Rental & Leasing Management Products Users identify their rental product offering in the Rental & Leasing Product table. Rental Products can be mapped to Fixed Assets, Inventory Items, and Resources or may simply point to a G/L account in which you wish to record rental revenue. Complete Rental Product Statistics are maintained and instantly updated with each transaction. Rental Product History/Trendscape is available by day, week, month, quarter or year with full "Drilldown" capability to underlying source records. Deal Codes A Rental & Leasing Deal code combines the Rental or Leasing Period, Price Period and Billing Period logic into a single, easy to use Deal Code. Users can create a table of Rental Deals identifying the billing logic to be used on various types of rental orders. Use of Rental Deal codes makes data entry quick and easy. Rental & Leasing Periods Users can create an unlimited number of "standard" Rental & Leasing Periods to meet their business requirements. Typical Rental Periods are Day, Week or Month. However, users can establish multiple definitions of a Rental & Leasing Period (e.g. Full Month, 28-Day Month, 30-Day Month, etc.) or any other rental period they wish. Rental & leasing Prices Users can establish Rental Price Tables for every Deal Code used in the system. Pricing can be mapped to customer-specific discounts and/or price tables. Departments and Locations Inventory Control for your Rental Fleet, as well as Inventory Held for Sale, can be tracked by multiple Departments and/or Locations. Profitability by Department/Location can be tracked with full P&L reporting by Department/Location. RMI ADVANTAGE offers Multi-Location Equipment Tracking functionality. Future looking product availability is location sensitive. Users have the tools necessary to manage their rental fleet over multiple equipment storage locations. Quotes/Reservations/Orders Quotes can be generated and sent to prospective customers via fax and/or , as well as being printed to mail in the more traditional manner. Quotes can be automatically converted to a Reservation and/or Order. The system allows users to assign "Reason Codes" to lost quotes so that lost business opportunities can be analyzed and corrected. Order Documents Order Documents produced by the system include: Quotes, Reservations, Rental Contracts, Invoices, Credit Memos, Delivery Tickets and Pickup Tickets. All documents can not only be printed to local and remote printers, but also ed and/or faxed directly from the user's workstation. RMI ADVANTAGE is completely integrated with Microsoft Office. It can also easily link with other Microsoft products. For example, Delivery Tickets and/or Service Schedules can include maps that are produced by Microsoft MapPoint. Maps can be displayed on screen or printed with Delivery and/or Pickup tickets. The system produces a "Master Map" showing all locations to be serviced, along with individual maps showing details for one to three miles around each location. RMI Corporation. 3 Order Service Scheduling and Dispatching RMI ADVANTAGE offers complete Order Service Scheduling and Dispatching functionality. Equipment on a rental order can be scheduled for repetitive service. A Dispatching function is now available to help manage the order servicing process. Order Status Table Users can identify the various stages of Order Progress for which they wish to track a rental order. The Order Status Table makes it possible for Customer Service Reps to know the exact status of a rental order without having to leave their desk or call down to Operations to find out the status of an order. Delivery Ticket Date/Time Stamp Users can see the exact date and time that a Delivery Ticket was printed for an order. Automatic Date/Time status update allows Operations to confirm that they have the latest/greatest equipment requirements when staging an order. Operations Operations tracking steps can be added to the order record allowing users to track the progress of an order from quote, to reservation, to order, to equipment staging, to in-transit and anything in between. Customer Service can then check on the status of an order prior to making changes. Rental and Sales Transactions on a single order A rental order may also include sales of inventory items, as well as services. Rental Products may contain "popup" notes that remind the user to ask for add on sales when appropriate. Bill-to and/or Ship-to locations can be different from the actual Customer location For example, you can rent a trailer to a local Wal- Mart Store to be delivered to a temporary storage yard and have invoices generated to Wal-Mart Corporate in Arkansas. Another example is that you can rent medical equipment to a patient and have invoices sent directly to the insurance carrier. Line item sales tax capability The sales tax rate or jurisdiction can be different for each line item on an order. Rental sales tax reporting can be separated from sales related transactions, if necessary. Extensive Order Note Capability Notes can be setup to automatically appear on specified rental documents (Quotes, Reservations, Orders, Invoices, Delivery Tickets and Pickup Tickets). Users can also add notes to each order and line with specific printing instructions. Multiple and Unlimited methods of depreciation Users can setup and use as many sets of depreciation books as needed in their business. GAAP or Book method of Depreciation is recorded through to G/L, whereas other methods are recorded in memo form only. Asset tracking includes complete maintenance history and cost, as well as the ability to track insurance coverage on specific pieces of equipment. Bar Code Support RMI ADVANTAGE supports bar coding. Bar code product labels can be produced through the system. Bar codes can be printed on order documents such as Delivery Tickets and Pickup Tickets. Shipping and receiving transactions can be scanned and transferred into the system. Kits / Package Rental Products RMI ADVANTAGE includes Kits that allow users to put together Package Deals of equipment for rent. Revenue is allocated to each component product included in the kit on a percentage of total revenue basis. Users can modify a kit to accommodate order specific requirements without affecting the standard kit package. Using Kits makes data entry of large orders fast and easy. Sale of New or Used Equipment RMI ADVANTAGE supports sale of new or used Rental Assets. The system automatically calculates Gain/Loss on the Sale of a Rental Assets. 4 Jobs Successful job management requires an up-todate overview, detailed planning and the ability to carry out follow-up analysis based on objective data. The Jobs application area enables detailed accounting and planning for all costs and billings for a project or job. First of all, automated billing prevents costs from going unbilled. Secondly, integration with other application areas ensures that costs are posted to the relevant application areas. This also reduces the amount of detail you must maintain in the General Ledger. Finally, budgets and estimates allow you to make detailed costing plans and better analyze your profitability. Prevent Costs from Going Unbilled Microsoft Project Management enables you to organize your job management in detail. You can use Jobs for general registration and invoicing of work in process. As costs are incurred on a job, the program automatically records them in the job ledger and posts them to relevant accounts in other areas of the application (such as accounts payable for the vendor). Billing is then automatic for all costs that are chargeable, thus preventing costs from going unbilled. You can use Jobs for traditional construction-job costing or for service-oriented time tracking and billing. Maximize Job Efficiency The Jobs application area enables you to plan precisely and to execute usage-value analysis, and follow-ups on projects, quotes, invoicing, costing and registration of actual consumption. You can also organize budgets and estimates into sub-activities called phases, tasks and steps in order to extract important information about the long-term profitability of different aspects of jobs the company is performing. By linking actual usage and sales to the phases, tasks and steps of the budget, you can compare the same activities across several different jobs. There are no limitations to the number of subdivisions that you can make. With this feature, you can attribute an unlimited number of characteristics, such as regions, periods or departments, to use in transactions in all ledgers. The application area allows you to set up rules for how to combine dimensions and dimension values. You can also control the use of dimensions to make the dimensions-based output more valuable.
