2 Project Name\ID AD expansion CBS Reporting Period July 2010 Date 27 July 2010 Report Prepared By Anthony Cunningham REVIEW Review of Project against original Project Proposal The Objectives of this project is to migrate the current domain services in operation in Cathal Brugha Street to Active Directory using the DIT s corporate domain (ICTDOMAIN). This has been completed in full Cost/Schedule Overview BUDGET SCHEDULE Original Forecast Actual Spent Original Completion Date Actual Date d 15,000 2, August July 2010 OUTSTANDING Deliverables or Activities that are still outstanding There may be a small number of laptops which still will need the novell client removed. This was expected and we expect them to show up in September and they will be treated as business as usual type support KEY DELIVERABLES/PRODUCTS Outcomes and Quality Identifier Deliverable Summary of outcome and quality statistics 01 Migration of All Desktop Services in Cathal Brugha Street to the ICTDOMAIN 02 Migration of Server Resources to the ICTDOMAIN. Management of Local Server Resources will remain with the Faculty Technicians as outlined in the Roles and Responsibilities Document 03 Full Delegation of a Cathal Brugha Street Organisational Unit within Active Directory to be given to the Local Technicians in Cathal Brugha Street. This will allow them full control of resources (user objects, computer objects, printers and group policy objects) under their remit. 04 Management of User accounts through ICTDOMAIN CHANGES & BENEFITS Summary of key changes, d approx 200 User Accounts and over 300 desktops were migrated d d On-site techs have received server management training from sureskills and AD training sessions from the Active Directory Services Team d handed over to on-site technicians 1. Reduced overall total cost of overall ownership of IT services due to one managed domain which is already in place 2. Cost of application rollouts and upgrades minimised through SMS rollouts via ICTDOMAIN 3. 24/7 Secure Self Service Password Management 4. Increased Staff and Student account Mobility 5. Compliance with Microsoft recommended best practices 6. Policy controlled Remote PC Management 7. Automated Patch Management (MS Windows and Software Updates) 2 of 8
3 8. Resilient domain with proactive tools installed (Quest Products) POST PROJECT REVIEW Framework for Post Project Review (forecast date, key measures, etc.) Will conduct project review in week beginning October 4 th This will allow for the start of term process to have been completed and the working solution should be bedded in at that stage. FUTURE WORK Identify any future work worth considering and the options for doing it We may look at moving to staff number accounts for logins, but this will be decided at the domain level and will be rolled out domain wide if we do it. It would be another step towards a single logon scenario for DIT LESSONS LEARNT What went well, what went badly, what was lacking and assessment of any tools It became clear throughout the project that the planning phase, in particular identification of requirements for some of the individual offices in CBS had been insufficient. This manifested itself in the issues we had rolling out the Exams Drop Box. In future it would be beneficial to go through a more thorough planning exercise to identify potential areas which might cause technical difficulty. 3 of 8

7 Programme Management Office Project closure form Project or Work Plan title: Document owner: AD DC Server 2008 Upgrade AD Team Document Control Date Version Changed by Reasons for Change v0.1 David O Neill First draft Distribution List Name Role Bridget Gleeson AD Manager Bridget.gleeson@dit.ie AD Team AD Administrators Adst-list@dit.ie 7 of 8
8 Project Name\ID AD DC Server 2008 Reporting Period Date Upgrade Report Prepared By David O Neill REVIEW Review of Project against original Project Proposal Project completion according to plan (delayed by one week in November/December due to adverse weather conditions which limited staff availability and college opening times). Cost/Schedule Overview BUDGET SCHEDULE Original Forecast Actual Spent Original Completion Date Actual Date d 47,300 41,354 Nov 2010 Dec 2010 OUTSTANDING Deliverables or Activities that are still outstanding None Outstanding KEY DELIVERABLES/PRODUCTS Outcomes and Quality Identifier Deliverable Summary of outcome and quality statistics Upgrade of server hardware d Upgrade of server operating system d Upgrade of ICTDOMAIN from 2003 to 2008 d CHANGES & BENEFITS Summary of key changes, Upgrade of DC servers to Therefore ICTDOMAIN now upgraded to 2008 functional level. Hardware of old DC s initially 6 years old. New and higher specifications DC s now in place. Addition of 2 nd DC server in Aungier St which serves as a Services server, which provides user authentication to the institute services of , Wireless, Webcourses and VPN. ICTDOMAIN (2008) now fully functional and compatibly with Windows 7. POST PROJECT REVIEW Framework for Post Project Review (forecast date, key measures, etc.) Project reviewed and monitored throughout December and January. No major incidents as a result of this upgrade. FUTURE WORK Identify any future work worth considering and the options for doing it Future work is scheduling a Windows Server 2008 security update schedule, initial planning is suggesting a once a month check, and implementation when necessary per this schedule. LESSONS LEARNT What went well, what went badly, what was lacking and assessment of any tools Project went according to plan. No major incidents Proper preparation and testing paid dividends on reflection Decommission of Aungier St DC initially biggest concern. A lot of possible inhibitors and red flag scenarios highlighted prior to go live (e.g. ip address of new Hestia server, possible DNS issues regarding assignment of the new server ip address, change of authentication server for services such as , Webcourses, Wireless). One process was overlooked initially, the AD password reset web facility provided by a kerna script (not to be confused with the Quest Password Reset). Action was taken immediately once realised. Downtime of approximately one hour to this feature. Impact minimal as password reset still possible via snap-in to a DC by support staff. 8 of 8
