5 EASY MANAGEMENT With 360, archival of both incoming and outgoing is very simple. can be archived using "drag & drop" into 360 archive folders, or using a simple dialogue when is registered. With 360, can be linked to several contacts, a case, or a project automatically, so that it can be seen in a variety of contexts at the same time. With 360, you can also use Outlook to start production of new directly from a contact, a case, or a project. This ensures that outgoing is automatically archived in the right contexts. With 360, standard Outlook functions are always used for managing , but in addition 360 ensures that it is archived so that it is useful to everyone. It couldn't be easier or more dependable. FAST RETRIEVAL AND SHARING OF INFORMATION An important function for 360 is to structure information so that it becomes easy to find and to reuse. The solution generates "virtual folders" that provide a combined overview of all information related to a specific document, a case, a project, a firm, or a person. Users can also create their own "folders" with links to relevant information. Rich search functionality is available: You can search in free text with a "one-stripe search" across the database and in the documents themselves. You can also combine fields and operators in advanced searches and save these for your own reuse... or reuse by others. Another benefit is that a search can generate content for a SharePoint desktop and group space or project space through 360 web parts. In this way, information can be filtered so that individual users receive relevant information presented to them without having to search themselves. INTEGRATED SHAREPOINT FOR EFFECTIVE COLLABORATION 360 Web and Windows SharePoint Services (WSS 3.0) are fully integrated. This creates unique opportunities for establishing new ways of work in-house and with people outside the company. All standard WSS components and functions can be used for developing solutions for collaboration. 6 COMMUNICATE ONLINE WITH OTHER PEOPLE Communication with people inside and outside the organization through new electronic channels such as instant messaging, videoconferencing, IP telephony, etc., has become widespread. 360 supports these functions. The integration of 360 with both Office Communication Server and MSN enables you to see directly from 360 whether a person is available on the Net, so that you can communicate directly via Messenger or Office Communicator. SharePoint components available such as the group calendar, discussion groups, task lists, questionnaires, wikis and blogs, and local document libraries, as well as web parts from 360. A FAST AND EFFECTIVE SOLUTION 360 has been designed for optimal speed. Ajax technology has been applied to enable data to be loaded in the background without the user being aware that the screen itself is being refreshed. It is faster to launch the solution and the individual screen, and use of the new OpenXML format makes it possible to produce documents on the server more rapidly than before. Shortcut keys and shortcuts are easily accessible, and individual screens can be displayed using hyperlinks from other applications (for example, from a link in an message). Improved performance and speed enhance the user experience as well. ROLE-ADAPTED WEB INTERFACE 360 gives the user the opportunity to create desktops customized for the user with a clear overview of information. Navigation is intuitive and the number of mouse clicks and screen changes has been kept to a minimum. The desktop and functions are adapted to roles, so that specialized users such as archivists and document centres or board secretaries each have their own efficient interface. Users can define their own desktops suited to their work. The Web client is based on standard principles from Internet applications and SharePoint. SUBSCRIPTION TO EVENTS AND AUTOMATIC ALERTS Many people want to be alerted about events that are important to their work. This may involve being notified of new cases that have arrived, new project documents that have been completed, or new activities that have been planned in relation to a customer. It is easy for the user to set up a subscription to events or news in a standardized way in 360 through RSS feeds. A great advantage of RSS feeds is that it is possible to be alerted and to keep track from a wide range of tools in browsers, from Outlook, through the Google desktop, and directly in the Vista operating system or via web parts in portals. In 360 you can subscribe to events including changes in a saved search via RSS from a number of locations. In this way, you are alerted of events instead of having to keep checking and searching for them yourself. EFFECTIVE AND SECURE DOCUMENT PRODUCTION Document templates provide a tool for composing professional documents consisting of text and metadata. Templates are also important to simplify retrieval of up-todate metadata directly from the document for correct archival. 360 improves the efficiency of document production through its use of the OpenXML format (and ODF). Documents can be produced without launching the Office programs, and metadata can be entered and retrieved from documents because such fields are separated from the rest of the text. 7 CONTROL AND AUTOMATION OF PROCESSES 360 can also standardize work and business processes, and make them more effective. With the solution's process engine based on Windows WorkFlow Foundation you can automate tasks and guide users through predefined processes for case workflow, contract procedures and customer follow-up, or in project work. Documents and can be generated automatically, or external databases and applications can be updated. At the same time, users can be given control over decision points and manual operations during the process. FEATURE-RICH, FLEXIBLE AND EASY TO CONFIGURE 360 comprises a number of modules, utilities, integration components and industry-specific solutions in the areas of document management and archival, case management and workflow, relationship management and collaboration. The 360 modules can be adapted so that the whole solution is customized to the specific needs and processes of the enterprise. For instance, you can define metadata for folders, cases, and documents, tailor screens and dialogues, create a variety of workflows, and define searches, web parts, desktops and templates for workspaces. You can also change colours and fonts with standard SharePoint functions. 360 is designed for expansion, and can be configured to take care of a customized solution during later upgrades to the core system. A SOLUTION WITH OPEN INTERFACES FOR ALL INTERNAL FUNCTIONS 360 has a service-oriented architecture (SOA) that offers a docu mented Web service interface for all internal functions. This interface can be used both by external applications and from standard middleware as Microsoft Biztalk. It is also easy to integrate the solution's web forms via web parts or hyperlinks. 9 Our new 360 solution has taken a quantum leap in making the most of the standard Microsoft technology available. At the same time, the solution offers open interfaces and modularity to an even greater extent than before. 360 uses Outlook and Office as clients, while Windows SharePoint Services form the platform for the solution's Web client and provide advanced possibilities for developing collaborative working environments and portals. The functions for workflow and process flow are based on Windows Workflow Foundation and external communication and open interfaces are secured through a service-oriented architecture (SOA) based on XML and Web services via the Windows Communications Foundation. OpenXML is used for simple and secure document production, while the solution also supports other standards and protocols such as RSS, SMTP, IMAP, SQL, ODF, etc. 360 is easy to use. The solution can be tailored to suit unique needs using configuration tools that do not require programming knowledge, and not least 360 builds further on technology investments that many enterprises have already made. eng_pdf.indd :27:31

10 360 provides unique possibilities to establish solutions in a variety of areas from document management and archival to case management, relationship management, project and collaboration solutions, and advanced customized solutions. In addition to 360 basic modules, Software Innovation also supplies standard 360 configurations and concepts for verticals and business processes. Examples include record and document management solutions for public sector organizations, workflows for building license management or case management support for city boards and committees. THE MAIN MODULES OF 360 ARE: 360 DOCUMENT AND RECORDS is the central module in the 360 family. This module has functionality for handling each document throughout its life cycle, from when it is created or captured until it is to be stored as a "record" in the archive. The module can be used as a complete document management system or simply as an archive. 360 CASE handles cases of various types by offering electronic case folders and functionality for controlled workflow processes. With 360 case, you get a clear overview of the status and progress of each case, whether applications, enquiries, tender processes, contract negotiations, or HR matters are involved. The electronic case folder provides a complete summary of the content and history of the case. 360 CONTACT is a module for structuring information related to the enterprise's customers, partners or clients. You can enter basic information about contacts such as names, addresses and telephone numbers. It is also possible to define customized information and, not least, to define relevant relationships between contacts. Better external service as well as increased internal collaboration and knowledge sharing are important objectives supported by 360 Contact. 360 PROJECT is a module that helps to structure the work involved in in-house or external projects. Close integration with the other 360 modules for Document, Workflow and Contact management creates an integrated environment for project work. And not least, the functionality for creating project working environments based on SharePoint technology offers a wealth of opportunities for effective collaboration. Standard SharePoint functions for work documents, project calendars, plans and task lists, discussion groups and wikis can be combined with 360 functions for archive and management. 360 PROCESS is the solution's tool for automation of tasks and control of processes. The module has been specially designed to implement processes in which automatic execution of tasks can be combined with necessary manual control through personal conditional selections and decisions.
