1 The purpose of this guide is to give you an overview of the Microsoft Office 365 Excel web application. Creating a New Excel Workbook Log in to Office 365 using your student ID and password in the usual way. Once you have logged in, click the OneDrive link at the top. Click OneDrive This will bring up your student OneDrive. You can then click new document and select Excel workbook from the list. Click new document Click Excel workbook
2 You will now be prompted to give your Excel workbook a name. Provide one in the pop up box that appears and click OK when done. Type the name here Opening an Existing Excel Workbook If you already have an Excel workbook on your OneDrive, and you wish to open it, please ensure you have logged in to Office 365 using your student ID and password in the usual way. Once you have logged in, click the OneDrive link at the top. Click OneDrive A list of documents will appear in your OneDrive. Browse to the document you wish to open and click on the document name to open it. Click the Excel document
3 The document will open in a read only view. You will need to click Edit Workbook, and then select Edit in Excel Web App from the list. Click Edit Workbook Click Edit in Excel Web App from the drop down list Working with your Excel Workbook Once you have created a new document, the main Excel web application window will appear. If you are opening an existing document, please select Edit Workbook > Edit in Excel Web App and the screen will then show. The majority of functionality within the Home ribbon tab is similar to Excel on your desktop PC, with the functions split into groups. In this tab the groups are: Clipboard where you can cut, copy or paste a range of cells and values. The dropdown under Paste has the likes of Paste Values and Paste Formatting Font where the cells can be formatted with a range of fonts, colours and also borders Alignment you can choose to align the cell values left, right, centred both horizontally and vertically, as well as wrapping any text within the cell Number formatting numbers with decimal places and various number formatting in the dropdown arrow, such as currency. Tables allows you to sort data into a table and to edit surveys please see our Excel surveys document Cells cells can be inserted or deleted here Editing basic automatic sums, clearing cell contents and finding values can be carried out here
4 The Insert tab will show you the following options: Functions The fx function starts up a wizard to do functions that are more specialised Tables Surveys or tables can be inserted here Charts Various types of charts based on the data selected can be inserted for the most part, column, pie or bar charts will be sufficient Links Insert a web link which can be clicked on The Data tab will show you the following options: Connections Connections to other data sources that are set up in the spreadsheet. These often are used if you re connecting to other data sources for values. The majority of students will not need to use this. Calculation To calculate the values in the workbook if not automatically set to do so Sort Sort values in ascending or descending order (for example in a table you d wish to sort alphabetical or numerical order)
5 The View tab has two views to select from the default is Editing View, but there is also Reading View if you just wish to view the spreadsheet and not make any amendments to it. There is also a menu which in the Excel Web App will show Open in Excel: If you have Excel 2010 or 2013 installed, Excel will open and prompt you for your student address and password. This will happen on MMU student PCs with Excel 2010: Enter your student address eg: @stu.mmu.ac.uk Enter your password Click Sign in
6 Once you have entered your details and clicked Sign in, Excel will appear as normal. You may need to click the Edit Workbook button as it may think you ve opened your document from an unknown web source: Click on Edit Workbook The save option will link to the user s OneDrive, not to their student home area. This is because the file is referenced in the File Menu as a OneDrive file. File name is web-based
