1 Article 1: Mission Statement Treblemakers A Cappella Constitution The Treblemakers A Cappella group is a Carnegie Mellon affiliated singing group oriented towards providing a supportive community for novice and experienced singers alike. By providing a unique and expanded opportunity for Carnegie Mellon students to participate in a Carnegie Mellon singing group, The Treblemakers A Cappella group aims to expand the A Cappella opportunities offered on campus. Article 2: Organization Name The name of this organization will be The Treblemakers A Cappella group, hereafter referred to as The Treblemakers. Article 3: Membership Sec. 1: Membership may consist of any undergraduate or graduate student of Carnegie Mellon University. Sec. 2: The opportunity to become a member is at the discretion of The Treblemakers, [henceforth referred to as the group]. See Auditions and Evaluations, below. Sec. 3: Membership is on a voluntary basis. Subsec. 3a: Any member may abdicate his/her duties to the group during the first 2 weeks of practices of a semester. If a member decides to leave the group at any other time, he/she must receive a 2/3rds vote from the Executive Board in order to be considered for readmission to the group at a later time. Subsec. 3b: A member may suspend their activities in the group for at maximum a 3-week period at the discretion of the Executive Board. Failure to resume activity in the group after their period of voluntary suspension may result in a forfeiture of their group membership. Subsec. 3c: The group has discretion to remove any member from itself with a 2/3 vote of the membership or if a member is found to be unsuited for the group during the evaluation process. See Auditions and Evaluations, below. Subsec. 3d: Additionally, if a member is found to be failing the attendance requirements set forth by the Executive Board in the beginning of the semester, their membership may be revoked at the discretion of the Executive Board. Sec. 4: If membership is revoked for any reason, such as a failure to meet attendance policy requirements, that student is disbarred from rejoining the group at a later time unless he/she receives a 2/3rds vote from the Executive Board. Sec. 5: Each member will belong to a particular voice part, which shall hereafter be known as a section.
2 Subsec. 5a: Each section will meet on a regular basis to work on various musical pieces and discuss assignments from the Musical Director or Assistant Musical Director. Subsec. 5b: Each section will vote on a section leader, who will be responsible for organizing meeting times, reporting to the Musical Director and the President, and ensuring sectional function properly. Article 4 Officers Sec. 1: The Treblemakers shall have a President, whose duties shall include, but not be limited to the following: Subsec. 1a: Overseeing the other officers, and maintaining the integrity of the group. Subsec. 1b: Maintaining an agenda and order at all meetings, etc. Subsec. 1c: Representing Treblemakers A Cappella to the administration, to other campus organizations, and to the public Subsec. 1d: Coordinating with the Musical Director to ensure proper meeting procedures and coordinating with the section leaders to ensure proper sectional meetings Subsec. 1e: Monitoring and maintaining the Treblemakers account and other forms of communication. Sec. 2: 1.2 The group shall also maintain a Vice President, whose duties shall include, but not be limited to the following: Subsec. 2a: Ensuring that the group has all positions filled according to the constitution Subsec. 2b: Assisting the president in his/her duties. Subsec. 2c: Filling in for the president during his/her absence. Subsec. 2d: Promoting group welfare and morale and working to organize social events and retreats Subsec. 2e: Act as a coordinator of all member retention efforts and ensuring new members of the group are properly introduced and situated within the group. Sec. 3: The group shall maintain a Secretary, whose duties shall include, but not be limited to the following: Subsec. 3a: Recording minutes at meetings, including board meetings, and ensuring proper distribution Subsec. 3b: Administering the distribution list (dlist), along with the other officers and directors, ensuring quality and adding names to the list Subsec. 3c: Reserving spaces for events such as practices, meetings, competitions, sectionals, etc.
3 Subsec. 3d: Organizing meeting times for board meetings, sectional meetings, and rehearsals Sec. 4: The group shall have a Treasurer, if applicable, whose duties shall include, but not be limited to the following: Subsec. 4a: Managing the current financial situation of the chapter. 4.a.1. Submitting all expense reports, as applicable 4.a.2. Submitting all reimbursements, as applicable 4.a.3. Creating an annual budget. Subsec. 4b: Re-applying for funding through the university. Sec. 5: The group shall have a Business Manager/Public Relations Chair, Subsec. 5a: Creating, managing and coordinating events hosted by both the group and other organizations Subsec. 5b: Organizing fundraising at events, and planning specific fundraising opportunities, or delegating committees to do such, at his/her jurisdiction. Subsec. 5c: Creating posters and sending s before upcoming events. Subsec. 5d: Promoting the group on campus and ensuring a positive group image Sec. 6: The officers and Permanent Directors will makeup the group s Executive Board, whose powers consist of the following: Subsec. 6a: Confirming the repertoire for the academic term, as provided by the musical director. Subsec. 6b: Making all decisions relating to membership not limited to but including: membership responsibilities, membership dues, and membership rights. Sec. 7: All rulings of the executive board shall be made through a majority vote, unless specified otherwise. Article 5 Directors, Committees, and Assistants Sec. 1: The group shall also maintain a series of directors, who are responsible for maintaining the various operations of The Treblemakers. Permanent Directors shall include: Subsec. 1a: The Musical Director, whose responsibilities include: 1a.1: Directing all practices and rehearsals. 1a.2: Submitting a repertoire to the Executive Board every academic term. 1a.3: Making decisions regarding to musical arrangements, group singing structure and
4 balance, and other items regarding the group s musicality. Subsec. 1b: The Assistant Musical Director, who will assist the musical director in all of their duties and fill in for them in case of absence. The current musical director will appoint them. Subsec. 1c: The Technology Director, whose responsibilities include: 1c.1: Maintaining the Treblemakers website and Internet presence. 1c.2: Organizing and running any music technology required for rehearsals and performances. 1c.3: Documenting the group s performances, rehearsals, and other experiences. Sec. 2: All officers, as defined above, may appoint assistants and committees, at their own discretion and with approval of the Executive Board, to aide them in their duties. Sec. 3: The officers/membership may appoint additional positions (such as choreographer, arranger, publicity committee member, etc.) at any time. Article 6 Selection of Officers and Directors Sec. 1: Officers and Permanent Directors shall be selected on an annual or semi-annual basis, with an officer committing to no less of a term than one semester, and no more than 1 year. Subsec. 1a: Elections will take place at least once per academic year. Subsec. 1b: In order to be elected a position, a majority of the members (as defined above), who are present at the time of elections, must vote in favor a given candidate. Subsec. 1c: Any member (as defined above), may run for, and subsequently be elected as an officer. Subsec. 1d: The election process will be determined by the current Executive Board at the time of the elections Sec. 2: A person may only hold one officer position and one director position, but the two are not mutually exclusive. Sec. 3: Any officer may be removed from his/her office with a 2/3 vote of the membership present at said meeting (which must have at least 50% + 1 person of the current membership in attendance). Article 7 Advisor Sec. 1: The group may maintain an advisor, as defined by policies set forth by Carnegie Mellon University, who will provide support in any way they see fit, provided they do not disturb the tone of the group (as can be decided by a majority vote).
5 Article 8 Auditions and Evaluations Sec. 8: In order to obtain membership to The Treblemakers, candidates must pass an audition that will be defined by the following rules: Subsec. 8a: Auditions will be held on a semi-annual basis on a date determined by Executive Board prior to the start of the next semester. If a 2/3rds vote is passed by Executive Board, auditions can be suspended for 1 semester, however auditions must occur at least once per academic year. Subsec. 8b: The auditioning process will be run by an auditioning committee created at the beginning of each term that auditions are held. 8.b.1. Any member of the group can petition to be on the auditioning committee. Each member must submit an application within the timeline set forth by the Musical Director. 8.b.2. The Musical Director and the President will determine the makeup of the group as per the applications submitted by members. Subsec. 8c: The Musical Director will chair the auditioning committee. Any details undetermined by the Executive Board will be left to the discretion of the Musical Director. Sec. 9: Annually, the Treblemakers may hold evaluations of the current members of the group to determine membership status for the upcoming year, as determined by a 2/3rds vote of the Executive Board. Subsec. 9a: The evaluation process will be coordinated and chaired by the Musical Director. Subsec. 9b: The voting party for the evaluation process shall consist of the three following officers: the Musical Director, the Assistant Musical Director, and the President. If any of those roles are held concurrently, the next highest officer position will serve as a replacement. Article 9 Statement of Assurance Sec. 1: The group will abide by the CMU Statement of Assurance ( and any other applicable policies as defined by Carnegie Mellon University. Article 10 Meetings Sec. 1: Meeting times, dates and locations are at the jurisdiction of the membership, and of the officers. The group will strive to meet at least twice per week. All members are expected to attend meetings, unless given prior notice to the group or it s officers. Article 11 Amending the Constitution
6 Sec. 1: The constitution can be amended or modified by 2/3rds majority vote of the membership. Sec. 2: The Executive Board has the power to further specify and extend roles and duties as defined in the constitution, but may not, unless otherwise noted, change any of the terms specified in the constitution without permission of the membership.
