Page 5 Section 1. Transit Cases
Section 1.1 Case Size & Utilisation Page 6 CASES CONTAINING MORE THAN ONE PRODUCT TYPE ARE PROHIBITED. The supplier must ensure the corrugated case is optimally sized to suit the contents. Internal dividers should be utilised on fragile products which are deemed likely to sustain damage during distribution.
Section 1.2 Case Material Specification Page 7 IT IS ESSENTIAL THAT THE TRANSIT PACKAGING PROTECTS AGAINST DAMAGE DURING DELIVERY TO OUR DISTRIBUTION CENTRES & ONWARD SHIPMENT TO STORES. Without limitation to any other rights or remedies it may have, ASDA may seek compensation for goods which have been damaged as a result of sub-standard or insufficient packaging, and may refuse goods at time of delivery. STORAGE CONDITIONS TYPE OPTIMUM RANGE COLD STORE -25 C -27 C to -23 C CHILLED 1 (Meat, Fish, Chicken) -0.5 C -2 C to +1 C CHILLED 2 (Dairy, Cakes, Provisions) +3 C +1 C to +5 C CHILLED 3 (Produce, excluding Bananas) +13 C +12 C to +18 C AMBIENT * +10 to +40 C * Beers, Wines & Spirits must not exceed 25 C. Case material & tape must be chosen to withstand the temperature scales detailed above
Section 1.3 Case Seal Integrity Page 8 Adhesive tape or glue are the only methods to be used for securing case flaps. Staples or banding are not to be used without prior agreement with ASDA. If banding has been authorised then it must not obscure labels. COLOURED SEALING TAPE OR PRINTED COLOUR BANDS SHOULD BE USED TO AID IN-STORE IDENTIFICATION OF CHILLED AND GENERAL MERCHANDISE PRODUCTS. SEE SECTION 2.2. TAPE OR ADHESIVE SHOULD NOT BECOME LOOSE. TAPE MUST NOT COVER LABEL OR CASE PRINTING
Section 1.4 Case Construction & Integrity Page 9 THE SIDE HOLES OF SHRINK-WRAPS MUST BE EFFECTIVE IN CONTAINING THE PRODUCT. CASE DESIGN & CONSTRUCTION SHOULD BE SUCH THAT STRUCTURAL INTEGRITY IS MAINTAINED THROUGHOUT THE DISTRIBUTION ENVIRONMENT. Cases must be able to withstand a minimum top load of 200kg over the surface area of a 1000 x 1200mm pallet (i.e 17g per cm²) or own weight if greater, assuming normal distribution & storage conditions prevail. ENSURE THAT THE CONSUMER UNIT BAR CODES DO NOT SCAN THROUGH THE SECONDARY PACKAGING.
Section 1.5 Bags & Sacks Page 10 For products which are delivered in poly bags e.g towels, cushions etc, a minimum material specification of 40um is required to ensure pack integrity throughout the distribution chain. Hessian sacks must not be used. CONSUMER UNIT BARCODES MUST NOT SCAN THROUGH SECONDARY PACKAGING MINIMUM 40UM (MICRON) MATERIAL SPEC.
Section 1.6 Shelf Ready Packaging Page 11 For more details on ASDA Shelf Ready Packaging see the ASDA SRP Guidelines. All trays should be sufficiently robust to prevent tearing during handling at distribution centre & shelf replenishment in store. Removable corrugated hoods should be taped to display bases to aid handling. Specific opening instructions to be clearly indicated. CONSTRUCTION OF DISPLAY CASES SHOULD BE ROBUST ENOUGH TO PREVENT BURSTING OF PERFORATIONS, TEAR STRIPS OR OPENING DEVICE. REMOVABLE CORRUGATED HOODS SHOULD BE SECURELY ATTACHED TO BASE TRAYS WITHOUT OBSCURING BARCODE
Section 1.7 Optimum Shelf Fit Page 12 Shelf Ready Packaging (SRP) should be designed to maximise both retail shelf & pallet utilisation. CONSIDERATION SHOULD BE GIVEN TO ENSURE OPTIMUM FIT TO CASE, PALLET & SHELF DIMENSIONS. Ideal case configuration within Fresh food is 60cm x 40cm or 30cm x 40cm, as is currently standard for all Fresh Produce lines.
Section 1.8 Safety Page 13 FOR ALL FLAMABLE PRODUCTS eg AEROSOLS, ENSURE ALL PACKAGING COMPLIES WITH THE LATEST A.D.R (Accord européen relatif au transport international des marchandises dangerous par route) REGULATIONS Whilst total case weights of up to 16kg are permissible, it is preferred that the maximum case weight should be no more than 10kg. In circumstances where the weight of the case is unavoidably greater than 16kg (eg tv s), the actual weight must be printed onto the case itself and must be pre-authorised by ASDA. ANY TRAYS USED FOR DELIVERIES MUST BE CLEAN, DRY & FREE FROM INFESTATION AND CONTAMINATION. PRODUCTS DELIVERED IN A RETURNABLE PACKAGE E.G TRAYS, MUST BE AGREED WITH THE RELEVANT REPLENISHMENT ANALYST DURING PRODUCT SET UP. ASDA HAS APPROVED 3RD PARTY PACKAGING SUPPLIERS WHICH SUPPLIERS MAY BE REQUIRED TO USE.

Section 2.2 Fresh Food - Colour Coding of Labels Page 20 To minimise the length of time fresh produce is exposed to inappropriate temperatures, the case label must be colour coded to reflect the storage regime of these sensitive products. For all other fresh areas this requirement is desirable but may not be practical, if this is the case contact buyer to agree exceptions. TEMPERATURE BAND PRIORITY CHILL PREFERS CHILL PRIORITY AMBIENT PREFERS AMBIENT COLOUR BLUE GREEN ORANGE YELLOW IF COLOURED TAPE IS NOT USED (SEE PREVIOUS PAGE) THEN A 10cm COLOURED BAND MUST BE PRINTED LABEL COLOUR INDICATES STORAGE REGIME (SEE TABLE ABOVE). TWO LABELS ARE PREFERRED ALTHOUGH ONE IS ACCEPTABLE NB. COLOUR-CODING WITHIN FRESH FOOD IS CURRENTLY UNDER REVIEW. CONTACT YOUR BUYER OR ASDA PACKAGING DEVELOPMENT MANAGER IF COMPLIANCE CAUSES PROBLEMS.
Section 2.3 Label Positioning Page 21 Pre-printed cases - If the bar code is pre-printed onto the outer case, a minimum of 2 bar codes are required - the supplier is responsible for ensuring that this bar code has been verified to decode at a minimum of Ansi grade D. If the bar code is inkjet printed onto the outer case, 2 bar codes are preferred although 1 may be accepted. Inkjet bar codes must be verified to decode at a minimum of Ansi grade D. Labelled cases - If the bar code is printed onto a label, 2 barcodes per outer case are preferred (returnable trays only require a single label to be positioned on the tray end). If you have a practical issue in complying with this request then contact ASDA as there may be circumstances where a single label is sufficient. The supplier is responsible for ensuring that such bar codes have been verified to decode at a minimum of Ansi grade C. ONLY THE AGREED TUC CODE SHOULD BE VISIBLE ON THE OUTER CASE. ALL OTHER BAR CODES MUST BE OBLITERATED TO PREVENT REJECTION IN DEPOT. TWO LABELS ARE PREFERRED ALTHOUGH ONE IS ACCEPTABLE
Section 2.3..Continued Page 22 LABELS ON SHRINK WRAPPED CASES MUST BE APPLIED TO A FLAT OUTER SURFACE. THE BAR CODE MUST NOT BE OBSCURED BY THE SHRINK FILM IF THE SIDE WALL OF A CASE IS TOO SMALL TO HOLD A LABEL, THE LABEL MUST BE APPLIED TO A FLAT SECTION OF THE TOP FACE. LABELS POSITIONED ON THE TOP FACE ARE ONLY PERMISSIBLE UNDER THESE CIRCUMSTANCES
Section 2.4 Barcode Requirements Page 23 ALL CONSUMER UNIT & OUTER CASE BAR CODES MUST CONFORM TO EAN STANDARDS TO GUARANTEE FIRST TIME SCANS. For further details of bar code standards please consult GS1 UK (formerly the e-centre) on GS1 UK are part of the worldwide GS1 network who set out international standards for bar coding. The above web site should be consulted for further detail regarding the printing of bar codes and their height, width and magnification. ALL PRODUCTS WILL BE RECEIPTED INTO DEPOTS BY SCANNING THE OUTER CASE BARCODE (TUC) THEREFORE IT IS ESSENTIAL THAT ALL CASES/TRAYS/PACKS DELIVERED INTO AN ASDA SITE HAVE CLEARLY VISIBLE AND SCANABLE OUTER CASE BARCODES. PLEASE ENSURE CONSUMER UNIT BAR CODES CAN NOT BE SCANNED THROUGH SECONDARY PACKAGING. If you require a bar code to be issued for ASDA specific products, please contact your Buyer. Ensure that the printed TUC codes on the case match those held by ASDA. Check with the Buyer or Supply contact for confirmation ACCEPTABLE BAR CODE MAGNIFICATION TYPE PRINTED CASE PRINTED LABEL ITF % 50% 100% EAN128 EAN13 UPC-A 50% 100% ( WHITE SUBSTRATE ONLY) 150% 200% ( WHITE SUBSTRATE ONLY) 150% 200% ( WHITE SUBSTRATE ONLY) 50% 100% 150% 200% 150% 200% TYPE ITF-14 MINIMUM BARCODE DIMENSIONS WIDTH (NOT INC. 24 Section 2.4..Continued - Items With a Shelf Life of Less Than 42 Days Page 24 FOR ITEMS WITH A SHELF LIFE OF LESS THAN 42 DAYS, THE TUC CODE SHOULD BE ENCODED INTO AN EAN-128 BARCODE FORMAT, WITH THE DURABILITY DATE ENCODED INTO THE BARCODE IN ACCORDANCE WITH GS1 GUIDELINES. THE FORMAT OF THE DURABILITY DATE (ie use by or best before ) THAT IS USED ON THE CONSUMER UNIT SHOULD BE REFLECTED THROUGH ONTO THE OUTER CASE. For ASDA Brand items where a 13 digit TUC is issued, before generating the EAN 128 barcode, a leading zero must be added to create a 14-digit barcode number THE APPLICATION IDENTIFIER, (eg A1), DEFINES THE TUC OR GTIN THE A1 15 DEFINES THE BEST BEFORE DATE OF THE ITEM. BOTH TUC (A1) & BEST BEFORE (A1 15) DATA WILL BE USED WHEN RECEIVING PRODUCTS
Section 2.4..Continued - Items With a Shelf Life Greater Than 42 Days, or With No Date Code Page 25 For items that fall into this category, any one of the following barcode formats can be used (barcodes shown are examples only and are not to scale). All barcodes to follow GS1 guidelines. EAN 128 (as long as the TUC number is preceded with an application identifier of 01 followed by any additional data) EAN13 BARCODE UPC-A BARCODE ITF 14 BARCODE
Section 2.4..Continued - Barcode Best Practice Page 26 THE SUPPLIER MUST TEST SCAN EACH BATCH OF BARCODES TO GUARANTEE THE PRINT QUALITY. THE SUPPLIER SHOULD BE ABLE TO DEMONSTRATE THAT TESTING IS CARRIED OUT & THAT A PROCESS IS IN PLACE TO TAKE CORRECTIVE ACTION WHERE FAILURES OCCUR ALL BARCODES MUST BE VERIFIED USING EQUIPMENT COMPLIANT WITH ISO/IEC & WHICH INCORPORATE CEN AND ANSI STANDARDS. IF PRINTED ON LABELS THEY MUST ACHIEVE A MINIMUM GRADE C SCAN, HOWEVER IF ITF-14 CODES ARE PRINTED DIRECTLY ONTO THE OUTER CASE THEY ARE ALLOWED TO ACHIEVE A MINIMUM GRADE D. ALL LABELLING MUST BE ABLE TO WITHSTAND TEMPERATURE REGIMES ENCOUNTERED WITHIN THE PRODUCT'S NORMAL DISTRIBUTION METHOD AND THE SCANNING ABILITY OF THE BARCODE MUST NOT BE IMPAIRED BY TEMPERATURE CONSTRAINTS. WHEN THE CASES ARE STACKED ON THE PALLET, PLEASE ENSURE THAT THE OUTER CASE BARCODES ARE FACING OUTWARDS FOR EASE OF SCANNING. ALL CASES MUST HAVE A CLEARLY VISIBLE TUC BARCODE ON THE OUTER CASE. THE BARCODES MUST BE PRINTED OR APPLIED CENTRALLY ON A FLAT SURFACE OF THE CASE, ON ANY SIDE OF THE CASE/TRAY AND AWAY FROM THE CORNERS. THE CONSUMER UNIT BARCODE SHOULD NOT BE VISIBLE THROUGH THE OUTER PACKAGING. TO PREVENT REFLECTANCE PROBLEMS WITH BAR CODE SCANNING, IT IS IMPORTANT THAT THE USE OF HIGH GLOSS LABELS OR SUBSTRATES ARE AVOIDED.
Section 2.5 Break-Packs - A Shipping Case That Contains Multiple Outer Cases Page 27 OUTER & INNER CASES MUST HAVE DIFFERENT TUC CODES EACH OUTER AND INNER CASE MUST BE LABELLED WITH IT S TRADED UNIT CODE (TUC) AND PRODUCT INFORMATION DETAILS (REFER TO SECTION 2.1 FOR LABEL DETAILS). NB FOR G.M. PRODUCTS THE OUTER CASE DOES NOT NEED TO BE COLOUR BANDED THE OUTER CASE OF THE BREAK-PACK MUST BE CLEARLY LABELLED AS BREAKPACK IN ADDITION TO ALL OTHER REQUIRED PRODUCT INFORMATION (PREFERABLY ON 2 FACES IN MINIMUM 35mm HIGH TEXT)
Page 28 Section 3. Palletisation
Section 3.1 Pallet Specification Page 29 ALL PALLETS MUST BE 1000MM X 1200MM 4-WAY ENTRY AND MUST BE MANUFACTURED TO GENERALLY COMPLY WITH THE PHYSICAL ASPECTS OF THE UIC 435/5 SPECIFICATION. Drawings and dimensions of such a pallet are shown in the diagram overleaf. Chep supply pallets manufactured to this standard, ie Blue Chep pallets, and can be contacted on USAGE OF PALLETS MANUFACTURED TO ANY OTHER SPECIFICATION MUST BE PRE- AUTHORISED BY ASDA (e.g half pallets, dollies, bespoke pallets etc) Whichever pallet is agreed, it is recommended that all pallets should be supplied by an epal registered manufacturer or repairer. PRIOR AUTHORISATION MUST BE OBTAINED TO SUPPLY PRODUCTS IN AN UN-PALLETISED FORMAT eg Far-East handballed imports GOODS DELIVERED ON UNSTABLE, SUB-STANDARD OR DAMAGED PALLETS MAY BE REFUSED. DRIVERS MAY BE GIVEN THE OPPORTUNITY TO RE-STACK GOODS ONTO ACCEPTABLE PALLETS (OFF ASDA PREMISES), OR THE DISTRIBUTION CENTRE MAY RE-STACK THE GOODS. IF SO, THE SUPPLIER MAY BE CHARGED ACCORDINGLY.
