1 JOB DESCRIPTIONS [The following job descriptions are intended to be used as samples or templates for developing job descriptions that meet the unique needs of your practice.]
2 PRACTICE ADMINISTRATOR The Practice Administrator reports to the physician. Responsibilities are as follows: PERSONNEL Orient, train, and supervise, in conjunction with the physician, all front-office personnel. Calculate and report to the payroll service the employee hours each pay period. Maintain employee records, including resumes, employment history, salary/wage history, sick leave, vacation time, keys, etc. Participate in and coordinate the salary reviews of all front-office employees. Train new employees on medical software system. FINANCIAL Make sure that the computer is closed out at end of the day and print reports. Prepare end-of-month computer closeout and print reports. Prepare deposit slip at the end of the day. Make sure the daily receipts per computer agree with the deposit slip and the appointment book. Pay accounts payable for the office or assign this to another front-office employee. Reconcile the bank account. Reconcile the petty cash fund on a periodic basis for each office. Keep abreast of Medicare and Medicaid rules and regulations. Send out all patient statements and insurance claim forms. Handle business and insurance carrier correspondence. Reply promptly. Post and reconcile EOBs promptly upon receipt. Analyze accounts receivable and follow up with effective, timely phone calls and collection letters. Follow up weekly on all insurance claims not paid within 25 days. Maintain office business records, including insurance folder, billings and income, and accounts receivable. Furnish information to physician upon request. Back up computer system on daily basis.
3 RECEPTIONIST The Receptionist is primarily responsible for daily appointment scheduling, patient reception, and fee collection for office visits. The Receptionist s responsibilities include the following: Ensure that the reception room is organized, neat, and ready for patients. Greet patients and visitors, determine needs, and respond accordingly. Maintain the appointment book and sign-in sheet. Retrieve and file charts for each day s patients. Prepare charge tickets. Fulfill requests for medical records by insurance carriers. Verify insurance coverage for initial office visits. Comply with all collection policies. Attempt to collect outstanding account balances at the time of appointment, when applicable. Input all charges and payments for office visits BEFORE a patient leaves the office. Follow up on no-shows with a letter or phone call, as appropriate. Handle telephone communications, including confirmation of appointments and requests for prescription refills authorized by the physician. Make sure answering service takes over whenever the office is unattended. Fulfill requests for medical records. Obtain the patient s signature on requests for records to and from other physicians. Assist in filing patients charts. Make copies as requested by the doctor. Stamp and mail outgoing mail daily for your office. Substitute for other staff as needed. Perform other tasks assigned by the physician.
4 NURSE The Nurse is responsible for daily operation related to patient flow, assisting the physician, and maintaining medical records. This person is accountable to the physician. Duties are as follows: Maintain the neat appearance and cleanliness of exam rooms. Ensure that all necessary equipment, instruments, supplies, gowns, and linens are ready for use. Arrange for waste disposal and laundry services as needed. Make sure the office is in OSHA compliance. Inspect patient files to ensure completeness of the clinical record before examination. Escort and prepare patients for examination. Note the patient s complaint. Take weight, height, other vital signs, and medication history when needed. Prepare medications and give injections as directed by the physician. Instruct patients regarding tests. Record and maintain laboratory, X-ray, and other test data in the patient s chart. Upon approval by the doctor, communicate test results to patient. Document interaction on the patient chart. Maintain adequate medical supplies. Initiate orders for replenishment as needed. Fill in and assist other staff during their absence or work overload. Perform other tasks as requested by the doctor. Assist other office personnel when available (i.e., when patients are not being seen in the office and duties have been completed).
