1 PD Contact Newsletter Winter 2014 Dear Professional Development Contacts, You will be receiving a quarterly newsletter from the Department of Professional Development to keep you informed throughout the year. It is critical that you read it thoroughly. Please share this important information with your entire PD Team and administration. WHAT YOUR TEAM SHOULD BE DOING NOW: 1. Your PD Team should be on Step #11 of the attached Component Procedures Checklist. This checklist is a comprehensive step-by-step guide through the entire professional development process at the school. (see attached) 2. When you conduct training be sure to: 1) track attendance, 2) measure mastery (post-test), 3) get feedback on the format & delivery of the training (evaluation form), 4) provide rubric or expectations for teacher & student implementation evidence, and 5) set a deadline for submission of implementation. 3. Track participant attendance and implementation completion in a spreadsheet/grade book where you can keep track of the points. A tracker has been placed in the Train U course to assist you with the recordkeeping process. (see attached) The implementation (teacher and student evidence) is completed AFTER training back in their classrooms. 4. No points can be awarded for attendance only. No implementation means NO CREDIT. (see attached) 5. When all of your training has concluded, all of the implementation has been evaluated, and you are ready to close your program for the year, fill out the Excel Template with each participant s inservice point totals. Be sure all fields have been populated. Teachers with ZERO 0 points should not be listed on the Excel Template. Any missing or incorrect information will result in your Excel being returned to you for edits. This will significantly delay the process. (See attached) 6. All inservice points for schools can be submitted beginning March 7, 2014 and must be received by May 9, No points are supposed to be entered after June 30, 2014 per state guidelines. MORE INFORMATION REGARDING REQUIRED AUDIT DOCUMENTATION AND SURVEY DATA WILL BE SENT TO PDCs UNDER A SEPARATE If your school did NOT do any training under the Marzano or School-wide PD components, please send an to Dr. Sherry Gibson with your school name and the component name stating that No training was conducted for FY14 under this component IMPORTANT NEWS AND UPDATES: Breeze Presentations for PD Teams: October 2013: This Breeze Presentation is located at This presentation contains important information about awarding inservice points, providing high quality professional development, and the resources available to teams. BE SURE TO ADJUST THE VOLUME BOTH ON YOUR COMPUTER AND ON YOUR ADOBE SETTINGS. February 2014: This presentation will be ed to you in February 2014 and also posted to the TrainU site.
2 This presentation will contain information regarding what supporting documentation your school needs to submit for audit purposes and what survey data you will need to report to the Department of Professional Development. School Data vs. Component Objectives: Your school s data (SIP, student disaggregated data, walkthrough data, etc.) should drive the content of your professional development. Your professional development IS NOT determined by the objectives within a particular component. Role of the PD Contact & PD Team Members: The PDC is the liaison between the Department of Professional Development and the school site. Therefore, only the contact should be communicating with the District PD Team. This will ensure that communication is clear and consistent. The PD Contact is also responsible for communicating any news and information received from the Department of PD to the school-based PD Team and administration. The PD Team members will collectively contribute to the planning, delivery, monitoring, and evaluation of PD efforts at the school site. This includes materials preparation, collection of teacher and student artifacts, record keeping for inservice credit, and document organization/retention for audit purposes. Rules for Inservice Credit and Audit Alert: Remember that points are awarded by hour. There is NO CREDIT for attendance only. Participants must complete the implementation assignments and submit BOTH teacher AND student evidence in order to be eligible for inservice credit. No implementation = no points. Schools will be audited at the conclusion of FY14 to ensure that all points have been awarded ethically and in compliance with SBE Rule 6A FY14 PD Team Training & Support - Online TrainU Course: Please be sure to utilize the TrainU site for guidance, resources, and past newsletters. The course link is and the code for entry is PDTEAMS. JUNE 2014 Payment of PD Team Stipends: Stipends are paid to the PD Contact and Team for their work in planning, delivering, monitoring, and evaluating the professional development program at the school site. These stipends are paid at the discretion of the principal in collaboration with the PD Contact and Team members. School secretaries will receive an in JUNE 2014 stating that the PD Contact and Team have been cleared for payment. This will be sent by the Department of Professional Development AFTER the PD Contact and Team have completed ALL FY14 requirements and responsibilities. PD Teams should not become involved with individual recertification issues. PD Teams only handle school-wide PD trainings. Credit for College Courses: Sealed official transcripts for college courses should be submitted to the Certification Office in A-152. Credit for Outside Conferences/Workshops: These trainings DO NOT get credited under your school-based component. Form 2401 should be submitted by pony to Laura Krielow in Professional Development at the Pew Center for all non-district sponsored trainings. Thinking About Collaborating with Another School for PD?: Job Alikes can be a rich source of professional development. It allows teachers to observe new practices outside of their school, but with a similar student population. When pairing like grade levels together across schools, be sure to have an attendance system in place. Although one school may serve as the host site for such collaboration, each individual school will be in charge of their OWN: Component Sign-in sheets Monitoring the implementation Assigning points after the implementation is complete Submitting the Master Sign-In Sheet and the Component Evaluation to PD If you are involved in the FY14 Literacy Roll-Out, your school would follow these guidelines. Content vs. Generic:
4 All instructional trainings, whether coded as Content or Generic, will count toward renewal of a permanent Florida Teaching Certificate as of Prior to 2000, only PD opportunities that were classified as Content would count toward recertification. This is no longer the case. Teachers can accrue points regardless of their classification of Content or Generic. Florida State-wide Tobacco Prevention Training: Teachers can register for this course at This course has several key features that encourage our educators to take it. First, it prepares teachers to help children by educating them about the dangers of tobacco, how to resist the pressures of marketing and peers, and how to recognize issues related to it. Second, it provides up to 60 teacher in-service credits. Third, lesson plans are provided for each level. Finally, it is no cost to you. You must have an active Florida DOE Certificate. Deconstructing Racism Online Course: The Deconstructing Racism course is temporarily closed for maintenance. Content and assignments will be added to this course in order to comply with FDOE professional development standards. The course will REOPEN February Participants that did not finish coursework before 12/6/13, will remain enrolled in the course and may continue assignments as well as complete additional assignments that are added, when the course reopens. If you have questions or require additional assistance, please contact the Professional Development Department at (561) SUPPLEMENTAL INFORMATION FROM THE MULTICULTURAL DEPARTMENT (Debi Stewart) Questions and Answers about Required ESOL Training: The Department of Multicultural Education has just completed the registration for the Winter session of the free, online courses offered for educators who need ESOL endorsement or compliance inservice points. Pre-registration for the Summer session can be completed at any time through April 19, Category I classes start May 21 and run through July 20, Specific questions about ESOL endorsement/compliance should be ed to Certificationesoloffice@palmbeachschools.org Notices are expected to be disseminated again in January for those who are out of compliance in ESOL Categories 1, 2, 3, and 4. The following questions are common ones asked of the Certification Department and the Department of Multicultural Education when the notices go out. 1. How do I know whether I m in Category 1, 2, 3, or 4? While certification areas are typical indicators of a teacher or other educator s category, the actual job assignment is the determining factor. Click on the link to the Department of Multicultural Education to see descriptions of job and ESOL required training categories I just got hired during the school year, how can I be out of compliance? Although you may have just been hired, all teachers hired in Florida are required to meet specific training requirements to comply with a federal court order governing ESOL issues in schools throughout the state. The number of hours required for each teacher is dependent upon the subject area taught. Once you are hired you have time to register for and take the courses. However, your name will continue to be on the list until the requirement is fulfilled.
5 3. Why is my name on the list when I actually took and finished all five of the Endorsement classes through the PBC School District s online training and I can see all five courses when I go to my PeopleSoft self-service screen? When the ESOL online inservice courses are successfully completed, the Department of Multicultural Education sends the participant s name, course name, and number of inservice points earned to the Professional Development Department. They input the information into the PeopleSoft system. You must print out the PeopleSoft self-service page and PONY or bring it into The Certification Department or they have no way of knowing about the successful completion of the courses. Category 1 teachers should bring in the copy of the page and complete the application to have the endorsement added to your certificate. There is a fee. 4. I took and passed the ESOL K-12 Certification exam, do I automatically have my endorsement? When you pass the exam, you have to add it to your certificate by bringing verification to the Certification Department and completing the add-on application and paying a fee. (This should be done immediately) You then have three years to take two additional ESOL courses---available through the Department of Multicultural Education s free, online ESOL training sessions or a college or university or you can lose your ESOL certification. 5. I took ESOL inservice training in the District I came from. Does that satisfy the ESOL training requirement? Perhaps. Contact your prior school district s Professional Development Department and ask them to complete Form 0TE 206. Request that they send you a copy when they send the completed form to: Marianne Gulino, Pew Leadership Development Center, 9482 MacArthur Boulevard, Palm Beach Gardens, Florida, If the inservice points are transferred, they will appear in your self-service PeopleSoft screen within about two weeks after our Professional Development Department has received it. 6. I took courses in college that I believe satisfy the ESOL training requirement and I provided a copy of my transcript to Human Resources. Why does my name show up on the out of compliance list? ESOL training compliance is not a requirement for employment in the Palm Beach County Schools. However, once hired, each educator must meet the State of Florida s requirement to take courses or training to be in compliance. To determine whether courses taken in college fulfill the requirement, PONY an official copy to: Silvia Gonzalez, Department of Multicultural Education, Fulton Holland Educational Services Center, A-204, or FAX to
