1 The Jacksn Labratry Third-Party Fundraising Guidelines DEFINITION A Third-Party Fundraiser ( Fundraiser ) is defined as an rganizatin, crpratin, grup r individual raising mney fr The Jacksn Labratry (the Labratry ) thrugh a fundraising event r initiative. HOW WE CAN HELP The Jacksn Labratry is grateful t thse interested in supprting its endeavrs in educatin, research and cmmunity utreach. We recgnize the great amunt f hard wrk yu will assume and want yur event t be a success. Please carefully review the fllwing guidelines, which have been designed fr the prtectin f the Fundraiser and The Jacksn Labratry. The Jacksn Labratry can: Prvide cnfirmatin f tax-exempt status t dnrs making cntributins written directly t The Jacksn Labratry. Crdinate event representatin r check presentatin, if apprpriate and if staff resurces are available. Review all printed materials t ensure prper use f Jacksn Labratry-apprved nmenclature and lgs. In limited cases, The Jacksn Labratry may prvide an nline tl t enhance third-party fundraising effrts. Requested use f this tl will be reviewed n a case-by-case basis. GUIDELINES FOR THE FUNDRAISER Apprval Directr f Develpment Operatins must apprve the Fundraiser sixty (60) days in advance f the event and will ensure the event fllws The Jacksn Labratry s guidelines and is cnsistent with its missin and values. Attached please find an applicatin, alng with cntact infrmatin. Please nte: Yu will receive a respnse frm The Jacksn Labratry Office f Develpment within ten (10) business days. The Labratry will nt be invlved in and will nt accept cntributins raised at an event that prmtes a plitical party r a candidate fr public ffice, r which appears t endrse plitical issue(s). Due t limited resurces, Labratry staff may be unable t help plan, manage, and execute Fundraisers. The Jacksn Labratry is nt able t prvide its tax identificatin number t the Fundraiser, and the Fundraiser cannt use the Labratry s 501(c)(3) status t apply fr 1

2 funding. Only cntributins frm dnrs directly t the Labratry may be treated as charitable cntributins t the Labratry fr incme tax deductin purpses. Speaker r event staff representatin must be requested at the time f applicatin. Due t the large number f requests, we cannt guarantee that a Labratry staff persn will be able t attend/participate. The Jacksn Labratry will nt prvide mailing lists fr dnrs, staff and/r emplyees fr fundraising purpses and is unable t mail infrmatin n behalf f the event. Each applicatin will be cnsidered individually. Generally, events that will nt be authrized are events that: D nt supprt the missin and values f the Labratry. Wuld ptentially cnflict with a marketing r public relatins campaign. Wuld require the Labratry t sell tickets, cupns, etc., r invlve telemarketing r dr-t-dr slicitatin. Expenses/Permits/ Liabilities The Fundraiser is respnsible fr cvering all expenses fr the event. The Labratry will nt incur csts fr an event, and will nt be able t reimburse the Fundraiser. Where a Fundraiser cllects payments in cnnectin with a fundraising event, it may deduct the reasnable cst f expenses assciated with the event frm the funds cllected prir t sending the balance t the Labratry. The Fundraiser shall nt therwise be entitled t any cmpensatin in cnnectin with rganizing and managing a fundraising event fr the Labratry. The Fundraiser is respnsible fr btaining all permits, especially thse fr raffles and/r games f chance, and ensuring that it is prperly registered with any required state agencies prir t sliciting cntributins in cnnectin with a fundraising event. The Labratry will nt be invlved, in any manner, with btaining liqur permits. The Labratry is nt liable fr any injuries sustained by event crdinatrs, vlunteers, participants, r any ther individuals related t an event benefiting the Labratry. Cntributins and Funds Raised Funds raised can be used t prvide unrestricted supprt t the Labratry r can be designated t supprt a particular scientist r a particular prgram r disease area (i.e., cancer, heart disease, etc.). Preferred designatin f gifts must be indicated at the time f applicatin. If the Fundraiser is: A 501(c)(3) rganizatin, all checks shall be made payable t, mailed t, prcessed by and receipted by the Fundraiser. Event prceeds shuld be mailed within 30 days (in ne check) payable t The Jacksn Labratry, Office f Develpment, P.O. Bx 254 Bar Harbr, ME

3 A crprate entity (nt a 501(c)(3) rganizatin), any prceeds cllected by and depsited by the Fundraiser shall be mailed within 30 days (in ne check) frm the Fundraiser (payable t The Jacksn Labratry) t The Jacksn Labratry address nted abve. It shall be stated n all event materials that cntributins t the event are nt tax-deductible. Alternatively, a crpratin that cllects dnatins made payable t The Jacksn Labratry may mail the dnatins with an indicatin f individual dnr names/address/gift amunt t The Jacksn Labratry address nted abve. The Jacksn Labratry will prcess dnatins and issue receipts t individual dnrs fr incme tax deductin purpses; in this case it may be stated n event materials that gifts t the event are tax-deductible. An individual r small grup f individuals, all dnatins shuld be made payable and mailed t The Jacksn Labratry with an indicatin f individual dnr names/address/gift amunt t The Jacksn Labratry nted abve. The Jacksn Labratry will prcess dnatins and issue receipts t individual dnrs fr incme tax deductin purpses. It may be stated n event materials that gifts t the event are tax-deductible. The Jacksn Labratry will nt accept funds frm individuals r rganizatins that fail t cmply with any municipal, cunty, state and/r federal law. Marketing/Prmtin/Publicity: Publicity may nt suggest that the event is being spnsred, c-spnsred, r prduced by the Labratry but instead must state that The Jacksn Labratry is the beneficiary. All publicity must specifically state within the marketing materials that the event is an independent fundraising event benefitting The Jacksn Labratry. The Fundraiser is respnsible fr marketing and prmting the event, including media, press releases, psters, flyers and advertising. The Jacksn Labratry reserves the right t review and apprve all such marketing materials in advance f publicatin. The Fundraiser is nt permitted t use The Jacksn Labratry letterhead. If the event is apprved, a letter f supprt can be prvided t validate the event and supprt event slicitatin activities. Lgs/Phts/Website: Lg use is nt permitted withut apprval frm The Jacksn Labratry. This includes dwnlading Labratry lgs frm the internet. Printed materials in which the name and/r lg f The Jacksn Labratry appears must cmply with Branding Guidelines that the Labratry prvides and be reviewed and apprved by The Jacksn Labratry. Phts n The Jacksn Labratry website are the prperty f The Jacksn Labratry, and reprductin f phts is nt permitted withut apprval frm The Jacksn Labratry. 3

4 If lg/pht use is permitted, all materials using the lg/pht must be submitted t The Jacksn Labratry at least three (3) weeks prir t the print deadline. The submissin must be "prf" quality t represent the true nature f what is being prduced. Event lgs may be develped, but must remain separate and distinct frm The Jacksn Labratry lg. The Jacksn Labratry reserves the right t apprve Fundraiser event lgs prir t it being used in print r ther media. 4
