1 Standards and Policies Governing the Graduate Programs in History and Area Studies Approved September 17, 2012 Revised and Approved October 1, 2014 Updated and Edited August 15, 2015 The policies in this manual are intended to govern the graduate educational experience of all students entering the History Department graduate programs after August 15, Questions about standards and policies in all History Department graduate programs should be addressed to: Dr. Kathleen W. Jones, Director of Graduate Studies, Department of History: Questions specific to the Area Studies program should be addressed to the Area Studies program coordinator: Dr. Janell Watson, Department of Foreign Languages and Literatures: The Department of History's graduate programs are governed by the policies stated in the Graduate Policies and Procedures and Course Catalog of Virginia Tech as well as those outlined in this document. The information in this document is intended only to supplement and not to replace general requirements established by the Graduate School. Copies of Graduate Policies and Procedure and Course Catalog of Virginia Tech can be obtained from the Graduate School's website ( It is the student's responsibility to become familiar with the rules and procedures in both documents. I. Statement of Non- Discrimination The Department of History graduate programs do not discriminate against employees, students, or applicants on the basis of race, color, sex, sexual orientation, disability, age, veteran status, national origin, religion, or political affiliation. The University is subject to titles VI and VII of the Civil Rights Act of 1964, Title IX of the Rehabilitation Act of 1973, the Age Discrimination in Employment Act, the Vietnam Era Veteran Readjustment Assistance Act of 1974, Federal Executive Order , Governor Allen's State Executive Order Number Two, and all other rules and regulations that are applicable. 2 2 The Graduate Programs in History are administered by the Director of Graduate Studies (DGS), the History Department Graduate Committee, the Area Studies Coordinator and the Administrative Assistant (Coordinator) to the graduate programs. The Director of Graduate Studies reports to the History Department chair, who in turn reports to the Dean of the College of Liberal Arts and Human Sciences. The Director of Graduate Studies is responsible for all aspects of the department s graduate programs, serves as chair of the Graduate Committee, and maintains contact with the Graduate School. He/she acts as the academic adviser for all first- year students in the History Department s MA programs. The DGS also oversees student work on the annual graduate research conference. Additional duties are noted below and outlined in the History Department Faculty Handbook. The graduate program is allocated a budget (currently $4000 annually), administered by the DGS. These funds are used to support student research, conference attendance, and graduate program awards. The Coordinator of the Area Studies Program, a member of the Department of Foreign Languages and Literatures, works in collaboration with the Director of Graduate Studies to administer the Area Studies Program. He/she also advises first- year students in the Area Studies track. The History Department Graduate Coordinator assists the Director of Graduate Studies and advises students about department and graduate school procedures and the requirements for graduation. She/he maintains current and past student records, enters student Plans of Study, and organizes applications for admissions. Members of the Graduate Committee are responsible for admissions and annual evaluations of students. The Graduate Committee also advises the DGS and sets policy for the program. The public history coordinator and the director of the Virginia Center for Civil War Studies are normally members of the Graduate Committee. The Director of the Graduate Certificate in Public History serves on the Graduate Committee and advises all graduate students pursuing the graduate public history certificate. Advising includes supervision of student public history internships. The Director of the Public History Graduate Certificate also serves as liaison to the Master s program in Material Culture and Public Humanities. For additional information, see Section VIII: Graduate Certificate in Public History. Members of the graduate faculty who are listed in the Graduate School Catalog in the History and Foreign Languages and Literatures (FLL) Departments are eligible to serve as directors and members of graduate student advisory committees.

Admissions Procedures and Requirements The Graduate Committee advises the Director of the Graduate Program on admissions by reviewing applications and making recommendations for admission and for graduate assistantship support. While an incoming student may ideally have prior preparation in some area of history, we consider the qualifications and career objectives of all applicants individually regardless of academic background. We base admissions decision on a candidate s prior academic work, statement of purpose, writing sample, recommendations from instructors and/or appropriate colleagues or supervisors, scores on GRE examinations, professional experience, and other supplementary material as appropriate. International students whose degree programs were not conducted in English must also submit TOEFL scores. For admission to the Master's program in History applicants must hold a BA or BS from an accredited college or university and be accepted by the Graduate School and the History Department Graduate Committee. Admission to the Area Studies track must also be approved by the Area Studies Coordinator. The MA programs in History are designed primarily for full- time students who begin their studies in the fall semester. Part- time students may be admitted under special circumstances, and applicants interested in part- time status should contact the department s Director of Graduate Studies before applying. Admission to the program requires applicants to have at least a 3.0 undergraduate GPA and to have taken the GRE exams. A score on the verbal exam of 158 or higher and a score on the analytic portion of 5.0 are optimal. If the applicant's native language is not English, a TOEFL score of 600 (paper) or 250 (computer- based) or 100 (IBT) is required. For more information on the TOEFL exam, see The History Department requires that all applicants supply the following materials: Application for Graduate Study Official academic transcripts from all undergraduate institutions that the student has attended. Three letters of recommendation (use the form provided by the Graduate School). GRE scores (Graduate Record Examinations). The GRE should be taken prior to December 15 to ensure that the scores reach the Graduate School by the application deadline. For more information, see: One writing sample in English, normally a research paper or a 7-10 page analytical essay. An application fee, set by the university. Additional Requirements for Applicants to Area Studies Applicants for the interdisciplinary Area Studies track must also be proficient in Spanish,

4 4 French, or German (a minimum of Intermediate- High on the ACTFL proficiency scale), because at least 6 hours of their graduate course work will be done in the target language. Those who have not yet acquired the requisite level of proficiency will be required to study abroad or to take remedial language courses, which will not count toward the graduate degree. Finally, a proficiency level in the target language on the ACTFL scale is required for all GTAs in Foreign Languages and Literatures. Applicants who wish to be considered for an Area Studies Graduate Assistantship should include a separate letter in addition to the GTA application, describing their classroom experience and teaching abilities. Furthermore, their letters of recommendation should address relevant skills, such as language proficiency. The deadline for applications for fall semester is February 1 to receive consideration for financial aid. Every effort will be made to notify all applicants of their status by April 1. Decisions on admissions and funding for assistantships are made by the Director of Graduate Studies and the History Department Graduate Committee. IV. Assistantships and Other Financial Aid The most common form of financial aid is the Graduate Assistantship, but other forms may be available through scholarships, federal work- study programs, university loans, and budget tuition plans. For more information on financial aid for graduate study at Virginia Tech, please see: The initial decision to offer a graduate assistantship to an incoming student is based on a competitive, academic ranking of applicants. For continued funding, students are required to maintain a 3.0 GPA, make satisfactory progress toward finishing the MA, and receive satisfactory evaluations for the first- year assistantship assignments and on the MA Annual Evaluation. The evaluations are part of the annual review of student progress; they are discussed below in Section X: Annual Evaluations. Students who receive funding from a Graduate Assistantship are required to enroll in and attend the GTA Workshop coordinated by the Graduate School (GRAD 5004, 1 cr., P/F) in the first fall semester of their appointment. Other students who hope to qualify for an assistantship in the future should also take the workshop in their first semester. The workshop consists of Phase I meetings during the week before classes begin in August and two sessions from the Phase II offerings during fall semester. V. Assistantship Duties Assistantships are not fellowships; they constitute wages for work done for the program. Duties are specific to the department (History or Foreign Languages and Literatures) to which the student is assigned. One or two graduate assistants each year

5 5 work in the VT library s Special Collections department and report to the Director of Special Collections. The Graduate Program offers students two types of assistantships: Most students are classified as Graduate Assistants (GAs); they are expected to work closely with the faculty member(s) to whom they are assigned and to be responsible in carrying out their duties. Faculty who request graduate assistants for their classes are expected to provide guidance in the performance of duties assigned to the student. A full assistantship requires a student to work for 20 hours per week on average. Hours spent attending undergraduate classes in order to fulfill GA tasks are included in the 20 hours/week workload. Graduate Assistants who serve as graders should expect that some weeks will require fewer hours and other weeks more hours. The faculty member to whom the student is assigned is expected to provide a schedule of assignments and deadlines and explicit directions for grading expectations. Assistants assigned to special projects may be required to set specific hours each week devoted to the project. The student is expected to keep a log of the hours worked during each week of the semester. Logs will be submitted periodically to the Director of Graduate Studies; they are intended as a device to help students manage their assignments. Graduate assistants in History are not required to work over school breaks. However, students with assistantships must be available until the day grades are due (through the end of the final exam period) each semester. Graduate Teaching Assistants (GTAs) also provide academic program support under the supervision of a faculty member by being assigned full responsibility for teaching an undergraduate course. These awards are limited to students who have completed 18 hours of graduate- level course work in their teaching disciplines. Students interested in teaching should contact the Director of Graduate Studies as soon as possible to develop coursework and a research schedule that complements the teaching assignment. VI. Orientation At the beginning of the fall semester the Director of Graduate Studies holds orientation meetings for all new graduate students. At these sessions, students are provided general information about the following: requirements and procedures; plans of study; office procedures and privileges; advising; thesis preparation; timetables for meeting degree requirements; and information about opportunities for professional development available to students in the History MA programs. Attending departmental orientation programs is mandatory for all incoming students. All new students must meet individually with the Director of Graduate Studies prior to the first semester to discuss the student's particular needs and graduate career plans.

Coursework for Thesis and Research Paper (Non- Thesis) Options The Master of Arts in History degree (thesis option) requires a minimum of 30 semester hours of course credits that include the following: 3 hours of HIST 5104: Historical Methods 3 hours of HIST 5134: Research Methods for Historians 3 hours as a research seminar (one is offered every spring semester) 9 hours of HISTORY electives At least 3 hours of HISTORY electives must be taken from courses that focus on a region geographically distinct from the student s primary area of research interest. For example, a 20 th century US historian might select the World History course or an African History course to complete this requirement. 6 hours of electives These hours may be fulfilled through coursework in the History Department or in another program. Students are encouraged to explore course offerings in other disciplines; courses selected from other departments should advance the student s research interests 6 hours HIST 5994: Research and Thesis The non- thesis option for a Master of Arts in History also requires 30 semester hours 3 hours of HIST 5104: Historical Methods 3 hours of HIST 5134: Research Methods for Historians 3 hours as a research seminar (one is offered every spring semester) 3 hours of HIST 5904: Project and Report These credits are specifically designated as hours for completing the non- thesis research project. They may be taken either semester during the student s second year of coursework. 12 hours of HISTORY electives At least 3 hours of HISTORY electives must be taken from courses that focus on a region geographically distinct from the student s primary area of research interest. For example, a 20 th century US historian might select the World History course or an African History course to complete this requirement. 6 hours of electives These hours may be fulfilled through coursework in the History Department or in another program. Students are encouraged to explore course offerings in other disciplines; courses selected from other departments should advance the student s research interests The Master of Arts in History with an Area Studies concentration (thesis option) requires a minimum of 30 semester hours of course credit including the following:

7 7 3 hours in Area Studies Methods (Hist/Fll/Geog 5024) or Historical Methods (Hist 5104) 3 hours of Research Methods for Historians (Hist 5134) *6 hours in History *6 hours in Foreign Languages and Literatures 6 hours of electives chosen to complement the student s research interests 6 hours of thesis/research (*at least 3 of these 12 hours must be a research seminar) The research paper option for a Master of Arts in History with an Area Studies concentration also requires 30 semester hours of course work: 3 hours in Area Studies Methods 3 hours of Research Methods for Historians *9 hours in History *9 hours in Foreign Languages and Literatures (*at least 3 of these 18 hours must be a research seminar) 3 hours of electives chosen to complement the student s research interests 3 hours HIST 5904: Project and Report These credits are specifically designated as hours for completing the non- thesis research project. They may be taken either semester during the student s second year of coursework. NOTE: The Graduate School permits MA students to submit no more than 6 credit- hours of Independent Study or Special Study courses (HIST 5974 AND HIST 5984) as part of a Plan of Study. In addition to the 30 credit hours listed for each option, all students in the History or Area Studies MA Programs will fulfill the Ethics and Integrity requirement for graduation (see Section X: Ethics and Integrity Requirement for Graduation) by completing: HIST 5154: Writing Skills for the Professional Historian (2 credits) GRAD 5004: GTA Training Workshop (1 credit) Graduate Assistants and Graduate Teaching Assistants must be enrolled in 12 credit hours each semester to maintain their assistantships. VIII. The Graduate Certificate in Public History Graduate students in history and in other graduate programs at Virginia Tech can elect to pursue a specialized 12- credit hour Graduate Certificate in Public History. Certificate requirements will count toward course requirements for the Master s degree in history, and can be completed during the 2- year full- time MA program.

8 8 The 12 credits for the Graduate Certificate are distributed as follows: HIST 5424: Public History (3 credits) HIST 5964: Field Study/Practicum (Internship) (3 credits) At least one of the following public history courses: HIST 5434: Digital History Methods HIST 5444: Oral History HIST 5454: Topics in Public History In addition, all students, including those not pursuing an MA in history, must complete a graduate level history course from the following list: HIST 5114: U.S. History to 1877 HIST 5124: U.S. History since 1877 HIST 5214/ASPT 5214: Topics in Global History HIST 5224: Readings in African History HIST 5246: Readings in Latin American History HIST 5504: Modern European History More information about the public history programs in the Department of History can be found at: TBA (Fall 2015, consult the Director of Public History programs) IX. Progress Toward the Degree Students are normally expected to complete the degree requirements for the MA in four semesters. Each semester the Graduate School publishes a calendar of deadlines for filing the paperwork required for graduation ( html). Students expecting to graduate in a given semester must adhere to the deadlines set by the Graduate School. In addition to graduate- level coursework, all students (thesis and non- thesis) complete a substantial piece of original historical research and writing. The Graduate Program in History expects that most students pursuing the Master s degree in History will write a thesis to complete the degree requirements. In some circumstances, students are advised to pursue the non- thesis option by taking additional coursework, completing a written exam, and writing a page research paper. Specific requirements and procedures, and student, faculty, and Graduate Committee responsibilities related to research projects can be found in the Master s Degree in History: Guidelines for Completing the Research Requirements Plan of Study

9 9 The Graduate School requires a Plan of Study for all students. This document lists the classes the student has taken and the classes that still need to be taken prior to graduation. The Plan of Study also lists the student s advisory/exam committee and indicates the student s choice of thesis or non- thesis option. The Plan of Study is submitted to the Graduate School during the student s third semester of graduate work. Once the Plan of Study has been submitted to the Graduate School, any changes in classes or research hours must be reported to the student s research advisor, the Director of Graduate Studies, the Area Studies Coordinator, and the Graduate Administrative Assistant of the History Department. A change in composition of the advisory committee or the Plan of Study also requires a formal request that must be processed through the Graduate School.. Forms for these procedures may be found at: It is the student s responsibility to follow the Plan of Study as submitted, to seek approval for any changes that are necessary, and to file the necessary paperwork in a timely manner. The Graduate School will not clear a student for graduation unless the Plan of Study matches the student s coursework and has been approved. Funding for Graduate Student Research and Conference Attendance The graduate program has a small budget to support graduate student research. Requests for funding are made in April of the student s first year, to be used over the summer months. Awards are approved by the Graduate Committee. The program also supports students who wish to present papers at research conferences. Requests for funding should be submitted to the DGS. Students should seek additional funding through the university s Graduate Student Association. Attendance at Graduation Ceremony The History Department awards Master s degrees at its May graduation ceremony. Students completing requirements in Summer, Fall, or Spring semester of the year are expected to attend the department graduation (held in May), whenever possible. X. Ethics and Integrity Requirement for Graduation In 2012 the VT Commission on Graduate Studies and Policies approved Resolution B, a Resolution to Include a Scholarly Ethics and Integrity Component in Graduate Education. The History Department created a detailed plan for meeting this requirement for graduation (see Appendix A). Our practices with regard to the ethical conduct and scholarly integrity in graduate training are informed by the standards in our field as outlined by the American Historical

10 10 Association ( aha- and- membership/governance/policies- and- documents/statement- on- standards- of- professional- conduct), and the Virginia Tech Graduate Honor Code ( ). To report violations the Graduate Honor System website advises: Any Virginia Tech faculty member, staff person, or student who witnesses a possible violation should report it to the GHS. If you are unsure about whether to report an incident, you may first inquire by phone to the Chief Justice or the GHS Advisor. If you decide that the matter should be reported, it should be officially submitted in writing, on a form provided for this purpose. Our responsibilities for conveying appropriate ethical practices are addressed in four courses required of all students seeking an MA in history: HIST 5104: Historical Methods; HIST 5034: Research Methods for Historians, HIST 5154: Writing Skills for the Professional Historian; and GRAD 5004:GTA Training Workshop. These required courses are listed on each student s plan of study. Annual evaluations of graduate assistants and our final evaluations of student research projects (the thesis and the non- thesis research paper) invite faculty to address with students any concerns about the student s conformity to the discipline s scholarly ethics and professional integrity. Finally, we mandate student engagement with professional development activities primarily through participation in our annual graduate history conference. XI. Annual Evaluations and Exit Assessments Annual Review of First- Year Student Progress The Graduate Committee undertakes an annual evaluation of student progress toward the end of the student s second semester of graduate work. The program uses the Annual Review of Student Progress form for its evaluation, with parts completed by the student, the Graduate Committee, and the student s faculty (thesis or research paper) advisor. Students submit the form with their draft research proposal in early April, as part of HIST The Graduate Committee reviews both the proposal and the student s self evaluation. Additional comments may be solicited from faculty members with whom the student has taken courses. The Graduate Committee adds comments and the evaluation is forwarded to the student s research adviser. The DGS will make the evaluation form available to the student s faculty advisor as soon as the Graduate Committee meets to complete its portion of the evaluation. The advisor should

11 11 complete his/her portion of the Annual Evaluation form and return to the DGS by May 15. A copy of the Annual Review of Student Progress will be placed in the student s file; the Director of Graduate Studies will convey any concerns to the student and provide them with a written summary of their progress report. This annual evaluation procedure is required by the Graduate School and the DGS will file a report on each student based on the annual evaluation with the Graduate School. The Graduate Program in History also requires regular evaluations of student work as graduate assistants. A Graduate Assistant Evaluation Form is completed by each student s faculty supervisor(s) at the end of each fall semester; a copy is shared with the graduate assistant and a copy is placed in the student s file. Continuation of funding is contingent on receiving satisfactory evaluations. Outcomes Assessment The University requires departments to submit annual outcomes assessment reports. To compile the report supervising faculty members complete evaluations of theses and non- thesis research projects. The DGS submits the final outcomes report. Students are not involved in the outcomes assessment process. Department Awards The Graduate Program makes two awards annually that honor graduate student achievements. The Director of Graduate Studies solicits nominations for awards; selections are made by the Graduate Committee. The awards are given at the annual department awards reception held each spring. The Outstanding Master s Thesis Award honors a student whose thesis best represents the department s commitment to research excellence and scholarly originality. The thesis must have been completed during the previous academic year (Summer, Fall, or Spring graduation). The chair of the student s thesis committee usually makes the nomination, but any committee member may do so. The Exemplary Graduate Student Assistant Award recognizes the contributions of graduate students in their role as graduate assistants. Graduate assistants support professors, undergraduate students, and the department in many ways: grading, tutoring students, running review sessions, teaching sections, assisting professors with

12 12 research, editing the undergraduate journal, supporting faculty and department outreach activities, and no doubt in many other ways not listed here. The award honors one graduate assistant each year whose work in the current academic year exemplifies the highest level of professional dedication to these responsibilities. Any faculty member may submit a nomination. Nominations should focus on the specific contributions of the graduate assistant. XII. Avenues of Redress Students with questions or concerns about any of the policies covered in this statement have several avenues of redress. Many procedural issues can be clarified by the Administrative Assistant/Coordinator for the Graduate Programs. Concerns about the thesis process should be taken up first with the student's thesis adviser. Students with issues related to GA assignments should first discuss the question or problem with the faculty member with whom the student is working. If the problem cannot be resolved or the policy clarified at this level, students should follow up their concerns with the Director of Graduate Studies. If the Director of Graduate Studies is unable to resolve the problem or satisfactorily clarify the policy, students may also consult the Ombudsperson at the Graduate School.

13 13 APPENDIX A Proposal for Ethics and Integrity Requirement, Department of History Approved by the Graduate School, January 21, 2014 The History Department will address issues of ethics and integrity in graduate training through a variety of outlets, most of which are already well established within our MA program policies, procedures, and requirements. We will convey appropriate ethical practices and outlets for reporting alleged misconduct through instructional experiences and publicly disseminated documents. We will also evaluate the individual use of professional conventions and ethical standards in student research and teaching. Finally, we will mandate student engagement with professional development activities primarily through participation in our annual graduate history conference. Our practices with regard to the ethical conduct and scholarly integrity in graduate training are informed by the standards in our field as outlined by the American Historical Association ( aha- and- membership/governance/policies- and- documents/statement- on- standards- of- professional- conduct), and the Virginia Tech Graduate Honor Code ( these multivalent approaches, our MA students will be exposed and acculturated into the professional ethics of our field and the integrity expectations of the University. 1. Plagiarism and other violations of the Graduate Honor Code 2. Proper use of professional conventions in citation of existing research and scholarship, accurate reporting and ownership of findings, and acknowledgement of contributions to the work The History Department will provide graduate students with information on plagiarism and the proper use of professional citation, reporting, and acknowledgment of contributions to the work primarily through three instructional experiences: 1) Each year, the History Department conducts a new student orientation for incoming MA students. This orientation contains a faculty presentation on professional development that includes a section on professional ethics, including definitions of plagiarism, academic misconduct, as well as direction to relevant university policies concerning plagiarism and academic misconduct. We also provide students with our departmental policies document at this meeting, which we will update to include a section on professional ethics. Students begin our MA program on the first day aware of the need to avoid plagiarism and academic misconduct. 2) Avoidance of plagiarism and academic misconduct are reinforced in Historical Methods (HIST 5104), the first of two required methodology courses that MA students take in their first year of the program. The Historical Methods course

14 14 devotes an entire week to plagiarism and ethical research standards. It also directs students to documents outlining ethical standards of the American Historical Association (url above), which is a required reading for the course, as well as to the Virginia Tech Graduate Honor System. 3) In the second required methodology course, Research Methods for Historians (HIST 5134), students focus intensively on issues of proper citation, ethical use of sources and data, and proper reporting of research findings. The primary assignment for this course is the development of the first draft of the student s MA thesis proposal. Students engage in intensive primary and secondary source reconnaissance and use these materials to draft a thesis proposal in which professional standards for footnoting and bibliographic referencing are central components of the evaluation. Students are also required to identify the key works of their chosen field, attribute authorship of important ideas and content in their field, and articulate how they intend to develop a unique research project in relation to existing scholarship. In addition to instructional exposure to plagiarism and professional standards of citation, the History Department also engages in a variety of layers of evaluation of professional and ethical standards in student work. Evaluation takes several forms: 1) In the methods courses mentioned above, students are evaluated on their use of professional standards of citation and attribution of the sources of knowledge, etc. and errors of judgment are corrected. 2) All students are required to take a research seminar as part of their program in which they conduct research and produce a scholarly paper based on the research. Evaluation of these projects includes the professional and ethical use of sources and their citation. Other elective courses also contain significant attention to issues of professional and ethical integrity. For example, Oral History Methods (HIST 5424) is already included in the Graduate School s list of Current Graduate Course Offerings with Stated Ethics Component. In this class students complete IRB training before undertaking oral interviews for research projects. 3) All students receive an official evaluation at the end of their first year. This evaluation is conducted by the department s Graduate Committee and includes course performance, information about professional development provided by the student, and an evaluation by the student s primary research advisor and committee members. This form, which is submitted to the Graduate School each spring, provides for an Advisory Committee Assessment of Student Progress and Needs where faculty most directly involved in the student s performance and understanding of professional ethics can make recommendations to the Graduate Committee and the student for follow- up study as needed. If there are particular concerns about a student s ethical behavior or demonstrated problems with his or her employment of professional ethics in research or GA work, they can be articulated here.

15 15 4) All students write either a thesis or significant non- thesis research paper as the culmination of their research experience in the MA program. The thesis path consists of the student working with a primary supervisor and a committee to develop a year- long plan for the researching and writing of a significant piece of original historical work. The non- thesis research project requires the student to work only with a primary advisor, but also on a project designed to contribute an original piece of scholarly history. For both tracks, however, students are instructed and evaluated on the professional and ethical use of sources and their citation. 5) Thesis and non- thesis research projects are evaluated using standard evaluation forms, available to students and faculty on the MA program website. One of the four criteria upon which students thesis and non- thesis research projects are evaluated by their committees and advisors is Demonstrated proficiency with appropriate discipline- based methodologies, analyses and technolologies. If an advisor or committee has concerns about plagiarism, professional misconduct, or the improper citation of sources, it can be noted on this document. This document is publicly available to students and mentors throughout the writing process, providing a reminder to all that issues of scholarly integrity should be incorporated into the mentoring, writing, and revision of the thesis or non- thesis project. If a student still fails to achieve a satisfactory rating on this form, he or she must continue to revise the thesis or non- thesis project until it meets the standards of the thesis committee. Students cannot graduate with an MA in History until they have completed the thesis or non- thesis research project satisfactorily. Finally, in an effort to strengthen the History Department s already strong commitment to conveying knowledge about plagiarism and professional standards within our discipline, we will add to our Policies and Procedures document, with which all students are very familiar, a section on Professional Ethics which will include links to the Virginia Tech definition of plagiarism and the Honor Code, as well as links to the professional standards for citation and avoidance of plagiarism provided by the American Historical Association. As noted, this document will be given to students during Orientation and the document will be available to download from the MA program website. 3. Ethical standards in teaching, mentoring, and professional activities The History Department will undertake several measures to inform graduate students of their ethical responsibilities as teachers and mentors. We will also require graduate students to engage in professional activities that will enhance their understanding of and direct experience with ethical standards for professional comportment as an historian. Once again, we will do this through instructional techniques, providing actual hands- on experience, and through evaluation of students work.

16 16 To meet this requirement, the History Department will require all incoming graduate students to attend the GTA training workshop, whether they will be serving immediately as GTAs in our department or not. The GTA workshop includes instructional modules on ethical issues in the classroom, thus giving all our students exposure to these issues. In addition, the department already provides several outlets to expose graduate students to ethical issues of teaching and mentoring. 1) The department s GA experience: All of our GAs get similar classroom experience working with faculty over the course of their time in the History Department. As part of this experience, graduate students learn how to interact with undergraduates ethically and how to ethically evaluate student work, provide feedback, and work with the institution to provide necessary services to students with different types of needs. 2) GTAs in the History Department are evaluated on their GTA work in their Annual Review of Student Progress. If there are any ethical issues with the student s GTA responsibilities, they can be recorded in this place and the Director of Graduate Studies can follow up with the student regarding any areas of improvement. 3) GTA Workshop: All new GTAs in History are required to attend a departmental workshop on GTA duties in addition to the University workshop before they begin their first semester of duties. This workshop reinforces the guidance they received through the University workshop and provides GTAs with information about steps to take if questions of an ethical nature arise. 4) Teaching/Mentoring Support Group: We currently have within the department a teaching/mentoring support group for faculty and graduate students that meets roughly bi- weekly throughout the academic year. It is designed to be an informal environment for discussion of the challenges we face as teachers and mentors. Graduate students are encouraged to attend and engage in the discussion about issues that they are personally facing in the classroom while they also are made aware of the ethical problems and the solutions found by others. 5) Mentoring for teaching one s own class: The History Department offers graduate students the voluntary opportunity to teach their own course in their final semester in the MA program. For those who wish to do so, we have developed a GTA mentoring network to pair the graduate student with a faculty advisor in the field in which the student will be teaching. The student shadows the faculty member in a course for a semester, and the faculty member provides the student with mentoring on what to expect when teaching a course for the first time. Graduate students in history receive exposure to and experience with ethical standards of professional activities through their required engagement with the History Department s annual Brian Bertoti Innovative Perspectives in History graduate conference. This conference is organized and run by the History Graduate Student

17 17 Association (HGSA) of which all of our MA students are members, and supervised by the History Department s Director of Graduate Studies (and incorporated as part of professional development into HIST 5134: Research Methods for Historians). In participating in this conference, graduate students learn how to ethically: 1) develop and implement a budget for a professional event 2) solicit abstracts, select papers and organize panels 3) book and support guest speakers 4) select award recipients for paper prizes 5) present their own research to a scholarly audience Through participation in HGSA and implementation of the Bertoti conference, all of our MA students receive exposure to the ethical standards and procedures for professional activity in academic history. 4. Available avenues for reporting alleged misconduct Avenues for reporting alleged professional or ethical misconduct will be provided to students in two ways: 1) We will incorporate information about how to report misconduct both through Virginia Tech channels and through the American Historical Association as part of the instructional session on plagiarism and professional ethics in the Historical Methods (HIST 5104) course that all MA students in History are required to take 2) We will provide this same information in our Policies and Procedures document with which all our students are familiar and to which they have unimpeded access on the history graduate program website. Through the implementation of the above plan, graduate students in the MA program in History will have a multifaceted exposure to and experience with the professional ethics and integrity requirements in our field.
