3 INTRODUCTION Alcatel-Lucent My Instant Communicator (MIC) empowers mobile users with advanced communications functions. The Alcatel-Lucent solution increases employee productivity and effectiveness by keeping them connected anytime, anywhere. Caller identification Telephony services Directory lookup - Make call Notifications at a glance - Mid-call controls Business call history Business and private modes Visual voic Secure access to the enterprise Call routing profiles Favorites management (local contacts) BUSINESS MODE Your incoming and outgoing calls are processed by your company s telephone system. You therefore profit from your company s telephone services on your cell phone. You can be reached through your fixed business telephone number. You want to call someone within your company? Access your company s phonebook directly or simply enter the person s internal number. You can also use your company s telephone services, like call forward, three-way conference, etc. To enter in Business mode, start My Instant Communicator. PRIVATE MODE When My Instant Communicator is not started, you are in Private mode. Your calls are no longer handled by the telephone system of your company. You cannot access the telephone network services of the enterprise. You can use your cellular phone normally, without going through your enterprise network. Nevertheless, depending on the configuration of your selected call routing profile, you could receive business calls. READ BEFORE USE So that you can fully benefit from My Instant Communicator, you are strongly advised to familiarize yourself with all the functionalities of your mobile, such as network connection management, back and forth between native dialer and 3 rd -party application, etc My Instant Communicator uses the data channel (WiFi or 3G/3G+) to set up a call through your company's telephone system. When the call is set up, there is no additional cost for your mobile. If WiFi network is unreachable, My Instant Communicator application will use your operator's 3G/3G+ network. If 3G coverage faces sporadic disconnection, it will seriously affect the behaviour of the application. To control the cost when using My Instant Communicator (voice and data), you are strongly advised to choose an unlimited internet option from your operator. It is also important to check your additional operator charges when using your mobile abroad (voice and data in particular). Using a wired or wireless headset (Bluetooth) while communicating over your mobile will enable you to fully appreciate the enhanced usability of My Instant Communicator application. Please refer to the "MIC Unified Communication Client Device White List" document to find out about the Android operating system and which mobile phone models to use with My Instant Communicator application (8AL90822AAAA). Contact your installation technician if necessary. Device White List document is also available on the Google Play corresponding Web page (consult the 'Description' section for that). It is highly recommended to deactivate the «Call waiting» function (during a call you are notified about a new incoming call). This action avoids receiving a private call during a business call leading to a potential mix-up with the two communications. In this use case, the private call will be redirected to the operator s voic . To check «Call waiting», go to Android settings, «Call», «Additional settings». It is possible that the APN (Access Point Name) selected by default doesn t provide the right My Instant Communicator behaviour (data channel availability consistency). If you detect a strange behaviour of the application, this the first point to check with your system administrator or operator. To check the «Access Point Names», go to Android settings, «Wireless & networks», «Mobile networks». Some features might appear greyed. This means that this feature is not available. Alcatel-Lucent will provide a technical support for only smartphones equipped with an official Android Operating System (ie manufacturer based). Antivirus Tools, Memory Booster, Battery Saver, Task Killers or intrusive utilities may affect the behaviour of the application. 8AL90859USAA ed.04 3

4 INSTALLATION PREREQUISITE Before installing My Instant Communicator, you must have: a mobile with internet subscription and/or a WiFi connection and the URLs of the Unified Communications server (Private URL & Public URL). For more information, contact your representative. Allow installation of non-market applications by selecting «Unknown sources» in the Androïd Settings of Applications: Settings->Applications. Refer to your mobile phone user guide. INSTALLATION OF THE APPLICATION Install application using Google Play application store My Instant Communicator is an Android application. You can find it on the Android Market and install it like any other Android applications. Open Android applications homepage. 1. Open Google Play 2. Search for My Instant Communicator. Before downloading the application, check you choose the right release (version 4). 3. Click on the Download button and follow instructions to install the application on your mobile. Note: you can directly access to the application on Android Market with the link 51bGwsMSwyLDEsImNvbS5hbHUubXlpYy5vcGVudG91Y2giXQ UPDATING THE APPLICATION Alcatel-Lucent strongly recommends that the application be downloaded through Google Play. Therefore, you will be automatically notified through a dedicated popup on your screen about a new release availability. STARTING MY INSTANT COMMUNICATOR FIRST START When you start My Instant Communicator for the first time, the application asks you to fill the «Private Hostname» and the «Public Hostname» fields (they are also called FQDN Fully Qualified Domain Name). The Private Hostname is used for the on-site connection (WiFi). The public Hostname is used for the off-site connection (3G+). For more information, contact your system administrator. STARTING THE APPLICATION You must have a user name and password provided by your installation technician. Open Android applications homepage. Start My Instant Communicator Login Password During the initialization phase or when using My Instant Communicator, the user may be asked to provide authentication by entering a user name and password. The user name (login) and password are requested in the following circumstances: The user has not yet entered the authentication data, The authentication data is no longer valid. 6 INFORMATION AREA CALL ROUTING This area displays user information and active Call Routing rule. When pressing on this area you access the Call Routing, and the Business Voic configurations. Select this area to define the call routing and access to the user parameters. Call routing No mobility: When selecting this mode, all incoming calls will be routed to your desk phone. However you can define to forward the call to another number or voic . No forward: your desk phone will receive the incoming calls. Forward to number (): all incoming calls will be forwarded to the number you have defined. Forward to Voice mail: all incoming calls will be forwarded to your business voice mail Mobility (mobile): When selecting this mode, all incoming calls will be routed to your mobile device. However you can define to forward the call to another number or voic . Mobility number: only the mobile device will receive the incoming calls Forward to number (): all incoming calls will be forwarded to the number you have defined. Forward to Voice mail: all incoming calls will be forwarded to your business voice mail Business Voic Configure your Voic Box. Follow the voice guide. User information Display information about phone user: business phone number, business and private mobile phone, , Select the bottom of the page to close options 8AL90859USAA ed.04 6

7 FAVORITES When pressing on Favorites, you will access to all the contacts that you have defined as favorites. See chapter Add a contact to your favorites. Open the list of favorite contacts. Click on this tab to refresh the list. Call your favorite contact When selecting a favourite contact: Call the correspondent Access to the details of your correspondent Access to the SMS feature Delete the selected event CALL LOG (EVENTS) The number of new events are displayed: missed calls and incoming/outgoing calls New incoming missed call (bold) Acknowledged incoming missed call Incoming call Outgoing call Outgoing missed call In order to be sure that all events are updated, you can refresh the events by selecting the Event tab refresh menu. or the Select an entry in the events tabs will open a contextual menu which allows you to access to the corresponding features (feature list depends on the contact details richness): Call the correspondent Access to the details of your correspondent List all events of the selected contact (when Call log grouping option is enabled) Delete the selected item Send an to the correspondent MAKE A CALL CALL BY NAME NATIVE DIALER Send an SMS to the correspondent Acknowledge this new item (missed call only) My Instant Communicator (MIC) can manage two calls at the same time. From MIC Communication tab A single short press on the text field opens the alphanumeric keypad. A second short press on the text field switches to the numeric keypad. 8AL90859USAA ed.04 7

8 Searching for a contact in your company phonebook or the local phonebook Enter the name of the other party in the text field. You can search on your contact's last name or last name/first name. If you type in the search field: Last name : the search runs only on contacts' last names Last name#first name : the search runs on contacts' last names and first names Start the search The names of contacts matching your search criteria are automatically displayed on the screen : Name, Picture This icon indicates that this person is part of your local phonebook. You may find the same contact several times if the contact is saved in your local and various business phonebooks Call the contact Select a contact to open more options Call the contact Open the contact Details Send SMS to the contact Send an to the contact Call a contact with her/his phone number Dialing the number directly in the text field Call the contact From native dialer If you enable the private call option in the My Instant Communicator configuration, when you make a call by dialing the number from the native dialer of your mobile phone, a popup lets you choose to make a business or a private call. Otherwise, you make automatically a business call. If your correspondent doesn t answer: Cancel the call Active/deactive hands-free MAKE A PRIVATE CALL From MIC Communication tab Dialing the number directly in the text field Make private call: Call your correspondent without going through your company telephone system If you dial * before the number of your contact, you make automatically a private call From MIC contact details Long press on the phone number allows you to make a private call From native dialer If you enable the private call option in the My Instant Communicator configuration, when you make a call by dialing the number from the native dialer of your mobile phone, a popup lets you choose to make a business or a private call. 8AL90859USAA ed.04 8

9 RECEIVING A CALL Answer the incoming call Directly divert the incoming call to your voic box CALL SESSION All call sessions (active call, calls on hold, conference) are displayed on the communication tab. You are in conversation To retrieve a session call, open the communication tab. All call sessions are displayed Select the session to display DURING THE CONVERSATION CALLING A SECOND CONTACT SWITCHING BETWEEN CALLS TRANSFER CALLS You have a call in progress. End the active call Active hands-free Put the correspondent on hold You retrieve the call on hold Make a second call Direct dial the number of the new correspondent Search the new correspondent by name Use call log, events The first call is put on hold You have a call in progress with one contact (session 1). The second contact is on hold (session 2). Display the session who are in communication : = the call on hold, = active call Active/deactive hands-free Switch from one caller to another Retrieve the call on hold End the active call and retrieve the call on hold Transfer the active call to the call on hold 8AL90859USAA ed.04 9

10 CONTACT DETAILS ADD A NEW CONTACT ADD A CONTACT TO THE FAVORITES Click on this icon opens the contact details. All available information about your correspondent are displayed: name, presence, picture, phone number, , private mobile, professional number From the contact details, depending on available information, you can : Call the contact (Business call) Long press to access to private call Send an to the contact Send SMS to the contact VISUAL VOIC Add to contacts : Add the correspondent to your local contacts phonebook Add to Favorites : Add the correspondent to your local Favorites Show contact : Open the contact details saved in your local phonebook Return the previous page The visual voic lists all of the messages in a page, as well as the date they were left. The messages in bold have not been listened to yet. The number of messages not listened to is displayed on the home page. Select the message to play Open the voic player and play the message Navigation buttons : play or pause the message, Playback bar to move forward or backward into the message Call back the correspondent Access to the details of your correspondent Send an to the correspondent Delete the current message Active/deactive hands-free 8AL90859USAA ed.04 10

11 CONFIGURING THE APPLICATION From any tabs in idle mode Settings Application settings When you receive an incoming call, you can choose the call's presentation screen: the screen from My Instant Communicator application by selecting this option or the native dialer screen of your mobile. When this option is enabled, when you make a call by dialing the number from the native dialer of your mobile phone, a popup lets you choose to make a business or a private call. Otherwise, you make automatically a business call. When this option is enabled, the call log is presented per user and no more per date. This option is useful when you want to avoid scrolling a long list up/down. When you encounter slow screen refresh (typically, chain of screens during conversation lacks of fluency), Alcatel- Lucent recommends to enable this option for a better user experience. Nevertheless, this option consumes more data, take care about using it. When My Instant Communicator application receives an event, like missed calls or new voic , you can be alerted by the Android notifications, a sound or a vibrate. The sound and vibrate depend on the audio configuration of your mobile phone. Select one or more of these options. For all others settings, regarding security and client management, contact your system administrator for more information.
