2 Introduction to How to Build a More Effecitve XSite The XSites Wizard lays out a simple process for launching your XSite. But what then? There are tons of tools and features in your XSite designed to improve its effectiveness. Once you have your site configured, it s time to add some dazzling touches so it really stands out amongst the competition. Managing user accounts As your business grows, you ll have more people working on your XSite. XSites allow you to create user accounts for all of these people, granting them the specific access rights they need to get their jobs done. Task: Create user account 1. Click the User Management icon found in the My Office drop down menu. 2. Click the Add User button to create a new user. 3. Now, complete all of the fields on the screen. You can use either an existing address or one created for your XSite s CertMail tool. Select Your XSite s CertMail, then type a new name into the Your Address text box to create a new CertMail account Use the Forwarding to have your sent to a thirdparty address. To make sure you don t miss any , make sure that one of your users has the Catch-All option checked. Make sure you check the option under User Information, then edit the Portrait and Bio Text options. You ll use these in a moment to create a Staff Profiles page. How to Build a More Effective XSite Page 2 Under User Privileges, select the functions you d like your user to have access to. Depending what XSite you are currently using is dependant on which Privileges you will see. Bonus Task: Creating Staff Profiles 1. Click the My Contents option in the Content menu of the XSites Wizard. 2. Click the Staff Profiles page in the Provided Pages tab. 3. Use the up and down arrows to reorder your staff directory or uncheck any site users you would like to remove from your Staff Profiles page. 4. When you re done arranging your staff directory, scroll down and enter some general text about your staff in the content window. Use the buttons in the tool bar to modify the look of your text or to include graphics. 5. As with any page, add listings or lead generation forms. 6. Scroll down and click Save to apply your changes. 7. Finally, check the box by the Staff Profiles page to display it on your XSite. Enhancing content pages You ve learned how to create new pages and edit existing ones. Here are some hints to enhance your web pages. Task: Creating tables 2. Place your cursor at the spot in the text where you d like to add a table. Normally, this is on a blank line. 3. Use one of two methods to create your table: Basic Mode - Click the table icon in the tool palette, then drag your mouse to select the number of rows and columns you d like to include in your table.
3 Table Wizard - The Table Wizard gives you more control over the initial creation of your rows and columns. Click the table icon in the tool palette, then choose the Table Wizard item at the bottom of the menu. Use the + and buttons next to the Columns and Rows labels to add or remove columns from your table. Use the column or row span + button to make a particular column or row span others. For example, you may wish to have the top row of a table span all the other rows to center a header in that cell. Click the Table Properties tab to specify the overall look of the table background color, border size, cell spacing. The Cell Properties tab allows you to take size, background color and alignment down to the cell level. The Accessibility tab allow you to add in Heading Rows, Heading Columns, Captions and Summary for the Table. When you are through with the Table Wizard, click Insert and your table will be drawn on your web page. 1. Once tables are on a page, select the table, then click and drag the handles to resize the table. 2. Right-click the table to insert/delete columns and rows or toggle the borders on and off. 3. To remove a table completely, highlight all rows and columns plus whatever is on the page immediately before and after, then press DEL. 4. For best results, especially when using the Table Wizard, you should have a good idea of the number of rows and columns needed, plus general layout before creating your table. Task: Insert images 2. Place your cursor at the spot in the text where you d like to add a photo or other graphic 3. Click the Insert Image icon in your toolbar. 4. You re presented with a list of files you ve uploaded to your site. Switch to the Site Pages or Clip Art tab for additional options. Select the file you want and to get a preview, click View. 5. Then, choose the embedded image radio button and click Insert. Images can be scaled to fit on your page and moved once in place by dragging and dropping. Here are other things you can do with an image: To scale an image, first click it, then, drag the handles in or out to make the image larger or smaller. When you left click on the image, you will have additional options open in a toolbar under the image, from here you can adjust the Width and Height, Alignment, Border Color and Size, Assign it an Alternate Image Text by selecting ToolTip or select the Set Image Properties option to bring up the Properties box. Add a hyperlink to the image by clicking the Hyperlink icon. How to Build a More Effective XSite Page 3
4 To delete an image, click it and then press DEL on your keyboard. Bonus Task: Add buttons 2. Place your cursor at the spot in the text where you d like to add a button. 3. Click the Insert Image icon in your toolbar. 4. If you have your own button image, click the Files tab and upload it using the steps above. 5. If not, click the Clip Art tab, then select the button you d like to use and click Insert. All of the clip art buttons start with blue- or white-. 6. Click the image you just inserted, then click the Create Hyperlink icon in the toolbar. You ll then have three options: Click the Link to a Page tab to link with a page already on your site. File Downloads Adding HTML pages to your site makes it easy for visitors to read the content. However, you may also want to create content for your site that users can download. This could include custom reports, forms or even images. Task: Upload documents to the file library 1. From the XSites Wizard and click File Library in the Extra Tools menu. 2. Click Add New File, then, click Browse. 3. Locate the file on your hard drive - this may be a PDF, a JPG, MP3 or any file type you wish to have accessible on your XSite select it and click Open. 4. You ll see its name in our XSite file upload screen. Click Upload. 5. Stand by as the file is uploaded and you ll see it in your files list. Task: Create a link to download a file Click the Link to a File tab select a file you ve uploaded to your XSite. 2. Select the text you d like to turn into a link, then click the globe icon in the toolbar with the closed link. Go to the Link to a URL tab and enter the web address. 7. Before clicking Save, choose how you want the link opened: Open in Current Window replaces your entire XSite shell with the contents of the new page. Open in a New Window launches a new browser window and puts your XSite in the background. Open in a Frame keeps your header and colors, but loads the content below it. Open in an iframe keeps your XSite header and navigation panes and loads the content in a small, scrollable window. 3. Click the Link to a File tab and select the desired file from your file library. 4. Before clicking Save, choose how you want the link opened: Open in Current Window replaces your entire XSite shell with the contents of the new page. Open in a New Window launches a new browser window and puts your XSite in the background. Open in a Frame keeps your header and colors, but loads the content below it. 5 Task: Create a link to another page on your site 2. Select the text you d like to turn into a link, then click the globe icon in the toolbar with the closed link. 3. Click the Link to a Page tab and select the desired page from the list. 4. Before clicking Save, choose how you want the link opened: Open in Current Window replaces your entire XSite shell with the contents of the new page. Open in a New Window launches a new browser window and puts your XSite in the background. Custom Intros Basic site intros allow you to present a colorful front end to site visitors. But you can create a truly eye-catching site intro using the Custom Intro builder. Task: Create a custom intro 1. First, gather together the images you wish to use and have some idea of the text you want with each image. If possible, save all of the images in one directory on your computer s hard drive. 2. Click My Intro in the Design menu of the XSite Wizard, then click Use advanced intro options. 3. Click Add New Intro to open the XSite Presentation Builder. This is a simple 5-step wizard that leads you through the creation process. To move through the wizard, just complete each screen and click Next. At any time, you can click Back to return to the previous step. 4. The first step is to name the intro. This is only for your internal use, so you can call it whatever you like. 5. Next, choose a background color. We give you choices that match your site, but you can pick anything you want by clicking the color swatch on the right for Pick a new color. 6. Choose your background music. To hear a sample first, click Play. 7. Now, add a slide for the first of your images. Click Upload Image, then, click Browse to find and select the image on your system and click Upload. Repeat this process to upload all of the images you'd like to use in your Intro. Once the images are loaded, continue with the following steps for each image. 8. First, decide how long you want the image displayed by changing the number of seconds next to Display Time. Be sure to add time in for any animation for the image and text. 9. Now, enter the Caption to go with the image. After typing the caption, you can drag it to another location on that slide. Just click on the caption text in the slide preview and move it. How to Build a More Effective XSite Page 5
6 10. To customize your caption further, click Advanced Options. You can select a new font for the caption and how you want its presentation animated i.e. fade in, fly in, etc. You can customize the animation, deciding if it affects individual words or letters and what happens to each word or letter. Click Preview once you ve selected your options. While getting familiar with the intro builder, you ll certainly want to try the all the options to see what you like the most. Click OK to save the options for that particular slide s caption. If you want to use the same transition and effect for all slides, just mark the box at the top of the Slide Transition dialog for Use for all slides. Click OK when you've chosen your slide transition. 9. Click Next when you are through adding slides. You can now choose to preview the presentation, go back to a particular piece of the presentation or click Save & Close to go back to the wizard. 10. When you are through building your intro, be sure to select it from the list. Then click Save to make it live. NOTES: 1. In the slide preview at the bottom of the window, you'll see a button with Fade on it. A fade-in is the default animation for your slide, but you can click the button and choose a different transition for the slide. 8. While choosing the transition for the slide, you also choose an additional effect to be used on the image as it comes into view. To sample the different effects and transitions, just choose one and click Preview. How to Build a More Effective XSite Page 6
