1 First Look at on the Communication Screen Webinar on October 6, 2014 Submitted Questions and Answers Q: Does Sent Items show s sent by me and on my behalf? Show me s I sent on behalf of someone else? A: Correct. It shows s sent by you and on your behalf. Q: If I send an from someone else, when the recipient responds, who will receive the reply ? A: They will reply to the address used in the FROM box. Q: Can we have to s in the From box and if so will be both get a response? A: No, sorry. This isn't supported by any program! A: Yes Q: Can you add a cc or bcc to an ? A: Not currently. Q: Is there a way to click on TO: and send to only one particular person?
2 A: Yes, you can simply search for that particular person and send to him/her. Q: Can it track which links are clicked within the ? A: No, the system will track read rates, but currently will not track click-thru rates. Q: If you attach a file to an , will it also appear in the sent s that are saved? A: No, they would have to be re-added. Q: Can you edit someone's address from the communication tab? A: No, addresses can only be edited from the People tab. Q: Can I print the when I view it (from sent items)? A: Yes, when you view the you can right click and choose to print it. Q: When you save content can you save it then send it as a test to only one or two persons? A: Test s can be sent to 1 person at a time. Q: I'm not clear if the either in the Sent Items section, or scheduled to be sent can be opened to view the content of the . A: Yes, you can click on the View option in either screen to see the content of the . Q: Will you still be able to select Head of House and Spouse of head for the selected (i.e. parents)? A: Yes, it is the top option on the Review/Send screen. Q: It talks about setting security roles to see ALL s - what is the best setting? A: Give this capability to anyone you think needs to have this. By default, admins are allowed to see all s. Maybe the senior/exec pastor or communications director, etc. Q: Can you limit how can send for other people?
3 A: Yes, this is managed in the Security Settings. Q: When you set limits on number of s, is that s or recipients? A: It is based on number of recipients. Q: Can we set security roles on who can see all s? Some s may be confidential. A: View all s is controlled by security role but cannot be limited to specific s. Q: Where do I enter our logo so it automatically inserts into the ? A: You need to create a new design that includes your logo. Then you simply use that design every time you . Q: When are you required to add the opt out link? A: We no longer require you to add the opt out link. But you should use good judgment when sending to a large number of people and permit them to stop getting your mass s. You should also review the rules outlined here: Keep in mind many of these rules do not apply to non-profits like churches. Q: Can we still use our Gmail server to send the s? A: No, all s will now be sent out through the system server. Q: Have there been any problems with s from the system server being flagged as spam? We had problems with that we when used Elexio as our provider. A: We are constantly monitoring the rules used by Internet mail provides to ensure delivery of your messages. Our servers are trusted by all the major providers because we send millions of messages every month. If you ever have any difficulty, contact our support team. Q: When talking about 'system server' is that our network server or Elexio? We do not have Elexio . A: It is Elexio's server, but you do not need Elexio to use it. It will be used by all Fusion clients. Q: We subscribe to a bulk . Do we still need that service if the bulk s come from Elexio?
4 A: You should be able to do all of your mass ing through Elexio. Q: Is a bulk provider needed if sending through Elexio? A: No Q: Is there still an HTML editor like in past versions? A: Yes Q: Can you design and save your own HTML templates? A: Yes Q: We use the advanced html editor every month for our newsletter (we have a template already). Where is that option now? A: It's under Manage Designs, then select the HTML tab at the top Q: Can I do several stacked content boxes with colored or photo background that can be overlaid with text? A: If you can create it with HTML, then you can probably do it in our tool. BUT keep in mind, creating a HTML is different than creating a page designed for a website. Google these search terms and you'll see what I mean. HTML guidelines. Q: Can we not copy our own html into an anymore? A: Yes, you can still use your own HTML designed s Q: Once we have the Newsletter formatted the way we want, can we copy the html code so we can embed the newsletter into our website? A: Sure. You can simply copy the HTML and then paste into your website software. Of course you may have to adjust a few things to make it work on your site. Q: How would we keep our current template we built using html? A: There's a huge and robust HTML design option. You can bring in your current template.
5 Q: Can you display an image with URL instead? A: Yes, using HTML. Q: Is it possible to add my edited newsletter and only I have access to it or those necessary to have access or do we have to share the newsletter templates with everyone who has access in the office? A: Copies can be limited to just you. The templates in the Select Design list are available to all. Q: We have the entire suite and send out a weekly newsletter. My question is: Is there a way to not only link the newsletter to the website, but to create an online copy of the newsletter? A: You can use your website to create pages that are basically a newsletter, or link to an uploaded pdf file. One related item... we are hoping to create future templates that would reflect some of our popular web designs! Q: Can we import our own designs/templates that we have already developed for s? For example we use Constant Contact for some things - can we import? A: You can, but just be aware Constant Contact and others insert A LOT of custom HTML code that is specific to their engine. Q: Can I create my own design template with as many pictures I like? A: Yes, but keep in mind that you don't want to make your s too huge! Q: What about an auto-signature on a personal ? Can we do that? A: Just create your own new design that would have your signature and logo or anything else you want. Make this new design your default. Q: We have been creating our newsletter as a single image and then entering it to send - will I still be able to do that? A: Yes, you can simply enter it as an image on a blank template. Q: Can someone share a template with only certain people? Like only Children's Ministry team? A: shared templates are available to everyone that has Communication screen permission
6 Q: Are there any thoughts on adding the ability to share the templates and or/ s to certain people only? A: Thank you for your feedback. We will add it to our enhancement list for consideration Q: When you save an template/design, are you the only user who can see it? A: You have the option to make it available to others (similar to saved reports that way) Q: Does this replace auto s? A: No, this does not replace Automated s. Q: Will this affect Automated s, such as for 1st time Guests? A: This does not affect the existing Automated process. Q: Can you do templates in the automated s? A: No. Sorry. Q: Can you use this as an automated in the just send later? A: You could use the Send Later feature for a number of options. Keep in mind if using a report it is limited to Custom Search reports. We don't support recurrence. You'd have to setup each future . Q: I would probably want to use this to replace my existing First Time Guest s, etc. Is this where I would save the content to keep reusing? A: Yep! Great idea. Q: Can save content be used to replace the automated s? (meaning I'm sending the same to different people each week) A: Sorry. Automated s under Automation are still using text only messages.
7 Q: Can this be triggered automatically? Like when we add a first time guest it triggers that to go out. A: There aren't any automatic triggers. Thank you for the suggestion. Q: When working on a Mac, do we need to load any graphics to the public folder? A: Yes. They will need to put all files in their Public folder first so that Fusion can grab them. Q: For Mac users that log into RDC, is all of the info you just went through the same? A: Yes, but you would need to put the image in the public folder first Q: Will all my custom searches still be the same? A: Yes, you will keep all of your custom searches that you have created. Q: Do the pictures now have the ability to wrap around the text? A: Sort of. You need to create a table first, then put the image in a cell in the table. I know this isn't good practice for a webpage, but it actually IS a good practice for HTML formatted s. Q: Can you add pictures or clip art to existing newsletter designs A: Yes! We have a few protected, but you can copy them and make your own version Q: Will there eventually be graphs to chart open rate or time of day was read for an average of s? A: We have no plans to do this. This is really the specialty of vendors like Mail Chimp and Constant Contact. But great idea! Q: Will there eventually be graphs to chart open rate or time of day was read for an average of s? A: Thank you for the suggestion. It is on our enhancement list for future consideration Q: Do you have a stock of photos available?
8 A: No, we do not provide stock photos. Q: Will there still be a requirement to choose from Leaders, members, interested, etc. when sending the ? Dave Rankin A: Leaders and anyone except Interested are currently available. Future options may be considered Q: The show s: is it all users? A: Based on security role, you may have the ability to see all users on the Sent & Scheduled tabs. Q: Do we have any way to manage sending out newsletters vs snail mail? IE, some congregants want to receive via , others want to receive via mail? A: Sure. You can put everybody on the built in Newsletter Mailing List. Then use this list to send . Also use the list to send US Postal mail. Just use the checkbox on the Output Wizard to only include people without . Q: Is there any way to use the output wizard to filter ie...if I output to people who want to get a text, will it remove those people from the list of people to add to the ? A: No. But that's a great idea. Thanks! Q: For the read statistics, how is that calculated? A: It doesn't prompt for a read receipt... just looks at whether a file connected with the has been requested from the server. Q: A lot of the people in our church either don't have or won't respond to them. They often ask to be texted. Is there any way to send these s to people's phones in a text message? And if we do send these s through text is there any way to do it without the message getting cut-off mid-text? A: SMS is currently managed through the Output Wizard and has size and text limitations Q: If we get our list from an FCR, we need to go to reports first, and then select in output wizard? Is there a way to layer the recipients when you do this, ie. the output from the FCR and people invited to a particular event? A: Yes, once the Output Wizard places you in the Communications Send screen, you can click on the To button and blend additional names using additional criteria.
9 Q: We have more than 3 headings for different ministries (youth, children, general church, missions, etc). Can we manage designs and have more than 3 newsletters? A: Yes, if you have a designer you can create as many different designs as you like. Also, we will be adding more designs in the future. Q: How do we share our created designs with our logos/branding/etc with other people on staff? A: You will need to have permission to share with others and then when you save the template you will need to check that you want to share with others. Q: Is the design element drag and drop or upload? A: You use the edit image button to choose an image but then it puts that image in a web location for access when the is opened... not drag and drop, but don't have to do a separate upload step. Q: Can we link our images to our website folder? A: Yes! Just insert the link to the image on your site. Q: Can the picture be loaded from your PC or does it need to be on the web? A: Yes, the picture can be loaded from your PC. Q: Can you see stats like open rates and click throughs on links? A: Just the stats you saw... open rates, but not click throughs. Q: Can the frequent people we can be kept in a contact file, so addresses are already loaded? A: You can save a Mailing List in the database. This can be used every time you send an . You cannot save a list of people outside our database and then import it. Q: Will the reporting be able to show clicks on links that are in the s? A: We can only show you that they opened the . We don't offer a count on which links were clicked on. You have to do that with a counter on the link you send people to.
