3 1 Executive summary The following is a summary of the main enhancements that have been included in Version 7.0: New look and feel - The most obvious changes in this version of PROcap is the look and feel. The new look and feel is also being adopted for CCH Audit Automation and CCH PROcost. Sub code names - We have added the facility to specify the name for each account/sub account combination. This is useful where sub accounts are not used as divisional analysis but to provide a sub analysis of the main account. Other changes - A number of other minor enhancements and corrections have been made. These notes cover all of the changes made since the release of version 6.0a Wolters Kluwer (UK) Limited 2

4 2 Installation 2.1 Obtaining and installing the update from the Web Downloading Load your Web Browser, connect to the Internet and go to If you have not yet created a user account, select Create new account and follow the instructions to set one up. If you already have an account, log into the system with your user name and password Installing Select Support from the Personal menu and then click on Accounts Production to display the CCH Accounts Production (PROcap) support page. Click on the link to display the release notes, CCH Accounts Production (PROcap) version 7.0 release notes, view, save and print these. Return to the support page and click on CCH Accounts Production (PROcap) update to version 7.0 to download the installation file. When asked, select the option to save the file to disk and store it in a temporary directory on your hard drive. (Assumed to be C:\TEMP in the following instructions). Install the update as follows: 1. Click on [Start] and then on Run Enter C:\TEMP\PROcap version 7 update.exe, or select the file using the [Browse] button, and click on [OK]. 3. Follow the instructions on the screen, see below for installation options. The above assumes that you downloaded the file to C:\TEMP, if you stored it elsewhere, enter the path you used in step 2 above. You will need a password to install the update which is provided in the notification of the release. 2.2 Installation options The installation program offers you our standard default directory on Drive C. If you have installed the programs elsewhere, you must change the directory to that which you used for the original installation. If you wish to make use of the automated software update facility, then you must change the directory to the update folder on your network Wolters Kluwer (UK) Limited 3

5 3 Product name As you will be aware, with the acquisition of MYOB we now have 2 accounts production systems. It has therefore been necessary for us to rename the MYOB products to reflect the fact that they are now part of the CCH product range and have a naming convention that enables us to distinguish between the 2 products. The existing CCH ProSystem product names are therefore also being changed to accommodate this. CCH ProSystem Accounts Production has therefore been renamed CCH Accounts Production (PROcap). Database structure This release requires does not require an upgrade to the database and is therefore data compatible with the current release 6.0a. 4 New look and feel The look and feel of the software has been updated to give it a more modern feel and, where possible, to adopt current standards in design to make the software easier to learn. The interface is similar to that used in Microsoft Outlook and hence should be familiar to most users. 4.1 New toolbars The toolbars are very similar to those in V6 in that they can be repositioned and can be shown or hidden to meet your needs. It is also possible to customise the toolbars and create your own custom toolbars for commonly used options. If the toolbar is too wide to fit on the screen, the buttons that cannot be displayed are added to the drop down list that is displayed when you click on the down arrow at the end of the toolbar. Two dots appear above the down arrow to indicate that there are additional buttons available. It is possible to hide any of the toolbar buttons by selecting Add or Remove Buttons. Select this and a list of the buttons defined for the toolbar will appear. Click on an item to remove the tick by it if you do not wish it to appear or to add a tick by any that are to be shown. 6 To add or remove a toolbar, point to the toolbar area and press the right mouse button. A pop up menu will appear listing available toolbars and a tick is shown by each toolbar that is currently displayed. Select the name of a toolbar to add or remove it. The reset option at the foot of the menu restores the system to just show the default toolbars in their default positions with their default contents. The default settings at the system level show the Main, File and Master Formats toolbars. The default settings at a data level show the Main, Data entry, Database and Financial reports toolbars. As indicated, toolbars can be moved by dragging the vertical dots to the left of the toolbar name. You can drag this to the left and right to reposition the toolbar on the line, or up and down to move the toolbar from one line to the next. By default, two lines of toolbars are shown, but you can create further lines by dragging a toolbar down below the last line. As you move the mouse over the toolbar buttons, the prompt in the status bar will display the button s function. If you hover over a button for a few seconds, a pop up hint will also appear. You can also customise the toolbars, adding your own or amending the contents of the standard toolbars. Point to the toolbar area, press the right mouse button and select Customise from the popup menu. The Customise dialog will appear. From here you can: Toolbars tab - Create, rename and delete your own toolbars. Commands tab - o Add buttons to your own and standard toolbars by dragging the command from the dialog to the toolbar at the position it is to appear. o Remove buttons by selecting them and dragging them away from the toolbar. o Change the order of buttons by dragging them to a new position. o Move buttons to a different toolbar by dragging them from one toolbar to another Wolters Kluwer (UK) Limited 5

7 Options tab The following options are available: o Menus show recently used items. If this is ticked, when menus first appear they will only show items that you have recently accessed. Where only some items are shown, the system will display a down arrow at the foot of the menu and clicking on this will display the remaining items. If Show full menus after a short delay is ticked, hovering over an open menu will result in all items appearing after a few seconds. [Reset my usage data] will clear your record of recently accessed items. o Large items When ticked the size of the toolbar buttons will be doubled. o Show captions When ticked will cause the name of each button to appear under the icon. o Show multi lines When ticked will result in the buttons on any toolbar that could not be displayed in the width available appearing on subsequent lines. o Show ToolTips on toolbars When ticked a yellow ToolTip will appear showing the name of a button when you hover over it. o Menu animations Allow you to select an annotation to use for the display of menus. 4.2 Navigation panel The navigation panel has been changed to contain buttons representing the main option categories that you will want to access on a day to day basis. When you select a button, the associated options appear in the top panel. To select an option, double click on its name Wolters Kluwer (UK) Limited 6

8 4.3 Auto hide the navigation panel and changing its width The navigation panel can auto hide by unpinning it. In the top right of the panel is a pin icon which changes mode when you click on it. When this is down,, the panel will always be shown, when in unpinned mode,, the navigation panel will be hidden when you move the mouse away from it. Move the mouse to the left of the Main window to make it reappear. You may change the width of the navigation panel by dragging the vertical divider between the panel and the work area. 4.4 Data level When you load client data, the system displays the working papers in the navigation area and the information page in a single tab in the work area. 4.5 Open windows As you open Windows they appear in the tabbed work area space as a new tab. The name of the Window is shown in the tab at the top of the work area and it is also added to the list of open windows that appears if you click on the [Open windows] button in the navigation area Wolters Kluwer (UK) Limited 7

9 To bring any window to the front, either click on its tab, or select it in the list of open windows. The active tab also contains a drop down arrow. If you click on this, you will be presented with a number of options allowing you to close windows, a multi line option and a list of open windows. If the multi line option is ticked, the system will display the tabs in multiple rows if there are more tabs than can fit in the width of the work area. If the option is not ticked, the additional tabs will not be visible and scroll buttons will appear to the right of the visible tabs. 4.6 Detaching windows It is sometimes useful to be able to view more than one window at a time, e.g. a scanned document from Working papers and the final accounts. The facility has therefore been added to allow you to detach windows. You can do this by clicking on the tab of the window you wish to detach and dragging it to the position, or screen, on which you wish it to be shown. The cursor changes to the Detach cursor as soon as you have dragged the window far enough to detach and releasing the mouse will drop the window at the position selected. You can also detach a window by clicking on the detach button displayed to the right of the windows caption,. Once a window is detached, it can be moved by dragging the caption bar. To reattach the window you can drag the caption back to the tab area of the work area. As soon as the window is positioned in the drop zone the cursor will change to the Attach cursor and releasing the mouse will reattach the window. 10 can overlap the navigation area while reattaching. Alternatively, you can click on the Attach button that appears to the right of the caption bar on detached windows,. 5 Sub account names We have added the facility to specify the name for each account/sub account combination. This is useful where sub accounts are not used as divisional analysis but to provide a sub analysis of the main account. The Sub codes option on the Nominal ledger menu now contains a sub menu. This contains 2 options, the first is the routine to access the creation and management of sub codes, while the second option, Sub code names, is provided to access the new names facility. On selecting Sub code names, the system displays the Sub code names window. 5.1 Adding a name To add a new sub code name, click on [Add] and the Sub accounts dialog appears Wolters Kluwer (UK) Limited 9

11 Enter, or select the number of the account and the sub account to which the name is to be assigned and then the name to be used. Click on [Store] to save the name and the dialog will be cleared and will remain on the screen for you to enter another name. Once all names have been entered click on [Close]. 5.2 Editing and deleting a name The [Edit] button, or double clicking on the name in the list, will present the record s details in the above dialog for editing, while the [Delete] button allows you to remove the selected record from the list. 5.3 Displaying and Printing the list of names The two buttons allow you to display and print a report listing the names that have been defined for the client. 5.4 Sorting the list On first display of the Sub code names list the sort order defaults to Account/Sub account, indicated by a sort marker in the Account column heading. You can change the order of the items listed by clicking on the column headings. Only ascending sorting is available and the sort indicator will be moved to the heading that you have selected. Clicking on the Sub account or Name heading will sort on the selected column only, clicking on the Account heading will sort first by account number and then sub account number within each account. 5.5 Go to field When you type in the Go to field the system will find the nearest match in the column on which the list is sorted. Hence you can type either numbers or letters in this field. 5.6 Filtering the list You can restrict the list to only show the sub accounts relating to a selected nominal account by entering the account number in the field Filter on account. On entering, or selecting the accounts, the list will be restricted but in all other respects will work as an unfiltered list, however when a filter is in place the account number is automatically populated for any new account names added. To remove the filter, simply clear the entry in the filter field Wolters Kluwer (UK) Limited 10

12 5.7 Drill down from the nominal chart We have included the ability to drill down from the Nominal ledger chart of accounts window to the list of Sub code names. This is done by highlighting the account of interest and either clicking on the [Sub code names] button, or selecting the option from the popup menu. On selecting the option the system will display the Sub code name window with the filter populated with the selected account number, restricting the list to just that accounts sub code names. 5.8 Data entry window In the Data entry window, the sub account description was displayed at the foot of the dialog as soon as you move off the sub account column. Where you have created a sub code name for the account/sub account combination, the system now prefixes this with the name that you have recorded. The account name, if shown, in the body of the grid remains that of the main account name. 5.9 Ledger reports Where names have been assigned to sub codes, the name is shown in brackets after the main account code in nominal ledger reports Trial Balance Where sub code names have been assigned, the name is used as the account name in the display of a trial balance for the sub account Report definition The code to insert the sub code name in reports is: #[AccSub 999/888] Where 999 is the account number from 1 to and 888 is the sub code from 1 to 998. This can be manually typed or selected via the Code Selector dialog. The code may be used in repeat loops, incrementing either the account or the sub account. If a name has not been defined for the account/sub code being resolved, the system will use the name of the main account Master pack routines We have also added the ability to define sub code names in master packs. A new option has been added in the Nominal structure folder to access this facility Wolters Kluwer (UK) Limited 11

13 The routines work in the same way as for editing sub code names in client data. When you change a client from one master pack to another, the system merges any new sub codes and sub code names with the client data. 6 Other enhancements 6.1 New merge code to set number of decimal places We have added a new merge code to set the number of decimal places that will be used to print calculated columns and embedded non integer variables. The code takes the format: #[DP 9] Where 9 can be from 0 to Incrementing database codes We have added support for incrementing sub codes in database items referred to in financial reports. This version allows database code references in the format: ABC999_999 Where the entry after the underscore is considered for incrementing in a sub account loop and that before the underscore is considered for incrementing in a main account loop. Any combination of letters and numbers both before and after the _ are allowed, but the system will look at each and check if it ends in a valid number, if it does then it will be incremented. E.g. (assuming increments of 1) ACC100 Will be taken as ACC100, ACC101, etc in a main repeat any sub account repeat would have no effect on it. ACC100_20 Would be ACC100_20, ACC101_20, etc. in a main repeat and ACC100_20, ACC100_21, etc. in a sub repeat. ACC100_SUB20 Would also work and be ACC100_SUB20, ACC101_SUB20, etc. and ACC100_SUB20, ACC100_SUB21, etc. respectively. ACC100_20SUB would not be incremented in a sub repeat as the number has to be at the end. Also note that you have to have sufficient space to allow the maximum number size to be reached, i.e. if you had a code: 2009 Wolters Kluwer (UK) Limited 12

14 ACC100_S1 You could only increment the main account to 999 or the sub to 9 as there is no space to go beyond this, sub 10 would be truncated to 1. You would need to set the code to ACC_0100_S01 to increase this to 9999 and 99 respectively. 6.3 Data entry dialog persistence We have added new checkbox to allow the user to indicate that the system should remember the settings for repeats and use these as defaults each time the data entry dialog is presented. 6.4 Batch copy routines. The routine has been changed so that the batches are redefined as unposted when you restore a backup of a posted batch. This enables you to use these routines to transfer batches from prior years, or other clients and make them available for editing and posting. 7 Corrections and minor changes 7.1 Suppressing account list report lines The facility exists to suppress segment lines so they are ignored when the report is printed, however if an account list statement was suppressed an error occurred when the report was produced. This has been corrected. 7.2 Closing report preview window Occasionally the system would not allow the accounts preview window to be closed. We have changed the tests on close down to overcome this. 7.3 Saving reports to Word Under certain circumstances when you saved a report to a Word file the system would try to apply styles to row 0 of a table causing Word to throw an exception. This has been corrected and should no longer happen. 7.4 Use of clipboard in segment editing When you opened the Segments dialog and compiled accounts, the system was using the Windows clipboard for temporary storage. It no longer does this and the content of the clipboard is therefore preserved. 7.5 Transferring clients to the network When you transferred a client to the network the system was uploading your local user file overwriting the user file store on the network. This has been corrected so the user file is only copied to your local computer when you transfer a client from the network Wolters Kluwer (UK) Limited 13

15 7.6 Table busy when displaying reports If you had a report open and then carried out an action that triggered the need for the system to round the TB, e.g. edited partners details, then produced another report, the system displayed a Table Busy error. This has been changed so that the system now displays a meaningful message and proceeds to generate the requested report. 7.7 Conditions in segment headers Where creating a report, if a segment had deactivated balances and the following segment header contained a test on TB data being active, the system would not evaluate the figures in the deactivated balances and the result of the test of the condition would not be correct. All balances are now reactivated prior to testing of conditions in segment headings to correct this. If the first segment to be printed was based on a condition that drew from balances, the balances were always evaluated at 0 and hence the conditions were not correctly evaluated. This has been corrected. 7.8 Active user file We have changed the way that the system accesses the active user file to reduce network activity if the file has grown to a very large size. We have also added calls to the routine to maintain the file each time the user logs in and out to ensure it is kept as small as possible. 7.9 Error on balance forward If there was an incomplete record in the document file, the system reported a Range check error on a balance forward. We are now checking for this and such records removed Partner profit allocation In certain circumstances, the allocation for profit in the year to date trial balance for partnerships could be out by a penny or two. This caused the TB to be erroneously shown as out of balance. This was simply a display problem only and did not affect the underlying figures and has been corrected Wolters Kluwer (UK) Limited 14
