6 General Information Advance Deposit In order to secure your banquet reservation for your wedding reception, a non-refundable advance deposit of $ is due when the initial contract is signed. Advance deposits are non-refundable, but are deducted from your final balance. Advance deposits may be made with cash, personal check, certified check, or credit card. Guarantee The number of expected guests must be given to the Catering Department when making a banquet reservation. The final attendance guarantee must be received one week prior to the function. It may be increased, but it may not be decreased within 72-hour prior to event. Charges will be based upon the guaranteed number, or the actual attendance, whichever is greater. Final Payment Fifty Percent of the anticipated balance is due 90 days prior to the function. A balance will be estimated based on your food and beverage selections, and your guaranteed number of attendees. Final payments may be made with personal check 14 days prior, cash, certified check or credit card 3 working days prior to the event. Any balance for last minute changes or additional guests must be paid on the day of the wedding with cash or credit card. Food & Beverage Selections and Set-up Arrangements Your Wedding Specialist will contact you approximately three months prior to your reception in order to finalize all food and beverage selections and banquet room set-ups. Once all of the information is obtained, a Banquet Event Order (BEO) will be completed. This form will contain all the information that is distributed to the hotel staff in order to ensure that your wedding reception is a complete success. It is imperative that the information on the BEO is correct. Your Wedding Specialist will ask that you carefully read all of the information, make any corrections, sign and return the BEO to the Catering Office 30 days prior to your Wedding Reception. Miscellaneous No food and beverage may be brought in from an outside source with the exception of your wedding cake. Your Wedding Specialist can also assist in helping you to arrange entertainment, a florist, a photographer and/or a baker.
