1 Inventory Requirements For All IT/Media Technology Overseen By The Rogers Communications Centre The purpose of this policy is to ensure the staff of the Rogers Communications Centre has all relevant information on the IT systems that is expected to oversee. The policy allows control of the required media (ie. software), provides for an understanding of software licensing and provides appropriate warranty and service contract information. The policy also ensures there that there is a clear understanding of the services that is expected to be delivered by the Centre s service units including an understanding of administration and presentation technology service requirements. The record keeping involved in this policy provides a methodology to track of the Centre s technology, tracking its financial liability especially relating to equipment renewal, curricular function requirements and software licensing. Record Keeping The most important element of this policy is inventory record keeping. The Rogers Communications Centre s staff is responsible for thousands of IT components including the networks through which they operate and the labs and classroom where the technology is expected to deliver. It is impossible for an enterprise operation of its size to keep track of the require detail. Responsibility to maintain and back up all records relating to inventory and service falls on the Lead - Computer Systems Technology Group is also responsible to ensure that the records are kept up to date in a timely manner relating to the technology that the Computer Systems Technology Group is responsible. In a nutshell the Computer Systems Technology Group are responsible for all IT servers, network switches, routers, lab computing, administrative computing, IT connected office computing and lab based presentation technology. The Lead - Media Systems Technology Group, is expected to supply all relevant inventory to The Lead - Computer Systems Technology Group in the format requested with the as many of the details as possible by this policy. In a nutshell the Media Systems Technology Group is responsible for much of the media specific infrastructure relating to Radio/Television/Audio/Digital Signage production. The records are to be made available at a read permission level to all Media Systems and Computer Systems employees and RCC Management but only the Lead - Computer Systems Technology Group is allowed to have write access to the files. This is to protect the data from accidental erasure.

2 Information Required As Part Of The Records The following information is required for to be included in the records; Lab Computing A list by lab of all lab computers and monitors. Inventory also needs to include IT I/O components such as lab based printers, scanners etc. The list of information on each component needs to include; Lab Name and Room Number Computer Name/Identification Code Installed hardware components o Motherboard o CPU o RAM o Video output specification and interface o Primary hard drive specification o Secondary hard drive specification o Blu-ray, DVD and CD specification o Ethernet Specification o Sound system capabilities o Modem requirements (if any) o Speaker requirements o Fiber Channel Specification (if any) o Monitor (Quantity and size) o Scanner /Projector requirements o Any special interface/hardware requirements beyond keyboard, mouse and single monitor. o Backup system requirements Warranty information on components of system

3 Enterprise Computing Visio diagram that outlines the computer topology that makes up the enterprise network. It needs to detail; Servers Switches Routers Wireless Transmitters UPS Patch bays Wiring paths Physical room location(s) Enterprise Servers A list of servers in operation. This needs to include related NAS/Raid storage servers, UPS and data backup systems. As well each server must list the services that it is expected to deliver, the locations within the network to which they are expected to deliver required services. The list of information needs to include; Server Computer Name/Identification Code Serial Numbers Primary Function(s) Secondary Function(s) Inventory of all services that server is expected to deliver List of client computers dependent upon each server service CPU Motherboard Memory Video monitor requirements (including documenting existing monitor(s) or system) CD/DVD Hard Drive 1 specification Hard Drive 2 specification Hardware Raid specification Hardware NAS specification Network Interface specification(s) KVM Console requirements and interface APC UPS External Drive(s) Backup system expectations Location Status

4 System Serial Number/Service Tag Warranty information Installed hardware components of computer ram hard drive etc. of system and components of system Administrative Computing A list of all administrative computers and monitors including attached IT I/O components such as the printers, scanners etc. associated with each computing system. Administrative computers are defined as computers found in faculty or staff offices or shared workspaces and/or those providing a utilitarian or centralized function delivering a single service (like a shared scanner). 5 Routers, Wireless Transmitters and Switches A list of servers currently in operation, the services that they are expected to deliver, the locations to which they are expected to deliver required services and their associated IT components; Installed hardware components of computer ram hard drive etc. Warranty information on system and components of system Media Systems Group Technology As mentioned earlier The Lead - Media Systems Technology Group, is expected to supply all relevant inventory information. In a nutshell the Media Systems Technology Group is responsible for much of the media specific infrastructure relating to Radio/Television/Audio/Digital Signage production. Here the Lead is to follow the Administrative Computing requirements to document as much of the system(s) accordingly. Equipment currently inventoried on BCAM is not covered by this policy. Specialized IT Delivery Items and Expectations of Service Both the Media Systems Technology Group and Computer Systems Technology Group have some technology assigned to their groups that crosses over. These technologies have been assigned to a specific group by the Program Director Operations and Technology. In these instances the Leads are to expected to; List of technologies currently served other than IT such as digital signage, projection systems and associated IT technologies and follow the Administrative Computing requirements to document as much of the system(s) accordingly. This includes items such as; CATV locations Digital Signage Locations Classroom support technology such as projectors, scanners, SmartBoards etc. Loanable items such as laptops distributed via cage or by internal school system Private wireless networks Off air tuners and distribution systems
