4 Flavour of the local area The School is situated near one of Southend s many attractive Victorian conservation areas. The area benefits from being very close to the lively Southend town centre as well as a short walk from the attractive Cliff Gardens and the seafront. Southend is a lively, thriving town with seven miles of seafront (with a number of Blue Flag beaches), the world s longest pleasure pier (1.25 miles in length!), a busy shopping centre, many diverse places to eat and drink, a world class diving and swimming centre and plenty of cultural offerings including two theatres and a number of museums and galleries. The town also benefits from a wide range of excellent schools and colleges as well as being the home of one of Essex University s campuses. Southend also benefits from superb transport links, including excellent road links, two rail lines going into London (which is less than an hour away), and our rapidly developing London Southend Airport which flies to a growing number of destinations throughout Europe.

6 JOB TITLE: Administrative Assistant/Receptionist NJC SCALE RANGE: [Band 3] Range Responsible to: Office Manager Purpose: To support the smooth running of the School by providing efficient, courteous and professional administrative support and receptionist services Clerical/Administrative: To provide general administrative support as required; directed by the Office Manager and to carry out all duties efficiently and to a high standard Duties include: To receive and deal with enquiries from parents, staff, students and governors both over the telephone and in person To liaise with Data Manager to ensure student records are kept up-to-date To input and ensure the accuracy of data onto the computer To provide assistance with first aid as required To assist with parental contact when students are absent To effectively use SIMS, desk top publishing and word-processing/ typing facilities to ensure the production of letters, reports and documents, as required To operate and maintain appropriate databases and spreadsheets To assist staff in arranging visits as required To call the on-call teacher to go to requested classrooms as required To be responsible for maintaining the on-call log To take minutes of meetings, as required To maintain a stock control system and order goods, as necessary To undertake administrative duties arising from the ordering of items relating to postage To undertake administrative duties, as required, relating to and arising from the recruitment of staff To undertake filing, photocopying and distributing forms/letters as required To send and receive faxes as required To be responsible for the sorting and distributing of incoming mail, including electronic, and the sending of outgoing post To offer support to teachers for various things including locating staff, students etc. Accessing information on the management information system for telephone numbers and contact details To collect and issue receipts for other monies as required, including uniform, trips and photographs Reception: To operate a Reception Service that promotes a professional image of the School. Duties include: Processing telephone calls and ensuring appropriate action is taken in a timely manner To be responsible for maintaining a telephone call log Ensuring that face to face enquiries from visitors, parents, staff and students are dealt with appropriately Greeting visitors and ensuring security arrangements are always complied with, including the issue of Visitor s Badges and signing of the visitors book Providing hospitality for visitors to the School as required Trouble shooting problems/issues for parents Making calls to parents/carers at the request of teachers Operating standard office equipment, e.g. fax machine, franking machine and photocopier Accepting and signing for deliveries as appropriate
