3 1. Overview The purpose of the Faculty of Graduate Studies (FGS) is to encourage research and dissemination of knowledge at postgraduate level. FGS works with academic staff, students and administrative staff in all the Faculties of the University of Kelaniya to promote excellence in postgraduate education. Postgraduate education at the University of Kelaniya is a shared experience. FGS works together with academic departments across the university to provide graduate programs at Master s, M.Phil., and Ph.D. levels to create a dynamic intellectual climate for its students. 2. Programs of Study FGS offers a variety of programs, ranging from postgraduate diploma level to doctoral level. Currently, there are over thirty five programs offered by the various Faculties and institutions, leading to a Master s degree. Some of the courses are based only on course work, while others are based on research, and some others are a mix of course work and research. Course work at FGS means face-to-face teaching as in a traditional university, with some on-line components. These courses are usually conducted during weekends or evenings, to enable people who are already employed to enhance their knowledge and skills. Postgraduate study at M.Phil. (Master of Philosophy) and Ph.D. (Doctor of Philosophy) levels are possible in each Faculty of the University of Kelaniya. These programs tend to build on the skills acquired at undergraduate and Master s levels. They involve an applicant being assigned to a supervisor for guidance in conducting research. The applicant and supervisor/s work together to achieve the objectives of the research program. If you have no previous experience in conducting research, it would be best to register for a Master s level program before attempting an M.Phil. or Ph.D. This is because most Master s level programs include modules on research methodology. Graduate level courses are also conducted by the Postgraduate Institute of Pali and Buddhist Studies, the Postgraduate Institute of Archaeology (PGIAR), Junior Command and Staff College, China Bay, and the Defense Services Command & Staff College (DSCSC), Sapugaskanda. These institutes have developed their own guidelines in keeping with their needs; their forms are available on their websites. The degrees awarded by these institutes are postgraduate degrees from the University of Kelaniya, Sri Lanka. Page 3

5 3.A. Admission & Eligibility The Institute/Faculty/department offering each of the postgraduate diplomas decides on criteria for admission, based on FGS and Senate approval. Please contact the relevant department for information on eligibility criteria. 3.B. Application Procedure Once you check on eligibility, you can start the application process. Application forms may be downloaded from the FGS website or collected from FGS or the department offering the course. The application fee for a postgraduate diploma is Rs. 500/=. Payment of application fees can be done at any branch of the People s Bank, to the following account: People s Bank Account No: [Application fees] The voucher from the bank certifying payment should be submitted to FGS with the completed admission form. The relevant department will notify you when you have been admitted to the course, so that you can register for it. 3.C. Registration & Fees Registration is done either at FGS or at the relevant department. Fees for a postgraduate diploma are decided on by the department offering the course. It is advisable to contact the Coordinator of the diploma to find out what the registration requirements and fees are. Fees are non-refundable unless evidence is provided of payment or reimbursement by another source. Fees must be paid to the following account: People s Bank Account No: [Registration and other fees] The course description including details of course, requirements for completion etc. will be given to you by the department conducting the postgraduate diploma. 3.D. Duration & Extensions The duration of a postgraduate diploma varies from Faculty to Faculty; however, the minimum time period is 01 year, and the maximum 02 years. Extensions of registration are possible, subject to approval of the Board of Study of the Faculty and FGS. Medical certificates must be Page 5

6 provided if claiming medical reasons. With extensions, the maximum period to complete all requirements for the awarding of a postgraduate diploma is 03 years. 4. Master s Level At the Master s level, candidates can read for an M.A., M.A.F., M.B.A., M.Com., M.Sc., or M.S.Sc.. 8 4.A. Admission & Eligibility The Institute/Faculty/department offering the Master s programs decides on criteria for admission, based on FGS and Senate approval. Generally, an undergraduate degree with work experience are the criteria for admission; however departments tend to vary. Please contact the relevant department for information on eligibility criteria. 4.B. Application Procedure Application forms may be downloaded from the FGS website or collected from FGS or the department offering the course. The application fee for a Master s degree is Rs. 750/=. Payment of application fees can be done at any branch of the People s Bank, to the following account: People s Bank Account No: [Application fee] The voucher from the bank certifying payment should be submitted to FGS with the completed admission form. The relevant department will notify you once admission is approved, so you can register for the course. The course description including details of course, requirements for completion etc. will be given to you by the department conducting the Master s program. 4.C. Thereafter, registration should be renewed at the end of each 12 month period, with the approval of the Supervisor/Head of Dept., Faculty and FGS. If your Master s degree involves a research component; approval of the topic, and any changes thereafter, should be with the approval of the Faculty Board of Study, FGS and Senate. Page 8

9 4.D. Duration & Extensions As shown in the above list, Master s level courses are based on course work of at least one year s duration. Therefore, the duration of a Master s degree can be either 1 year or 2 years. Extensions of registration are possible, subject to approval of the Board of Study of the Faculty and FGS. Medical certificates must be provided if claiming medical reasons. An extension would mean the candidate is given 12 months in which to complete requirements for the Master s degree. With extensions, the maximum period to complete all requirements for the awarding of a Master s degree is 03 years for a 1 year Master s, and 04 years for a 2 year Master s. 5. Master of Defence Studies The Master of Defense Studies (MDS) is designed for mid-career officers of the Army, Navy and Air Force of Sri Lanka. Officers from overseas, particularly from SAARC countries, and officials of the Ministry of Defense are also eligible to follow this course. Defence Service Command & Staff College (DSCSC), Sapugaskanda Master of Defence Studies - 1 year (Coursework & Research paper) Registration, admission and conducting of courses are handled by DSCSC, Sapugaskanda. However, criteria for admission, research topics for the Commandant s Research Paper (CRP), examination work etc. need the approval of the Board of Study of DSCSC, FGS and the Senate. The CRP is the research component of the Master of Defence Studies. Page 9

10 6. Master of Philosophy (M.Phil.) The Master of Philosophy (M.Phil.) program is offered by the following Faculties of the University of Kelaniya, under the sponsorship of FGS: i. Faculty of Commerce & Management Papers/Presentations & Research ii. Faculty of Humanities Exams & Research iii. Faculty of Medicine Research iv. Faculty of Science Research v. Faculty of Social Science Seminars & Research 6.A. Admission & Eligibility An applicant for an M.Phil. Degree must get approval from the Board of Study of the relevant Faculty, FGS and Senate to be declared a candidate for an M.Phil. Degree. If the applicant is not a graduate of the University of Kelaniya, transcripts of previous degrees should be sent to FGS. 6.A.i. Qualifications for Admission to M.Phil.: Biological & Physical Sciences Either B.Sc. (Special) Degree in a related subject/field Or B.Sc. (General) Degree with at least one related subject with First or Second Class Honors and a pass in a Special Degree paper specified by the relevant department. In the absence of such a paper, a pass in an M.Phil. Qualifying Examination as specified by the relevant department is required. Or Any other academic or professional qualification acceptable to the Board of Study of the Faculty of Science and FGS, and a pass in a Special Degree paper specified by the relevant department. In the absence of such a paper, a pass in an M.Phil. Qualifying Examination as specified by the relevant department is required. Or M.Sc. or an equivalent Master s degree in a related subject/field Page 10

11 6.A. ii. Qualifications for Admission to M.Phil.: Commerce & Management Studies Either B.Com. (Special) Degree or B.B.Mgt. (Special) Degree or B.Sc.Mgt. (Special) Degree, B.B.A. (Special) Degree with First or Second Class Honors in the relevant subject Or M.Com. Degree or MBA Degree or M.Sc. Degree or M.A. (two years) Degree or M.S.Sc. or M.A.F. degree in the relevant field. 6.A. iii. Qualifications for Admission to M.Phil.: Humanities & Social Sciences Either B.A. (Special) Degree with a Class in a related subject/field Or B.A. (General) Degree with at least one related subject and M.A. or M.S.Sc. Degree in a related subject/field Or B.A. (Special/General) Degree in a related subject/field and a pass in the M.Phil. Qualifying Examination. 6.A. iv. Qualifications for Admission to M.Phil.: Medical Sciences Either M.B.B.S. or B.D.S. or B.V.Sc. Degree Or B.Sc. (Special) Degree in the relevant/related subject/s with a First or Second Class (Upper Division) Honors Or B.Sc. (General) Degree and an M.Sc. Degree in the relevant/related subject/s Or Equivalent qualifications from a recognized university. Page 11

12 6.A. v. Application Procedure for M.Phil. i. Download the M.Phil. application form from the FGS website or collect application form from FGS, University of Kelaniya. The application form for an M.Phil./Ph.D. Degree includes the field of research and a synopsis of the project to be carried out [See research proposal form in these guidelines]. ii. Pay application fee of Rs. 1000/= to the following account People s Bank Account No: [Application fee] iii. Submit completed application form and receipt of payment to FGS. Once you have completed these 3 steps, FGS or the relevant department will contact you to arrange for a meeting and presentation with senior academics of the Faculty. The purpose of this meeting is for you to make a presentation of your proposed research. Based on the feedback given at this meeting, you have an opportunity to re-submit your research proposal. Approval of the relevant Head of Department, Faculty Board of Study, FGS and Senate is required for FGS to inform you of acceptance as a candidate for the M.Phil. Degree. At this stage, you will also be notified who your supervisor/s will be. For your thesis: approval of the topic, and any changes thereafter, should be with the approval of the Faculty Board of Study, FGS and Senate. 6.B. Components of an M.Phil. Degree Reading for an M.Phil. Degree at the University of Kelaniya includes submission of research proposal, conducting research under guidance of supervisor/s, submitting progress reports every six months to FGS, completing requirements such as examinations and/or seminars, submission of thesis and defense of thesis (called viva voce). It is in the best interests of the candidate to consult the supervisor/s on a regular basis. Please refer to Submission of Thesis for guidelines on writing your thesis. In the case of M.Phil. candidates of the Faculty of Commerce and Management Studies, they are required to present or publish a paper in a refereed journal based on the candidate s research before submission of the thesis. In the case of M.Phil. candidates of the Faculty of Humanities, after receiving the Examiner s reports, the candidate is required to pass a written examination comprising two papers: one Page 12

13 based on the thesis, and the other based on a related subject area. These papers will be set by an internal examiner, and moderated by an external examiner. In the case of M.Phil. candidates of the Faculty of Social Science, the candidates are required to present a seminar paper based on their research findings at the end of each year. This seminar will be held at FGS, in the presence of the Dean, Head of Department and Supervisor/s. 6.C. Registration & Fees Applicants who have obtained approval of FGS and the Senate, must register for the M.Phil. Degree within six months of gaining such approval. Thereafter, registration should be renewed at the end of each 12 month period, with the approval of the Supervisor/s, Faculty, and FGS. Registration for the M.Phil. Degree needs to be done at FGS. Please check the section on Payment of Fees in these guidelines, and make payments to the following account: People s Bank Account No: [Registration and other fees] A candidate who fails to renew registration before the expiry of three months from the due date, without a valid reason, will be deemed to have voluntarily withdrawn from the program. The registration of a candidate may be cancelled on the recommendation of the relevant Board of Study, due to the following reasons: (a). The information provided by the candidate in the application form is found to be incorrect. (b). Exceeding the maximum duration of the period of study (c). Non-payment of registration fees or other fees within the first three months of the year (d). Non-submission of two consecutive progress reports (e). Violation of rules and regulations of the University of Kelaniya (f). Unsatisfactory academic performance. In the event of the Board of Examiners deciding that the thesis submitted by the candidate does not meet the required standard, and that the thesis needs major revisions, and another viva voce examination has to be held, the total cost of re-examination has to be borne by the candidate. 14 6.D. Duration & Extensions The period of study from the date of first registration up to the submission of the thesis to FGS is a minimum of two years and a maximum of four years. An extension of one year beyond the maximum period of study may be granted under special circumstances, on the recommendation of the Supervisor, Head of Department, the Board of Study of the Faculty, and FGS. With extensions in the case of special circumstances, the maximum duration for completion of M.Phil. Degree requirements would be five years. 7. Doctor of Philosophy (Ph.D.) The Doctor of Philosophy (Ph.D) program is offered by the following Faculties of the University of Kelaniya, under the auspices of FGS: 1. Faculty of Commerce & Management Publications & Research 2. Faculty of Humanities Research 3. Faculty of Medicine Research 4. Faculty of Science Research 5. Faculty of Social Science Research 7.A. Admission & Eligibility An applicant for a Ph.D. Degree must get approval from the Board of Study of the relevant Faculty, FGS, and Senate to be declared a candidate for a Ph.D. If the candidate is not a graduate of the University of Kelaniya, transcripts of previous degrees should be sent to FGS. 7.A.i. Qualifications for Admission to Ph.D.: Biological & Physical Sciences Either B.Sc. (Special) Degree in a related subject with First or Second Class (Upper Division) Honors initially, the candidate will be registered for the M.Phil. Degree Page 14

15 Or M.Sc./M.Phil. or an equivalent Master s Degree in a related subject/field 7.A. ii. Qualifications for Admission to Ph.D.: Commerce & Management Studies Either B.Com. (Special) Degree or B.B.Mgt. (Special) Degree or B.Sc.Mgt. (Special) Degree or B.B.A. (Special) Degree with First Class Honors in the related subject initially the candidate should be registered for an M.Phil. Degree Or Two year Master s Degree (M.Com./M.B.A./M.Sc./M.S.Sc./M.A.) with a research component in the field. Those who do not have a research component in the Master s Degree will have to register for an M.Phil. Degree initially. 7.A. iii. Qualifications for Admission to Ph.D.: Humanities & Social Sciences Either B.A. (Special) Degree with First Class Honors in a related subject. Initially, the candidate must register for the M.Phil. Degree Or M.A. (by research) or M.Phil. Degree or M.S.Sc. (two year) Degree in the relevant/related subject. 7.A. iv. Qualifications for Admission to Ph.D.: Medical Sciences Either M.B.B.S. or B.D.S. or B.V.Sc. Degree with a First or Second Class (Upper Division) Honors in the final examination and/or in the examination in which the relevant subject is included. (In the first instance, the candidate should be registered for an M.Phil. Degree Or M.B.B.S. or B.D.S. or B.V.Sc. Degree and an M.Phil. Degree Or Page 15

16 M.Phil. Or B.Sc. (Special) Degree with First or Second Class (Upper Division) Honours and an M.Sc. Degree in the relevant/related subject/s. 7.A. v. The Doctor of Medicine (D.M.) degree is offered by the Faculty of Medicine of the University of Kelaniya. Faculty of Medicine, Ragama Doctor of Medicine by Research 8.A. Admission & Eligibility Candidature for a D.M. (Doctor of Medicine) degree must be approved by the Board of Study of the Faculty of Medicine, FGS and the Senate. In order to be eligible for admission to the D.M. course, the following criteria apply: Either (a). M.B.B.S. degree from the University of Kelaniya with a First or Second Class (Upper Division) Honors in the final examination and/or in the examination in which the relevant subject is included. Or (b). In the case of a permanent member of the academic staff of the Faculty of Medicine, University of Kelaniya, an M.B.B.S. degree from another university with a First or Second Class (Upper Division) Honors in the final examination and/or in the examination in which the relevant subject is included. Registration & Fees Applicants who have obtained approval of FGS and the Senate, must register for the D.M. Degree within six months of gaining such approval. Thereafter, registration should be renewed at the end of each 12 month period, with the approval of the Supervisor/s, Head of Department, Faculty, and FGS. Registration for the D.M. Degree needs to be done at FGS. 20 A candidate who fails to renew registration before the expiry of three months from the due date, without a valid reason, will be deemed to have voluntarily withdrawn from the program. The registration of a candidate may be cancelled on the recommendation of the relevant Board of Study, due to the following reasons: (a). The information provided by the candidate in the application form is found to be incorrect. (b). Exceeding the maximum duration of the period of study (c). Non-payment of registration fees or other fees within the first three months of the year (d). Non-submission of two consecutive progress reports (e). Violation of rules and regulations of the University of Kelaniya (f). Unsatisfactory academic performance. In the event of the Board of Examiners deciding that the thesis submitted by the candidate does not meet the required standard, and that the thesis needs major revisions, and another viva voce examination has to be held, the total cost of re-examination has to be borne by the candidate. 8.D. Duration & Extensions The period of study from the date of first registration up to the submission of the thesis to FGS is a minimum of three years and maximum of six years. In the case of part-time D.M. students, an extension of one year is possible, totaling seven years for the D.M. An extension of two years beyond the maximum period of study may be granted under special circumstances, on the recommendation of the Board of Study of the Faculty of Medicine, and FGS. However, in the case of part-time students, the extension period will be only one year beyond the maximum period of study. An extension of one year beyond the maximum period of study may be granted under special circumstances, on the recommendation of the Supervisor, Head of Department, the Board of Study of the Faculty, and FGS. With extensions in the case of special circumstances, the maximum duration for completion of D.M. Degree requirements would be seven years. Page 20

Other Guidelines A candidate may undertake paid part time duties related to the topic of her/his research at the University of Kelaniya, with the approval of the Supervisors/s and the Head of the Department, provided such duties do not exceed six hours per week. All requests made by a D.M. candidate must be addressed to the Dean, FGS, with the recommendation of the Board of Study of the Faculty of Medicine. 28 10. Evaluation Procedure, Grading Scheme & Evaluation Criteria 10.A. Evaluation Procedure For postgraduate programmes (Diplomas, Master s level courses) All theory courses, assignments, laboratory courses, research projects, case studies and industrial training will be evaluated according to the criteria given in the syllabus. Each course unit will carry a maximum of 100 marks, inclusive of assignment marks. A grade is assigned to each course unit depending on the student s overall performance in the course unit. The method of evaluation will be announced by the department at the commencement of the particular course unit. Most courses are conducted on the continuous assessment method or a combination of continuous assessments and examinations. A candidate is entitled to receive a transcript giving grades obtained for each paper of the above examination after the confirmation of results by the Senate of the University of Kelaniya. 10.B. Postgraduate Diplomas A candidate registered for a postgraduate diploma must obtain a minimum grade of C in each prescribed course unit with a minimum cumulative GPA of 2.5 to pass a postgraduate diploma. 10.C. Master s Level Degree Programmes [1 year duration] In the case of a Master s degree of 1 year duration, a candidate registered for an M.A. or M.D.S. (Master of Defense Studies) must obtain a minimum grade of C in each prescribed course unit with a minimum cumulative GPA of 2.8 to pass the Master s degree. Part I 10.D. Master s Level Degree Programmes [2 year duration] A candidate registered for the M.A., MAF, MBA, M. Com., M. Sc., M.S.Sc. Degree Programme must obtain a minimum grade of C in each prescribed course unit with a minimum cumulative GPA of 2.8 to pass Part I of the degree program. Part II The research project in Part II will be evaluated through a combination of or components of the following: continuous assessments of progress, presentations, quarterly progress reports, dissertation and viva-voce examination. The percentage weight of each component in the evaluation of Part II will be announced by the department before the commencement of Part II. Page 28

29 The thesis/dissertation should be submitted at the end of the second academic year. Please refer to Submission of Thesis in these guidelines for details. You will be informed by the department whether your performance at the viva voce counts towards your overall grade. A candidate must obtain a minimum grade of B- to pass Part II of the 2 year Master s degree program. 10.E. M.Phil., Ph.D. & D.M. Degrees A candidate must obtain a minimum grade of B- in all components (examinations/seminars/presentations) to be eligible to defend her/his thesis at the viva voce examination. The performance of the candidate at the defence of the thesis (called viva voce) will also be graded, along with the thesis. Candidates must be prepared to defend their theses at the viva voce examination. A 15 to 20 minute presentation has to be made on the essence of their research. They will be evaluated on their performance according to discussion of research objectives, methodology, findings and analysis. Marks will also be given for presentation skills. Therefore, candidates are advised to dress formally, be prepared for the defence with documentary evidence, and convince the examination board of their ability to defend their findings. The thesis submitted by the candidate requires the status of Recommended to be eligible for the awarding of the M.Phil./Ph.D./M.D. Degree. The M.Phil./Ph.D./D.M. degree will be awarded only on completion of all requirements and changes recommended by the Examination Board. In order to be eligible for the awarding of the degree, the thesis must be re-submitted with the Supervisor s recommendation, within the given timeframe. 10. F. Grading System Marks obtained in respect of a course unit will be graded according to the following Table. A Grade Point Value as indicated in the Table is assigned to each grade. Page 29

Re-sit examination for postgraduate programs A candidate who obtains a grade below B- in a particular course unit may re-sit the examination in respect of the course unit for the purpose of improving the grade and the best grade obtainable at a re-sit examination is B-. In the event a candidate obtains a lower grade while attempting to improve the grade s/he will be entitled to claim the previous grade. A candidate is required to pay Rs for re-sitting an examination paper, and Rs. 10, for repeating a laboratory course unit. Candidates who are referred in a laboratory course unit should follow the laboratory course unit again with the following batch of students. A candidate repeating the examination or submitting the dissertation after the due date for 2 year Master s/m.phil./ph.d./d.m. is required to pay Rs. 2, as registration fee for each year of extension. 31 Candidates should re-sit the selected papers in the postgraduate diploma or Part I of the Master s Degree program at the next examination held for that particular course. The maximum number of re-sit examinations permitted will be two for postgraduate diplomas and three for Master s level programs. 10. H. Grade Point Average Grade Point Average (GPA) is the credit-weighted arithmetic mean of the Grade Point Values, i.e. the GPA is determined by dividing the total credit-weighted Grade Point Value by the total number of credits. GPA shall be computed to the first decimal place. Example: A student who has completed three course units each of four credits and two course units each of two credits with grades A, B, C, B and C respectively: GPA = (4 x 4.0) + (4 x 3.0) + (4 x 2.0) + (2 x 3.0) + (2 x 2.0) = = 46 = = 2.88 (to the second decimal place) All the prescribed course units for a program will be taken into account in calculating the GPA for the awarding of a postgraduate diploma or a Master s level degree. 10. I. Criteria for awarding of a postgraduate diploma A student registered for a postgraduate diploma will be awarded the postgraduate diploma if s/he satisfies the following conditions: (i) accumulated 30 credits in the registered course units (ii) obtained grades of C or better in all the registered course units (iii) obtained a minimum cumulative GPA of 2.5 from all the registered course units in Part I. (iv) completed the relevant requirements within a period of four years. Page 31

Criteria for awarding of a Master s level degree [1 year duration] Pass A student registered for a Master s degree program will be awarded the M.A./M.D.S if s/he has I. accumulated 30 credits. II. obtained grades of C or better in all course units and a minimum cumulative GPA of 2.8. Pass 10. K. Criteria for awarding of a Master s level degree [ 2 year duration] A student registered for a Master s degree program will be awarded the M.A./M.A.F./M.B.A./M.Com./M.Sc./M.S.Sc. if s/he has (ii) accumulated 30 credits in Part I and 30 credits in Part II. (iii) obtained grades of C or better in all course units in Part I and a minimum cumulative GPA of 2.8 in Part I. (iv) obtained a grade of B- or better in Part II. (iv) completed the relevant requirements within a period of four years. Merit Pass A student registered for a two year Master s will be awarded the degree with distinction if s/he satisfies the following conditions: i. Accumulated 30 credits in Part I and 30 credits in Part II. ii. Obtained grades B or better in all course units in Part I. iii. Obtained a grade of A or better in Part II. iv. Obtained a minimum cumulative GPA of 4.0 from all course units in Part I and Part v. Completed the relevant requirements within a period of two years. Page 32

33 11. Research Proposal for M.Phil, Ph.D. & D.M. Degrees Candidates should limit their proposals to 8 pages. University of Kelaniya, FGS Research Proposal The purpose of this form is to clarify your research objectives. The completed form will be used to discuss your eligibility for M.Phil./Ph.D./D.M. study at the University of Kelaniya. It follows the standard format of a research proposal; but if you need additional categories, please add them. If you are unsure of what a category means, it is advisable to check the internet for features of a research proposal. Your proposal will provide the basis for your initial meeting/presentation with the Head of Department (HOD) and senior academics of the Faculty you are applying to. 34 12. Transfer from a Registered Program A candidate following a Master s level program at the University of Kelaniya, may wish to proceed to an M.Phil./Ph.D./D.M. degree. In which case, the applicant must fill in a new application form, and follow the guidelines for the new course of study. This is not considered a transfer. A candidate registered for the M.Phil. Degree may submit a request to transfer her/his registration to the Ph.D. Degree through the Supervisor/s, Head of Department, and the relevant Board of Study, to the Dean, FGS during the second year of registration, provided that s/he fulfills the eligibility criteria for admission to the Ph.D. Degree. Such approval will be given by the Senate on a recommendation of the Board of Study of the Faculty and FGS. The candidate s progress will be assessed by an Advisory Committee chaired by the Dean of the relevant Faculty. The members of the Advisory Committee will be Head of Department, Supervisor/s, a senior member of the relevant department, a senior member of the Faculty, and a senior academic appointed from another university by FGS. To recommend the change in status, the candidate will be invited by the Dean, FGS to make a presentation to justify her/his request at a meeting with members of the Advisory Committee. This recommendation will be forwarded to the Senate through FGS. In the event of candidacy being upgraded from an M.Phil. to a Ph.D., the work already done by the candidate would be deemed to have been done for the Ph.D. Degree, from the date of first registration. In the case of Medical Sciences, a candidate registered for an M.Phil. Degree may submit a request of transfer her/his registration for a D.M. Degree provided that, Either Or i. S/he possesses an M.B.B.S. Degree from the University of Kelaniya ii. S/he is a permanent member of the academic staff of the Faculty of Medicine, University of Kelaniya, with not less than three years service, and possesses an M.B.B.S. Degree from a recognized university. Once the candidate is informed of the successful transfer of the application from M.Phil. to Ph.D. level, s/he should register for the Ph.D. within six months of being informed of this decision. In the case of transfer from Ph.D. to D.M., the same rule applies. Page 34

35 13. Supervision & Progress Reports A Supervisor or Supervisors will be appointed by FGS, based on the recommendation of the Faculty Board of Study, for a candidate who is conducting research and writing a thesis at Master s/ M.Phil./ Ph.D./ D.M. level. The Supervisor will be a permanent member of the academic staff, in the rank of a Senior Lecturer or above, with academic qualifications which are equal to, or higher than the degree sought by the candidate. Under special circumstances, Supervisor/s may be appointed from another tertiary institute. The Supervisor will give her/his consent to the Faculty Board of Study or in writing to FGS, as the case may be. If the Supervisor wishes to relinquish her/his duties, the letter of resignation will be submitted through the Faculty Board of Study, to the Dean, FGS. The Supervisor/s will guide the candidate in conducting research according to the norms of academic study at postgraduate level. Regular meetings or interaction with the Supervisor/s are recommended. The candidate needs to consult the Supervisor in the following contexts: I. If financial assistance has been given for any aspect of the research, FGS needs to be informed through the Supervisor/s. II. If the candidate plans to carry out research at an institution other than the University of Kelaniya, a letter seeking permission (written by the candidate) should be submitted to the other institute with the name, signature and designation of the Supervisor, with a copy to FGS. III. Progress Reports of the candidate s performance should be signed by the Supervisor/s and submitted to FGS, by the candidate. Progress Reports are due every six months [the Progress Report form can be downloaded from the FGS website]. IV. Changes to approved topic must be communicated to FGS through the Supervisor/s. V. The final topic/title of the thesis should be submitted for approval of FGS through the Faculty Board of Study, three months prior to submission of thesis. This is to enable the Senate to appoint examiners for the thesis. VI. If the candidate changes the language of the approved thesis, s/he must inform FGS, through the Supervisor/s and Head of Department. VII. If the candidate wishes to change her/his Supervisor/s, the letter must be sent through the Dean of the Faculty to FGS, with a copy to the Supervisor/s. VIII. Submission of thesis requires the signature of the Supervisor/s. IX. If the candidate has not consulted the Supervisor/s, and has not submitted Progress Reports, the Supervisor/s has/have the right to refuse to forward the thesis. Page 35
