Integrated workforce management solutions eliminate redundant data entry saving time and improving productivity. Working from a single version of the truth, managers have accurate, updated information and can make more confident day-to-day operational decisions and long-term plans. Integration is a prerequisite to providing managers with accurate, timely information for reporting and analytics. Integrated workforce management suites that allow organizations to start with just the functionality they need, and snap in additional, pre-integrated capabilities as new requirements arise, offer a pragmatic way to reap integration benefits. Many small and mid-size organizations (50 to 999 employees) have taken a piecemeal approach to workforce management solutions. As organizations grow, they typically add different applications, such as time and attendance, payroll, scheduling, HR or benefits, to address different needs when they arise. But as the number of employees grows, so do workforce complexity and data volumes. It becomes cumbersome to manually import and export data among different systems. Time and productivity gains compound, and the potential for error multiplies. Both managers and employees become frustrated that they can t get information when they need it. And managers struggle to get the information they need to make more confident operational and strategic decisions. At some point, these problems turn into business liabilities. Overtime costs may spiral out of control. Scheduling turns into an around-the-clock job. Different systems provide different glimpses of data, but no one can pull together an integrated, accurate view. When information is shared in spreadsheets, the risk of noncompliance with government regulations rises. So it makes sense that as small and mid-size organizations grow, integration becomes a more important priority (Figure 1). SECTION 1: THE WORKFORCE MANAGEMENT INTEGRATION CHALLENGE When companies are very small, they often rely on manual processes and spreadsheets to manage many workforce management tasks. As the employee headcount grows, some of these tasks become too difficult to manage manually. Often, organizations start adding applications to address pain points on a piecemeal basis. Although these applications may solve the problem for one specific area such as payroll or time and attendance it doesn t take long for many organizations to end up with a disparate collection of apps and manual processes. At this point, managers and supervisors are likely to waste time and make mistakes while manually reentering data into different systems. Getting accurate, reliable information and reports for decision-making can become a Herculean task. Things start falling through the cracks because the different applications and processes don t talk to each other. Unfortunately, integrating multiple applications that were never designed to share information in the first place isn t easy. One-off, custom-coded integration options are costly, time-consuming and difficult to update. Prebuilt connectors can eliminate some of the pain when integrating disparate solutions, but they might not be available or affordable for the specific applications that an organization needs to assemble. 3 Consequently, many small and mid-size organizations resort to manual methods to move data to and from different systems. This can quickly turn into a tangled web of information and a regulatory liability. Few people can make sense of the information, and fewer still have any confidence in it. As concerning, confidential employee information is likely to be circulating without security precautions to prevent unauthorized access. As a result, more small and mid-size organizations are starting to make integration a priority instead of an afterthought in workforce management. SECTION 2: BRINGING ORDER TO WORKFORCE DATA CHAOS Integrated workforce management solutions assemble time and attendance, payroll, benefits, scheduling and HR into one central database. When these different applications are integrated, there s no need to reenter the same data into different systems. Because information is only entered once, organizations save time and reduce the occurrence of costly errors, such as payroll or scheduling mistakes. But there are other, more strategic benefits as well. For instance, integrated workforce management solutions enable organizations to: Streamline business processes across the organization. With one central system, organizations can consistently define and apply policies and rules regarding things such as absenteeism, leave and pay. Once all workforce management applications are configured to apply the same set of rules, the integrated solution will automatically apply them. Make better decisions. Reliable, consistent and accurate data is the foundation for better reports, analytics and decision-making. With a consistent, unified data foundation in place, it s easier to answer questions such as, Why is absenteeism so high? or Why does worker productivity vary from one shift to the next? Facilitate collaboration between managers and supervisors in different roles and locations. With a single version of the truth, everyone has accurate, real-time information for scheduling, time card review and other tasks that require collaboration. Meet auditing requirements more easily and quickly. When employee records across scheduling, time and attendance, and payroll are automatically synchronized, the result is an automatic, consistent and accurate audit trail to help meet state or federal requirements. Some vendors offer integrated workforce management solutions as cloud-based services, which can be particularly advantageous for many small and mid-size organizations that lack the resources or desire to implement and maintain a new system internally. 3 SMB Group, Inc. 4 For instance, BPR-Rico Manufacturing, a 100-person engineering company based in Medina, Ohio, was struggling with an outdated payroll system that didn t integrate with its HR system. Due to quirks in the legacy system and the gaps between payroll and HR, BPR-Rico supervisors were spending a lot of time creating manual overrides and multiple-step processes to pull information together. The company was concerned about federal penalties resulting from payroll mistakes, and potential bad will from employees who were affected by mistakes. The system had other flaws as well such as when it randomly started changing employees dental deductions. At that point, BPR-Rico was already planning to replace its paper-based time card system with the Kronos cloud-based time and attendance solution and then the light bulb went on. BPR-Rico also realized that moving HR and payroll applications to the same workforce management platform made sense. Now, with all of the data from its workforce applications consolidated into a central database, BPR-Rico can streamline and improve the payroll process, and is prepared for any audits that may arise. SECTION 3: KEY CONSIDERATIONS FOR INTEGRATED WORKFORCE MANAGEMENT SOLUTIONS When any organization reaches its breaking point, the benefits of taking an integrated approach to workforce management probably are abundantly clear already. But switching over all workforce management applications to a single, integrated suite at the same time might not be practical for many small and mid-size organizations. As with BPR-Rico, there may be one extremely painful area such as time and attendance that needs an immediate fix in your organization. But, when the time comes to replace an individual broken system or process, you can also think proactively about integration by considering the other workforce management functions that are likely to need improvement over the next few years. Look for pre-integrated workforce management solutions that offer flexible, pay-as-you-go pricing, but also have the breadth of functionality to meet other workforce management needs as your requirements dictate. Source: SMB Group SUMMARY AND PERSPECTIVE Criteria to Assess No one wants to pay for functionality they can t use or don t need. Solutions that offer pay-as-you-go pricing let you start with and pay only for the application(s) you need now, instead of forcing you to buy the whole suite. Is the suite comprehensive enough to grow with your organization? Does it include the different workforce management applications you are likely to need in the next few years? Solutions with open application programming interfaces enable third-party developers to easily create additional functionality to integrate automatically with the suite. Pre-integrated mobile capabilities make it easy for managers or employees to perform tasks remotely or away from their desks or stations. Does the workforce management vendor offer mobile apps for the tasks your employees and managers need to perform anytime, anywhere? As you assemble workforce management applications and data in an integrated suite, you re creating a bigger, more consistent and more reliable data store. But you need strong reporting and analytics tools to extract better insights for decision-making. Workforce management solutions with embedded reporting and analytics tools make it easier for users to quickly turn data into insights When it comes to workforce management software, the whole is definitely bigger than the sum of its parts. Small and mid-size organizations that struggle to connect the dots between disparate workforce management applications are all too familiar with the frustrations and problems that come from trying to manually patch together different applications. As a result, more of these organizations are making integration a priority instead of an afterthought in workforce management. Integrated workforce management suites that allow organizations to start with just the functionality they need, and then snap in additional, pre-integrated capabilities as new requirements arise, offer a pragmatic way to reap integration benefits. Consider workforce management solutions that offer an incremental yet integrated approach to adding new functionality, and that provide strong reporting and analytics tools to support better decisionmaking from the get-go. 5 SMB Group, Inc.
