This document explains how to use BizMailChimp. Dynamics CRM 2011 version is used to prepare this document. Some features may not be included in CRM 4.0 version and you may not find these screens on CRM 4.0 platform. We assume that installation and configuration is completed successfully and BizMailChimp is ready to use. You can visit for Installation Guide Page 1
2 Features Campaign Features Easily create the message that s right for you and customize it to make it look like your brand Ability to paste your custom HTML designs inside Microsoft Dynamics CRM. You can select saved Mailchimp template for content inside CRM Upon creation of a campaign activity in Microsoft Dynamics CRM, our plug-in will automatically push the campaign activity with the marketing list (and associated contacts/leads/accounts) into MailChimp. You can set Mailchimp campaign sending options inside CRM campaign section. List Features Build and grow your own list Create marketing lists inside Microsoft Dynamics CRM and have them automatically created/synchronized in MailChimp. Anytime you update your marketing list in CRM, it will be updated in MailChimp Add/remove members(contacts) via the marketing list and that also will be done automatically. Automatically lead record is created for new subcribers Option to Disqualify unbounced or unsubscribed lead. Tracking Features Track your results with Advanced Reporting Get actions as campaign responses as Url Clicks, Opens, NotOpens, Bounces, UnSubscriptions, Complaints etc. Historical data. We provide the ability to synchronize all the historical information inside MailChimp pertaining to an campaign back into Microsoft Dynamics CRM. You can track your campaign on CRM even if you did not create on CRM, you can bind campaign which created and sent from Mailchimp When you finished the campaign, you set the status as completed and all not opened actions created as a campaign responses on CRM Technical Features Easy to setup and installation You don t need to install application on your CRM server Page 2
3 Understanding List Structure In Mailchimp, every subscriber is member of a group and every group is member of a List, for segmentation. Lists > Groups > Subscribers In Dynamics CRM, there is a standart marketing list which groups subscribers. List > Subscribers When you run sync process, a group created inside MailChimp list, already selected Mailchimp list during the BizMailChimp installation. Your Dynamics CRM Campaign ID and Campaign Name will be used for group name. Creating Campaign on CRM Login to your CRM create a campaign on Campaign section. Set Campaign Type as Marketing. If you want to send test then set Status Reason as Testing then save Page 3
4 Add target Marketing list to the Campaign which you created marketing list before on CRM. Each marketing Campaign should have an Marketing Builder which includes marketing fields. So after saving campaign, click Marketing Builder field and create a new Marketing Builder. If you want to use an existing content, please do not use the existing Marketing Builder record. We suggest create a new one and copy the old content in to the new one Page 4
5 Marketing Builder fields are mandatory and should be filled properly. Subject : subject From Sender address From Name : Sender Display Name Test addresses separated by semicolon who test will send Page 5
6 You can easily paste your content as HTML inside content section or you can choose Mailchimp Template that you already saved on Mailchimp as user templates.(note: if you choose template, content section is omitted.) Also you can set Mailchimp campaign sending option like auto-post twitter/facebook as you see on Mailchimp campaign page. Click Save and Close the builder form. You will see the saved builder record on marketing builder field at the campaign as shown below Now your campaign is ready to send. The next step is running BizMailChimp application and start synchronizing. Scheduling Campaign If you want to schedule your campaign, you should select sending date&time into Actual Start Date on Campaign form. When you set this time, the campaign will be send on scheduled time. Create Campaign on CRM and Send to Mailchimp Run BizMailChimp by clicking shortcut where installed computer. You should have validated, configured your CRM connection and marketing settings before starting sync Page 6
7 When you click sync button you will see the process status on status bar Page 7
8 When sync has finished, you will see the campaign status returns Ready to launch from testing on CRM. It means test sent and campaign is ready to send. Set campaign status Launched and push BizMailChimp sync button again to start sending campaign to Mailchimp. During the sync, marketing list members which selected campaign s target marketing list synchronize with your Mailchimp list. Then send the campaign . The last step is to collect all stats for sent campaigns from Mailchimp into CRM. When sync finished, if you open the campaign, you will see the campaign ID and campaign Archive URL populated on your CRM. You should see the same campaign on Mailchimp dashboard as below Page 8
9 Also all campaign cumulative stats can be visible inside CRM campaign form. Clicks, Opens, Unique Opens, Bounces, Forwards, Unsubs counts etc. These values are cumulative and updated on every sync process. Even all campaign has been completed, all these stats and campaign responses collected and updated by BizMailChimp. When you open campaign responses tab on CRM for specified campaign, you can see all actions as campaign responses. Responses can be Url Clicks, Opens, NotOpens, Bounces, UnSubscriptions, Complaints etc Page 9
10 Campaign response is related to lead, contact,account and campaign. So you will see these responses while browsing a lead, contact or account form. These responses can be analyzed graphically by Campaign performance report. As you see above, all campaign user actions created as campaign response with detailed information clicked url etc. When you complete a campaign and set status as Completed, all not opened actions will be added as new campaign responses in CRM Page 10
11 Create Campaign on Mailchimp and track in Dynamics CRM You can bind and track campaign which you already created and sent on Mailchimp. You can use this option in case you want to track your old campaigns on Mailchimp. Follow these steps to do this Create campaign on Mailchimp and send it (you should already know how to do it) You can use Mailchimp templates and create nice s using Mailchimp. Create a new campaign on CRM, add marketing list and add marketing builder on it as described above. Keep in mind marketing campaign needs an Marketing Builder which keeps message parameters. Run BizMailChimp and start sync button for bringing the latest campaign records. When you open Reference windows, you will see sent campaign records from Mailchimp. Select related Mailchimp campaign from marketing builder Reference Picklist. Choose Mailchimp campaign and save the builder. Also don t forget the complete required fields at builder form on CRM Page 11
12 After running BizMailChimp sync again, you will see the binded Mailchimp campaign stats and campaign actions on CRM as below. Also campaign actions created as campaign Responses on CRM Page 12
13 Advanced Reporting and Tracking BizMailChimp gathers tracking statistics and activities from MailChimp into Dynamics CRM. These stats are tracked against the campaign as well as the records of the recipients in CRM accounts, contacts or leads.
