1 TECH DOSSIER Five Answers to Top BYOD Challenges Navigating a sea of change: How to choose an MDM solution for today and tomorrow The mobile era can be summed up in one word: CHANGE. Changing operating systems, changing platforms and changing hardware. Amidst all this change, one thing is certain: Mobility is here to stay. Mobile devices gained a toehold in our organizations and revolutionized how we do business. There s definitely no going back, but there is a question of how to move forward. Today s organizations that learn how to harness this sea change are poised to benefit from increased productivity, better business agility and improved customer service. As organizations attempt to realize these benefits, three different mobile adoption scenarios are taking shape. Organizations in highly regulated industries, such as finance, health care and government, traditionally limit mobile use to corporate-issued devices. But the trend of Bring Your Own Device (BYOD) is slowly penetrating these environments. On the other end of the spectrum, a small percentage of organizations are implementing BYOD policies across the entire workforce, allowing all employees to access network resources from their personally owned smartphones and tablets. Then there are those organizations that are rolling out BYOD

This is where most of today s organizations fit into the picture. In fact, according to IDG Research, 54% of organizations that allow BYOD permit only 1% to 20% of their employees to conduct work on personally owned devices. 1 In the mobile era, even adoption scenarios are subject to change. With a maximum of 20% of the workforce subject to BYOD, there is plenty of room for growth, and there s no reason to think it won t happen: Smartphone and tablet technology continues to advance, and the workforce becomes increasingly tech savvy. Mobile device use grows, and the mobile device user profile changes. Meanwhile, as businesses realize the benefits of BYOD, the pressure on IT to expand BYOD policies grows. Despite the relatively low depth of BYOD penetration, allowing BYOD has helped 91% of organizations to achieve one or more benefits, such as increased productivity/efficiency, decreased device procurement costs and increased employee collaboration. But in order to optimize these benefits, IT has obstacles it must overcome. Because, despite the realization of one or more benefits, BYOD has also introduced challenges at 91% of these organizations, such as the need for increased resources to ensure security and provide support. 2 All this points to a critical need to make the right choice regarding how to manage mobility and BYOD. For most organizations, this means investing in mobile device management (MDM) software. According to IDG Research, 45% of respondents agree that MDM software represents the single most important investment organizations can make to ensure BYOD viability. 3 However, while the vast majority 79% of organizations have MDM solutions on their IT roadmaps, adoption is not yet fully realized. 4 This is likely due to outstanding questions that organizations grapple with as a result of mobility s rapid change, not to mention the evolving MDM marketplace. It can be difficult to invest in new technology to address an issue that is changing right before your eyes. But it doesn t have to be. Let s look at those five common questions IT struggles with and how they can be addressed with the right MDM solution. No. 1: How do we enable users to securely accomplish work-related tasks on personally owned devices? An overwhelming majority 86% of mobile decision makers report that employees use personally owned devices to accomplish work-related tasks 5 (even if those employees make up only a small percentage of the organization s total workforce). When corporate data commingles with personal data, concerns arise. Users do not necessarily update their devices when they should. As a result, the operating system and applications could have exploitable vulnerabilities. The applications that users download could access (and steal ) sensitive data. For example, a voice recorder may store messages on a third-party server. Or a productivity app may access the user s calendar. With the device being used for both personal and work tasks, it s not just the user s data that s at risk, but the organization s too. This leaves IT departments wondering how to enable users to securely accomplish work-related tasks on personally owned devices. The answer to this particular question is twofold: containerization and encryption. Containerization (or sandboxing) is a catchall term for a range of technologies that many MDM providers deploy to create separate workspaces on a mobile device. It gives employees the freedom to use their smartphones and tablets for personal use while providing the security required by IT. Personal and work applications are kept separate. The work environment is fully encrypted, managed and secured. Key documents, intellectual property, applications and content are protected. At the same time, the user has the flexibility to use his or her apps of choice in the personal workspace. Moving from one workspace to another can be as simple as a single gesture.

3 3 TECH DOSSIER FIVE ANSWERS TO TOP BYOD CHALLENGES With a maximum of 20% of the workforce subject to BYOD, there is plenty of room for growth, and there s no reason to think it won t happen: Smartphone and tablet technology continues to advance, and the workforce becomes increasingly tech savvy. When possible, an MDM solution should implement containerization at the operating system level. This enables end-to-end management of the device using technology specific to the device, controlled through features and secure connectivity from a server perspective. Thus, MDM solutions that embed containerization within the OS as opposed to layering it on top of the OS give administrators more securitycapable features. You may see certain trends among your user base. For example, 89% of survey respondents report that ios is used in their organization. However, that does not negate the need to support multiple operating systems, as 70% of respondents also report that multiple personally owned platforms are in use in their organizations. 7 Meanwhile, BlackBerry remains the leading company-supplied platform at 65%. 8 Any way you look at it, there is a clear need to accommodate a diverse inventory of mobile devices. MDM solutions are designed to allow IT to manage mobile devices, and most MDM solutions enable IT to manage multiple platforms. However, when evaluating MDM solutions, consider not only the platforms you support today, but those you may support in the future and the ability of the manufacturer to accommodate a growing inventory of device types. For this you need a solution from an established provider that understands enterprise mobility and is positioned to secure all the devices in your enterprise, be they personally owned or corporate sanctioned. Look for a provider that can support all devices from end to end, and thus be your single MDM vendor. The use of encryption also enables secure use of personal devices for work-related tasks. For example, a strong encryption key may be generated during activation with the MDM server. That persistent key is ideally protected on the device itself, and can then be used to encrypt the work partition and the personal partition of the device s file system architecture. That takes care of data at rest. Data in motion should also be encrypted along the entire path from the device to the server and back. For example, 256-bit encrypted connectivity from behind the firewall and a secure outbound connection over a single port from behind the firewall to the user s mobile device will protect data in motion. This functionality also eliminates the need for a third party to secure the tunnel from behind the firewall to the device. Any data traveling to and from the device is safe from unauthorized access. No. 2: How do we accommodate a diverse inventory of mobile devices? It s no surprise that 67% of respondents to an IDG Research survey say the ability to manage and secure devices running on different operating systems is critical or very important. 6 The main principle behind BYOD is that users are allowed to perform work on the device of their choosing. Those choices are growing by the day as manufacturers bring new devices to market and upgrade existing devices as frequently as every six months. No. 3: How do we effectively enforce policies for both personally owned and corporate-provisioned devices? And how do we enforce different policies for different user types? The ability to implement policies across all smartphones and tablets is an important piece of the MDM puzzle. IT administrators must be able to equally grant and deny device access to network resources regardless of whether those devices are personally owned or provisioned by the organization. And yet, according to IDG Research, less than half of organizations have policies in place that manage mobile risks presented by personally owned devices extremely or very well. 9 That is not a lot of confidence in IT s ability

As a result, IT managers are left wondering how to effectively enforce policies for both personally owned and corporate-provisioned devices and how to enforce different policies for different user types. The answer to these policy enforcement concerns goes back to containerization. Separating the corporate workspace from the personal workspace on mobile devices reduces the number of policies required to effectively manage mobile risks.
