7 Course Introduction Through discussion, demonstration, and hands-on computer exercises this course uses the concepts and terminology associated with SuccessFactors Calibration Admin functionality, and helps you develop a working knowledge of this module for use in implementing your calibration management strategy. You will gain basic skills in how to use the SuccessFactors Calibration Admin functionality. In this course you will create and modify calibration templates, sessions and permissions using the step-by-step, hands-on exercises. CALIBRATION ADMIN TASKS Generally, calibration is part of a performance review process or part of a talent review process. How calibration is used depends on your organization. Before administrators can configure calibration settings in OneAdmin they must know the organization s strategy and process for using Calibration. For example: When calibration is part of the performance review process, will there be a single calibration session by department? Or will there be several levels (roll up) such as department, organization, and company? Answers to these questions allow the administrator to set up the calibration templates appropriately. Calibration is the process organizations use to compare and potentially adjust ratings of their team to ensure Success Factors Calibration SuccessFactors, Inc.

8 performance levels are standardized across the organization. It is a system where employees are compared with one another so that there is an assurance that one supervisor s A isn t another supervisor s C. The calibration process provides an opportunity for managers to learn to use the same language and share an understanding of the competencies and expectations of employee behavior. Using performance calibration, managers can discuss how to apply similar standards for all employees. The Calibration Admin Module supports the calibration function by providing the appropriate people with the right data according to decisions made in your organization about how calibration is to be conducted. 13 Module 1: Managing Calibration Templates Module 1 introduces the first steps necessary to employing your company s calibration model including how to create a new calibration template, selecting data to calibrate, designing the review template, and configuring other advanced settings. This module contains four lessons. 14 Lesson 1: Introduction to Calibration Templates The goal for this lesson is to provide detailed information about initiating or cloning a calibration template in SuccessFactors OneAdmin. OBJECTIVES Upon completion of this lesson, you will be able to: Initiate the creation of a new template Name the template Define the date range of the template CALIBRATION TEMPLATE MAIN CONCEPTS This lesson focuses on the Calibration template. Typically in a company only one person, a Super Administrator will have the responsibility for creating the template for calibration sessions. The calibration template defines: the type of data used in the calibration session, and how the calibration session looks on the computer. There are also several miscellaneous options. 15 CREATING A NEW TEMPLATE Calibration is a step in the Performance Management/Review and/or Talent Review process(s). It is a tool for HR Business Partners/Reps, managers, and organizations to review and ensure equitable ratings across teams, units, and the organization. Your organization s strategy and process for using Calibration determines whether you create one template or several templates. Administrators should know the specifications for calibration sessions in their organization before initiating the creation of a template. Two steps are included in this lesson: naming the calibration template and setting the time period of the data to be used. Naming the Template Use a name that is easily understood. For instance, Compensation Calibration 2011 or Calibration Performance and Compensation Make it easy for other users of the template to recognize the purpose of the template from the name. Setting the Date Range The date range you set for the template controls the data that is pulled into the calibration sessions. Success Factors Calibration SuccessFactors, Inc.

20 Lesson 2: Selecting Data The goal for this lesson is to provide information about selecting the data for the calibration template. OBJECTIVES Upon completion of this lesson, you will be able to: Select the data sources for the elements to be calibrated Define distribution guidelines CALIBRATION DATA MAIN CONCEPTS This lesson focuses on the second step necessary to build the calibration template. This step determines what data will be used in each calibration session. There are many options for displaying compensation, performance, and talent data as well as options for allowing access to other information about employees contained in the database. Performance This section includes the evaluation of performance, goals, potential, or other elements defined by your organization. 21 Employee Profile This section allows access to and modification of the subjects employee profile for talent review and succession calibration. Talent Flag This section allows for calibration sessions that account for talent. Others This section offers the option to make additional data available during calibration sessions. This is for reference only. The data is not included in the calibration sessions. Figure 2: Possible Data Sources for a Calibration Template PERFORMANCE The Performance option allows admins to select the form template that contains the performance data. Selection of the routing step at which the data can be used ensures that Success Factors Calibration SuccessFactors, Inc.

22 the data is pulled into a calibration session only when it is ready. Admins may select one or more of the following elements depending on your organization s specifications: Calculated Overall Objective Rating, Calculated Overall Competency Rating and Overall Form Rating. Selecting all three allows the comparison of objective scores to competency scores. Note: It is highly recommended that your route map for Performance Management should have a calibration step in it. The Calibration step needs to be an editable non-iterative, noncollaborative step. Figure 3: Elements for Performance Calibration Once the element is selected, the distribution guideline can be set. This sets the bell curve of the calibration. For example in a five-point scale: 5%, 20%, 50%, 20% and 5%. Success Factors Calibration SuccessFactors, Inc.

23 Figure 4: Distribution Guidelines for Performance Calibrations COMPENSATION The Admin selects the compensation template to be used and the routing step. During compensation calibration managers typically review salary versus performance to ensure that salary increases are being distributed fairly. The Admin selects the ratio type to be used and the number of range groups for the display. This is a decision made when selecting specifications. Success Factors Calibration SuccessFactors, Inc.

25 TALENT FLAG The employee s Talent Flag can be included for a calibration session. Two options are available: Risk of Loss and Impact of Loss. Allow access to Development allows access to an individual s Development Plan. Allow access to Learning Activity allows access to an individual s Learning page. 33 Lesson 3: Designing Views The goal for this lesson is to provide information about designing views for the calibration template. OBJECTIVES Upon completion of this lesson, you will be able to: Create a calibration view Select calibration elements Name the view Enable drag and drop Select and modify labels and colors CALIBRATION VIEW MAIN CONCEPTS This lesson focuses on how the calibration information will display on the computer screen to the participants of the calibration session. The View tab offers a range of options. The admin may modify and create matrices that plot two dimensions of calibration data. The admin can name matrix labels and select the background color of each cell in the matrix. There is an option to determine the language of the view and to enable drag and drop. 34 Figure 11: Sample Calibration Matrix SELECTING CALIBRATION ELEMENTS Every data element selected in the Data section is available for one or more views. OPTIONS Show calculated rating in addition to manual ratings The Show calculated rating in addition to manual ratings can be selected depending on the configuration and your organization s specifications. It will be greyed out if there is no calculated performance rating in the Performance form. Enable Drag and Drop When Drag and Drop is enabled, the session facilitator can move a participant to a different category during the Success Factors Calibration SuccessFactors, Inc.

35 calibration session. One feature of the calibration session is the ability to change the performance rating of an individual during the session. Note: The Drag and Drop function is not available when the performance review form automatically calculates the Overall Form Rating in the Summary Section. In this case, access to the original performance review data is allowed and changes can be made there. CREATING VIEWS The view is how the calibration data will display in the calibration session. OneAdmin allows the administrator to select the data to display in both the x-axis and y-axis of a matrix. If there is no y-axis data then the software produces a calibration session in the bin view only. Figure 12: Bin View The admin names the view and selects options. There is an amazing amount of flexibility in the tool. If the database has the information, it can be displayed in the calibration session. Success Factors Calibration SuccessFactors, Inc.

36 SELECTING LABELS AND COLORS The Admin may select the labels and the colors of each cell. The matrix is displayed with options for labels and color in each cell. Labels are simply typed into a box. Colors may be typed in as hexadecimal or a swatch panel opens allowing RGB, hexadecimal or selecting from a color wheel. Changes take place immediately. 41 Lesson 4: Adding Advanced Options The goal for this lesson is to provide information about using the advanced options for the calibration template. OBJECTIVES Upon completion of this lesson, you will be able to: Select advanced general options for the calibration template Select advanced list options for the calibration template ADVANCED OPTIONS MAIN CONCEPTS This lesson focuses on the various options available on the Advanced tab of the Manage Calibration Templates function. SELECTING GENERAL OPTIONS Each of the options listed under General provide additional functionality to the template. Automatically route forms upon session finalization When checked, forms will be routed to the next step of their route map when the session is finalized. 42 Enable stack rank in bin view When checked, participants in the calibration session will be able to view stacked rankings. Enable Dashboard When checked, the calibration dashboard is available during calibration sessions. It is automatically created to summarize the current state of calibration. It is turned off by default. Enable Comment When checked, session participants are able to comment on a subject during a calibration session. Enable Analyzer This function turns on the ability to view subject using the stack ranker feature. (If more than 10 subjects are selected the Analyzer option is greyed out during the calibration session.) Enable auto route option When checked, OneAdmin allows the administrator to route forms to Calibration if the forms are not already at the calibration step. Manager notification with rating changes on session finalization If checked will send message to a subject s manager if a rating is changed in a calibration session. 43 SELECTING LIST OPTIONS Options offered for the List View are to summarize the data, summarize views and select user fields to display. The list view shows a table of all standard user fields in the data model. The admin can select one or more fields to display in List View. 49 Lesson 1: Creating the Session The goal for this lesson is to provide detailed information about creation a calibration session in SuccessFactors OneAdmin. OBJECTIVES Upon completion of this lesson, you will be able to: Select type(s) of measures to be used in the calibration session Assign the dates and the location of the session Assign session owner and facilitator responsibilities CALIBRATION SESSION MAIN CONCEPTS This lesson focuses on the Calibration session. Admins are responsible for creating each session individually. As an admin, you initiate the session, select the template, determine when the session will be active, and who will be in the session. KEY INFORMATION Before creating calibration sessions in OneAdmin, you should have the required information about the session; Success Factors Calibration SuccessFactors, Inc.

50 who is involved, when and where it will take place, and what template is used. Session Owners - The person(s) whose direct reports are required to participate in the calibration session. Session Facilitators - The users who have access to the session in SuccessFactors and are able to edit. Planned Activation date - The date that the session is planned to be active and visible in the Calibration tab. Note: This date is information only and does not activate anything in OneAdmin. Session date -The date when the Calibration Session will occur. Location - Where the session will take place. Participants are those who are actually present at the session and are involved in the calibration task. Subjects are the employees whose data will be calibrated. Validation confirms that subjects are available for calibration; that they have forms, that their forms have been routed to the appropriate route map step, and that they aren t already selected for other sessions. Note: subjects may only be calibrated one time per data point. For Example, Joe Smith may be the subject of two calibration sessions but only one Performance calibration session and/or one Compensation calibration session. 65 VALIDATION FAILURE When the validation fails, OneAdmin displays the reason(s) for the failure. As the admin you can then correct the problem(s). For participants who have been included in the session but who do not have forms or are already in another session, you may go back to the People tab to remove them from the session. Or, you may decide that a form must be created for these subjects and correct the process by launching a form and ensuring it is moved to the correct step. For participants, with forms that aren t routed to Calibration you can either send an to that person s manager to route the form, or you can select the option to automatically route the form.
