2 Introduction The Pilot Portal is a web based application allowing a user to create FPL Proposals without terminal Access and even via mobile devices, such as tablet PCs. The web application is connected to the software used in ARO. The Pilot Portal gives the possibility: to submit flight plan proposals and/or change them; to save the flight plan as template for recurrent usage; independently prepare a bulletin based on the valid NOTAMs; read meteorological forecasts; to receive essential information relating to the airspace, such as airways, aerodromes, navigation aids, restricted areas, routes, runways and waypoints. to use Visual flight planning to create FPL route, insert it to FPL form, to modify the created FPL route Proposals as FPL and messages are handled by Tallinn ARO. The user of the Pilot Portal gets an overview of proposed FPL messages he/she created and can also track operations that have been applied to these messages.! All messages created via the Pilot Portal are message proposals that need to be accepted by an operator of ARO before they become effective! Pilot responsibility is to make sure that his/her Flight plan proposal is accepted by Tallinn ARO and flight plan has status active.

3 1. Portal Access The services can be accessed via Make sure to remember the given password, because you may be asked to enter it during the activation process. Recovering the password is done via homepage

4 1.1. Log-in: - insert your user name - enter your password - click < sign in> As long as user no user is logged in, the icon labelled as Offline After you logged in successfully, the system displays the Current Active Flight Overview and your username is displayed in the top right region of the screen 1.2 Log out: Please always log out the application otherwise you have the session lost when simply close the application :

5 1.3 Change password You can change your password. To do so: log in to the system click Account enter the current password enter the new password and repeat the new password. Click Save

6 2. User Preferences You can set up your personal user settings. To do so, log in to the system, hover over your user name in the upper right corner and click User Preferences: Edit field "Additional flight levels" Set up a flight level the system adds to the highest value found in the FPL message that is the base for the PIB creation. The sum will be inserted into the PIB creation form as first upper flight level. (In Aerodrome PIBs, the first upper flight level is always automatically set to 999.) Edit field "Default Departure Aerodrome" Define here the aerodrome that is entered into an FPL by default. Buttons "Time Format" Define here how the date and time will be displayed in the Pilot Terminal. Speed Unit (Ground Speed) Select the speed unit that is used in the route planning.

7 3. Icons The following table gives an overview of the icons used within the web application and their meanings:! No online help is available for this application. Additionally, the Current Active Flight Overview uses several more icons that have been collected into a legend:

8 4. Input assistance Syntactical Checks Freely entered data is syntactically checked as soon as the focus is set to another field. A warning or error icon indicates problematic entries. Tooltips Hover the mouse pointer over fields or icons to get further information, e.g. on the accepted data format, displayed. You can alternatively click on the following icons to get the tooltip: - mandatory input (red star) - warnings (exclamation mark on yellow ground) - errors (exclamation mark on red ground) Drop-down lists Use the drop-down menus to select a value from a pre-defined list.

9 Static Data Matches The application offers matching data stored to the main ARO system if available. You can then choose one of the offered values or enter a new one freely. Calendar Pop-up For date fields, the system offers a calendar where you can select a date to be taken over. 5. Menu bar The Menu Bar contains the available menu items whose functions and features are described below in separate chapters: Active Flights : Lists all current flights and their status. Create FPL : Opens an FPL form for you to fill in. Aircraft Data : Lists a collection of static data that you can insert into a Flight Plan; you may add/edit data. Briefing : Allows you to set up bulletins of various types (aerodrome, area, enroute, narrow route) and to recall PIBs. Visual Flight Planning : Allows you to set up a route. Some menu items contain subitems that appear upon hovering over the menu item. The menu item that is being active turns red.

10 6. Aircraft Data To start using application you can define your aircraft(s) data that you want to have available when creating an FPL. The only mandatory filed is the aircraft ID i.e. the registration. Click Submit to save your changes. FPL 19.field data (Supplementary Information) also can be saved:

11 You can add/edit/delete all aircraft s data you have: - Click Add / Edit / Delete - Add/edit/delete aircraft data and Save your changes

12 7. Creating an FPL Click the Create FPL menu and fill in the form to create an FPL proposal message. Use Fleet button to load, select and take over aircraft data into your FPL. You can change saved aircraft data while filling the FPL proposal form.

13 Click the button to open a dialog where you can navigate through all templates you saved before. Select the template to be used and click load. The content will be filled into the form then Enter all FPL form data as required; use the input assistance to facilitate the process

14 You can directly enter the values of equipment filed 10 of FPL or click on the tool icon to use the input assistance. For this field, you get displayed a list to select values from. Change Speed / Level indicator if appropriate Use drop down list to select a value (e.g. ADEP/ADES)

15 Check if there is a syntacs error in your flight plan. A warning or error icon indicates problematic entry. Use Add item button to add value to field 18. from the drop down list:

16 8.1 FPL to ROUTE Use FPL to route button to make the system to take over your data given in the Route field into the map where you can further edit it if need be :

17 The route from your FPL is added to the map: Edit the route by entering of a new point(s) either coordinates : Use reverse button to change departure and destination vise versa

18 Click on the map to add any point to your route: As you edit your FPL route click the button Route to FPL to amend you FPL. The FPL data will be amended automatically including ADEP/ADES etc.! After the route is edited amend entire FPL data if applicable, e.g item 18. Click Submit FPL proposal to Tallinn ARO When and if you want to use Estonian VFR map then using zoom the new button (WGS) appears. It s only a picture above the map, so you are able to use coordinates for flight planning.

20 8.2 Route Assistance You can use Route Assistance function (CFMU B2B) that allows you to request recommended routes from the CFMU. You have first to enter a route in your FPL form to get proposals for alternative routes. You may also enter DCT.! Route Assistance is available for IFR or mixed IFR/VFR route only Use Route Assistance button in FPL form to request routes, press sumbit button.

21 An error raised when IFPS validation is failed. Modify your FPL and submit again In case IFPS validation is succeed the system displays the proposed routes and a geografical view of propsed routes. Select one of them to see on the map and double-click or Transmit to overtake the route into FPL proposal: Complete filling in your FPL proposal including field 19. (Supplementary information) and click submit to send Tallinn ARO

22 Use Additional Distribution AFTN addresses to add AFTN addresses where you wish your FPL will be distributed additionally: 8. Active flights The submitted FPL proposal will be displayed in Active Flights in status in progress. The state of submitted FPL is proposed. Note! Your FPL is not activeuntil you receive ACK from Tallinn ARO The system displays all FPLs that you sent to CADAS as proposals so you can truck changes to the related initial FPL. The display automatically updated every 15 seconds. Each entry can be expanded by clicking on the plus sign in the first column to show detailed information. Additionally, a history cane be displayed that gives information on the operations that have been performed on a certain FPL proposal. Note!check the legend

23 Your FPL proposal is in process and FPL is proposed until Tallinn ARO accepts or rejects it: Your FPL proposal is rejected and FPL is in cancelled status if it has been rejected by Tallinn ARO. Your CHG proposal message is accepted by Tallinn ARO and FPL is planned :

24 The reason why your FPL proposal has been rejected can be seen in Active flights explanding the FPLl history: 10. Modification of FPL: Modify your FPL by submitting DLA/CHG/CNL message to Tallinn ARO. To do so: modify your FPL through Delay, Change or Cancel buttons. Amend EOBT or FPL data or cancel your FPL through active window and click to changes :

25 Report actual departure or arrival time (ATD/ATA) through Departure or Arrival button : You can revoke your FPL proposal or proposed modifications to your FPL by sending revoke message to Tallinn ARO. Your FPL proposal becomes revoked and FPL is cancelled. If you revoke submitted modification message for the planned flight, FPL status will be planned and only modification is revoked. Note! You cannot revoke any submitted message if it has already been accepted/rejected by Tallinn ARO

26 9. Briefing 10.1 Creating PIB You have the possibility to create the following briefing types: Aerodrome briefing Area briefing Enroute briefing Narrow Route briefing Only the fileds that are needed to fill out the chosen briefing definition type are displayed. You may also execute a briefing on a flight displayed in the Active Flights Overview or from the Create FPL dialogue. Create PIB from the Create FPL dialogue: Create PIB from the Active Flights overview:

27 Create PIB from main Briefing menu. Define all parameters you wish include into PIB. Define the Validity period for PIB, Flight Level (upper and lower), Message types you wish will be included in PIB e.g. NOTAM, SNOWTAM, METAR, SPECI, TAF Define Flight Rules for the PIB, Scope (Aerodorme, Enroute, Nav warning) to include NOTAMs into the PIB, Purpose to restrict the kinds NOTAMs that will later be listed in PIB. Subject code of NOTAM could be defined to restrict NOTAMs in PIB Flight route Coridor is defined by default as 20nm. You can modify it.

28 Enter the Route parts of the flight route. The flight route will be added automatically when you create PIB from the Active Flights dialogue or from Create FPL dialogue. Specify the Aerodromes concerned. Enter the ICAO indicator of an aerodrome or select from the list. Click + to add the aerodorme or delete to remove aerodrome. You have the possibility to add any aerodrome available in Static Data. You have possibility to determine the function of selected aerodromes e.g. DEP for Aerodrome of departure: Specify the FIRs/UIRs concerned. Enter the ICAO indicator of FIR/UIR and click + to add FIR into PIB or delete to remove FIR from the list: Click to Submit to generate PIB.

29 In the PIB you see the type of PIB, Service type is FULL, the identifier of PIB and all defined by you parameters :

30 The map view is available at the end of PIB. NOTAMs and data from the PIB will be displayed: You can save PIB template to use it further. Define PIB parameters and click Store. To use PIB template later click Load

31 10.2 Recall PIB To have updated PIB use recall PIB function from the main Briefing menu: Insert the ID of FULL PIB you created and click to Create Update PIB. The only new information (NOTAMs, SNOWTAMs etc) will be added into updated PIB:

32 9.2 Visual Flight Planning Function gives the possibility to create FPL route, to have geographical data visualised within the map, to add the created FPL route to the FPL form. Use a working area of Visual Flight Planning : Add any point from the map to your route, create the FPL route by inserting coordinates to the filed Edit point by poin The data are visualised on the map if applicable:

33 Click a layer icon on the top of the map to get its relevant data displayed. Depending on the layer that are provided on the server of the system, there are varikus layers available. You can show the layers ifr-hi, IFR-Lo and VFR: Click Route to FPL and created FPL route will added to the FPL form:
