1 JOB DESCRIPTION Job title: Reports to Responsible for: Hours: Location: Internal Communications Manager Head of Stakeholder Engagement Staff: None Budget: None 37.5 hours/week. 6 month contract London office, London Bridge, London, SE1. Job Purpose: To help implement the Internal Communications Strategy for Prostate Cancer UK, managing internal communication channels, and working closely with all directorates to promote key messages internally. The job holder will be responsible for redeveloping and improving the intranet as a key internal communications tool. This includes supporting colleagues across the charity, particularly managers, to deliver successful communications within their team and across teams. Promoting and influencing the culture of the charity in particular with reference to the Working Principles will be a large part of the role. 1. Duties and key responsibilities Developing and implementing the Internal Communications Strategy In conjunction with the Head of Stakeholder Engagement, help implement the charity wide internal communications strategy. Review and restructure the Prostate Cancer UK intranet. Measure the effectiveness of internal communications messages and channels on an ongoing basis and make recommendations to review and amend the strategy as appropriate. Engage with managers and staff across the organisation to shape the delivery of the strategy in order to deliver business goals. Ensure planned activities are aligned with corporate messages and initiatives. Develop and manage the communication briefing process, ensuring it effectively communicates corporate messages and elicits feedback, shaping clear messages that are aligned to brand values. Ensure messages from senior management are properly reflected in communications to internal stakeholders. Ensure key Prostate Cancer UK policies are captured and promoted appropriately through the internal communications channels. Developing and managing internal communication channels Manage internal communications channels, including writing/editing e-newsletters and the weekly News in Briefs bulletin, developing a staff newsletter, drafting/ editing key internal presentations. To take a lead role in working with teams to assist with the communication of complex/technical data as required. Manage and monitor the charity s internal communication programme so that internal stakeholders (staff, trustees, volunteers and offices) across the UK (regional offices and homeworkers) are informed of organisational news, issues and direction on a timely and inclusive basis and have mechanisms for providing feedback to management. Develop knowledge of innovative communications tools. Introducing new solutions and approaches to improve engagement in change initiatives. Promote and disseminate key Prostate Cancer UK policies via internal communications channels Promoting and influencing the culture of the charity Contribute to the strategic direction of the Communications function, and its role in supporting cultural change in the charity. Champion the Working Principles of the charity and promote the over all ethos through internal communications channels. Development and control of the Blackboard Play a leading role in redeveloping and improving the intranet as a key internal communications tool, working alongside the Digital team and ICT Embed the intranet as a central information resource and first reference point for information for all staff. 2

3 Work with Directorates to promote ownership and develop and improve content in all sections of the intranet. Monitor and control content and input of all online internal communications. Advice and guidance Be the first point of contact for internal communication enquiries and requests for advice. Advise individual managers to achieve successful engagement in key initiatives. Advise senior management on sensitive and complex internal communications challenges, including crisis communications issues. Working with HR to help facilitate leadership learning sessions Development Keep abreast of trends in the field of internal communications. Look for self development opportunities which will be of benefit both individually and in the delivery and performance of the role. Administration The role is administratively self-supporting. 4 PERSON SPECIFICATION Job Title: Internal Communications Manager This person specification sets out the essential, minimum qualities we are seeking for this post. Skills and Abilities Experience Criteria Managing multiple projects (both complex and operational) and of managing a busy workload, to tight deadlines Verbal and oral communication skills, with a wide range of groups and individuals Ability to identify, develop and disseminate stories and topical, important and urgent information in a proficient and expeditious manner Ability to write engaging copy for online and offline for internal audiences Ability to think creatively Capacity to turn complex material into eye-catching communications Prioritising and decision making skills Proficient in Microsoft applications, including Word and Excel Experience of using a website CMS Experience of using multiple social media platforms Ability to engage with all levels of staff Ability to form effective relationships with a wide range of groups and individuals and to work effectively in a team Internal communications experience in the non-profit sector, especially where some staff may be dispersed in regional offices/home based 4 Criteria tested at Application Interview Test

5 Education, training, qualifications Knowledge Experience of designing, creating and managing intranets Experience in a communications function using specialist skills Experience of implementing internal communication strategies Experience of developing, exploiting and managing two way communication channels Experience of advising senior managers on complex internal communications challenges Experience of successfully influencing staff at all levels within an organisation Educated to graduate level or equivalent experience Application Interview Test Other requirements Knowledge of best practice in internal communications and current trends in this field. Ability to work flexible hours, including some evening and weekend commitments Empathy for the cause of prostate cancer Desirable Enthusiasm and willingness to be flexible in achieving targets and outcomes Commitment to Prostate Cancer UK and the working principles Occasional travel to other office locations may be required (Scotland) Working in a voluntary organisation, either on a paid or voluntary basis Experience of strategic planning 5
