2 Production manual Data delivery Our workflow systems support the data supply of print ready pdf files. Via our 24x7 user-friendly workflow management systems you can, depending on production deadlines, submit your production data, review and release to production. Our workflow management systems with integrated preflight service have Web upload and FTP data transfer capabilities including web approval tools. Contact your order manager about the possibilities in this respect. PDF creation and checking We can process your pages easily if you provide them as PDF1.3 according to the Ghent PDF Workgroup specifications. Read more on page 3... What further conditions should the page layout comply with? In addition to the GWG specifications pages should comply with order-specific characteristics. The Roto Smeets guidelines give practical specifications for setting up the layout, dimensions, text and version change, document structure and file name. Read more on page 4... Colour management We conform to the colour profiles of the ECI to the extent that they are available for the various classes of paper. In practice it has been proven that very high quality can be achieved by using these profiles that are based on ISO standard Read more on page 7... Proofing - matching To ensure quality, there will be, prior to the first production by the supplying prepress company, a matching test with the Roto Smeets printing house. In addition, Roto Smeets has various soft proofing options to assess the start of production and release of the submitted.pdf data online. Read more on page Workflow system Roto Smeets has a wide range of automated data delivery facilities for your print-ready.pdf files and address processing files. It is not necessary to pre-compress (zip) your files. Read more on page
3 PDF CREATION AND CHECKING Roto Smeets accepts pdf files under the following conditions: Graphic content and file name meet the Roto Smeets guidelines. Text should be in fonts or letter contours and delicate line art should be created in vectors. PDF has been visually checked in Adobe Reader 9 or higher and with overprinting set active. PDF contains a trimbox equal to the trimmed size. The preflight application approves the PDF using the Ghent PDF Work Group profile specified in the printing order. What are the Ghent PDF Workgroup specifications? The Ghent PDF Workgroup (GWG) is an international platform for the development of process specifications for graphic workflows ( How can I apply them in the page layout? The GWG specifications are available as settings for the best-known graphics applications. You can download them, install them and start producing them here. Within an application (e.g. Adobe InDesign), the pages are formatted using all available features (including transparency and layers, for example). The GWG settings ensure that the output is written as PDF 1.3 and that most of the graphic characteristics fit the market segment in question. How do I know it works? Complete certainty about the correct workability can be obtained by checking the pdf with a preflight application, e.g. Acrobat and Enfocus PitStop Preflight, loaded with the relevant GWG settings. These specifications ensure reliable production from photographer to printer. This is done by setting practical requirements for various graphical features. The current GWG specifications are based on PDF/X-1a, the ISO specification for graphic application of PDF 1.3 The specifications are subject to a distinction between various market segments, which are relevant for Roto Smeets: SheetCmyk_1v4 sheet offset; SheetSpotHiRes_1v4 sheet offset; WebCmykHires_1v4 web offset and gravure; WebSpotHires_1v4 web offset and gravure; MagazineAds_1v4 advertisements; How do I get the specifications? The current GWG PDF specifications can be downloaded from our website. Overprint control For certified PDF1.3, the proof must be made to conform to the PDF/X overprint standard. This can be checked with pdfxoverprint-expert.eps for example. You can download the control strip and the manual from no PDF/X overprint PDF/X overprint ok 3

Data layout one page per file. all pages of an order should have the same trim size, type area, bleed and registration marks settings. type area minimum margin: top, side and bottom 5 mm, spine 8 mm. bleeding-off order: centred page, bleed 5 mm, centred registration marks offset 5 mm. non-bleeding-off and untrimmed order: page centred; 5 mm white margin at top, side and bottom with respect to the printing size; a minimum of 8 pt offset; centred registration marks. the specifications for type area, bleed and registration marks also apply to advertisements of all sizes. Image loss perfect binding products For perfect binding products it should be taken into account that there is loss of image in the middle between cover page 2 and the first page of the inside. If there are continuous images and/or text these should be taken into consideration. See the following illustrative examples For more information contact your order manager. 5 WHAT FURTHER CONDITIONS SHOULD THE PAGE LAY-OUT COMPLY WITH? Minimum dimensions line work Line thickness in single colour for offset: 0.10 mm. Line thickness in single colour for gravure: 0.15 mm. Line thickness in multiple colours: 0.20 mm. Positive text in single colour: 6 pt. Positive text in multiple colours: 9 pt. Negative text: sans serif, 9 pt bold, serif 12 pt. Colour overlap ( trapping ): 0.05 mm (0.144 pt). Maximum colour value fonts The maximum CMYK colour value is 240%. Black fonts in colour print preferably assemble from CMYK = %. Text changes Web The varying pages are supplied as complete full colour files, such as for a single edition. Text changes Gravure and Sheetfed Offset Pages are preferably provided as base + text. Base contains all the non-changing items. Text contains changing text and vector line work. The data lay-out of base and text should be exactly equal (trimmed size, bleed and crop marks).. File names for print-ready data A consistent naming of files is important for the automated processing of your files. The file names should be agreed in consultation with the printing house. Permitted characters are letters, numbers, hyphens (-) and underscores (_). Spaces or special characters (,?/*\({ >=#: ) are not permitted, The page number should preferably come after and be marked as _p. The number of digits is equal to the highest page number of the print order. The file type extension is required. - PDF.pdf - TIFF.tif - TIFF/IT.ct (only Gravure) - TIFF/IT.ct,.lw,.hc,.fp of.ict,.ilw,.ihc,.ifp (only Gravure) Sample prefered page naming convention Default naving convention: order_identity_p001.pdf Correction pages: order_identity_p001_c1.pdf ( 1st corr.) order_identity_p001_c2.pdf ( 2st corr.) 7 COLOUR MANAGEMENT For offset Roto Smeets conforms to the available ECI profiles, which are based on ISO You can download this from our website. Therefore, use these profiles for colour proofing and colour conversion from RGB to CMYK (recommended relative colorimetric rendering). A paper tint simulation is included in the colour profiles. Within one class of paper, however, in particular regarding LWC paper, significant differences may occur in paper tints, and these can also give different nuances in different proof systems. For gravure Roto Smeets recommends the company s own profiles. You can download these from our website. Furthermore, it is possible in cooperation for data and proofs to be supplied according to the PSR standard (Rotogravure Process Standard). The use of colour profiles does not guarantee that your proof corresponds to our print result. It is therefore necessary to arrange proof coordination with us (see page Proofing and Matching ). Furthermore, it is imperative that you place on each proof a FOGRA MediaWedge 3.0 ( and an overprint control strip: pdf-overprint-expert.eps (see page PDF creation and control ) Below is an overview of the different paper grades and the application of colour. You can download the different profiles from our website. 8 COLOUR MANAGEMENT For critical colour reproduction the use of a correct colour profile is required both for the colour conversion from RGB to CMYK and hardcopy proofing and soft proofing. The profile varies according to the printing process (sheet fed offset, web offset, gravure) and paper type. If this information is not available, ISOcoated_v2_300_eci.icc can be used as the colour profile, but it must be borne in mind that colour variations may occur when using anything other than coated paper. CMYK image composition The maximum colour value of a CMYK image according to the colour profiles on is: 340% for gravure on all papers. 330% for sheet fed offset on WFC. 320% for sheet fed offset on Uncoated. 300% for web offset on WFC and LWC. 280% for web offset on MFC. 270% for web offset on SC. 260% for web offset on Newsprint. Detached image: tone value on the edge for offset at least 3%, for gravure 5%. Register sensitive images should comprise the minimum process colours, e.g. herringbone suits in black only. Images for gravure printing on uncoated paper should be produced in skeleton black in accordance with the ICC profile RSgravureSC, sepia-like images are also skeleton black, according to the following table. 9 COLOUR MANAGEMENT Information on paper class offset description The various types of paper are classified on the basis of properties into paper classes. Based on the properties of the paper class different colour profiles are available that you can download from the RotoSmeets / RSGrafiServices and Senefelder websites. This document gives guidance on the paper classification abbreviations used. Here is an overview of the abbreviations. Description of various paper classes WFC: wood-free mc available in gloss (satin), silk (silk) or matt finish. This paper consists of cellulose, obtained from chemical pulp. A coating is applied on both sides and double calendered. This coating layer consists mainly of china clay and binding agent. As a result the printing quality is improved. It is therefore the most attractive white paper type that exists. Also this paper yellows at a slower rate. In the lighter weights below 90 grams translucency, also called opacity, plays a major role, especially for jobs with a heavy ink coverage. LWC: wood-containing and light wood-mc These papers consist mainly of mechanical pulp, usually with of a limited proportion of chemical pulp. If the proportion of pulp is under a certain percentage, which means a large addition of chemical pulp, then we speak of light wood-containing paper, also called super white. This paper is available in a gloss and matt finish. 9
10 COLOUR MANAGEMENT In this paper group fall: light wood containing satin/silk/mat; practical wood free satin/silk/mat; wood containing satin/silk/mat extra white; wood containing mc recycled extra white. MFC: machine finished coated/film coated This paper group contains wood-containing lightly coated mfc with bulky properties It feels heavier/thicker than it actually is. This is an LWC with a light coating layer. The paper is less shiny, but cheaper. The coating is applied inline on the paper machine. SC: super calendered This is a coated paper of wood-containing (mechanical pulp) quality, super-calendered resulting in a smooth and glossy paper. The disadvantages are weakness and reduced runnability (speed that the paper runs through the press). Higher grades of glossy paper contain increased percentages of chemical pulp, resulting in a higher level of brightness. This group includes in ascending order of brightness and costs: SC-B SC-A SC-Cat SC-Cat + INP: improved newsprint (ISO 65 and higher) This is an uncoated paper, made mainly of mechanical pulp, usually with a percentage of recycled pulp and sometimes chemical pulp. This paper group includes improved newsprint paper and wood containing offset recycled extra white. It is a simple type of paper in a wood containing composition or recycled. The difference with standard newsprint is that improved newsprint has a higher whiteness and a less open surface (resulting in less ink absorption into the fibres of the paper). SNP: standard newsprint: this group includes improved newsprint paper (up to ISO 65) Standard newsprint contains little or no chemical pulp and mechanical pulp is composed of a variety of woods from which lignin is not chemically removed. The lignin causes the paper to become rapidly yellow and brittle when exposed to air and/or sunlight. Traditionally, newsprint is made of fibres from different types of softwood trees (mostly spruce, fir, balsam or pine). An increasing percentage of newsprint is made from recycled fibres. WFU: wood free uncoated: This group includes wood free offset paper In almost all paper types cellulose and wood form the basic raw materials. The ratio between them determines whether it is a wood-free or wood-containing paper type. When using a little wood and a lot of cellulose we speak of wood-free and vice versa, of wood-containing paper. Wood-free papers are a little less rough and slightly whiter than wood-containing grades. 10
11 PROOFING MATCHINg Colour proof matching with Roto Smeets edition Prior to the production run the supplying prepress company carries out a matching proof when the prepress company delivers to a Roto Smeets printing house for the first time. The procedure is repeated if, compared to existing specifications, at least one of the following conditions is changed: printing process; paper class; pre-press company; sort data; quality of the proof. For tailoring the proof to the reference edition for offset or gravure Roto Smeets implements the following procedure: The prepress company will contact the printer for a reference proof. The prepress company downloads from the relevant colour profile and VisualCMYK.pdf. You can download it from our website (see page Proofing and Matching ). The prepress company offers a matched sample of VisualCMYK.pdf in duplicate. The printing company authorises and returns a proof. Colour proof matching through GMG server This method only applies for gravure orders as the proof for a good reason cannot be matched to the Roto Smeets gravure reference. The prepress company downloads the VisualCMYK.pdf and ECI2002.pdf testpage from our website. Please also include proofs of both PDF s with the production. 11
12 WORKFLOW SYSTEM Mediaportal data delivery Our media portal workflow system supports both FTP and web upload data delivery. Using your personal login you can deliver and view data. Immediately after delivery the technical specifications of your PDF s will be automatically checked by our preflight service. If our preflight service detects technical errors, you get an error message. Files in which technical errors are found do not automatically go into our workflow and you will need to either re-deliver them (correction page) or manually approve them online. The content control of the supplied PDFs is always your responsibility. Consistent naming of files is important for the automated processing of your files. In the event of inconsistent naming the workflow system will provide reports that the pages cannot be processed. Before naming please read the advice on page 5 of this manual. Content control and page release If unexpected errors are detected the Roto Smeets media portal offers the possibility, during the delivery of your production data, of reviewing preflight results of delivered pages in our online media portal and manually releasing them for production as required. In addition, Roto Smeets has online proofing possibilities for your processed and optimized page, where you can check the page content, and if requested release for production. In principle, our workflow is automated to such an extent that within minutes after delivery through our media portal, data supplied by you can be reviewed and approved in our KODAK INSITE Prepress Portal. So you get immediate feedback on your page-delivery from our media portal or Insite proofing system. The automated process requires precise file names, however, so the system can process the pages automatically. If you find a mistake on a page, you can reject the data and in consultation with production location send a correction page. In all cases please contact your order manager. Address processing SMart Online Our Mediaportal supports automated address processing through our own in-house developed Smart Online module. Guidelines for address submissions General All Roto Smeets branches are equipped to process digital address files for printed direct mailing. All materials such as mailing lists, roll container cards, pallet cards and labels can be produced in this way. Dutch addresses can be sorted to meet the requirement of various mail carriers, including PostNL and Sandd. Sorting expertise is also available in-house for international mail carriers. Sorting requirements, including those of Deutsche Post (Infopost and Pressepost), bpost (Belgium), Swedish Post and Bring Citymail (Sweden), can be accommodated subject to prior agreement. Submission method The safest way to submit address files is via the Roto Smeets MediaPortal. This can be done directly via the website ( or via ftp (ftp://ftp4.rotosmeets.com). To improve security, the files are linked directly to a current publication and submissions are only possible via a unique login provided to each client. For submitting address files, the Roto Smeets Mediaportal uses a secure HTTPS connection for added security. Please contact your order manager for further information and to set up an account. 12
13 WORKFLOW SYSTEM Address files should be submitted at least three days prior to the deadline for start addressing during production. Non-standard sorting requirements or pre-notification requested by some mail carriers may require earlier submission. Specifications for file formats and content ANSI/ASCII-text (*.txt): fixed field length or separated by TAB, pipe or semi colon..dbf files (dbase), with prior agreement. Excel files ( Excel 2002 version or higher) may be supplied, subject to prior agreement. Maximum record length: 1,000 characters. One address per line/record/row. All fields to be used should have a fixed position for each address. Under normal circumstances zipping data should not be necessary: standard ZIP-files (i.e. not password protected, no zipped folders and no hidden files) will be processed without incurring additional costs. The maximum number of printed characters per line and the number of lines is dependant on the available print space. A maximum field length of 35 characters is preferred. Fields that cannot be printed within the available space will be split or truncated at a fixed point. If applicable, supply the number of copies per address in a separate field. If foreign addresses are included: Add a field containing the country name, or ISO country code, to all addresses. If addresses need to be sorted by postcode, the postcode needs to be supplied in a separate field. Prior to the first submission or where changes are required: For the very first submission, or in instances where the file structure has changed, test files should be provided in advance, in order to judge the workability. Send a clear description of the file contents (including maximum field length for delimited or Excel files) well in advance, and indicate the fields that have to be printed. Inform us about the sorting method, mail carrier, distribution method, product code etc. or changes to any of the above prior to supplying addresses or test addresses. If the return address also has to be printed on the mailing, provide us with a complete return address. For every submission: Provide the number of records per file via (see below for branch-specific ) so that this can be verified during processing. Roto Smeets cannot be held responsible for the contents of the address files supplied. How do we keep your data secure? Roto Smeets appreciates that your address files contain important personal information. We take every step possible to prevent misuse of this information. On completion of printing, the address files supplied will be deleted from our system immediately to ensure that these are not stored unnecessarily. Our systems are also protected and only the Roto Smeets employees responsible for processing the addresses can access your files. The servers on which your data is stored during production are housed in a locked, climate-controlled and secure room, which can only be accessed by essential personnel.
