2 Welcome to Showcasing Scotland 2015! We are delighted you will be joining us as a Scottish Company attendee at this event at Gleneagles in October. This handbook has been designed to guide you through your journey to Showcasing Scotland, detailing the processes involved and the actions you will need to take to get the most out of your participation in the programme. It also provides key dates and important contact details. Key activities and deadlines 17 th August Online profile area live Your personal login details will be sent to you by . It s important that you login and check /update your profile. The more complete your profile, the more information it gives the buyers Early September Appointment system live 7 th September Using your personal login details, you can start requesting appointments with buyers and manage appointment requests from them. Confirmation of requirements Scottish companies MUST confirm any requirements for: storage / refrigeration / food prep / deliveries by this date 2 nd October Deadline for appointments 7 th & 8 th October The Showcasing Scotland event Please aim to complete your diary schedule by the 2 nd October. When onsite, please remember to keep an eye on your online diary. You may receive some last minute requests or cancellations from buyers so it is important to monitor this. The Showcasing Scotland appointment system To maximise your participation at Showcasing Scotland, Scottish Companies are guaranteed a minimum of 6 appointments. Over the 7 th (full-day) and 8 th (half-day) there is however 19 available slots. This year we have an additional 40 buyers attending the event (140 in total) so there is scope to maximise your diary and fill more than 6 slots. Each appointment slot is scheduled for 25 minutes. There is a 5 minute break between appointments. Step 1: Selecting Buyer Appointment Preferences Once logged in, using your personal login, you can access the dashboard and use the search tools to find the buyers you would like to meet with: - Search for buyers by company name, geographical location or sector - Identify a buyer that you would like to have an appointment with and instantly contact them with a meeting request (existing meetings are tagged, including declined meetings) - When you go to request a meeting, the system will only show mutually available meeting times so there will be no concern for double booking. It will also show any correspondence that you may have had with the buyer

3 - Buyers will also contact you direct to arrange meetings. On your personal dashboard you will be able to view meeting requests from buyers and accept or decline as appropriate - The system also allows messaging. If you want to contact a buyer to find out some additional information (to ascertain if they are a good fit for your product) you can use the messaging system to do this. - If you decide to decline an invitation to meet with a buyer, please give them some feedback as to why within the message facility. Step 2: Managing your Diary - It s important you check your personal dashboard on a regular basis and respond to meeting requests on a timely basis - You can fill your diary slots as much as you wish but the onus is on you to fill and manage your diary - You can print a copy of your schedule from the system or you can use it via your laptop, phone or other device Setting up at Gleneagles Showcasing Scotland is now sold out / at capacity so space for each participating Scottish company is at a premium. We have 2 main rooms where the 1-1 meetings will take place. The Glen Suite will accommodate 65 tables and the Ballroom will accommodate 35 tables. THE GLEN SUITE THE BALLROOM - Each Scottish Company will be allocated 1 clothed trestle (4 x 2 6) and 2 chairs (additional chairs will be available as needed) - Your table will be numbered to allow the buyer to easily locate you. Maps will be provided to all participants. - You can use the table to display your product and related literature (please remember to leave space for the meeting/discussion) - There is no scope to display pop-ups or additional materials around your table - Limited materials can be stored under your table. Additional storage will be available but MUST be reserved in advance by contacting sarah@showcasingscotland.com by 7 th September - If you require re-fridgerated storage, please contact sarah@showcasingscotland.com This MUST be reserved by the 7 th September - There is limited access to prep and cooking facilities via the banqueting kitchen adjacent to the Glen Suite. If you require access to this, please contact sarah@showcasingscotland.com ASAP to book in your requirements. This MUST be reserved in advance and by the 7 th September - Please note that the hotel are not in a position to provide any supplies such as crockery, cutlery, glasses or cookware. Please bring everything you need to properly showcase your product

4 ACCESS TIMES Please note that there is NO access the night before Access for set-up is from 07:30 08:30 on the 7 th October. All Scottish Companies must be set-up and ready for the first 1-1 meeting at 09:00 Meetings will run all day until 5pm. At 5pm, all the companies must pack up their kit and transfer to the King and Queen rooms on the lower level of the Braids Building as the Glen Suite and Ballroom will be turned around and used for the evening dinner. Please note it is around a 3 minute walk to the storage room, so please ensure you bring a trolley if your kit is heavy. There will be access again from 07:30 08:30 on the 8 th October. All Scottish Companies must be set-up and ready for the 1-1 meeting at 09:00 Meetings on the 8 th will run until lunchtime. When the last meeting slot closes, please pack up your kit and remove from the main meeting room. Please note NO kit can be left in the meeting room. We would encourage you to remove all kit when you leave, however if any items need to be collected by courier, please ensure these are boxed, labelled and the date of collection clearly stated. All items must then be taken to the Showcasing Scotland storage unit. Please note that there is NO availability at Gleneagles on the 7 th October. A number of companies and staff are staying at Duchally Lodges - GALA DINNER Each Scottish company has 1 ticket to attend the Gala Dinner as part of your programme package. If you are NOT planning on attending the dinner, please let kristin@showcasingscotland.com so your place can be re-allocated. Unfortunately we do not have capacity to accommodate 2 nd guests at the dinner. SHOWCASING PRODUCERS ROOM The Producers room is a room set up for use by the buyers during their visit. Within the Glendevon room at the hotel, we will have an area to display samples from Scottish Companies, allowing buyers to see a wider range of products than perhaps just those companies they are meeting with. If you would like to display any products within this room, please let sarah@showcasingscotland.com know exactly what you intend to supply. Please know that each company is restricted to displaying a maximum of 5 items. (this includes across ranges) There is also scope to include a small number of leaflets or business cards. DELIVERY / ARRIVAL WITH BOXES If you are arriving with boxes on the 7 th / 8 th, please note you MUST deliver via the loading bay area of the hotel. We will need to give the hotel a note of any vehicles expected and their registration number. Please send this information to sarah@showcasingscotland.com by the 7 th September. If you are delivering kit in advance, please note that the hotel will accept deliveries from the 5 th October only. Any deliveries prior to that date are not guaranteed to be accepted by the hotel (due to capacity on storage space).
