2 Overview of the Surgery We are a 4 partner and 1 salaried doctor training practice, working from purpose-built premises in the pleasant mid Norfolk market town of East Dereham. Just twenty minutes drive from Norwich, we are also within easy reach of Cambridge, Bury St. Edmunds and Ipswich. The practice is currently part of South Norfolk CCG. Our surgery team comprises a full complement of ancillary staff, together with attached Community Nurses, Midwives and Health Visitor. We are fully computerised, using TPP SystmOne network with integrated Appointment System together with an extensive suite of ancillary Microsoft (and other) programmes. Our Financial Team uses Sage Accounts and Iris GP Payroll programmes. The practice operates registration, item of service and pathology service links and is comprehensively furnished with up to date office and clinical equipment. Our Practice currently uses the East of England Ambulance NHS Trust for out of hours services between the hours of 6.30 p.m. and 8.00 a.m. weekdays and all weekend. Our patient list of approximately 9,300, falls within a fairly compact area - extending to an approximate 4.5 mile radius of the town centre. The practice is open every weekday between 8.00 a.m. and 6.30 p.m. Throughout the day there is always a nurse on duty and they are able to assess any emergencies which may arrive when there is no doctor on the premises. The daily duty doctor can be contacted by mobile telephone throughout the day. We are a training practice and we regularly have medical students in the practice as a result of the collaborative work between ourselves and the UEA Medical School. From time to time we also have trainee practice nurses or administrative staff working on the premises. All staff and partners are encouraged to attend external courses and we hold our own in-house sessions on a regular basis for all staff. Attendance at the bi-monthly in-house training is mandatory for all staff and doctors (even if it falls on a day when you would not normally work). Over the past fifteen years we have held five residential training weekend attended by all members of the practice team. Since April 2004 we have offered a range of enhanced and private services from our premises and we opened a dispensary in May 2004 that enabled us to dispense to approximately 1000 of our patients (depending upon where they live in the practice area). The dispensary was superceded by a Pharmacy in 2011 and this is operated by an external company and open for one hundred hours per week. We had our first CQC inspection in March 2014 and were randomly selected from other South Norfolk CCG practices to have a second, new-style CCG inspection in October Both inspections were passed with flying colours and were a reflection on the excellent staffing, facilities and systems that are in place at Theatre Royal Surgery. We feel that we are a happy, efficient and caring practice where all members of the team are encouraged to use their initiative and particular skills to ensure that we offer the highest possible standard of care to our patients.

3 Job Specification One of our receptionists will soon be leaving to have a baby and taking twelve months of maternity leave. We are seeking an enthusiastic, fully committed person to join our professional team of full time receptionists for a twelve month contract. The successful candidate will need to be computer literate and experience of working in the NHS (particularly in General Practice) would be an advantage, although training will be given. They must possess a pleasant, calm, mature disposition and be able to work enthusiastically as part of a very busy team, using their initiative and confidence to provide a first class service to our patients. We expect the person appointed to be well-spoken, of smart appearance and to have achieved a good standard of general education. They must be conscientious, adaptable and have a good sense of humour. To prevent a conflict of care between employer and possible medical need, the successful candidate will be required to register with another practice (if currently registered with us). Line Manager and Rotas. Responsible to the Reception Team Leader (when the Team Leader is on duty) and to the Assistant Practice Manager in their absence. Type of Post and Holidays. The post will be salaried and for a period of twelve months. There are five weeks of holiday per annum (plus Bank/Public holidays), pro rata depending on date of appointment. The holiday year runs from 1 st January and holidays are booked on a first come first served basis. Leave not taken cannot be carried forward to the following year. Popular holiday periods may have to be allocated on a rotational basis if demands exceed possibility. Any reasonable periods of leave with proven confirmed bookings at the time of taking up this post will be honoured for the current year. Salary & Pensions The salary for this post will be 6.50p per hour. The post is superannuable through the NHS Pension Scheme. The surgery also operates a Group Collection Personal Pension Scheme through Aviva plc to which employees are welcome to contribute. Our stakeholder pension provider is Natwest Bank plc. Training There will be a full induction programme and regular in-house team training. All staff are required to attend in-house training sessions unless on sick leave or annual leave, regardless of whether the training session occurs on one of their working days or not. Hours of Work The weekly hours of work are 36 hours over 4 days (Monday 8.00 a.m. to 6.00 p.m., Tuesday 8.30 a.m. to 6.30 p.m., Wednesday 8.30 a.m. to 6.30 p.m, Thursday 8.00a.m. to 6.00 p.m., Friday day off). No member of staff can work longer than 6 hours without a statutory 30 minute break (the usual lunch break is 1 hour). Morning coffee and afternoon tea breaks are usually 15 minutes. DBS Check The post holder will be required to undergo a DBS check before the appointment is made substantive.

4 Job Description To deal courteously and helpfully with patients and any member of the public who may visit or telephone the surgery. To be fully conversant with any surgery protocols and policies that affect the reception team and, where appropriate, the wider practice team. To answer the switchboard efficiently and politely and en-route calls as appropriate. To understand the switchboard auto-attendant system. To understand the patient self arrival process. To make appointments for consultations, clinics, representatives or other visitors and to have accurate understanding with the booking arrangements for each doctor and the nursing team. To understand the booking-in procedure for visitors to the practice (i.e. completion of Visitor Log, issue of Visitor Badges, signing out etc.) To be familiar with the methods employed in dealing with emergency, urgent, immediate & necessary, temporary and assessment patients. Be able to generate repeat prescriptions, pass to relevant doctor and ensure that the signed prescriptions are checked and sorted into boxes for patients or their nominated pharmacy to collect. To follow the surgery protocol for listing all visits and telephone consultations on the computerised visit and appointments screen. To maintain a tidy efficient reception area. To ensure that the doors in the building are unlocked, the waiting room blinds are open, the waiting rooms are lit and ventilated before unlocking the doors at 8.00 a.m. On a rota basis, to check the three waiting rooms at least twice a day to ensure that they are clean, tidy and appropriately ventilated and lit. To complete the checklist ensuring compliance. To keep the reception area stocked with the necessary forms and stationery and inform the member of staff responsible for ordering, any stationery requirements. To be familiar with the practice boundary and current registration procedures. To understand and be able to implement the procedure for passing messages to the Practice Management Team, Community Nurses, Midwife, Community Psychiatric nurse, Health visitor and any other attached health care professional. To ensure that the telephone bypass is set up for the Out of Hours Service at the end of each day. Ensure the exterior doors are locked and the patient arrivals screens are switched off at the end of the working day. Ensure that all reception computers and monitors are switched off. Ensure that the fax machine is left full of paper at the end of the working day. Make sure that the box containing the staff smartcards is locked in the server cabinet. Any other duties at the request of the Partners, Practice Manager, Assistant Practice Manager or Reception Team Leader.
