2 A. Acano access i. Download the acano client from for PC, Mac, and ios. Or ii. Sign-in using the web RTC with Google Chrome or Firefox: B. Requesting an Acano account. i. Current Cisco Jabber users already have access to Acano. ii. to request access and provide the following details; 1. First and last name 2. Gatorlink 3. Department and affiliation C. Sign-in (client and web). i. Gatorlink and password. Note: Current Cisco Jabber users have access to Acano or contact VCS for an account. D. Making calls i. The button is present in each of Acano s home page tabs; - Activity, People and cospaces. ii. Click on to start a call 1. Dial single or multiple contacts by IP address, SIP URI, phone number or name search in the call field. Or 2. Call directly from the contact list by clicking on contact to select. iii. Click on to call. 2

Call a cospace; dial the cospace s URI provided on the conference invitation, i.e., xxxx.cospace@acano.uc.ufl.edu. Enter passcode if required to join conference. ii. Call a user; dial the user s URI, i.e., john.handcock@acano.uc.ufl.edu. iii. Call a cospace using UF s phone number; 1. Dial UF s phone number or extension from the videoconferencing endpoint, 2. Enter the call ID (provided in the conference invitation) 3. Enter passcode if required (provided in the conference invitation) iv. VoIP and registered endpoints may dial: v. This number can be used instead of the long dialing string. i.e., xxxxx.cospace@acano.uc.ufl.edu. vi. Registered Polycom and Cisco endpoints have this number saved on the phonebook. 2. Join via phone with audio only. i. Dial UF s number or extension, follow prompts to join conference. 3. Join using Lync i. Call a cospace; type the cospace s URI provided on the invitation, i.e., xxxxx.cospace@acano.uc.ufl.edu on the on the Lync address bar and hit enter. 1. To make an audio call click on the audio tab and select add audio 2. To make a video call click on the video tab and select add video 3. If the cospace is passcode protected, click on the keypad tab and enter code or dial from keyboard. (code is provided in the acano invitation) ii. Call a user; type the user s URI, i.e., john.handcock@acano.uc.ufl.edu on the Lync address bar and hit enter (to add audio/video follow procedures listed above). Note: A user s URI address consists of their Gatorlink name + the acano domain which 3

4 4. Join using Skype (voice only) i. Click on the phone icon and dial UF s acano phone #. ii. Follow prompts to join the conference. 5. Join using Cisco Jabber Video (Windows, Mac or ios) i. Call a cospace; type the cospace s URI provided on the invitation, i.e., xxxxx.cospace@acano.uc.ufl.edu on the on the Jabber address bar and hit enter or click and follow prompts to join conference ii. Call a user; type the user s URI, i.e., john.handcock@acano.uc.ufl.edu on the Jabber address bar and hit enter and follow prompts to join conference iii. Call a cospace using UF s phone number; 1. Type UF s phone number or extension from the videoconferencing endpoint 2. Enter the call ID (provided in the conference invitation) 3. Enter passcode if required (provided in the conference invitation) iv. The UF Acano extension (47155) may also be dialed. 6. Joing using Web RTC i. Accessing Acano via the web provides the same experience as the client. ii. Go to: iii. GUEST Join Call tab; 1. Join a call with the infomation provided in the Acano conference inviation. iv. USER Sign-in tab 1. Access your personal Acano account. NOTE: Longer than normal sign-in time is expected when logging in thru web RTC. 4

5 G. Building your contact list (follow number sequence). i. By name search 1. Click on the People tab 2. Search users by last name or username 3. Select name 4. Click on add to local contact icon ii. Individual or customized contact 1. Click on People tab 2. Click on + Contact 3. Add contact information 4. Save iii. Recent contacts will appear in the contact list in the Activity tab and may also be added by clicking on add to local contacts icon iv. Contacts details can be modified by selecting contact and clicking on. 5

6 H. Presence information 1. Presence status is indicated on the contact s name on MS Lync. I. Chat 1. Chat is enabled in all the Home Page tabs. 1. Click on name 2. Write message in the message field 3. Press enter to send. i. cospace chat (see cospace section). J. cospace 1. What is a cospace? Unlike scheduling a conference where teams or individuals must be given a specific number, location and address to call at a specific time - a cospace is always there once it is created and users are just a click away from entering the virtual meeting. 2. Creating a cospace 1. Click on the cospaces tab 2. Click on + cospaces 3. Create a cospaces name 4. Type name of registered contacts 5. Invite a. Optional password b. Acano will create and provide a web address for the cospace based on the cospace s name. 6

7 i. Once the invite button is clicked; registered Acano users will have the cospace added to their list simultaneously. ii. Send invitation for guest and non-acano users. 1. cospaces tab 2. Click on view cospace details 3. Click on send invitation 4. or copy invitation from pop-up window. NOTE: The password option is a good security measure when inviting outside participants. 3. Enter the cospace i. Use the Acano client or web RTC. 1. Click on cospace tab 2. Select cospace from list 3. Click join call ii. All members who currently join the cospace will be live in this screen. 7

Active participants list Chat.. 7. Call details.... iii. Exit cospace when finished, the camera will remain active if cospace is not exited. Note: Chat history will remain in the cospace until cospace is deleted by owner. 8
