1 GUIDELINES New England Collegiate Conference Guidelines and Championship Procedures Volleyball General The home team is responsible for the following: setting up the game times and mailing game contracts; securing all game personnel scorers, clock, security, etc.. and providing an on-site easily identified administrator. Facility The game playing facility, on or off campus, must be made available 60 minutes prior to the game start time. Warm-up Protocols Women - Forty minutes prior to the start of the match, the court is available for shared warm-up for ten minutes; coin toss thirty minutes prior to the match; visiting team takes the court for four minutes; home team takes the court for four minutes; visiting team takes the court for five minutes; home team takes the court for five minutes, team huddle, announcements and national anthem. Men one hour prior to the start of the match, the court is available for shared warm-up for twenty minutes teams must stay on their side of the net. Teams will then share the court length wise for controlled hitting only for ten minutes, coin toss thirty minutes prior to the match; visiting team takes the court for five minutes; home team takes the court for five minutes, visiting team takes the court for five minutes, home team takes the court for five minutes, five minutes prior to match, teams leave the court for announcements and national anthem. Game Programs Game programs should include the following: institutional names and complete rosters, including name, jersey number, position, hometown and class, and the NECC sportsmanship statement. Crowd Control The responsibility for crowd control rests with the Director of Athletics of the host institution. Host institutions must provide adequate security and ushers for effective crowd management. The host on-site administrator shall be prepared to use the public address system at the first sign of unsportsmanlike crowd behavior and request cooperation in maintaining proper playing conditions. If a PA system is available, the following announcement should be made: Volleyball Page 1

2 "The New England Collegiate Conference promotes good sportsmanship by student-athletes, coaches and spectators. We request your cooperation by supporting the participants and officials in a positive manner. Profanity, racial or sexist comments, or other intimidating actions directed at officials, student-athletes, coaches or team representatives will not be tolerated and are grounds for removal from the site." National Anthem If a PA system is present, the national anthem ("Star-Spangled Banner") shall be played or sung before the first game. Statistics The host Director of Sports Information is responsible for contacting the following outlets with the score and submitting a copy of the official box score immediately following the contest: NCAA, appropriate news papers, Conference Office, the SIDs of all teams, and to local and regional media. Volleyball statistics will not be kept, but a copy of the official scorebook should be made and given to the visiting institution immediately following the match. Athletic Trainers A certified on-site athletic trainer must be present 90 minutes prior to game time and 30 minutes post game. Athletic training supplies are the responsibility of each participating team. Emergency protocols must be in place. Bench Protocols The host school must provide water and cups (no bottles). Energy drinks are not allowed per NCAA rules and regulations. Locker Rooms Every effort will be made to provide a secure space for each participant with a chalk or eraser board. Cancellations/Rescheduling In the event of a cancellation, the host Director of Athletics must contact the visiting team s Director of Athletics to discuss rescheduling. Conference games must take priority at all times. Conference Ball The official volleyball game ball is the Molton Tri-Color IV58 L (women) and IV58X-3 (men) will be the official balls. Officials College Board or rated officials must be used in all Conference contests. Volleyball Page 2

3 Scheduling & Play Women: Each conference member will play each member once during the season. Men: Each conference member will play two conference games with each conference team alternating home and away. Each game shall have a minimum of two officials and two lines judges. All facilities should meet NCAA minimum standards. All-Conference Awards Nominations - Ten days before the conclusion of the regular season, each coach of a participating conference school should submit nominations of his/her athletes to be considered for All-Conference status via the web. Coaches can nominate a maximum of six student athletes, and only one player may be nominated for Player of the Year status. The conference office will send a nomination form to the head coach and the SID prior to the deadline. The volleyball all-conference team will consist of a 1 st and 2 nd team plus a five person honorable mention team. Six players on each team, Player of the Year, Rookie of the Year, Coach of the Year and Team Sportsmanship. Ballot - The Conference Office will assemble the All-Conference ballot and distribute to each participating Conference school's head coach and Director of Sports Information. The ballot should be received within 48 hours of the last day of regular season play. Voting Procedure - Shortly after the conclusion of the regular season and prior to the start of the championship tournament, voting for All-Conference teams should be concluded. Coaches should rank vote the nominees for 1st and 2nd team selections, and a Player of the Year, Rookie of the Year, Coach of the Year, and Team Sportsmanship Award. No coach can vote for his/her own player. The completed ballot should be returned to the Director of Sports Information via or the web to the Conference Office. Determination of All-Conference Team, Player of the Year, Coach of the Year, Rookie of the Year and Team Sportsmanship. Voting will be in rank order. Players with the most points shall be accorded 1st team All-Conference status. Every coach and team is eligible for the Coach of the Year and Team Sportsmanship awards. The coach and team with the highest points shall be given the award. Announcement of Team - The Conference Office will tabulate the voting and announce the All- Conference team prior to the championship game. Player, Rookie and Coach of the Year Awards and Team Sportsmanship Award - The awards shall be plaques similar to the team champion plaques. Weekly Awards - An individualized certificate shall be presented to each recipient. Volleyball Page 3

4 CHAMPIONSHIP GUIDELINES - Volleyball To establish a Conference championship, a minimum of five (5) member colleges and/or universities must declare and compete in the particular varsity intercollegiate sport. This declaration will be submitted to the Commissioner's office on or before the NCAA deadline. The membership will then determine if and when it will sponsor a Conference championship in that sport. Games Committee The Conference Office will name a games committee to assure the proper conduct of the playoff game(s). The committee will generally be comprised of, but not limited to, the host Director of Athletics and/or Senior Woman Administrator, and representatives of the visiting team and the Conference Office. Championship Dates Women: Tuesday, October 29, 2008 and Saturday, November 1, 2009 Men: Saturday, March 28, 2009 Procedures 1. The higher seeds will have the opportunity to host. 2. If the higher seeds are unable to host, the next highest seed will have the opportunity to host. 3. After the initial seeding, there will be no re-seeding. 4. If hosting more than one championship, all game times must be approved by the visiting Athletic Director and Commissioner. 5. Cut-Off Dates for Regular-Season Conference Play. The cut-off date for completion of Conference regular-season competition for baseball, basketball, field hockey, soccer, softball and women s volleyball is 6 p.m. Sunday prior to the first round of the championship. 6. Championship games get priority over semifinal games if played at the same site. Format Women: 1. Six-team single elimination championship. 2. Tuesday quarterfinals with the number one and two seeds receiving a bye. Final four format at the number one seed on Saturday. 3. Quarterfinal - 7:00 pm start time. Semifinals at 11:00am (#1 v #4); 1:00 pm (#2 v #3) Championship at 3:00 pm Men: 1. Four-team single elimination championship. 5 Tie break procedures 1. Head to Head result (two-way tie) 2. Best record among tied teams (three-way or more ties). Will only examine conference records of tied teams in contest with each other during this step. 3. Comparison of results against higher ranked teams starting with the highest ranked team and working down in descending order. 4. Comparison of results against non-conference common opponents 5. Comparison of winning percentage versus opponents with.500 or better winning percentage. 6. Overall winning percentage 7. Coin Toss Pre-Tournament Conference Call A Conference call with head coaches and administrators of the teams advancing to the tournament will be held prior to the championship. A representative of the host institution, the games committee chair and/or the Conference staff liaison also will participate on the calls. The information that will generally be reviewed is listed below. 1. Welcome and introductions. 2. Establish games committee. 3. Tournament director 4. Conference Office representative 5. Administrators from competing teams 6. Order and start time of playoff games. 7. Officials (if assigned) 8. Uniforms and bench assignments 9. Locker Room assignments. 10. Provisions for laundering uniforms 11. Filming/Videotaping needs. 12. Training / Medical services 13. Incomplete tournament policy. 14. Lodging and Travel plans. 15. Awards ceremony. Officials The Conference Office, in cooperation with the host institution, will secure officials for each game of the Conference playoffs. The host institution is responsible for payment of the fee for each official. Members of the coaching staff or other representatives of participating institutions shall not make public statements critical of officiating in any Conference playoff game. Volleyball Page 5

6 Host institution responsibilities The home institution is responsible for securing the personnel needed to ensure the best possible operation of the playoff contest(s). 1. Provide tournament informational packet to all participating institutions a minimum of 48 hours prior to the tournament. 2. Ensure that the competition facility is available one hour prior to competition. 3. Secure public address announcer for all games. The PA announcer shall be impartial. 4. Secure clock operator(s) for all games; 5. Secure Official scorer for all games. The visiting team(s) is entitled to a representative at the scorer's table. At the conclusion of the contest, the official score sheet will be the one recorded by the host team. 6. Secure statisticians and provide statistics for all games; 7. Oversee security and crowd control see details below 8. Provide game programs see details below 9. Provide videotape or DVD for men s and women s basketball immediately following the game. 10. Provide ball persons, in sports where necessary 11. All expenses should be paid by the host institution 12. Provide an on-site certified athletic trainer Game Programs Championship game programs should use the following template and include the following: 1. Institutional names, logos and complete rosters, name, jersey number, position, hometown and class, of all competing participants 2. Previous NECC champions 3. Synopsis of participating teams 4. 7 National Anthem The national anthem ("Star-Spangled Banner") shall be played or sung before the first semifinal game and before the championship game. Uniforms The higher seed will be the home team during all rounds of conference championship play and will wear their home uniforms. Uniform colors may change if mutually agreed upon by both athletic directors. Statistics The host Director of Sports Information is responsible for contacting the following outlets with the score and submitting a copy of the official box score immediately following the contest: NCAA, appropriate news papers, Conference Office, the SIDs of all participating playoff teams, and to local and regional media. Volleyball statistics will not be kept, but a copy of the official scorebook should be made and given to the visiting institution immediately following the match. Media Arrangements The host Director of Sports Information, in cooperation with the Conference office, shall control the issuance of media credentials for each home playoff game. Media in attendance should be provided with the following: Game Program, Statistics of competing teams, and the latest Conference report. Athletic Trainers 1. A certified on-site athletic trainer must be present 90 minutes prior to game time and 30 minutes post game. 2. Athletic training supplies are the responsibility of each participating team. 3. Emergency protocols must be in place. Locker Rooms Every effort will be made to provide a secure space for each participant with a chalk or eraser board. Tickets Ticket sales are optional. If tickets are sold, prices should be set at $5 for adults and students with IDs and children under 12 are free. If tickets are being sold, all institutions must be notified in advance, and complimentary tickets must be provided. The number of complimentary tickets will be two per roster player and coaching staff in addition to four additional tickets for administration. Volleyball Page 7

8 Protests All protests will be handled by the Conference Commissioner in accordance with NCAA Division III rules and regulations. Videotapes, Films and Still Photographs Institutions are permitted to videotape championship competition by their teams for archival, coaching or instructional purposes. An institutional representative shall contact the event coordinator at the host site for camera space at the site. Incomplete Tournament/Inclement Weather 1. If championships games are cancelled due to unforeseen circumstances, including inclement weather, the following procedures will be followed. 2. Baseball and Softball will follow NCAA Division III rules and regulations for cancelled games. 3. If quarterfinal games are cancelled and not rescheduled by the scheduled semifinal dates, the highest seeds will advance to the semifinals. 4. If quarterfinal and semifinal games are cancelled and not rescheduled before the championship date, the highest seeds will advance to the championship. 5. If all rounds of championship play are cancelled, the highest seed after the regular season will advance to the NCAA Division III national championship. 6. The decision to postpone or cancel must be made by the host athletic director, visiting athletic director and conference commissioner. Trophy Presentation The Conference championship trophy will be presented immediately following the conclusion of the championship game by the Conference commissioner or designee. Both teams are requested to return to their respective benches after post-game handshakes. A short ceremony will follow with the captain(s) being called forward to receive the trophy. Championship Awards 1. There will be one championship and runner-up award in each conference sport. 2. All awards shall be approved by the Executive Committee. 3. All tournament awards will be distributed at each conference championship and will include the following for volleyball 3 rd and 4 th place teams one selection; 2 nd place team two selections and champion two plus the MVP Volleyball Page 8
