis has been completed at the AAOS. (Confirmation Screens) [7.2] Open OITE in Review Mode After the answer file has been exported, close the (Year) OITE software. A link to a PDF version of the examination questions can be obtained from the Review Mode Access Window. The PC users will go to the desk top and double click on the (Year) OITE Icon. The Review Mode access window will open. You do not need the access code to use the link for the print PDF version of the OITE questions. 33 [7.3] Review Mode Once the Access Code for Review Mode has been released, then both PC and Mac format computers will open the software to the same page that describes the software features available in Review Mode. Press continue; the Review Mode is the same for both PC and Mac. [7.4] Features The Review Mode features are the same for both PC and Mac computers. The review mode access code is entered one time only. The OITE software remains in review mode once the access code is entered. The review mode features (notepad, recommended readings, search function, and mark a question) are available to both PC and Mac computer users. The notepad and recommend readings are printable. The notepad can be expanded or a new notepad can be created in review mode. In Review Mode the preferred response is highlighted in orange; the resident s answer selection is highlighted in blue. This feature provides the opportunity to compare answer selection with the preferred response. You must have saved your program file to your own computer if you used a residency program or hospital computer to take the OITE on examination day. 34 [7.5] Images All the question images are available to view during Review Mode. The images can be manipulated similar to the test taking mode. [6] Exit Review Mode When you have completed your review of one or more questions, exit the program using the same methods as examination mode. If you are using a PC computer, you would click the file menu, and then click [Quit OITE]. The next time you open the program you will be in Review Mode. You will not need a pass code a second time; the pass code only must be entered once to open the examination permanently in Review Mode. 35 SECTION EIGHT - Reloading on Home Computer Section 8 focuses on saving the resident s [(Year) OITE] folder to their personal computer. This is only necessary when the resident uses the residency program, hospital, or other outside organization s computers as opposed to their own. When the resident opens the OITE in review mode to view the questions; both the preferred response and answer selection are shown. The resident response is highlighted in blue; the preferred response is highlighted in orange. The response is highlighted in blue when the resident answer and preferred response are the same. In order for the Review Mode to work, the user file (user.rbd) has to be saved on the hard drive in the [(Year) OITE]. If the resident does not save a copy of their [(Year) OITE] folder on their personal computer s hard drive, then Review Mode will not work and the resident would need to complete the OITE first and then enter into Review Mode. [8.1] Exporting Examination Answers After the resident has completed all the examination questions, the software automatically exports the answer file to the desktop. The OITE software is now locked. The answer file is in the format of resident_name.xml. The proctor must copy the answer file to a USB memory stick and send the file to the Academy at ResPrograms@aaos.org. It is necessary for the resident to save the program file if they want to see the answer selection made on the day of the examination. 36 [8.2 ] Save Copy Resident Exam folder The four steps to save your program file are as follows: [1] Click on the Start menu, [2] double click on your C drive, OS (C:), [3] Open the Program Files folder, [4] Copy and paste the (Year) OITE folder to the memory stick. The resident will then copy and paste the (Year) OITE folder in their program files of their personal computer. [8.3] Resident Copy of Program Files The files that should be saved to the resident s personal USB memory stick are listed as follows: the answer file (resident_name.xml); OITE Libs folder; AAOS OITE.exe; and user.rbd. 37 PC Platform [8.4] Copy (Year) OITE to Program File Insert the USB memory stick into the resident s personal computer. Open the USB memory stick to view contents. On the personal computer go to the Start button, then select my computer, double click the OS (C:) drive. Drag the [(Year) OITE] folder from the USB memory stick folder to the [Program Files] folder in the C drive of the resident s personal computer. [8.5] (Year) OITE Folder Saved in Program File The [(Year) OITE] folder is seen in the C: Program Files after you copy the folder from your USB memory stick. Open the [(Year) OITE] folder and there should be three items. The user.rbd file is where the resident answer selections will come from once the OITE access review code has been entered into the software.
