Grade Point Average The semester grade point average is computed at the end of each term. GPA is calculated by Multiplying the number of credits earned in each course by the numerical value associated with the grade received in that course. Totaling the grade points for all courses and then dividing by the total number of graded credits attempted, including failed courses. Example: Credits Grade Grade Points 3 A (4.0) 12 3 B- (2.7) A- (3.7) B (3.0) D (1.0) 2.0 Credits Attempted= = 14 Total Grade Points= =42.2 Total Grade Points/Credits Attempted = 42.2/14= GPA 3.01 Credits transferred from another institution are not included in the cumulative grade point average. 2 The period during which students may declare that they wish to take a course on a Pass / No Pass or Audit basis is through the seventh week of the semester. Students must fill out a Change of Grade Mode form in the Office of the Registrar. In order to change the grading mode of a course the Pass / No Pass or Audit mode must be available on the given course. Once the grading mode is changed it cannot be changed back to the original grading mode. Definitions for Grades not included in GPA Withdraw (W): Issued when a student formally withdraws from a course. The withdrawal must be initiated by the student in accordance with the procedures and deadline dates published on aua.am. A grade of W carries no credit and is not included when calculating GPA. A grade of W may not be changed by instructors. Incomplete Grade (I): The instructor may issue the grade of I when certain criteria have been met and an incomplete contract agreement has been signed by both the instructor and student which outlines a time line for completion. In Progress Grade (IP): The grade of IP is used to indicate when a course is in progress. Pass (P): The grade of P is used to indicate successful completion (C- or better for undergraduate, B- or better for graduate) of a course. A grade of P carries credit, but is not included when calculating GPA. No Pass (NP): The grade of NP is used to indicate unsatisfactory performance in a course. A grade of NP results in no-credit earned and is not included when calculating GPA. Grade Missing (GM): The grade of GM is used to indicate when no grade was reported by the instructor. This grade can be auto-generated or manually entered. Audit Grade (AU): Issued when a student s attendance in an audited course is deemed adequate. AU grades carry no credit and are not included when calculating GPA. Transfer Grade (TR): The grade of TR notates a course that has been transferred into AUA. TR grades carry credit but are not included when calculating GPA. Grading Mode Courses are offered under one of the following grading options. Individual departments determine what grade mode options are available on their respective courses. Differentiated LTR Letter Grade Letter grades of A,A-,B+,B,B-,C+,C,C-D, F and WF are used to indicate academic performance in a course. A-WF grades are included when calculating GPA. Undifferentiated PNP Pass / No Pass American University of Armenia 2

3 Pass (P): The grade of P is used to indicate successful completion (C- or better for undergraduate, B- or better for graduate) of a course. A grade of P carries credit, but is not included when calculating GPA. No Pass (NP): The grade of NP is used to indicate unsatisfactory performance in a course. A grade of NP results in no-credit earned and is not included when calculating GPA. AU Audit Grade The grade of AU is used to indicate that the course was taken in the audit grade mode. Courses taken in the audit grade mode are not graded and credits are not earned or included when calculating GPA. Degree seeking students may audit a course to re-familiarize themselves with the course material with the approval of the instructor. Audited courses have the same tuition charges as courses taken for credit. The course instructor will determine the workload for courses being audited. Optional Letter Grade or Pass / No Pass / Audit Some courses are offered under both differentiated and undifferentiated grading options. The default grading option is A-WF, but students may choose the P/NP or the AU option instead and must elect the appropriate option, when available, during the registration period. Students may make changes to grading options through the seventh week of a term. Change of Grade No more than 25% of the total number of credits earned can be graded on a Pass / No Pass basis. Some courses may not have the Pass / No Pass grading mode option, especially courses required for a major or degree. A student must be in good academic standing to choose the Pass / No Pass grading mode. If the Pass / No Pass grade mode was selected during pre-registration and a student is later placed on academic probation, the Pass / No Pass grading mode will be cancelled. Final grades are subject to revision by the instructor with the approval of the Program Chair for one semester following the term in which the course was offered. (Approval of the Dean is also necessary if the instructor is also the Program Chair. In cases where the instructor is both, approval from the Provost is necessary.) After that time has elapsed, all grades recorded in the Registrar s Office become a permanent part of the academic record, and no changes are allowed. Grade Appeal Policy A grade may only be changed based on discovery of a mathematical error or for the misapplication of a grading standard previously announced in the syllabus. Students may petition for an academic grade review by following the procedure outlined below within 30 calendar days after the official publication of grades. Before deciding to appeal for a grade change, American University of Armenia 3

4 the student should request a verbal explanation of the basis of the grade from the instructor. If the student is not satisfied with the explanation, the student may appeal the grade. How to appeal a grade: 1. The student submits a letter outlining any questions and/or objections directly to the faculty member, with a copy to the Program Chair. (If the faculty member is also the chair, the copy must be sent to the College Dean.) 2. The instructor submits a written response to the letter within 30 calendar days of receipt of the appeal, with a copy to the Program Chair or Dean if the faculty member is also the Chair. The response must be signed and submitted to the Office of the Registrar by the Program Chair or Dean. 3. The Office of the Registrar will complete the process within 10 working days of receiving the final report from the Program Chair or Dean: either the grade officially remains the same or the grade is officially changed. The total process should take no longer than 60 calendar days. Repetition of Courses Courses in which a student receives a grade of C- or above cannot be repeated, this applies to both undergraduate and graduate students. Repetition of a course more than once requires approval by the dean of the college or school in which a student is enrolled at the time the course is repeated. Degree credit for a repeated course will be given only once and only the most recently earned grades and grade points are used for the first 12 units repeated. For repetitions after the first 12 units, the GPA is based on all grades assigned and the total number of units attempted. Please note that all grades remain a part of the student s permanent record. All students must indicate that they are repeating a course at the time of registration and when adding courses to their study load. Additional courses that are over and above the degree requirements are separate and are paid on a per credit basis. Graduate: Graduate students must repeat courses in which they received a grade of D, F, or NP. Graduate students are not permitted to graduate with a D, F, or NP on their transcript. Undergraduate: Undergraduate students may repeat courses in which they received a grade of D, F, or NP. It is necessary to repeat required courses if the grade received was a grade of F or NP. Students may repeat courses in which they received a D, F or NP for letter or pass / no pass grades if the courses offer that grade mode option and if the student is eligible for that option. In no case, shall an NP grade replace an earlier letter grade in the computation of the grade point average. A course in which an NP grade has been received may be repeated on a letter grade basis if offered. American University of Armenia 4

5 Academic Standing To remain in good standing and in order to graduate, graduate students must maintain a cumulative grade point average of at least 3.0 in courses taken at AUA. Undergraduate students must maintain a cumulative grade point average of at least 2.0 in courses taken at AUA. Based on their performance, students at AUA are classified as: in good academic standing, on probationary status, or subject to dismissal. American University of Armenia 5
