4 TIME & ATTENDANCE MODULE Purpose This module comprises an automated time and attendance software feature that complements PayDay s existing suite. It is simple to use and allows any authorised staff to review, edit and approve employee times. Via the ESS (Employee Self-Service), employees can view their own movements, while line managers can view their departments attendance registers. Each employee on the system can have all ten fingers recorded, so as to eliminate any form of ghost employees. 3

FURTHER ADVANTAGES Four concurrent users can log onto the PayDay time and attendance system. No manual collection and duplication of data are required. Managers can alternate plans if there is absenteeism in key areas. No limit on daily clockings. Calculations can be based on the first and last clock of the day. Compulsary minimum hours worked are deducted before overtime is authorised. 5

7 EXCEPTION SCREEN Any late clockings are immediately visible to the user. Manual overrides with manager motivation for any authorised exeptions or overtime. Any exceptions to shift rules are highlighted in red and need to be manually processed before a work period can be closed. All processed times colours are highlighted in orange for easy identification. A log file of all raw times is kept in the database. Simple back-up and restore function. Full audit trail for any changes. DETAILED REPORTS Report-writer enables you to create your own reports. Export report to Excel or print to pdf. Reports can be ed. 6

9 OTHER PRODUCTS Auditor-General Reporting PayDay, in conjunction with the Auditor-General, has created an Extract Report. This Extract Report will automatically run at the municipal financial year-end and creates the encrypted extract files required by the Auditor-General. Statistical Reporting This is a comprehensive report to extract information on Local Government as required by Stats SA. National Treasury Reporting The National Treasury requires Local Government to report on salary-related issues per financial year. This program will extract the required information for the National Treasury. SALGA Reporting Local Government should supply SALGA (South African Local Government Association) with salary-related information twice a year. PayDay has the extract programs to produce this information. Budget Reporting There is a program in the PayDay System to assist users with annual salary budget preparations. This program uses current trends to budget for a future financial year. 8
