1 GVI Installation Instructions for VISION Crystal Reports XI For Windows 2000 and XP Systems This is a four step Process: 1. Download and install software: You must be administrator on the PC to install the software; all previous versions of Crystal Reports must be un-installed; All ODBC links to the ERP databases must be deleted/removed; During installation follow all prompts carefully, Enter proper ownership and license key when required; (**The key will be provided to your agency directly from DOF-MIS. You will have to physically come to our office to get this key code**) A. Log on as the local Administrator on the work station B. Verify there is/are no current ODBC connection(s) to the ERP system: I. Open the Control Panel II. Administrative Tools III. IV. Data Sources (ODBC) Under the System DSN tab verify there is no existing connection to the ERP system (if there are any, delete/remove them); 2. Configure and test the ODBC Link to the ERP Database; 3. Grant proper permissions to all users on the Business Objects folder; 4. Launch Crystal Reports and confirm connectivity. Detail Instructions follow: 1 Install Crystal Reports Download the software from the Deprtment of Finance s website If you are on the GWAN we strongly encourage you to use the local address (this will expedite the download tremendously). Follow the VISION ERP System link. Download disk1 and disk2 to you local file server. (**The key will be provided to your agency directly from DOF- MIS. You will have to physically come to our office to get this key code**) Note: Crystal XI will not work properly with any other crystal client on the local computer. Make sure any other version is un-installed, via the systems add/remove software utility. A system reboot is necessary after the un-install procedure. 2 C. Browse disk1 and double-click the setup icon (follow the prompts) Click Next and Accept the License Agreement, you will then be prompted for your Full Name, Organization, and the Key Code. (**The key will be provided to your agency directly from DOF-MIS. 3 Disable the Web Update Service Follow the prompts until the software is completely installed. Depending on the PC, this process may be completed within 3-5 minutes. Department of Finance Page 3 of 8 MIS Division - February, 2009

4 2. Configure the ODBC Link to the ERP Database After the install is complete you will need to setup the ODBC drivers. The ODBC driver folder is located in the Crystal Reports Disc 1 folder. Launch the setup: Click Next and select custom setup Next, un-check all boxes except: Informix_Driver, Informix_Wire_Protocol_Driver, and Core Select Next to complete the installation. 5 reboot. You will now manually add the ODBC driver to your local machine, and test the connectivity to the database. Go Back to your ODBC drivers located under Control Panel- Administrative Tools-Data Sources (ODBC); Under the System DSN tab select add Once you select the protocol, a screen pops up that requires you to put in some information ie. Data Source Name, Description, Host Name etc The user name on your compute is not munis; leave the user name blank Select the CR Informix Wire Protocol ODBC Driver 5.0 Department of Finance Page 5 of 8 MIS Division - February, 2009

6 3. Grant access to everyone on the Business Objects folder local drive: The last step involves setting permissions on the Business Objects folder. Open Windows Explorer and navigate to Program Files/Business Objects Once completed test the connection; click the Test Connect Tab; enter a valid ERP username and password; A successful connection will return the following message: Go to the security tab and grant Users Full Access to this folder. 7 4 Launch The Crystal Reports Application: Start>Programs>Cyrstal Reports XI Release 2; you may choose to register at a later time. Option for the Standard Report Wizard, Blank Page, or opening a new file, will require a connection to the database; below connecting to the database is performed using the Standard Report Wizard: Department of Finance Page 7 of 8 MIS Division - February, 2009

8 Open Current Connections tab and scroll down to select the ODBC (RDO) tab; Login with valid username and password: Select the VISION CR Database Crystal Reports is connected to the mu_live database This is a successful install! Department of Finance Page 8 of 8 MIS Division - February, 2009
