1 CHESTERFIELD ROYAL HOSPITAL NHS FOUNDATION TRUST JOB DESCRIPTION POST: BASE: Project Facilitator: e-rostering Chesterfield Royal Hospital NHS Foundation Trust SALARY: 18,838-22,016 (Band 4) REPORTS TO: ACCOUNTABLE TO: Project Support Officer: e-rostering Project Manager: e-rostering JOB SUMMARY The post holder will support the Project Team in the Trust-wide implementation of e- rostering. The post holder will assist the Directorate Management and Ward/Department teams in successfully implementing the functionality of the e-rostering system including, self service, roster creation, roster administration, and validating rosters for payroll. KEY RESULT AREAS: 1. Change Management Working in partnership with the directorate management teams and roster creators: 1.1 Facilitate and manage change within the organisation by championing the new rostering system and encouraging others in its use. 1.2 Influence and motivate teams to adapt new ways of working to improve roster effectiveness and quality. 1.3 Initiate and implement change effectively in response to clinical or organisational demands. 2. Communication Working in partnership with the directorate management teams and roster creators: 2.1 Implement a locally agreed communication strategy within their allocated wards/ departments. 2.2 Be responsible for ensuring effective communication between the ward/department and project manager/ implementation group. 2.3 Facilitate communication, which results in clear responsibilities being identified within the directorate and ward/ department teams. 2.4 Receive, interpret and communicate complex, sensitive and contentious information where there are barriers to acceptance and hostility to change, for example when VAC02006 May

2 presenting an analysis of roster effectiveness and quality to clinical and/or management teams. 2.5 Facilitate communication networks which enable ward/ department based staff to discuss experiences of implementation, problem-solve and share good practice. 2.6 Raise awareness of the project with managers and staff through attendance at relevant meetings. 3 Project Facilitation 3.1 Undertake preparatory work with each new ward/ department to establish agreed directorate, ward/ department and individual rules. 3.2 Undertake a training needs analysis for each new ward/ department to identify the numbers and names of staff requiring each different category of training. 3.3 Input directorate, ward/ department and staff data as appropriate ensuring that data is available to create rosters. 3.4 Support managers in ensuring that data held in the e-rostering system is kept up to date. 3.5 Use rostering knowledge to understand the demands on wards/departments to deliver an effective roster within budget, offering expertise and support to achieve high quality rosters. 3.6 Provide day to day support around rostering issues for staff using self service, roster creators, roster administrators and directorate management teams. 3.7 Report risks and issues to the Project Manager in a timely manner. 4 Training & Education 4.1 To deliver training programmes to support the roll out of the e-rostering system including self service, roster creation, roster administration and validating rosters for payroll. This will involve training on a one-to-one basis. 4.2 To produce and utilise training materials to support the delivery of training. 4.3 To utilise appropriate evaluation methods and provide feedback to the Project Manager on the success of the training. 4.4 Maintain up to date training records for all training undertaken. 4.5 Review and revise training programmes/methods to meet the needs of different staff/ Departments and in response to feedback. 5 Professionalism 5.1 Work independently without direct supervision, but with support and guidance from the Project Manager, plus other members of the implementation team. Be aware of own personal and professional limitations and seek advice or support when required. 5.2 Identify training and development needs in consultation with the Project Manager. 3 5.3 Operate within the Trust and department s health and safety policies and procedures at all times to ensure personal and public safety, including the reporting of untoward incidents. This will include attendance at mandatory training according to Trust guidelines, ensuring safe practice with equipment and contributing to discussions about safe practice. 5.4 Work in a way that ensures staff and patient confidentiality is assured at all times according to Trust and Departmental policies and procedures. 5.5 Undertake any other duties relevant to this position deemed necessary by the Project Manager in line with changing practice and service needs. GENERAL RESPONSIBILITIES: 1. To act in line with the Trust s CARE values. 2. To maintain patient confidentiality at all times. 3. To actively participate in the staff appraisal process. 4. To be familiar with relevant Operational, Personnel, Health and Safety Policies and procedures, including Fire, COSHH, No Smoking and Alcohol. 5. POST TITLE: Project Facilitator e-rostering REQUIREMENTS CATEGORY ESSENTIAL IDENTIFICATION DESIRABLE IDENTIFICATION Qualifications & Training Educated to Diploma level in a relevant subject or equivalent experience Working Experience Experience of using a range of IT systems/ programmes Participation in projects leading to changes in working processes and procedures Recent experience of developing and delivering training including classroom based and one-to-one sessions Experience in supporting the implementation of an electronic system Application form Skills & Knowledge Excellent communication skills both written and verbal Effectively manage own workload and the ability to prioritise Understanding of organisational structure Ability to build and maintain effective and professional working relationships at all levels Understanding of confidentiality, information governance and the Data Protection Act Excellent I.T. skills including Microsoft Office Experience of using Microsoft Project Application form Other factors e.g. appearance, speech, personality Ability to work effectively under pressure to tight deadlines Have a proactive and enthusiastic approach Ability to motivate staff Works well within a team environment VAC02006 May
