4 Introduction Welcome to the Drupal guide for web editors. This booklet aims at providing the stepping stone to edit a website developed in Drupal by offering detailed step by step instructions. Drupal is an online Content Management System that allows you to easily publish, manage, and organize a wide variety of content on a website such as adding pages, changing text and photos, and creating a list of FAQ s, without the need for a web design desktop application such as Dreamweaver. Drupal is also very intuitive (for example: to edit a page, you simply navigate to that page, then click the Edit button, which only appears once you are logged in). Learning Drupal will enable you to update your own portion of the website through an easy to use WYSIWIG (what you see is what you get) text editor, similar to editing in Microsoft Word. You will learn how to edit and add new web pages, manage the menu options, upload an image to the content area, and upload a document with a corresponding hyperlink. With the Drupal system, you can learn to do all of these tasks without using or knowing any html! 1

5 Getting Started Requirements The assumption is that you have been provided access to a KSU themed site developed for your department. There is no software to download or install. You do not need any knowledge of HTML. You can use either a PC or Apple Mac. Accessing the website to be edited 1. Launch the browser of your choice: Mozilla Firefox, Apple Safari or Internet Explorer. Note that some Drupal functionality works better with certain browsers than with others. For example, Internet Explorer for Windows and Safari for Mac do not consistently display WYSIWYG (what you seeis what you get) editing tools. Using Firefox is recommended when working in Drupal as this browser/cms pair has performed well on both Windows and Mac platforms. 2. Point the browser to the website by entering the URL address followed by /user. For example: This will take you to the user login screen as supposed to the actual website s homepage. 6 Figure 2 User Login Page 3. You must be logged in to edit the website. Enter your NetID and password in the login fields. Figure 3 NetID and Password 3

7 4. Navigate to any page on your site. You will notice that at the top of each page there are now two tabs: View and Edit. The View option allows you to see what the site visitors see; the Edit option allows you to change the content on that page. 5. To edit a page simply click the Edit tab. Figure 4 View & Edit Tabs Creating a new webpage If you wish to create a new page, click on Create a page. from the Manage Your Site menu on the left side of the page. 9 1. Enter a title. 2. Click on Menu Settings to expand the area and see more options. Figure 7 Menu Options Expandable Link 3. Enter a menu link title to appear on the links menu. (i.e.: Home) The Menu Link Title should be what you want the name of the actual link to be. Figure 8 Menu Settings 4. Parent Item The drop down menu shows your existing menus and their respective menu items. You can simply select the title of a menu to have your new menu item inserted at the top level of that menu, or you can select a menu item to make your new menu item a child sub menu of that parent menu item. 5. Weight The weight range is from 50 to 50, where 50 is the lightest and floats at the top and, on the contrary, 50 is the highest value and comes at the bottom. 6. Create the body of the page with the help of the formatting toolbar of the WYSIWYG 1 Editor. See Figure 9 1 WYSIWYG: What You See Is What You Get 6

10 Text formatting Figure 9 Formatting Toolbar You can adjust the font size by selecting one of the ten options available from the pull down menu. You can change the font color by clicking on the Text Color button: You also have bold, italics, and bullet list styling options on the toolbar. Hyperlinks You can easily insert links onto the body of your webpage. Links can direct users to either another web page or an address Type the word or sentence you would like to link and highlight it Click in the Insert/Edit Link button. The Link screen appears Select the Link Type from the drop down menu: URL or E Mail For an URL, select the Protocol from the drop down menu: ftp://, news://, or other Type the URL or web address in the URL field without the protocol If you would like the link to open up in a new window, click on the Target tab and select New Window (_blank) from the pull down menu. Figure 10 Link Info 1.7. Click OK to confirm the new link Right clicking on the link will give you the options to open, edit, and remove the link. Figure 11 Link Target 7

11 Tables 1.1. In the WYSIWIG editor, place your cursor where you would like the table to appear Click on the Insert/Edit Table button. The Table Properties screen appears. Specify the number of rows and columns for your table in the appropriate fields Specify the thickness of the table s bor der (in pixels) or set it to 0 (zero) to make it invisible Set the alignment of your table content to left, center, or right Specify the width of your table in pixels or percentage. For example, if you set the width at 50 percent, the table will take 50 percent of the editing area s width You can insert spacing between cells by increasing the cell spacing. The higher the number, the further apart the cells will be You can insert padding between the cells borders and their content (i.e.: text, image) by increasing the cell padding Use the caption field to give an optional title to your table. The title will appear above the table Use the Summary field to type an optional comment. The comment will not appear in the table. It is for usage only. Refer to Figure 13 for an example of a table and its properties. 8

To adjust the table properties: Right click on the table Select Table Properties from the menu Make your modifications and click OK To delete the table: Right click on the table. 13 1.3. To adjust cell properties: Right click on the table Select Cell from the menu Select Cell Properties. The Cell Properties screen appears. Figure 15 Accessing Cell Properties Figure 16 Cell Properties Cell Properties give you the following options: Width: To set the cell width in pixels or in percentage of the table width. Height: To set the height of the cell. Word Wrap: To turn on/off word wrapping. Horizontal Alignment: To determine the horizontal alignment of the text in your cell. It can be set to Left, Center or Right. Vertical Alignment: To determine the vertical alignment of the text in your cell. It can be set to Top, Middle, Bottom or Baseline. Rows span: To extend vertical rows. Columns span: To extend cells on a horizontal row (left and right). 10

14 Background color: To set the background color of your cell. You can either select a color or type it manually. Border Color: To set the color of your cells border. You can either select a color or type it manually To insert or delete rows, columns and cells: Right click on the table Select Cell, Row or Column Select Insert or Delete Images Figure 17 Adding & Deleting Cells, Rows & Columns 1.1. In the WYSIWYG Editor, place your cursor where you would like the image to appear Click on the Insert/Edit Image button. The Image Properties screen appears. Figure 18 Image Properties 11

15 1.3. Click on the Browse Server button to upload an image from your computer hard drive, USB flash drive or network. The Browse Server button is located to the right of the URL field On the next screen, which displays the site s media assets directory, click on Upload. Figure 19 Media File Manager 1.5. The File: field appears. Click on the Browse button Locate and select the file you want to upload and click on the Open button Click on the Upload button. The file has now been added to the File name list You can manipulate the image, if necessary: If you need to delete the image file, click on the file name to select it then click on Delete If you need to resize the image, click on the file name to select it then click on Resize. Enter a new width and a new height then click on the Resize button If you would like to create a thumbnail, click on the file name to select it then click on Thumbnails. Check one or more of the size options then click on the Create thumbnails button Click on Send to FCKEditor to close the window and place the image on the Image Properties screen. Note that the path to the image fills the URL field and that the image appears in the Preview pane Enter a short image description in the Alternative Text field. This is for inputting text to display in case the image does not appear. 12

16 Figure 20 Image URL & Alternate Text Image positioning The default placement of an image is left aligned, with the base of the image lining up with the base of any text next to the insertion point. When an image is left aligned, any text next to that image will start at the top of the image and wrap around the right and bottom of the image. The tool for inserting the image lets you change the alignment of the image Select Right from the Align drop down list to align the image to the right. The text will then wrap around the left and bottom of the image. The default spacing between the image and the text is narrow. You can increase both the vertical and the horizontal spaces around the image Enter your spacing in pixels in the HSpace field for horizontal space and in the VSpace field for vertical space. In our example, we have 50 for hspace and 15 for vspace. Refer to figures 15 and 16 to see how hspace and vspace affect the positioning of text around the image. 13

17 Figure 21 No Spacing Figure 22 Spacing 1.3. By default, the image does not have a border. You can add a border around the image by entering a thickness value in the Border field. The number you input will be the width in pixels of the border. The higher the number, the thicker the border becomes Click on the Link tab if you need to link the image to another webpage Enter a URL to an external website or click on the Browse Server button to link the image to a page on your site If you would like the link to open up in a new window, select New Window (_blank) from the pull down menu under Target Click on OK to set the image properties and return to the edit screen If you need to modify these image properties, right click on the image and select Image Properties from the menu. 14

18 Pasting content into the WYSISYG editor You can easily copy/cut content created outside Drupal into the editor Select and copy/cut the content you need to insert into your Drupal page In the WYSIWYG editor, right click where you want to insert content and select Paste. A Paste window may appear depending on the web browser you are using Hit ctrl+v to paste the content into the window Click Ok. Revision Information You will find the Revision Information feature below the WYSIWYG editor. This tool allows you to create a history of edits made to the page along with explanations of the additions and changes made Click on Revision Information to expand the area Select the checkbox next to Create new Revision Enter an explanation for the revision in the Log Message window. 19 1.4. Click on the Revisions tab to view the history of revisions, revert to an earlier revision, and delete revisions. Figure 25 Revisions Log To delete a revision, click on delete next to the revision to be removed. Figure 26 Delete Confirmation To revert to an earlier revision, click on revert next to the revision set to replace the current version. Figure 27 Revert Confirmation Note that the reverting mechanism does not delete the current revision. Instead, it clones the earlier revision that the page is reverted to and places that copy ahead of the replaced revision. For example, you have 4 revisions: 1, 2, 3, current. When you decide to revert to revision 2, a copy of revision 2 is made and set as the current revision. You then have 5 revisions: 1, 2, 3, 4, current, where revision 4 is the previous current revision and the current revision is a copy of revision 2. 16

20 Click on the Edit tab. File attachments 1.1. Click on File attachments to expand the area Click once on the file to select it then click on the Open button Click on the Attach button. The file uploads. Figure 28 File Attachments Click on the Browse button to find your document. You may upload any document with the following extensions: jpg, jpeg, gif, png, txt, doc, docx, xls, xlsx, pdf, ppt, pptx, pps, ppsx, odt, ods, odp. The maximum file size is 100 Megabytes. 21 1.5. The attached file is placed on the page but it will not be accessible by users unless you place a link to the document on the page Insert a link to the document Place the cursor in the editor where you want to insert the link to the attached file Enter some text for the link and highlight it. (i.e.: Click here to view document) Click on the Insert/Edit Link button on the toolbar. The Link window appears Click on the Browse Server button Click on the file you attached to select it Click on Send to FCKEditor Click Ok. Authoring information This section conta ins the name of the user who edited the page as well as a time/date stamp. Figure 31 Authoring Information Publishing options This area lets you set the publishing options for the page. The different options will do the following: Published: This option sets a flag on the content you are editing that marks it as being published. Once you click on the Submit button, the content will appear on the site. If it is not published, the content will be stored, but it will remain invisible to most users. 18

22 Promoted to front page: This option will place the content on the front page of your site. Sticky at the top of lists: This option sets a flag on the content that tells the system that if the content is shown in a list, then this item will float at the top of the list. 1. Click on the Preview button at the end of the page. The content preview appears at the top of the page. Always preview before submission for confirmed output. 2. Click on the Submit button at the bottom of the page. A confirmation message should appear to inform you that the page has been added and the menu link has been created. 3. Log out then click on the link to the page you just created to see how your page appears to site visitors. 4. To log back in, return to Editing an existing page 1. Click on the link to the page you want to modify Click on the Edit tab. Make your edits. Click on the Save button. Deleting an existing page 1. Click on the link to the page you want to modify. 2. 23 1. Click on Edit the Navigation Bar Links under Manage Your Site to access the Navigation Bar Menu. The Navigation Bar Menu screen appears. Figure 33 Navigation Bar Menu 2. The List Items tab allows you to configure your menu items The Enabled option allows you to set the links visibility on the navigation bar De select a checkbox to render a menu item invisible Select its checkbox to make a menu item visible Drag and drop menu items to reorder them by clicking and dragging this symbol: Figure 34 Reordering Menu Items 2.5. Select the Expanded checkbox to display any child links Click on edit next to the menu item you want to edit Make your changes Click on Save Click on delete next to the menu item you want to delete and confirm the deletion. 20

The Add item tab lets you add one or more menu items to the navigation bar menu Enter the actual link into the Path field Enter a Menu Link Title to be displayed on the navigation bar Enter an optional descriptio n. This description will be displayed when a mouse cursor hovers over the menu item Select the Enabled and Expanded options as needed Set the link as parent or place it under a Parent Item Set an optional weight to adjust the order of the links Click on the Save button. 21

26 4. The Edit Menu tab allows you to change the name of the navigation bar menu and its description. The Left Sidebar Links screen appears. Follow the same steps as for the Navigation Bar Menu. 23 Figure 38 Left Sidebar Links

27 Adding to the FAQ Frequently Asked Questions or FAQ s can be great resources for helping site visitors find information. In Drupal, you enter each question as a separate piece of content. Each question added will appear, and when clicked on, its answer will be revealed. Creating a FAQ: If you wish to create a new page, click on Add to the FAQ. from the Manage Your Site menu on the left side of the page. The Create FAQ screen appears. Figure 39 Create FAQ 24

28 1. Click on Menu Settings to expand the area and enter the information as you did when you created a new page. 2. Enter the question you wish to display in the Question: text field. 3. Enter the answer to your question in the Answer: text field. 4. Scroll down to the other options and enter any information as necessary. 5. Click on the Preview button at the end of the page. The content preview appears at the top of the page. Figure 40 Preview FAQ 6. Click on the Save button when you are done adding the content. 7. Repeat the process to add additional questions and answers to the FAQ s. Editing a FAQ 1. Go to the Frequently Asked Questions page, and then go to the FAQ you need to modify. 2. Click on the question. An Edit tab appears. 3. Click on the Edit tab, make your modifications, and click on Save. Deleting a FAQ 1. Go to the Frequently Asked Questions page, and then go to the FAQ you need to delete. 2. Click on the question. An Edit tab appears. 3. Click on the Edit tab, and click on Delete at the bottom of the page. 25

29 Drupal Terms Page A page, similar in form to a story, is a simple method for creating and displaying information that rarely changes, such as an "About us" section of a website. By default, a page entry does not allow visitor comments and is not featured on the site's initial home page. Front Page This is the first page that site visitors see. Story Node Path URL A story, similar in form to a page, is ideal for creating and displaying content that informs or engages website visitors. Press releases, site announcements, and informal blog like entries may all be created with a story entry. By default, a story entry is automatically featured on the site's initial home page, and provides the ability to post comments. A node is a piece of content in Drupal, typically corresponding to a single page on the site, which has a Title, an optional Body, and perhaps additional fields. Examples of nodes are polls, stories, book pages, images, etc. A path is the internal address of a node or content. (i.e.: node/15) The URL (Uniform Resource Locator) is the text you type into the address bar of your web browser to access a web page. (i.e.: Teaser This is a paragraph which only contains the first few words or sentences of a piece of content, usually with a link to the complete node. Content Content is typically text, images, video, and downloadable files. Most of the content exists as nodes but everything placed within blocks, menus, and so forth is also content. FCKeditor FCKeditor is a lightweight text editor to be used in web pages. It provides most of the commonly used functions from desktop editors like Word to the web. By using FCKeditor you can write text, format it, create tables, insert images, and add hyperlinks. Hyperlink or Link A section of text or image on a web page that, when clicked, will take you to another web page. 26
