Instructor s Welcome might include additional requirements for your specific class. If traveling by air, do not bring tools (we will provide them). Technology classes such as Scanning, Printing etc. do not require tools. Contact instructor if there are any questions about what you need! Class Procedures Class day begins at 8:00 am, unless otherwise noted. One hour is allowed for lunch. Network/Internet access will be via WIFI on your laptop, if this is an issue, please contact instructor prior to class. Please do not leave laptops/valuables in the classroom overnight! Dress Code During training, all students are requested to dress in a neat and professional manner. Business casual attire should be worn during normal business hours. Ricoh US employees, please refer to the Corporate Dress Code Policy. Break Room / Lunch We do not provide lunch - it is the students responsibility. There are many off-site lunch options; we provide a map for your convenience. Our break/lunch room is equipped with a refrigerator/freezer, microwave, coffee maker and toaster for students use. Vending machines with beverages and snacks are located in and next to the break room. Cell Phones In the state of California, it is against the law to text message or to use any hand-held device while driving. Also, please note it is against RICOH policy to drive while using your cell phone w/o a hands-free set. In class, cell phones may be left on silent mode. We suggest you change your outgoing voic greeting to reflect that you re in training and provide an alternate service contact. Parking / Building Access Free parking is available next to our facility. Building entrance to the lobby opens at 7:30am. Please use the lobby telephone to contact your instructor or anyone from the Training Department listed on the building directory. Emergency Closing or Delayed Openings During a local emergency or severe weather conditions, you should check with your instructor for information concerning cancellations or delayed openings. Your instructor will you the status of the class. Always use your best judgment and common sense. 6

9 Smoking All Ricoh facilities are non-smoking. Hayward is located in Alameda County, a smoke-free county and smoking in public outdoor areas is prohibited. You may smoke outside our building keeping a minimum distance of 20 feet from the entrance door and any windows. Thank you for your cooperation! Airport Information Fly into Oakland International Airport OAK, about 12 miles from the training center. There is a complimentary hotel shuttle service to the La Quinta Inn & Suites, Hayward. Once you have claimed your checked bags, please call , identify yourself as a Ricoh training student, and request that the shuttle pick you up. Then proceed outside to Area 4F where the courtesy shuttles arrive. Hotel Information Our primary hotel is the La Quinta Inn & Suites in Hayward. (Directions and phone listed on next page). The hotel will normally request a credit card to cover incidental charges such as telephone calls and in-room movies. The La Quinta features a free breakfast buffet, as well as complimentary hors d oeuvres and happy hour from 5-7. (Mon-Thurs) If you will need a ride to the training center in the morning, please make sure you arrange for shuttle AM drop-off and PM pick-up when you check in at the La Quinta. The hotel has a complementary shuttle that will transport you to and from the training center & hotel. You might be able to catch rides with fellow Ricoh students. If this is the case, please be courteous and cancel any shuttle arrangements you had previously made with the hotel. It is 4 miles from the airport to our recommended hotel, the Ayres Hotel & Suites Costa Mesa. If you are not renting a car, and are staying at this property, please call after landing for no-charge hotel shuttle service from the airport. The hotel will also provide shuttle service from the Irvine Training Center to the airport for your departure. 12

Dealer students using the Ayers should call the hotel directly for reservations. In order, to get the Ricoh negotiated rate ($115/night as of November 2016), please specify you are attending a Ricoh Learning Institute training class when making your reservation. Student s are responsible for paying all hotel expenses including room, tax and if applicable incidentals. The hotel may request a credit card deposit for incidental charges such as telephone calls. RUSA students using the RICOH/Citibank Declining Balance Card are restricted to using the card of lodging and meal expenses only. The Ayres will provide Ricoh Learning Institute student travelers the following complimentary services- Airport Shuttle Shuttle between the hotel and Ricoh Learning Institute (see below) Breakfast Buffet WiFi Internet Parking If you would like to make use of the Ayers shuttle service to the Ricoh Learning Institute- Irvine, please schedule this with the front desk the evening before the class. For the trip to the training center, please be in the lobby at 5 minutes prior to the scheduled departure time provided by the desk staff. The shuttle will pick students up from the training center at 4 pm for return to the Ayers. If you take the shuttle to the training center, and make other arrangements for returning to the hotel please let your instructor know so we can cancel the shuttle if necessary. The Ayers also offers students the ability to purchase a boxed lunch. You will need to place your order by noon the day before, and then pay for the lunch when you pick it up the following morning. A lunch menu and ordering instructions are included with this letter. If you order a boxed lunch and do not pick it up, you will be charged for the lunch when checking out. When driving in New Jersey Seatbelts must be worn. Make note of local and highway speed limits. Most areas of turnpikes, thruways, parkways and inter/intra state highways are 55 MPH. County and main roads are usually 35~40 MPH and tertiary roads may be 25 MPH or less, especially in residential, school and industrial zones. At fueling stations, gasoline may only pumped into your vehicle by authorized employees. New Jersey and Oregon are the only states where it is prohibited and illegal to pump your own gas. No extra charge for full service. There may be an increased cost per gallon when using debit or credit cards. Many stations have complimentary window washing supplies and an air machine if your tires are somewhat deflated. It would not be completely true to say that you cannot make any left hand turns in New Jersey just on most highways and major thoroughfares. Especially is busy traffic, this eliminates bottlenecks at busy turnoffs and intersections. The Jersey Jughandle has you bypass your exit, then turn right to swing around and cross over the multi lanes of traffic. Usually, lanes are designated by arrows as to cars only able to go straight, or make a left or right turn. RICOH PRODUCTION TRAINING CENTER 6300 Diagonal Hwy Boulder, CO Welcome to Ricoh Boulder Campus The enclosed information is provided to assist you while you attend training classes at the Ricoh Boulder Campus Service Education facility. Contacts Your instructor can address anything you might need during class times. After hours, should you need to reach someone in an emergency, you may call either of the following contacts. Also, ensure you are communicating with your manager in cases of emergencies, if necessary. Breaks are not scheduled and normally taken at student/instructor discretion. Approximately one hour is allowed for lunch. A full-service cafeteria is located in Building 010. See Cafeteria section and map of site in the Appendix. Most books and materials may be left in the classroom overnight, provided that no other class will be using your room; however, please be certain all such materials are placed on the tables so that janitorial staff will not remove as trash. At the end of each day please clean up the classroom and lab areas placing trash and recyclables in their proper containers. Also, ensure all tools are accounted for and properly stored. Do NOT leave confidential materials overnight in the classrooms. Do NOT leave laptops in the classroom overnight. 115

118 Dress Code While at the Ricoh Boulder Campus location during training, all students are expected to dress in a professional manner. Business Casual Attire is to be worn during normal business hours unless directed otherwise by your instructor. Cafeteria There is a cafeteria on site located in Building 010 with hours of operation for breakfast, lunch, and light afternoon snacks. The cashiers accept Travelers' Cheques, cash, and credit cards (for purchases of more than $5.00). Credit Union/ATM There is a branch office of the Premier Members Credit Union in the front hallway of Building 001, near the main lobby. The Credit Union has an ATM available for you to get cash on site. There is also another ATM located in the hallway near the exit of the Cafeteria. Badges Badges must be worn at all times while in the education facility. Please ensure that you display and use your badge to gain entry to areas equipped with badge-reader doors; "tailgating" is not permitted. Escort (No working Ricoh Badge) If you are here under contract status and have NOT been issued a temporary Ricoh badge (you cannot gain access through any badge readers), you will require an escort with you at all times. This will be your instructor who must be with you at all times when in any location other than the classroom. Parking Lot F is the closest lot to building 004 and building 006. Professionalism While you are attending classes at the Ricoh Boulder Campus Service Education facility and your stay in the Boulder/Longmont area, you will be expected to act in a professional manner at all times. Your actions and demeanor in and out of the classroom are a reflection on Ricoh as a whole. Smoking All Ricoh Boulder Campus facilities in Boulder are "No Smoking Permitted" buildings. You may smoke outside the building in designated Smoking Areas only. Telephones Phone numbers in the Boulder/Longmont and Ricoh Boulder Campus area code require ten digit dialing. Hotels provide various methods to connect your laptop. This may be via the phone line or high speed connections. Check at the front desk of your hotel for details. You will be asked to complete an online training evaluation on the last day class. Please be candid and honest with your opinions and comments. We need your input to ensure our classes meet the needs of our students. Emergencies, Personal A personal emergency that will impact your ability to attend class, i.e., accident or illness, must be reported to your instructor during class hours. After-hours, please contact the Service Education Manager or Coordinator. See Contacts. Emergency Closings or Delayed Openings During a local emergency or severe weather conditions, you should first call IBM Boulder (Ricoh Boulder Campus s Facilities Company) at for official information pertaining to the IBM Boulder location. A recording on this number will provide the location's current status. The number is capable of handling multiple, simultaneous calls. Hearing impaired employees should call to reach a TDD telephone. If you are unable to call the IBM Boulder location, you should monitor television stations KCNC Ch. 4 and KUSA Ch. 9 and radio stations KBOL 1490 am, KOA 850 am, or KLMO 1060 am. Emergency Numbers To summon aid within the Education Department for emergencies, dial ext This is an internal emergency number and will summons help from within the emergency response teams located at the IBM facility. Clearly state your name, location, and the nature of the problem. Emergency Power Off (Labs) The red Emergency Power Off buttons are located in the raised floor classroom near the exits. Become familiar with their exact location. Fire Alarm Procedure - Exiting the Building Take badges and other personal items (coats, keys, purses, etc.) with you. Badges will be required for re-entry. Site Security and or the Emergency Response Team (outside agencies) will conduct building searches and provide assistance to ensure evacuation of the building. Report if anything unusual was noted during an evacuation, i.e., smoke, odors, etc. to Site Security or the Emergency Response Team. Do not re-enter the building until the "All Clear" has been given by Security or the Emergency Response Team. 117

120 Fire Alarm Procedure continued Assemble at a pre-designated area outside of the building or other safe area of refuge, keeping a safe distance from the building and not obstructing arriving emergency equipment. A count of all employees, visitors, contractors, or other persons known to have been in the building will be taken to determine if anyone is missing. A report of this status should immediately be given to the arriving emergency personnel. All Clear When "All Clear" signal is given by Site security, assist in returning to the building. Inform and provide assistance to those employees in need. Minor Emergency Procedure: In certain emergency conditions (for example, a total power outage or severe weather) you might be directed to leave the premises. Use normal exits and traffic routes unless otherwise advised. Do not leave the premises without management approval. Key emergency team members and managers must remain on the premises. Climate Boulder is located at an elevation of feet at the foot of the mountains and is considered a semi-arid desert. Please be aware that can sometimes cause problems for those unaccustomed to these conditions in the form of shortness of breath due to the limited oxygen and a persistent need for water. Also, when you venture into the mountains you will find that the weather can change drastically on a moment s notice. Please plan your attire accordingly. Local Transportation Taxi services and public transportation are not convenient in this area and the hotels will not transport our students to and from the Ricoh Boulder training facility. We strongly encourage students to have access to a rental car during their visit. As an option, they may coordinate a car to share among other students prior to their arrival for training.
