1 File Preparation Guide to Apply for Group e Visas 1 INTRODUCTION This guide is prepared to explain the rules which must be followed during the preparation of application transfer file for group e Visas. The Ministry of Foreign Affairs of the Republic of Turkey reserves the right to modify the content of this guide without prior notice. The responsibility of the files which do not comply with the rules described in the content of the guide or the content of which are inconsistent with actual data belongs to the person who created and uploaded the file. All rules must be complied with in principle. 2 GENERAL RULES The rules of the transfer file to be used in group applications are as follows: The applicant is responsible for the accuracy of all the data in the file content. It is not possible to refund the fee or reproduce e Visas if e Visas are unusable due to incomplete, inaccurate or incorrect spelling. All applications transferred by the file created with the help of this guide will be created with the nationality, the type of travel document and the date of expiry selected by the group leader at the beginning of the application. All columns in the transfer file, the contents of which are detailed below, must be in the same heading and in the same order. The first line in the content of the transfer file must contain column headings of fields. Dates must be written in the sequence of year, month and day respectively without space in between for a total of 8 characters (E.g ). Spelling rules specified for each column must be respected in the text fields. All columns must be in the file, even if the content is left blank. The lines in the file content must be separated with CR LF (Carriage Return Line Feed) characters, and the columns must be separated with Tab character. The file must be in the standard code UTF 16 Little Endian with BOM and have.txt extension. The file size must not exceed 300 KB. If the nationality for which the application is made is a nationality that requires Supportive Document, all relevant columns must be filled.

2 3 DATA AREAS The names and the explanations of the columns which must be in the file in the same order as below are as follows: 3.1 GivenName The applicant s name should be entered as it is written in the passport. If the applicant has more than one name, the names must be entered in this field, leaving a space in between. Hyphen ( ), dot (.), apostrophe ( ) and comma (,) are the only punctuation marks that can be used. Length of this field including spaces cannot exceed 50 characters. Entry in this field is mandatory. 3.2 Surname The applicant s last name should be entered as it is written in the passport. Hyphen ( ), dot (.), apostrophe ( ) and comma (,) are the only punctuation marks that can be used. Length of this field including spaces cannot exceed 50 characters. Entry in this field is not mandatory if there is no last name in the applicant s passport. 3.3 DateofBirth The applicant s date of birth must be entered as it is written in the passport. The year, month and day must be entered respectively without leaving any space. Date of birth must be entered as it appears on the passport of the applicant. While entering date, the sequence of year, month, and day must be used with no space within. The numbers of months or days comprising of single digits must be shown by inserting a zero digit in their left sides. Date of birth must consist of eight digits in total, such as Entry in this field is mandatory. 3.4 PlaceofBirth The birthplace must be entered as it is written in the applicant s passport. Hyphen ( ), dot (.), apostrophe ( ) and comma (,) are the only punctuation marks that can be used. Length of this field including spaces cannot exceed 40 characters. Entry in this field is mandatory. 3.5 MothersName Mother s name of the applicant must be entered. If the mother has more than one name, all names must be entered by leaving a space between the names. Hyphen ( ), dot (.), apostrophe ( ) and comma (,) are the only punctuation marks that can be used. Length of this field including spaces cannot exceed 40 characters. Entry in this field is not mandatory if the applicant s mother name is not indicated. 3.6 FathersName Father s name of the applicant must be written. If the father has more than one name, all names must be written by leaving a space between the names. Hyphen ( ), dot (.), apostrophe ( ) and comma (,) are the only punctuation marks that can be used. Length of this field including spaces cannot exceed 40 characters. Entry in this field is not mandatory if the applicant s father name is not indicated. 2

3 3.7 DocNumber Travel document number of the applicant must be entered as it appears on the document. Special characters and white space usage are not allowed. All text characters entered must be capital. Length of this field cannot exceed 16 characters. Entry in this field is mandatory. 3.8 DocIssueDate Date of issue of the applicant s travel document must be entered. While entering date, the sequence of year, month, and day must be used with no space within. The numbers of months or days comprising of single digits must be shown by inserting a zero digit in their left sides. Date must consist of eight digits in total. For example, Entry in this field is mandatory. 3.9 DocExpiryDate Date of expiry of the applicant s travel document must be entered. While entering date, the sequence of year, month, and day must be used with no space within. For example, Entry in this field is mandatory E mail address of the applicant must be entered fully in lowercase letters. Length of this field cannot exceed 40 characters. Entry in this field is mandatory. If the e mail address is not specified, address of the group leader will be used for this field in the application PhoneNumber Telephone number of the applicant must be entered. Only parenthesis, plus sign and special number characters can be used. Length of this field cannot exceed 20 characters. Entry in this field is mandatory. If the telephone number is not specified, telephone number of the group leader will be used for this field in this application Address The residence address of the applicant must be registered. Dot (.), comma (,), colon (:), semi colon (;), slash (/), backslash (/) and underscore (_) are the only punctuation marks that can be used. Length of this field cannot exceed 200 characters including spaces. If the address is not specified, address of the group leader will be used for this field in this application TypeOfSuppDoc Type of supportive document of the applicant must be entered. If a supportive document is not required with respect to that nationality, this field should be left blank. Three different values can be entered in this field. These values can be 0, 1 or 2. They will be registered in the meaning: "0" as "there is no supportive document"; 1"as "visa as a supportive document" and "2 3

4 as supportive document is a residence permit." If supportive document entry according to nationality information is necessary, then entry in this field is compulsory SuppDocForm If the type of supportive document belonging to the applicant is chosen as 1 or 2, from where the supportive document has been issued must be entered in this field. If supportive document entry is not compulsory according to nationality information, this field must be left blank. The information on issuing authority must be in the file with 3 character coding. The possible values according to the type of supportive document are shown in the table below. Entering a value other than those given in this table will not be accepted. If supportive document entry according to nationality information is necessary, then entry in this field is compulsory. If the document is given for an indefinite period of time, this field must be left blank. While entering date, the sequence of year, month, day must be used with no space within. The numbers of months or days comprising of single digits must be shown by inserting a zero digit in their left sides. Date must be comprised of eight digits in total. For example, etc. 4 SAVING FILE The file must be saved in txt format with UTF 16 Little Endian with BOM coding. If the file is prepared in Microsoft Excel programme, it is sufficient to save it with Unicode Text option under Save As options. The formats other than this format will be rejected by the system. 5 USE OF SAMPLE FILE Together with this guide, a Microsoft Excel file created with 10 sample applicant information is also presented. The related formatting has already been made in this file. After being filled with the information of the applicant, the related file can be saved with txt extension in Unicode Text format by means of Save As option and can be uploaded to the system. During uploading, the system will control the file content under the limitations specified in the guide and present the list of applicants to the user. After the user accepts this application list, the applications will be transferred to the system. It is not possible to change the transferred applications or to change an application for which e Visa has been issued and to put into process this application once again. 6
