1 XWING TOURNAMENTS UK GAMES EXPO 2016 This guide is designed to explain and help you through the process of pre-registering, attending and playing in the various X-Wing Tournaments that are being held over during this year s UKGE. With the Yavin Open the UKGE is expecting to hold the largest single day X-Wing tournament in the world. In order for that to work we need YOUR help. Your co-operation will be key to running a great event. UKGE has put an enormous amount of effort into bringing you this opportunity but in the end we will stand or fall as a team. If the UKGE do not prepare properly then it will be a bad experience and likewise if the players do not engage fully it will be difficult to make the day great. The X-Wing community is known for it s enthusiasm and dedication to a game we all enjoy so I am sure that the events will be a great success. Schedule Day Start Time Tournament Name Friday 10:00am X Wing Regional Saturday 10:00am The X-Wing Yavin Open in Birmingham Day One Sunday 9:00am The X-Wing Yavin Open in Birmingham Day Two 1:00pm Hanger Bay Side Event I thought there were 2 Hanger Bay Side events? The original plan was two run two hanger bay side events on the Sunday. One in the morning and one in the afternoon. While this sounded like a deceptively simple plan it turns out that there are some insurmountable practical difficulties. Time: This is the key limiter. In order to hold 2 Hanger Bay Events we would need to register and input, into the tournament software, up to 300 players on the Sunday morning before 9:00am. Fleet lists would need to be checked etc. This would not be possible. In addition to this the UKGE expo needs to be clear of the Hilton Hotel by 8:00pm. Given the length of rounds and the amount of admin between rounds we cannot fit two events in the single day. Pre-registration : When events get over 128 players being able to do a significant amount of pre-tournament registration becomes a necessity rather than a luxury. As we wouldn t know who would want to play in the first Hanger Bay event until late Saturday night it makes pre-registration impractical. For these reasons we will be holding one Hanger Bay Event at the times given in the schedule above. We think that this will give the maximum number of players for you to play against and will provide a quality tournament.

2 Pre-registration We will be asking you to enter a certain amount of pre-registration data before the events. This will enable us to get a much needed head start on the administration side. You are not forced to preregister. However if you decide not to then you can expect the start to be delayed while over 450 players data is added. There are two steps to pre-registering for the tournaments. 1. Entering the player names and factions into the UKGE website 2. Building your fleet using X-Wing Squad Builder at Entering player names If you have purchased tickets for the Yavin Open or Regional Qualifier then when you log into the UKGE website you will find an extra tab on your customer screen called X-Wing, (See image below) If you click on this tab you will now see the data entry screen for your X-Wing tickets that you have purchased.

3 Please note that there will be as many lines as tickets you have ordered for each tournament. So if you have ordered 3 Yavin Open and 1 Regional you will see a total of four lines. You are asked to enter the First name and Surname of each player who you have bought tickets for and enter their faction from the drop down list. Do this one line at a time and click submit to save the information. Clicking submit only saves the information for that line. Please make sure you are entering correct names and that it is for the correct tournament shown under the Game heading. Fleet field: This is where you will save the link to your fleet build shown in step 2 That is step one complete. The data will be saved and displayed if you log back in. You can change it at anytime if you suddenly fall to the dark side and change factions, but remember to click submit after any changes. You can enter the data over time if you have several tickets but don t have all of the data at once.

4 Building your Fleet 1. The head judge has decided that the best way to get and check fleet information is via the squadron builder at this website Please note that neither UKGE or FFG endorse the builder but it is the decision of UKGE and the Head Referee that this is the best way of tackling fleet information. We accept that you may have a better idea, or hate the builder but with the time we have this is how we are going to proceed. Fleet Building 1. Log into the builder using a facebook account. This is the only way to access this particular builder and while we appreciate some of you may not like Facebook you can create a temporary account to make a login. If you do not wish to do this then that is your choice but you will not be able to pre-register a fleet. 2. Once logged in construct your fleet using the builder. 3. Save your fleet in the following format <TOURNAMNET NAME: YOUR NAME> e.g. YAVIN OPEN: TONY HYAMS or REGIONAL: TONY HYAMS 4. Then click the Share button and select Web Link 5. A pop up will appear with the link you need in the window as shown below. 6. Copy that link and save it. 7. That link should now be entered into the fleet field on the UKGE website as noted earlier in this guide.

5 THAT S IT! Your name faction and a fleet build. Not much, but will make a HUGE difference if you can do this for us. What about damage decks and obstacles.? These can be simply added by each player onto their deck listing. See the On the day section of this guide. What will we do with all this data? The list of names and factions will be exported and then imported into the tournament software so that we do not have to enter all that player data on the day. The head judge will be able to read the data and check the fleet lists via their own admin screen on the UKGE website. They may you if there is a problem with your build to ensure that your day runs smoothly. The address of the person ordering the tickets remains on the UKGE servers and may only be accessed for the purpose of running the tournament you ordered via our secure system. Your will not exported to any other system or persons. After the UKGE all the data entered for this tournament will be permanently deleted.

6 On the day? All X-Wing tournaments will be held in the Monarch Suite of the Hilton Hotel. Friday regional. If you have pre-registered then you have only three things to do. Collect your tickets Register you are present Note you Damage Deck and Obstacles. Collecting your Tickets UKGE takes place at a dual venue, Hall 1 of the National Exhibition Centre and The Hilton Hotel. The venues are next to each other please see the UKGE website for maps etc. YOUR TICKETS WILL BE AT THE NEC TICKET DESK Just wanted to make sure you read that. DO NOT go straight to the Hilton as you will not be admitted to the tournament without your tickets and your tickets won t be there. Why? It s long and complicated and very dull, I can explain it but it s not going to move your tickets so the thing to note is you need to allow time to collect your tickets. There will be an express queue for X-Wing players on both Friday and Saturday morning. You will effectively skip any queuing but don t take this an invite to turn up late as the express queue will shut down when the tournament starts. Once you have both your UKGE lanyard and tournament tickets you may proceed to the Hilton. Register you are present When you arrive you need to let the organisers know you have arrived. This is done via a checklist check in. Pre-registered ( Thank you) There will be a table with all those who have preregistered names printed out on a list. Tick your name AND only your name, you may not check in for any other player. If you do and they are late or a no show you make a mess of the round pairings. Pick up your fleet listing from the volunteer. Not registered Go to the registration desk. Give them your ticket and name/faction. Give them your fleet build which we will need to print off.

7 Damage Decks and Obstacles There are places on your fleet listing to note your damage deck and obstacles you are using. Enter them on to your sheet. If you make a mistake you will need to get a judge to approve an edit of this so think before you write. YOUR ARE READY TO GO: WAIT FOR THE STAFF TO ANNOUNCE WHAT TO DO NEXT.
