2 Scope of the work: TCGL Invites proposal from reputed and experienced agencies for appointment as Event Manger to coordinate the various activities related to Road Shows to be organised in various cities of India. The scope of work is as under:- 1) The Road Show will be organised in the following locations: Metro City: (a) Mumbai (b) Delhi (c) Kolkata (d) Chennai Other City: (i) Hyderabad (ii) Bangalore (iii) Pune (iv) Chandigarh 2) Designing & printing of Invitation card and sending the same to Travel Agents/Tour Operators/Travel Writers/ Travel Photographers/Hoteliers & Electronic print media and representative of Gujarati Samaj. 3) Designing, Printing & pasting of back drop. 4) Creation of reception counter at the entry point, traditional welcome, venue decoration as per the Theme of Road Show ( in consultation with TCGL officials). 5) Dias arrangement with the facility of enough space for small cultural performance, Podium, Sound & Light, Projector, LCD screen. 6) Anchor 7) Preparation of Kit ( the required material shall have to be taken from Gandhinagar to the respective places). 8) Videography, photography 30 minutes ( Maximum 50 Photographs) 2

3 9) Coordination with local PR agency for wider pre & post event publicity. 10) Preparation of dozier (report) containing the details including photograph of event. Two bid process: 1) Technical bid: The agency has to submit the concept for implementing the above assignment along with the technical expertise, experience and other relevant details as a part of technical bid along with the format Part A 2) Financial Bid: The agency has to submit the financial bid for implementing the assignment as per the enclosed format. Tender Fee: The tender fee of Rs. 1000/- has to be deposited along with the technical bid by way of DD in favour of Tourism Corporation of Gujarat Ltd. (Payable at Gandhinagar) Last date for submission of proposal : up to 3.00 pm. Security Deposit : The selected agency shall have to submit security deposit of Rs.50,000/- within ten days after issue of Work order by way of Demand Draft/ F.D. in favour of Tourism Corporation of Gujarat Ltd. payable at Gandhinagar which will be refundable only on successful completion of the assignment. Procedure to be followed: Technical and financial bid has to be submitted in separate sealed envelope. Both technical and financial bid has to be submitted in one sealed envelope and same shall be super scribed: Proposal for Event Management of Road Shows. The short listed parties will be called for the presentation before the Committee. 3

4 EMD The bidders have to submit EMD of Rs.25,000/- along with the technical bid by way of Demand Draft in favour of Tourism Corporation of Gujarat Ltd. payable at Gandhinagar. Criteria for selection of the agency 1) Agency should have experience of minimum three years for similar assignment. The details about road show organised during last three years to be submitted with technical bids ( name of the events, Cost of the events & Details of the events) 2) Agency shall have own office or tie up with similar agency in cities, town, mentioned in the tender (copy of legal agreement to attached with technical bid). 3) The agency should have a well trained professional team having expertise for similar services. 4) The details about manpower for managing Road show to be submitted along with technical bid (total manpower, executive) 5) Complete details about all offices (area, location, size, phone no. fax, etc.) 6) Agency can bid for one city or any number of cities if the agency fulfil the criteria. Experience on similar assignment: The Agency having experience for comparable assignment will be given preference. Special Clause: The Corporation reserves the right to accept or reject the tender without assigning any reasons. 4
