1 Fixed Assets Fixed Assets stores all the information your organization needs to properly track and manage your property, plant and equipment. The system calculates depreciation based on built-in IRS formulas and tables or on custom depreciation schedules you enter to meet specific needs. Other features enable you to print scannable bar code labels to expedite asset inventory, automatically remind yourself of scheduled maintenance and even view a picture of the asset from inside the program. Data entry is a breeze. You can import asset information, use wizards to enter multiple assets with similar information and, if you have Purchase Orders, automatically add an asset as a purchase order is receipted. With Fixed Assets, store all the information your organization needs to properly track and manage your property, plant and equipment. 3 Post a single transaction to multiple accounts and/or projects Adjust posted transactions while maintaining a complete audit trail Create a variety of on-demand reports including: Asset List Report Depreciation Summary Report Action Listing Report Account Distribution Report Expedite inventory by printing asset labels that can include: Scannable bar codes ID numbers You can store a wealth of data about each asset in logically designed screens. Instantly know book value, prior depreciation totals and year-to-date depreciation these figures appear on the initial screen. Asset Management Important asset information is only a mouse click away. You can store a wealth of data about each asset in logically designed screens. Instantly know book value, prior depreciation totals and year-to-date depreciation these figures appear on the initial screen. The system assigns asset numbers as they are entered into the system. You can also provide other identification information such as description, model and serial numbers, class, location and department. In addition, store the vendor name, date in service, purchase price and disposal information. You can view a list of depreciation activity, drilling down to view details of each transaction. Also view a summary of activity for each asset and produce an attractive color graph depicting the summary, which you can print or paste into reports and other documents. To help with budgeting, generate projected depreciation for the remainder of the asset s recovery period. The Media feature enables you to store within the system a scanned photograph of the asset as well as copies of invoices, receipts, warranties, maintenance records and more. The Actions feature tracks all events in the life of an asset. It can automatically remind you of scheduled maintenance and warranty expirations. Enter the details of each action, such as when and why work was performed and by whom.
4 Another feature allows you to record each time an asset is moved, noting when and why the move was made, who moved the asset and the new location. Fixed Assets enables you to store an abundance of miscellaneous information in an organized way. Fixed Assets enables you to store an abundance of miscellaneous information in an organized way. Create unlimited user-defined fields for recording data unique to your organization or a particular asset. For example, you may have attributes for your computer assets listing service representatives and contact information. You can also enter and categorize notes about the asset in notepads that hold formatting or create improvement or disposal transactions that automatically post to Blackbaud s General Ledger. Data Entry Creating asset records and transactions is easy with Fixed Assets. Wizards help maximize efficiency by allowing you to enter similar assets at the same time. Additionally, the interface with Blackbaud s Purchase Orders module allows you to create a new asset record as soon as the receipt is generated. Calculations & Transactions Fixed Assets makes creating transactions a snap. You can generate depreciation transactions for different time periods using a step-by-step procedure. Fixed Assets provides the ability to use many standard depreciation calculation methods, including those required by the IRS for tax deduction purposes: Straight line MACRS ACRS Sum of the Years digits Declining balance After your depreciation calculations have been made, you can post transactions directly to Blackbaud s General Ledger. Flexibility allows you to post transactions to a single account or to spread the transactions across multiple accounts or projects. For example, if two departments share a laser printer, depreciation can be split between them. You can even make adjustments after transactions have been posted, keeping a complete audit trail.
5 Reports Fixed Assets comes with numerous built-in reports to help make asset management easy. In addition, you can export data to other applications to create charts, graphs and customized reports. You can customize each of these reports by choosing date ranges, asset classifications, depreciation methods, departments and other criteria. For example, you may wish to create a report listing year-to-date depreciation for all computers in your business office that were not purchased in this fiscal year. Once this report variation is created, you can save it and run it again and again. Producing a report is easy we have created wizards that walk you through a visually intuitive step-bystep procedure. In addition to the standard reports, you have the flexibility to design a report from the ground up. Fixed Assets includes the Crystal Reports report writer, allowing you to create any report you need. Utilities Import/Export Importing data into Fixed Assets is easy using the flexible import wizard. In addition, you can export data to other applications to create charts, graphs and customized reports. Query Segment your data based on information in any field in the program. Create queries using a simple drag and drop technique to include the information you want to sort on as well as the information you want to appear in the query output. Global Change Making amendments to certain groups of assets is easy. For example, if your Development department moves from the second to the third floor, you can update the location of the assets in one quick procedure.
