2 Purpose of this Document This document is a guide through Optum Physician EMR s Practice, Clinical and Setup tabs in the Administration Module that are relevant to using eprescribing and the Prescription Writer module in the medical record. What you will learn and be trained for is: The required setup functions to ensure appropriate access to features and functionality for operators Optional setup features and functions to customize your Optum Physician EMR company 2

3 Pre-requisite Recorded Trainings and Task The following tasks are required before proceeding to eprescribing administration setups: View trainings: eprescribing Clinical Encounter QuickPicks Go to HELP Training Recorded Training and complete the following training (or register for live instructor led webinars at HELP Online Training) Also, view the SnipIt related Trainings EHR Roles SnipIt training Complete the EMR Training Task Workbook for eprescribing or complete eprescribing section of the EMR Training Task Workbook. 3

4 Surescripts Enrollment The following tasks are required before providers will be able electronically prescribe with Surescripts: If the provider is currently using another company to electronically prescribe they will need to send a date that they will end their enrollment with that company. Submit ToDo EHR Enrollement erx Activation for each provider who will need to be enrolled in Surescripts. The following information will be need to be included in the ToDo for EACH provider: Provider Name Practice Name Practice Address Phone and Fax Number DEA Number NPI Number Date of Activation Note: Allow 5 to 7 business days to complete. If Surescripts has to change enrollment then time to complete enrollment may take longer. 4

6 Clinical Encounter An encounter is an interaction with a patient on a specific date at a specific time and includes visits, phone calls, renewal requests, results and more. Optum Physician EMR provides the ability to create custom encounter types as replacements to the standard encounter types For comprehensive training: Refer to HELP Training EMR Clinical Encounter 6

7 Prescription Message Printed prescriptions can have Printed from EMR" or other message displayed. Confirm with your EMR Implementation Specialist or EMR Support option has been activated. Go to Administration Clinical Tab System Administration column Maintenances section Prescription Message 7

9 Copy Provider Favorites Optum Physician EMR provides the ability to copy provider favorites from one provider to another within the same group One provider in the company can create their favorite orders and use the Copy feature to share favorite orders with all other providers Individually each provider can then customize his / her own favorite order lists This can be used to decrease set up work and facilitates standardized utilization. Go to Administration Clinical Tab System Administration column Maintenances Copy Provider Favorite link 9

Select the provider who has already created favorite list from the drop down Select the provider to copy favorite to Check Select Categories to Copy Click Save NOTE: If the copy TO provider already has favorites on his/her medication order list; these will be duplicated if the copy FROM provider has the same e-prescription orders 10

11 Provider Screening Severity Level By default, providers are notified whenever an interaction screening check results in an interaction with a severity level equal to or greater than the preset severity settings The preset severity setting for individual providers can be modified Providers are alerted only if the interaction's severity level is greater than the severity level set If a check results in an alert, the provider can then either take the necessary action to avoid the adverse reaction or override the warning An entry is logged in the clinical log to indicate that the interaction check was acknowledged This screening is required to meet the MU Drug Interaction Checks 11

12 Provider Screening Severity Level To edit the default screening levels for provider: Go to Administration Clinical Tab System Administration column Maintenances Provider Screening link 1) Select the provider for whom you want to create settings 2) Then use the drop down to select the Screening Severity Levels for ADE, DFA, and DI: Zero [ 0 ] Minor One [ 1 ] Moderate Two [ 2 ] Major See next slide for suppression options 12

13 Provider Screening Severity Level Select Yes or No next to each of the remaining interactions or precautions; a Yes selection means the provider will NOT see that item: E.G. YES, Suppress this information. Drug to Allergy (PAR) Screening Results (Select NO, do not suppress for MU) Precaution Screening (PRC) Results Potential Abuse Duplicate Therapy (DT) Results Non-Abuse Duplicate Therapy (DT) Results Click Set Defaults to save changes Before changing default; allow all providers to see All screening. Only edit after eprescribing has begun and provider gives direction on screening needs NOTE: To meet the meaningful use requirement for drug interactions you must allow information from the Screening Severity Levels (ADE, DFA, DU) and Drug to Allergy (PAR) to be presented to the provider. Also if prescribing compound drugs best practice is to allow all screenings. 13

14 Provider Signature Maintenance The provider s electronic signature can be automatically added to some Optum Physician EMR printed documents. Usually, the first place it is used is in the Prescription Writer. 1. Go to Administration Clinical Tab System Administration column Maintenances Provider Signature link 2. Click + Add New Signature 3. Print the Optum Physician EMR Template 4. The Provider writes his/her signature inside box 5. Scan/upload to desktop 6. Browse desktop for the signature file 7. Check off Recognize signature 8. Complete remaining fields 9. Click Save NOTE: Provider should select his/her own PIN (Personal Identification Number) 14

15 Quick Pick Pharmacies Practices can have practice default pharmacy drop-down list Options available in a drop-down list are built for each practice and are group-specific Go to Administration Setup Tab Financial section Quick Picks Select Pharmacies from drop down Enter name of pharmacy and click Search icon Fill in more search criteria to narrow the list displayed Click on NAME to add local pharmacy to quick pick list When a medication is ordered; the patient s preferred pharmacy will be listed above the Quick Pick list of pharmacies 15

17 Conclusion & Next Steps - 1. You should have completed either the live or recorded training session for eprescribing 2. Be sure you have completed all of the sections of the EMR Training Task Workbook for eprescribing or the section for eprescribing in the EMR Training Task Workbook 3. Your Administration setup activities for eprescribing module can now be completed 4. Next, you should discuss/review your setup activities with your implementation specialists during your next weekly status meeting 5.
