2 POSITION DESCRIPTION Student Liaison Officer Context Lincoln University is New Zealand s specialist land-based university. For more than 135 years we have focused on improving New Zealand s land-based knowledge, skills and productivity providing not just economic but environmental and societal benefits as a result. It s a proud past that the University is building on for the future, repositioning to ensure the changing needs of industry and communities continue to be met, here and overseas. LincolnConnect is the business development arm of the University, covering the following areas: Domestic and international student recruitment International partnerships and relationships Communications Marketing and brand Conferences and events Professional development course management Business development/external relationships Alumni relations Fundraising and philanthropic development. The Domestic Student Liaison team sits within LincolnConnect, and functions to develop and maintain strong relationships with prospective students, teachers, academics, agents, staff and associated organisations in order to increase the reputation and awareness of Lincoln University and its programmes. As one of several Student Liaison Officers for Lincoln University, you would be responsible for the recruitment of students within specific geographic regions that have specific recruitment target numbers in the following market segments: secondary schools; pathway students; part time students; postgraduate students; mature students; Maori & Pacific Island students. In addition to working with these market segments, the Student Liaison Officer is expected to attend careers expos and other events in order to promote the range of courses that Lincoln University offers to prospective students. The position involves a significant amount of travel and will be located in our new Auckland Office. While the role is based on 37.5 hours per week, the Student Liaison Officer is required to work such hours as are reasonably required to get the job done. Purpose To increase student enrolment at Lincoln University by working closely with other Student Liaison team members and the wider Lincoln University staff to identify opportunities and develop initiatives for student recruitment and by developing and building networks within the designated geographic region and the wider community to promote the University.

3 Key Outputs Student Recruitment Act as the University s representative in regions of responsibility and represent the University at marketing and recruitment expositions in those regions. Achieve yearly regional/cohort targets as agreed upon with the Domestic Student Liaison Manager Key Performance Indicators There is an increase in the number of students enrolled at the University from the regions of responsibility in line with agreed yearly student number targets. Keep regular contact with the Christchurch based team specifically the Student Liaison Manager. Work cohesively with Liaison Officers and staff from the other institutions located in the Auckland office. Ensure prospective students and their families are welcomed to the office in a friendly and professional manner. Budgets and Reporting Manage and report on the allocated budget for the designated regions of responsibility All expenses are accurate, coded and filed on as per the University policy. Provide recommendations about trends, developments and opportunities in the domestic student recruitment market place to senior management, and other relevant parties e.g. staff within LincolnConnect and Student Administration staff. Budget allocations are used appropriately and not exceeded. The Domestic Student Liaison Manager, and more senior management, Student Administration, and staff within LincolnConnect are kept informed of recruitment trends and developments in the region (and wider) as they emerge. Planning Participate in planning meetings with the Student Liaison team to achieve specified outcomes. Account management of specified high schools, businesses, community groups and Iwi organisations in the designated region. Maintain records of client and prospect interactions via our Customer Relationship Management (CRM) system. Secondary School visits Regular communication is maintained with the Domestic Student Liaison Manager. Excellent working relationships are developed with high schools and relevant community groups. School contact details are kept up to date. There is a proactive approach to CRM training. All data is entered within the parameters decided by the University.

4 Plan and conduct student recruitment visits to secondary schools in the designated regions. Promote and inform prospects and key secondary schools staff of Lincoln University s full range of academic programmes and current initiatives. Attend careers evenings and events at designated Secondary Schools (and others as required). Career Expos Represent the University at career expos and any other events at which the University is marketing its programmes. Assist in setting up expos, organising displays and marketing collateral. Represent the University in a professional manner at all times. Treaty of Waitangi Support the University to meet its obligations under the Treaty of Waitangi. Prospective students and other clients receive a consistent service which is friendly, helpful and responsive. Visits to secondary schools, Kura and Wananga are planned and conducted to meet specified key outcomes, in a timely and effective manner. Maintain and update knowledge accordingly. There is a measurable increase in the number of students enrolling in Lincoln University programmes from designated region against set targets. Prospective students and other clients receive a consistent service which is friendly, helpful and responsive. Career expos and events are planned and conducted to meet specified key outcomes and the feedback received is positive. Maintain and update knowledge accordingly. There is a measurable increase in the number of students enrolling in Lincoln University programmes from designated region against set targets Demonstrates, and encourages others to demonstrate, support for the University s commitment to the Treaty of Waitangi. Health & Safety Provide a safe working environment, implementing Lincoln University Health and Safety (H&S) systems, encouraging participation of others as appropriate, and striving for continuous improvement in Health and Safety. Demonstrates familiarity and compliance with all H&S policies and procedures, and this includes: o o o Notifying the employer of any hazard that has come to the employee s attention; Keeping all H&S registers up to date; Immediate notification of infectious diseases.

5 Other Provide input regarding publicity material and University publications as required. Comply with all legal and University requirements for records management. Undertake other duties as may be required by the Domestic Student Liaison Manager Ensure the colleagues responsible for marketing/branding are kept informed on market feedback. All legal and University requirements are complied with in respect of the administration and management of all University records. The Student Liaison Officer demonstrates flexibility and willingness to assist with other duties as required. Staff Supervised The Student Liaison Officer is not responsible for the supervision of staff. Key Relationships The Student Liaison Officer is expected to establish effective working relationships with: Careers Advisers, Principals, Heads of Department and other relevant secondary school staff HR Managers/Directors of relevant businesses for part time or postgraduate students Other Liaison staff, both Domestic and International Student Administration staff Course Advisors and other relevant academic staff Staff from other tertiary institutions Other relevant external contacts, suppliers and networks Accountability The Student Liaison Officer reports to the Domestic Student Liaison Manager. Person Specification Qualifications and Experience A tertiary education qualification is strongly preferred - preferably in a relevant subject such as marketing or business - however this is not essential as equivalent knowledge may be demonstrated through experience. Recent and successful experience in a customer-focused, service delivery area is essential. Other recent and successful experience sought: Selling and promotion of products or services.

6 Developing and maintaining relationships within and outside an organisation. Territory management Presenting to groups. Experience of working within the secondary school or tertiary environment is advantageous. Technical Skills Highly developed communication skills (particularly presentation), including the ability to relate to a wide range of people from different cultures and backgrounds. Written communication skills of a standard that supports effective relationship management and would reflect well on the University. The ability to develop new initiatives. Proven ability to achieve identified goals and targets within specific timeframes. Confidence with office technology and proficiency in MS Office applications (mainly Outlook, Word, Excel, and PowerPoint). Personal Attributes The flexibility and resilience to cope with large amounts of travel. An energetic and enthusiastic approach to providing excellent customer service. Warm and approachable personality. Able to work independently, but also collaboratively, sharing knowledge within the team and working with others to achieve/exceed objectives and targets. Able to work well under pressure, maintaining effectiveness when faced with the demand of the variable workloads or tight deadlines. A current, full, unrestricted private motor vehicle licence is required.

7 CONDITIONS OF APPOINTMENT GENERAL STAFF Term of Appointment This is a continuing appointment. Hours of Work This is a full time appointment of 37.5 hours per week. Remuneration Salary on commencement will be within the range $57,990 to $72,320 per annum [Grade 5] on the General Staff salary scale, commensurate with qualifications and experience. Employment Agreement If the appointee chooses to become a union member, the appointee will be bound by the Lincoln University General Staff Collective Employment Agreement. It contains a comprehensive range of conditions of employment for this position. Otherwise the appointee will have an Individual Employment Agreement based on the Lincoln University General Staff Collective Employment Agreement. The conditions outlined in this document are indicators of some of the key items of that agreement. Annual Leave Annual leave entitlement is five weeks per annum. The appointee is also entitled to statutory holidays in accordance with the Holidays Act. In addition, the appointee is entitled to the last working day before Christmas Day, the three working days between Christmas and New Year, and Easter Tuesday, as University holidays, in accordance with the Lincoln University General Staff Collective Employment Agreement. Health and Safety The appointee will work and act at all times in compliance with all Lincoln University requirements in respect of occupational health and safety. University staff can join the Recreation Centre on campus. The Centre offers a wide range of facilities and services, for example: gymnasium, weights room, exercise classes, fitness assessments, massage, squash courts.
